We explore various tools available to use to tackle some of the common areas where practice owners find difficulty managing their data with therapists, clients, and overall practice finances. These tools can help streamline your business, increase efficiency, and offer clarity. Handling Therapist Finances Make sure you have an EHR that produces accurate reports and that they are operating in the manner that you think they do. Many therapists make assumptions on how the system pulls reports together based on entering payments and posting dates. It can also make or break your company culture if your payroll reports are inaccurate which could lead to doubt with your clinicians. Using a Payroll system to pay IC's and W2's can save you a lot of time with onboarding, time approval, processing, paying taxes, offering benefits, and more. Here I talk a little about how Gusto has improved my practice's efficiency. Handling Client Finances We explore how a CRM can help you organize your client balances, make sure that invoices are being followed up on in a time based consistent manner. We also discuss how you can set up tasks to remind billing that a payment is due on a payment plan to hold clients accountable if you offer this feature Using an integrated cc processing has helped me decrease the need for additional administrative support, ensure prompt billing, and eliminate redundancy of having an additional system and equipment to capture charges and re-enter into an EHR. Practice Finances Here we discuss several solutions that help with organizing, accessing, and storing financial data to help make your job easier. We discuss QB online vs. Desktop QB Using an easy digital receipt capture and storage system and so you can store and sync receipts with your QB account There are also resources that help automate the pulling of your bank statements so you don't have to send them anymore to your accountant. And Lastpass to help you communicate digital access to your accountant, bookkeeper, or virtual CFO.
