Episode 54: The Secrets to Growing Your Business, Even with a House Full of Kids We all know that being a work-at-home mom can be tricky. Finding the right balance is key. Set your boundaries by time blocking: this is when you set out specific time for work, the kids and family. You’re setting out blocks of time for every day, knowing exactly how much time is in the block. Take time each Saturday or Sunday to plan your week. Know when you have to be with the kids, when you want family time and therefore when you have time to work. This is something that I have recently been doing more of and getting better at thanks to Chelsi Jo’s podcast on systemizing your life which can be found here. When you have your work time block make sure that you use it to its fullest. Silence notifications, put your phone aside, let your spouse know that they should only contact you if it is vital and then grab a snack before you get started. This will get better with practice. When you have any block not related to work, give your children and family 100% of your time and attention. Your kids will become fulfilled and content, making it easier for you to work undistracted as they won’t constantly be bothering you. Knowing that some days aren’t going to be as perfect as you hope is important. Your process will constantly evolve and improve, the most difficult task is to just get started! Episode 53: How to Ask for Help from Your Spouse or Outsource Even When You're Just Getting Started You don’t have to have a very busy business to start considering outsourcing. It can often help to lighten the load on yourself by outsourcing things you dread doing! The first step is to take a step back and look at what you’re bringing in, then evaluate how much you would be able to set aside to fund outsourcing. You should make a list of your top three dreaded tasks; these could be social media and marketing to mailing and printing. This list is the tasks that you should attempt to outsource. Remember that it is a good idea to turn to friends and family who might be able to assist in one of these areas and wouldn’t mind earning some extra income on the side. You can also make use of freelancer platforms like Fiverr and UpWork. There are so many things that can take up your time without making you any money. Look out for and consider small things that your spouse or children could help you with that would just make your life that little bit easier without needing to spend any money. You don’t always need to give up your income. But remember that you can’t grow your business without making time to work on developing it. Paying for tasks to be done so that you don’t have to is a good way to find this time. Episode 52.5: Bonus! Should I Do My Own Taxes or Hire Someone This Year? In this bonus episode, I briefly talk about a very common question that I get: Should I Do My Own Taxes or Hire Someone This Year? I have discussed this in previous episodes but because we’re in tax season I decided to bring it up again. The answer from me is: personal preference. If your business is more complex, I would suggest hiring someone to handle your tax. The more complex the business is the more nuanced and complex the tax can become which is why I suggest a professional should handle it. On the other hand, if your business is smaller and simpler, then there is no reason why you can’t handle it yourself using software like QuickBooks, which is great for tax and general bookkeeping for your business. Regardless of what you decide it is important to weigh up the options available to you and decide from there. For example, if you would pay a similar amount for your software as you would for a professional, it might be a good idea to hire a professional. However, if you also were making use of all the other features of the software, then software would be the way to go. QuickBooks I know that it can be stressful during tax season especially when your books from 2020 are in disarray due to the pandemic. The single most valuable piece of advice I can give is to get your books in order! QuickBooks is a great piece of affordable software that I recommend for managing the bookkeeping of your business. Episode 52: Taxes Freak You Out?! Easy Tips to Make Sure You Are Tax Savvy. In this episode I discuss how to get on top of your taxes this year, so that next season is even easier! The theme throughout this episode is that you need to record all your transactions and make sure to keep business and personal transactions separate. A good way to do this can be to have a separate personal and business bank account. Then, you just need to make sure that everything gets recorded correctly in your bookkeeping software. For this I recommend QuickBooks. QuickBooks I know that it can be stressful during tax season especially when your books from 2020 are in disarray due to the pandemic. The single most valuable piece of advice I can give is to get your books in order! QuickBooks is a great piece of affordable software that I recommend for managing the bookkeeping of your business. Find out more about QuickBooks here. The following points are common areas that you should focus on when making sure that you are recording all your transactions and differentiating between personal and business transactions: First and foremost, make sure that your books are structured and organized! Get into a good habit of scanning or filing all your receipts. You never know when they might be required, so getting into a habit of saving all of them is vital! Keep track of any trips or visits you make that relate to your business. This can be done manually, in your accounting software, or with an app on your phone. Knowing what driving or traveling was done for your business is vital for accurate tax deductions. Similarly, you should take note of any courses or business development programs that you took part in as these count as business expenses and are tax-deductible. Make sure that you pay your quarterly tax estimates. This is important because you won’t get a huge bill in April, you won’t have to pay penalties and it sets you up for a clean and efficient tax return. In today's episode, I am going to give you THREE strategies to increase your profit margin! If you listened to episode 32, then you should now know the difference between revenue and profit and hopefully, taking some time to look over your financials so that you can get a better understanding on those as well. Now I want you to dig in to those numbers and together let's figure out how to increase your business profit! 1) Reduce Costs - start to analyze all of the expenses that are flowing through your Profit & Loss statement. Is there anything you can cut back on? Maybe there is a product that you can swap out for a less expensive version? Start to pay attention to these numbers each month and see where you can make changes. 2) Increase Pricing - are you currently in line with the market and your competitors? Are you devaluing yourself and your services? Now is the time to make sure you are charging the correct price. 3) Get More Sales - easier said than done, right? Use the power of social media and email lists to really push your product and services. Connect with your community by creating affiliate links or sending them sample products to share with their audience. Don't get crazy but get strategic! *BONUS* - become more efficient. In today's episode I will give you a better understanding of the difference between Revenue, Net Profit and Gross Profit. Having an understanding of each of these will help you to make better decisions in your business. Revenue: Total Sales! (Top Line) Simple as that, whatever you sell goes directly in to the revenue category. Gross Profit: Revenue - Cost of Goods Sold = Gross Profit. Let's get a better understanding of cost of goods sold (COGS) first. COGS would be any costs that is directly associated with production of the product you are selling. You could also include labor directly associated with that product. For example, if you are in the business of making masks. You would need fabric, elastic and thread to complete the production of your masks. Those three items would be your COGS. Net Profit: Revenue - ALL Expenses = Net Profit/Loss (Bottom Line) Net profit is what you have actually made or lost in your business. Not only would you deduct the COGS from your revenue total but you would also include any other business expense. Business expenses not included in COGS might include internet, phone, utilities, rent, continuing education, business licenses, etc. All items of the profit and loss statement are important and will help you as you make future goals and decisions in your business. In today's episode, I cover one of the most requested topics that I get. It's no surprise that taxes are a hot topic because they can be difficult and hard to understand plus who doesn't want to get as much benefit as possible?! While there are many tax deductions to consider, I am filling you in on FIVE that you probably can take advantage of and may not know about. 1) Mileage: Keep track of the business miles throughout the year. Make sure that you are keeping a good written record of when & where, calculating the specific miles driven for business purposes. At tax time, pass this along to your tax preparer and they will most likely give you the standard mileage rate deduction for these miles. 2) Cell phone: Assuming you are not using your cell phone for 100% business use, you can deduct part of your cell phone bill. The easiest way to do this? Take a week or up to a month and determine how many business minutes you used vs. personal. Business minutes/Total minutes=Business percentage use. Now at the end of the year take that percentage and multiply it by the total amount spent on your cell phone bill. This is the amount that you can deduct for your business. 3) Software or subscriptions: Any software such as QuickBooks, Microsoft Office, Zoom, etc can be deducted if used for business purposes. 4) Business Coaching or Continuing Education: Whether you are a new or seasoned entrepreneur, you may be seeking help from someone or something to guide you along in your business. Assuming it relates to your business, you can deduct these expenses. 5) Home Office: Do you have a separate area of your home designated strictly for business? Make sure you keep track of any of the furniture, décor or office equipment that you purchase. Also, you can use the square footage of your office space to determine your deduction from your mortgage or rent, utilities and RE tax. There are so many things in your office that may benefit your business tax return. Make sure you check in with your CPA or tax preparer! As always, make sure you are paying for your business expenses out of your separate business bank account. This will help you keep track of all your possible business deductions throughout the year. Please keep in mind that I am not a CPA and do not consider myself a tax professional. I am an accountant with basic tax knowledge and hope to pass what information I know to you. Bookkeeping can be overwhelming BUT it doesn't need to be! I truly believe that most of you can do your own books for your business. In today's episode, I tell you who I think should be outsourcing and who I think should be doing their own books. Who should outsource?1) If the thought of doing your own books puts you in to a deep and dark place of misery then maybe you should outsource. However, I still recommend that you give it a shot because you never know!2) If you are running a brick & mortar or a very labor intensive business that requires you to be focusing on the other aspects of your business from 8-5, then outsource. Who should do their own bookkeeping?1) New (and Seasoned) Entrepreneurs who have minimal expenses and financials transactions who can give an hour or two a week to keeping up-to-date on their books.2) Anyone who is willing to dedicate some time setting up their books and monthly transactions because let's face it, once you have done the initial set-up in QuickBooks, the software will do most of the work for you!3) Anyone who isn't afraid to learn new things and who is ready to have a better understanding of the financial side of their business!Guess What?! In today's episode, I am telling you what I think is the biggest mistake entrepreneurs are making when it comes to their business bookkeeping. I bet you will be surprised to hear what it is. Here we go.... #1 BIGGEST mistake I think entrepreneurs are making is not doing their books at all or doing them incomplete. For real!! We cannot, as busy mamas, expect ourselves to remember every financial transaction that has happened throughout the year in our business. My brain does not work that way and I am willing to be your doesn't either. Entrepreneurs need to be doing their bookkeeping; at a minimum, each month. Have you made this mistake? Don't worry and don't feel overwhelmed. Let's take it step by step to get you caught up. Step 1: If you haven't already, set-up your QuickBooks online account and connect your bank account and/or credit card accounts.Step 2: Code all of the transactions that have pulled in through these accounts to the proper financial account. Is it income or an expense? If an expense, which expense account? Assign every transaction to an account. Feel stuck on one? Create an account called 'Ask My Accountant', put it there and come back to it later.Step 3: Reconcile each account, month by month.Step 4: Do a very brief overview of each month's financial statement ONLY making sure something odd doesn't stick out to you. Step 5: Now keep it going!! Do this every month!! Voila! You are officially caught up and no longer making the biggest mistake when it comes to bookkeeping!! Still feel stuck or have questions? Estimated Taxes Made Simple!Hello Business Minded Mama's! On today's episode, I am breaking down what you need to know about estimated tax payments. All of these facts are general and you should always consult with your tax professional or CPA to get a better understanding of what you should be payingWho: Entrepreneurs who have business incomeWhen: April 15th, June 15th (both adjusted to July 15th in 2020), September 15th and January 15, 2021*Note* You can pay these more frequently if you would like (i.e. monthly)How much: Quickest way to get your estimate is to take the prior year tax liability and divide it by four. My recommended method....consult with your tax professional or use your accounting software to get a more accurate estimate for your current year!How to pay: Mail a check or pay onlineIf you do not pay enough in estimated taxes throughout the year, there are interest penalties that you will pay.
