This week, we are continuing to look at the different kinds of work. Having labels for things like types of work allows us to see things differently and sometimes leads to better communication. Prior to founding Organize 365, my entire life was reactive. Everyone else got to tell me what to do - the economy, my family, my stuff. I just kept reacting to what was happening in my environment. In 2011, I drew a line in the sand. Sink or swim, I am in charge of my life from here on out. I started by taking care of my home and began proactively attacking my life. Unless you actively decide to do planned work and work to create a life where the majority of your work is planned, you will remain in firefighting mode and continue to be reactive. Until I read The Phoenix Project, I did not even have a mindset for types of work like this. I did not realize the two other kinds of work we are talking about today were a thing that existed. Last week, we explored proactive and reactive types of work. Today, we add in maintenance and change orders. Work: Maintenance - maintenance is the repeating tasks that result in the care and upkeep of your home and life. Many people ask Organize 365 for a cleaning checklist or a home maintenance checklist. There are tons of them on Pinterest. However, if you are using the internet for a list consider how often you need to do the tasks. Are you sure everything you are doing on your checklist needs to be done (at all) or needs to be done as often as you are doing it? Your standard and comfort level is unique to you. Maintain at the level at which you want to maintain your home. Make a list of the tasks you want to be done - daily, weekly, monthly, quarterly, and yearly timeline. Make sure that the frequency you assign each task matches with the home you want to have. Work: Change Orders - anytime things change, it creates work. When a person, assignment, or locations changes, you need to think through the new situation, and you need to do the work to make the change happen. Change is part of life - try not to add a lot of drama. Pivot, adjust, and keep making progress. Often, these kinds of change orders are reactive. Tip! With meetings, book 5-30 minutes after them for your change order work meeting. Follow up as immediately as possible - adjust the agenda (maintenance), and then get your to do items into your Sunday Basket or Friday Box, make decisions, give approvals, or adjust deadlines. At home, you may need to adjust to new dietary requirements or adjust for your energy level or adjust to someone else (sick kid, spouse stuck late at work, etc.). I have learned to proactively adjust my plans based on my energy levels. As I analyze my own patterns, I have learned that I need to have a certain kind of energy in order to be effective at content creation - writing books or recording podcasts. Other kinds of work I can do no matter what my energy level is at a given moment. I adjust my schedule each evening for the next day based on my energy level. I am giving you permission to make your own maintenance checklists and your own change orders. Just because we have work to do in our own homes, does not mean that we need to do it at a certain time or in a certain order or on a certain day. I give you permission to loosen the standards you have set for yourself that are so high. They may be robbing you of your joy. Do what is right for you. Try it without worrying. There is no failure, it is just an experiment.

It’s finally time to talk about the NEW Friday Workboxes! I’ve worked on the Friday Workboxes for a very long time (and by that, I mean three years), so I feel like they’re more than ready to go out into the world and start changing people’s lives! If you want to take a trip down memory lane with me and travel back to around two years and four months ago, that was when I first introduced the idea of a Friday Workbox with you. Time flies, huh? It may have taken a few years to get here, but it took that long to make sure the Friday Workboxes would be as awesome as possible. And as the saying goes, it’s “better late than never,” right? Friday Workboxes Are For Home-Based Businesses Are you an entrepreneur or the owner of a home-based business? If you are, the Friday Workboxes are PERFECT for you! There are four Friday boxes available, including a box for: Direct Sales Home Schooling Entrepreneurs Teachers (this one will be available July 1st) If you’re familiar with the Sunday Basket® system, navigating your way around the Friday Workbox will be a piece of cake. They share some similarities such as the use of the 1.0 and 2.0 Slash Pockets, but they also differ regarding their use and purpose. The Friday Workbox is a complete system and costs $150. You can’t buy each part of the box individually, but you can make your own workbox with materials from the Organize 365 Store, if you prefer. But I would advise that you save yourself the hassle and go for the complete Friday Workbox to get the most out of your investment. Friday Workboxes Vs. Sunday Baskets® : What’s The Difference? You’re probably wondering how the Friday Workbox differs from the Sunday Basket®. When you think of the Sunday Basket®, what pops into your head? Bills, letters, medical information, finances, and everything in between, right? The Sunday Basket® is built for organizing the home, and everything that’s connected to that is kept in your Sunday Basket®. The Friday Workbox, on the other hand, is all about organizing your home-based business or “passion project.” The NEW Golden Hour – (Friday at 2pm) I’ve designed the Friday Box to be done on a Friday at 2pm. That’s very specific, I know. Of course, you can do the Friday Workbox at any time of the day. But if you’re anything like me, you want to be done with work by 2pm on a Friday! You’ll need at least one hour to work on your Friday Workbox. As you’ve probably heard me say before, for every minute you spend planning, you GAIN five in execution. So, if you spend just an hour planning, you’ll save yourself five hours next week – how awesome is that? Reviewing The Week & Planning Ahead Some of you may still be thinking, “But why choose a Friday?” and I have two reasons: When I do the box on a Friday, I can review the week and plan for what needs to be done the following week. It gives me a clear perspective and saves me a lot of time when Monday morning rolls around again. I don’t like to work over the weekend. I’d rather respond to emails and get in touch with people on a Friday rather than wait for the beginning of the next week. This way, I can enjoy my weekend and not have to think about work again until Monday morning. Inside Your Friday Workbox The Friday Workbox comes with a Sunday Basket® in the color of your choosing, one set of the 2.0 Slash Pockets, and two sets of the rainbow 1.0 Slash Pockets. One set of the 1.0 Slash Pockets are set up in a similar way to the Sunday Basket® while the second set includes labels for each day of the week. You’ll also receive a guide for your workbox about how you can sort out your slash pockets. Each one is focused on the traditional sales cycle and color coded as follows: Pink Slash Pockets – Leads Purple Slash Pockets – Customers Green Slash Pockets – Finances Blue Slash Pockets – Marketing & Personal Development Once you get the hang of the Friday Workbox, it will start to create a fluent sales cycle for you. As you go through the program, your sales will increase and your business will become more organized. Friday Workbox Workshops On June 18th, I’ll be hosting a live workshop. And if you’ve bought a workbox, you’ll receive a quick invite to come and join me on the live call. During the Workbox 1.0 Workshop, we’ll go through everything you need to know about the Friday Workboxes and how you can organize yours to be the most effective and impactful for YOU. So, if you buy a Friday Workbox, you can check out the original live workshop, and you’ll also get a link to another video showing you how to organize the workbox you purchased. The direct sales, entrepreneur, home-school, and teacher workboxes will each have their own coaching video so you’ll get a real fine-tuned and in depth workshop related to the workbox you purchased. In your Friday Workbox System, you’ll receive: A Sunday Basket® One set of the 2.0 Slash Pockets Two sets of the 1.0 Slash Pockets A printed workbook to talk you through how to assemble the workbox A recording of the live video class and the coaching video for your specific workbox Imagine having the ability to organize your work in one box, going through it on a Friday afternoon and keeping your work organized throughout the week. Sounds great, doesn’t it? In the next podcast episode, I’m going to tell you how to get these Friday Workboxes organized most efficiently and effectively as possible – stay tuned for that one!
The Friday Workboxes are changing people’s lives. Organizing your home-based business or “passion project” has never been easier. But, that doesn’t mean you don’t have questions! If you’re new to our Friday Workboxes, you’re probably wondering which one is right for you. I discussed this topic in episode 250 of the podcast, where I talked about how to work your workbox. So, if you want to learn more about how to use your Friday Workbox to its maximum efficiency, I recommend you listen to that episode either before or after this one. In this week’s episode, I introduce you to Michelle Paradice. She's the one who answers the majority of the customer service questions we get here at Organize 365. Have a question about workboxes? Go to Michelle! Want to know how you can sign-up for All-Access Membership? Go to Michelle! You get the idea… she’s basically my question answering wing-woman! With the Friday Workboxes, you’ve got seven to choose from (an eighth will be added towards the end of spring/early summer, so keep an eye out for that!). A lot of the time, we get questions like, “Which workbox is right for me?” If you’re not sure which workbox is right for you, check out this handy flow chart! But even with the Workbox Flow Chart, you might think that your business doesn’t really fit into any one box. Maybe it could fit into two or even three boxes. To clear up some of the confusion and to help you identify which Friday Workbox is right for you and your needs, Michelle and I have taken the time to answer some of your questions. Here goes… Should I buy multiple workboxes? Whether you’re a business owner, a home-school teacher, or a busy stay-at-home mom, you’re likely wearing more than one hat. I wouldn’t advise that you buy three boxes and start them all at the same time. Take it slow. Start with one box. Get good at it. Then, when you’re ready, move onto the next one. The more organized you get, the more productive you’ll become. Think about it as if you’re growing your organizational muscles. As you start to live a more organized life, you’ll naturally want to carry the same systems over to your business. Yes, you may need to use more than one workbox. But don’t bite off more than you can chew. Take one step at a time and work your way up. So, here are a few of the main questions we answered in the podcast (make sure you tune into the full episode to hear them all!) As a realtor, I have lots of clients with lots of files. But, I’m not sure how to organize my existing clients. Should I have a pink slash pocket for each client? Let’s start with the basics for this one. Each Workbox comes with a basket. It’s essentially a foldable box that comes in 10 different colors. You’ll also get colored slash pockets like plastic binder inserts with tabs on them. The 1.0 slash pockets come in red, orange, yellow, green and blue. The 2.0 slash pockets come with five of each color and include pink, purple, blue and green. Each color follows a formula, and most are business related. So, to answer this question… The pink slash pocket is perfect for leads and marketing. And, the purple slash pocket is for your existing clients with a contract. Keep them separate. You’re not going to get a gold medal for both of these areas of your business. You’re either a pro at getting leads. Or you’re really good with customers. Dividing the two into separate slash pockets helps you to categorize people into one or the other. You should always have leads in your pipeline and once a lead transitions into a paying customer, you can move that person from the pink slash pocket to the purple slash pocket. If I’m a caregiver and a trustee that handles all of the medical condition and administrative details to run the house, are these projects and which workbox should they be in? In this case, you don’t need a workbox. You need a Sunday Basket that comes with a medical and financial binder. Why? Well, you’re taking over the entire estate. You’re responsible for the household duties and the day-to-day care of that person. You can keep all of the mail in the Sunday Basket and go through it all with them when they’re ready. Most things will find a home in the medical binder or the financial binder. I have a Teacher Workbox and I'm getting my husband the Corporate Workbox. He works one week a month at their office in another state. Should he get two workboxes or carry folders with him when he is at the other office? If you or someone you know is in a similar situation as this customer, Michelle’s advice to you is to get a second workbox. But don’t carry the second workbox back and forth with you as you travel from one state to the next. Leave it in the second office. Although, you will need to carry the slash pockets with you because you don’t want to duplicate those! I’m an independent sales rep and considered to be self-employed. But, the companies I work for handle marketing and some lead generation. I looked at the flowchart and I'm not sure which workbox I should buy. Finding the right workbox in this situation depends on what type of product you’re selling. If it’s a physical product, the Direct Sales Friday Box will be perfect for you. However, if you’re a service-based provider, the Professional Organizer’s Friday Box one might be more suited to your needs. FYI – If you have a specific question like this about your own business and you’re not sure what Friday Workbox you should get, send your question to us using this handy contact form! I own a music teaching business and bought the curriculum and training from another company. I also homeschool, so which workbox should I purchase? If you’re not part of a franchise, the Direct Sales Box is ideal for you. Of course, if you’re also home-schooling, you’ll need to pick up the Homeschool Friday Box, too. This will help you to create a system to organize all of the paperwork associated with homeschooling. For my rental business, I need the Entrepreneur Workbox. However, I’m also part of our onboarding and other HR administrative tasks. Will I need one or two Corporate Workboxes? The Corporate Friday Workbox is for you if you work a traditional corporate job and are craving organization in your workplace. But sometimes, you might need more than one Corporate Friday Box to organize and manage different aspects of the job. You could also buy one complete set and divide your slash pockets by color. Assign a color to your administrative tasks and another to your project, etc. This makes it easy to stay on top of things. So, which workbox is right for you? Trying to figure out which Friday Workbox is right for you is the first hurdle. But once you’ve found the right Friday Workbox for you, I promise you’ll be well on your way toward leading a more organized and productive work life. Lisa Woodruff, who grew up from a family of entrepreneurs, created a system of organization called The Sunday Basket in 2002. This concept is so compelling that Lisa now has 24 licensed Sunday Basket workshop providers in two countries and conducts income-generating organizing classes online. Aside from being a successful entrepreneur and a home organization expert, she has also written the books The Mindset of Organization and How ADHD Affects Home Organization and created the blog and podcast Organize365. In this episode, Lisa shares how you can plan your day so you can focus on your business and still be able to organize your home and become an organized entrepreneur.. She goes over how you can have your home organized in a year by decluttering and organizing for only 15 minutes in a day. She also explains the value of the Friday Box, another organization system designed for busy and thriving entrepreneurs. “Stop putting these expectations on yourself of what a perfect home looks like. There is no such thing.” - Lisa Woodruff In This Episode of The Sigrun Show: How to convert a blog to a business How to figure out the core idea for your business Options to avoid messes for busy entrepreneurs The significance of being firm with your working hours What to do if your house is a mess Where to start when decluttering your home The Sunday Basket system for home organization The Friday Box system for business organization Key Takeaways: Know when you are most productive and prioritize your business, not household chores, during those hours. Save time on dishwashing by using paper plates, eating out, or having food delivered. I am super excited to start sharing this organizational strategy with small businesses in the Dayton and Cincinnati area in 2016.
