When I started this podcast series looking at how I've used the Sunday Basket® over the years, I thought I'd be sharing with you the tactical details of how I use the Sunday Basket®. Today, I am excited to announce our very special guest, Sarah Dyson, PhD. I want to introduce you to Sarah who is our new lead researcher here at Organize 365. She is the reason we have been able to launch our research efforts. Sarah has been a listener since 2014 and she has done the 100 Day Program and uses several Friday Workboxes. Sarah is passionate about research because, as she explains, it can be used to find evidence and data to solve almost any problem. After Episode 365, she reached out to Lisa to offer her services and experience to assist Organize 365 to conduct empirical research to prove that the Organize 365 systems work. She has helped us pivot from business research to real, rigorous, significant, academic research. As Lisa explains, Organize 365 has a great foundation and is building the systems to support what is coming, but we definitely need the help of our audience and supporters to bring our mission and vision to life. One of the most mind blowing things is that there are no standard definitions of “housework” in the US. Our brain is not digital.This system will hold all of your ideas and actionable to-do in a single place where you can quantitatively see it. Printing your emails and other digitials items helps you and others see the quantity of work you are handling. What is the difference between a Sunday Basket® and a Friday Workbox™? The physical components are the exact same physical tools as the Sunday Basket®. But, it goes deep because business is more complex and nuanced. For most of us, our brains make connections better when we are not in front of digital screens. The Sunday Basket® is for anything related to your home, and the Friday Workbox™ is for anything related to work. Both help to eliminate your to-do list, and hold your ideas for future possibilities. Both help you to prioritize how you will spend your time and energy over the upcoming week. I understand how the Friday Workbox ™ can hold ideas, but what other things go in there? As a leader of a company, it is easy to spend a lot of time talking about ideas. If you have a more traditional job, the systematic approach of the Friday Workbox™ will still work for you. It works for anyone in any kind of business. Every job has four core components. Once you identify the components that relate to your job, you can optimize them and make your approach more productive. What colors are used in the Friday Workbox™? Pink - anything that is only done by you Purple - your assignment or job description Blue - the team that helps you get your work done (direct reports and supervisors) Green - financial OR administrative and repetitive tasks If I get a Friday Workbox™, how long will it take to work? What do I have to do for this to be useful? This is not a one and done system. The Sunday Basket® takes four to six weeks to build the habit. The Workbox takes a bit longer to set up and build the habit. We ask you to give it a full quarter of the year; give it a full 13 weeks. You keep talking about planning. I don't feel like I have the time or authority to stop my work and plan for my next quarter. How does your planning system work? When I think about my planning, I realize that I am a teacher, and teachers always spend so much time planning. I've always been a salaried employee, not an hourly one. When I tried to limit my hours in the past, I had to plan a lot to be a really good teacher. As the owner of Organize 365®, I am spending at least 20 hours a week thinking and planning. The more prepared I am, the faster and easier the work is for the rest of the team. For you, start with five minutes after each meeting. Go through what you have been asked to do, and add it to your actionable to-do list. See how much your productivity improved. Next, add on five minutes before meetings and review the notes from the previous meeting, write down any questions you have for the meeting, and then do your five minute post review. It’s finally time to talk about the NEW Friday Workboxes! I’ve worked on the Friday Workboxes for a very long time (and by that, I mean three years), so I feel like they’re more than ready to go out into the world and start changing people’s lives! If you want to take a trip down memory lane with me and travel back to around two years and four months ago, that was when I first introduced the idea of a Friday Workbox with you. Time flies, huh? It may have taken a few years to get here, but it took that long to make sure the Friday Workboxes would be as awesome as possible. And as the saying goes, it’s “better late than never,” right? Friday Workboxes Are For Home-Based Businesses Are you an entrepreneur or the owner of a home-based business? If you are, the Friday Workboxes are PERFECT for you! There are four Friday boxes available, including a box for: Direct Sales Home Schooling Entrepreneurs Teachers (this one will be available July 1st) If you’re familiar with the Sunday Basket® system, navigating your way around the Friday Workbox will be a piece of cake. You’re probably wondering how the Friday Workbox differs from the Sunday Basket®. When you think of the Sunday Basket®, what pops into your head? Bills, letters, medical information, finances, and everything in between, right? I’d rather respond to emails and get in touch with people on a Friday rather than wait for the beginning of the next week. This way, I can enjoy my weekend and not have to think about work again until Monday morning. My second big announcement from the Organize 365 National Convention is the exciting news that we are going to have Paper Organizing Retreats! That’s right, you can literally pack up all of your paper into boxes, travel to Cincinnati, and organize your paper during a productive weekend retreat with key members of the Organize 365 Team – how awesome is that? I’m so excited! I’ve wanted to start these Paper Organizing Retreats for years. When I began Organize 365 in 2012, I knew I needed to launch a unique organizing retreat where people could bring their paper and organize all of it (while listening to some great music and snacking on delicious food as we go) – it was the PERFECT plan. But it took six years to turn that vision into a reality, and in many ways, I’m glad it took so long because now I’m 100% sure that I’ve come up with the best products, best structure, and the best team possible. After six years of long hours and lots of hard work, we have finally done it! Organizing Paper Is Hard Organizing paper isn’t the most exciting thing in the world, especially if you aren’t a passionate organizer. At home, it’s easy to get distracted and procrastinate, which is why it’s such a good idea to join one of my Paper Organizing Retreats where you can focus and actually get work done. But one of the main reasons to attend a retreat like this is so you can have the opportunity to ask questions to professional organizers. You’ll know exactly what you’re doing, and you’ll be able to avoid shredding a file that you really shouldn’t have because, unfortunately, there are no time machines when it comes to organizing paperwork! The REAL Reason For My Paper Organizing Retreats Yes, I like to help people organize their paper, and I love the community of organizers we have here at Organize 365 and the Sunday Basket®. BUT there is a deeper, more personal reason why I decided to launch these retreats. When my kids were young, they got a lot of different diagnoses including things like autism, ADHD, bipolar, food sensitives, and so on. And you know what? It was so overwhelming! I soon transformed into a protective mama bear. I was determined to know as much as possible about their conditions and I’m sure a lot of mothers who find themselves in similar situations do the same thing. Who can blame us? Whenever we receive unexpected news like a medical diagnosis or a sudden death in the family, it’s like your entire world comes crashing down. One minute, you’re sailing through life, the birds are singing, and your only concern is what you’re going to cook for dinner. And then BANG, you hear some terrible news. Then you’re devastated and left with all this paperwork you didn’t even know existed. I know that feeling all too well, which is why I wanted to create the Paper Organizing Retreats to help reduce stress at a time in your life when you feel like everything is just falling apart. Getting Organized On The Retreat On a more light-hearted note, when you attend the retreat, you’re guaranteed to leave a lot more organized than you were when you arrived! If you’ve got your hands on one of the new Friday Workboxes that have just been released for your home-based business, you can take it with you to the retreat and get stuff into it. The Friday Workboxes can really help you to get an effective system in place so you have more structure and direction to take your business that extra step further. The retreat begins at 9 am on Saturday morning. When you arrive, you’ll have your own organizing table which includes a shredding bag and a recycling bag. You’ll spend a lot of time during the first half of Saturday going through your paper and organizing them into three piles: shredding, deleting, and the keep pile. Everything you want to shred can go into the shredding bag, the paper you want to recycle can go into the recycling bag, and the rest of the paper is what you’ll need to focus most of your time and energy into organizing. You can then begin to organize your paper into the Organize 365 binders, slash pockets, or the Sunday Basket®. You can either bring your own items with you, buy them from the Organize 365 Store, or pre-order your products in advance and have them available at your seat when you arrive at the retreat. The Friday Workboxes are changing people’s lives. Organizing your home-based business or “passion project” has never been easier. But, that doesn’t mean you don’t have questions! If you’re new to our Friday Workboxes, you’re probably wondering which one is right for you. I discussed this topic in episode 250 of the podcast, where I talked about how to work your workbox. So, if you want to learn more about how to use your Friday Workbox to its maximum efficiency, I recommend you listen to that episode either before or after this one. In this week’s episode, I introduce you to Michelle Paradice. She's the one who answers the majority of the customer service questions we get here at Organize 365. Have a question about workboxes? With the Friday Workboxes, you’ve got seven to choose from (an eighth will be added towards the end of spring/early summer, so keep an eye out for that!). A lot of the time, we get questions like, “Which workbox is right for me?” If you’re not sure which workbox is right for you, check out this handy flow chart! But even with the Workbox Flow Chart, you might think that your business doesn’t really fit into any one box. Maybe it could fit into two or even three boxes. To clear up some of the confusion and to help you identify which Friday Workbox is right for you and your needs, Michelle and I have taken the time to answer some of your questions. Here goes… Should I buy multiple workboxes? Whether you’re a business owner, a home-school teacher, or a busy stay-at-home mom, you’re likely wearing more than one hat. I wouldn’t advise that you buy three boxes and start them all at the same time. Take it slow. Start with one box. Get good at it. Then, when you’re ready, move onto the next one. The more organized you get, the more productive you’ll become. Think about it as if you’re growing your organizational muscles. As you start to live a more organized life, you’ll naturally want to carry the same systems over to your business. Yes, you may need to use more than one workbox. But don’t bite off more than you can chew. Take one step at a time and work your way up. So, here are a few of the main questions we answered in the podcast (make sure you tune into the full episode to hear them all!) As a realtor, I have lots of clients with lots of files. But, I’m not sure how to organize my existing clients. Should I have a pink slash pocket for each client? Let’s start with the basics for this one. Each Workbox comes with a basket. It’s essentially a foldable box that comes in 10 different colors. You’ll also get colored slash pockets like plastic binder inserts with tabs on them. The 1.0 slash pockets come in red, orange, yellow, green and blue. The 2.0 slash pockets come with five of each color and include pink, purple, blue and green. Each color follows a formula, and most are business related. So, to answer this question… The pink slash pocket is perfect for leads and marketing. And, the purple slash pocket is for your existing clients with a contract. Keep them separate. You’re not going to get a gold medal for both of these areas of your business. You’re either a pro at getting leads. Or you’re really good with customers. Dividing the two into separate slash pockets helps you to categorize people into one or the other. You should always have leads in your pipeline and once a lead transitions into a paying customer, you can move that person from the pink slash pocket to the purple slash pocket. If I’m a caregiver and a trustee that handles all of the medical condition and administrative details to run the house, are these projects and which workbox should they be in? In this case, you don’t need a workbox. You need a Sunday Basket that comes with a medical and financial binder. Why? Well, you’re taking over the entire estate. You’re responsible for the household duties and the day-to-day care of that person. You can keep all of the mail in the Sunday Basket and go through it all with them when they’re ready. Most things will find a home in the medical binder or the financial binder. I have a Teacher Workbox and I'm getting my husband the Corporate Workbox. He works one week a month at their office in another state. Should he get two workboxes or carry folders with him when he is at the other office? If you or someone you know is in a similar situation as this customer, Michelle’s advice to you is to get a second workbox. But don’t carry the second workbox back and forth with you as you travel from one state to the next. Leave it in the second office. Although, you will need to carry the slash pockets with you because you don’t want to duplicate those! I’m an independent sales rep and considered to be self-employed. But, the companies I work for handle marketing and some lead generation. I looked at the flowchart and I'm not sure which workbox I should buy. Finding the right workbox in this situation depends on what type of product you’re selling. If it’s a physical product, the Direct Sales Friday Box will be perfect for you. However, if you’re a service-based provider, the Professional Organizer’s Friday Box one might be more suited to your needs. I own a music teaching business and bought the curriculum and training from another company. I also homeschool, so which workbox should I purchase? If you’re not part of a franchise, the Direct Sales Box is ideal for you. Of course, if you’re also home-schooling, you’ll need to pick up the Homeschool Friday Box, too. This will help you to create a system to organize all of the paperwork associated with homeschooling. For my rental business, I need the Entrepreneur Workbox. However, I’m also part of our onboarding and other HR administrative tasks. Will I need one or two Corporate Workboxes? The Corporate Friday Workbox is for you if you work a traditional corporate job and are craving organization in your workplace. But sometimes, you might need more than one Corporate Friday Box to organize and manage different aspects of the job. You could also buy one complete set and divide your slash pockets by color. Assign a color to your administrative tasks and another to your project, etc. This makes it easy to stay on top of things. So, which workbox is right for you? Trying to figure out which Friday Workbox is right for you is the first hurdle. But once you’ve found the right Friday Workbox for you, I promise you’ll be well on your way toward leading a more organized and productive work life.
