Struggle to get or stay organized? We've all been there, or are currently still there. Time is of the essence, and there never seems to be enough of it especially when your to-do list grows with each hour that passes. Organization is something that varies from person to person but there is no denying that having productivity tools in place is something that we all utilize to get through a busy week. While not an expert, I share some of my favorite tips on how you can effectively approach structuring your task list so that in doing so, the hope is that you "create" more time to enjoy the joys in life, big and small. Multi-tasking can sometimes have a bad rap. It has been said that multi-tasking in any form is something you should never do, but as an entrepreneur, it's almost a daily necessity. There are simply not enough hours in the day for you to afford “playing it by ear.” Your life and profession are under constant reprioritization, that's the nature of being an entrepreneur. Don't be intimidated by the rumors; multi-tasking can be an effective way to handle your workload. We are going to talk about several tips for effective multi-tasking. Traits of Effective Multi-tasking • Group like tasks together • Create a to-do list • Defined goals with the end result • Budgeted time/schedule • Remove distractions • Undivided attention and focus Effective multi-tasking for entrepreneurs is all about having a system in place to handle tasks with the greatest efficiency. First, you need to create a To-Do List or Master Task List; this will help you to see the big picture of the day's duties and help keep you on track throughout the day. The goal is for the To-Do List to help you prioritize the “must do” tasks and complete them before the deadline. That brings me to my next point, multi-tasking for professional and personal tasks should be handled in the same manner for entrepreneurs, because time is always of the essence. It is about being the most efficient and productive, 24/7, because your profit, or lack thereof, is always directly affected by your personal time. One of the best tips for effective multi-tasking is to set a deadline for when these tasks need to get done. Being reminded of the goal that you are working toward will help motivate you to work with the greatest efficiency and within your deadline. Whether the motivation comes from money, the excitement of achieving a goal or the benefits of the end results, it makes no difference, as long as it motivates you to work with the greatest focus. Ineffective Multi-tasking behaviors and traits include: • Combining irrelevant tasks together • Undefined goals • Setting an indefinite deadline • Working with distractions • Continually switching gears without accomplishing anything • Lack of focus There's a huge difference between effective multi-tasking and cramming unrelated tasks together. You've already learned what it takes for effective multi-tasking, now let's take a look at what ineffective multi-tasking looks like. One of the most common mistakes is to combine unrelated tasks together. You may think that it will save time, but more often than not, it ends up taking more time. Other common mistakes when handling multi-tasking is not establishing a deadline. Every goal, regardless of its nature, should have a clear, defined deadline. The reason is because without a deadline, there is no urgency for efficiency or focus. Have you ever been in a rush to get something done and only had 15 minutes to complete it? I'll bet you were surprised when you had it done in time. How did you do it? You had a clear deadline and focused for the greatest efficiency. The key is to think about the nature of the tasks and organize them appropriately. Don't help your child with Algebra while performing market research; don't feed your baby while writing an article, and don't play with your puppy while talking to a client on the phone. Only group like tasks together; for example: start the laundry then go for your 30-minute run. Put the wash in the dryer, then take a shower. If you work from an office, coordinate with partners or assistants to coordinate like-actions. Schedule meetings for first thing in the morning or late in the afternoon to avoid breaking your rhythm. Do the tasks that require you to be at your best, when you feel your best. Some entrepreneurs are on fire in the morning, while other crank out results in the afternoon. The goal is to combine tasks that do not distract your focus away from what you're currently doing. I'm sure you can see how playing with your puppy is distracting you from the conversation with your client. Another top tip for effective multi-tasking is to work in small time blocks. Choose two or three relevant tasks and give yourself a small time block to achieve each task. Let's say you must call back five prospects. Allot 30 minute blocks to return the calls and speak to each prospect. Do you see how much easier it is to manage each time block individually with specific activities, as opposed to 2 whole hours for all calls. Completing similar activities together is more efficient and saves time from having to start and stop different activities. It's easier to focus and perform with the greatest efficiency when you have one task to complete in a small time block. When possible, working by phone appointment and personal appointment is the most effective. Multi-tasking for entrepreneurs need not be a difficult process, just follow these simple steps to group like tasks together, establish realistic deadlines and remove distractions for greatest focus and efficiency. These tips will give you a sense of direction in approaching all of your responsibilities, in all areas of your life, with a strategic mindset. When we make minor adjustments to what we do, it can have a big result on the outcome. Sometimes it is the thing that seems simple. The key is to consistently do them to achieve your desired results. Once you're clear on the types of tasks to include, create subsections for each of your tasks. Generally, you should list two to seven subsections under each master task. In the subsections, list smaller tasks that must be accomplished in order to carry out the master task. This is a way of breaking down larger tasks, one step at a time. Here are some examples of a master task list main task with subtasks. Master Task List 1. Marketing Management • Locate blogs to advertise with • Contact bloggers and negotiate rates • Locate Linked-in Expert at Advertising • Determine an Advertising Budget for Expected Outcomes based on Stats the Expert Shares • Ask people I know for a referral to a copywriter. • Hire a copywriter to create copy for advertisements • Ask people I know for a referral to an online graphics designer • Hire graphic designer to design online advertisements 2. Hire Virtual Financial Planner/Virtual Assistant (VA) • Ask people I know for referrals to a possible virtual planner / VA • Hire a virtual financial planner, so I don't have to spend my time on the plan • Hire a VA to do things that they can do, so I don't have to do them • Have the FP / VA create a procedures manual for their job 3. Client Liaison • Meet with clients over lunch • Negotiate contracts • Up-sell clients on additional services and products that they need to have • Address the concerns of prospective clients • Create a survey to determine client satisfaction • Meet with clients for their progress meetings • Ask clients for referrals / introductions The goal is to accomplish the tasks on your list as soon as you can, so you can clear your head of the distractions. To aid in that, place the tasks from your master task list into a calendar where you can map out time limits for each task. As you accomplish your tasks, check them off or cross them out so you get a visual affirmation of your goal achievement. If you don't complete all of your tasks in any given day, just carry them over to the next day - or the next available day. Remember to delegate the unimportant or low-priority tasks to an assistant or employee. You, as the business owner, should only be focusing on the most vital tasks that are best suited to be handled by you. Everything else is trivial, temporary, or low-priority, and can likely be delegated to an assistant. The composition of everyone's master task lists will differ greatly, but the most important thing to keep in mind when learning how to use a master task list is remembering to not make it overly complicated. Identify the tasks you must accomplish, break them down into smaller tasks, apply the 4 D's, and slap them onto your list. That's really all it takes. Understanding how to use a master task list can only be done by truly understanding why you need to create one. A master task list has one purpose: to help you complete the key tasks vital to running your business at its optimal efficiency and effectiveness. To get started, list all the activities that must be completed and by what time they need to be done. Prioritize the tasks, putting the most important at the top of your list. Focus on the high-payoff tasks that would be best served by you. If you can minimize the list by delegating - then do so. In addition, if certain tasks will be better served by someone else, you must delegate. All tasks on your master task list can be categorized into the 4 D's: Do It - Delegate It - Delay It - Drop It. This system makes prioritizing much easier. Use the 4 D's everyday in your master task list by choosing one category for each task. Remember, it is always about taking action that puts you on the straightest path to achieving your goals, and every step you take (or do not take) directly affects how quickly you get there. There are simply not enough hours in the day for you to afford “playing it by ear.” Your life and profession are under constant reprioritization, that's the nature of being an entrepreneur. Multi-tasking can sometimes have a bad rap. It has been said that multi-tasking in any form is something you should never do, but as an entrepreneur, it’s almost a daily necessity. There are simply not enough hours in the day for you to afford “playing it by ear.” Your life and profession are under constant reprioritization, that’s the nature of being an entrepreneur. Don’t be intimidated by the rumors; multi-tasking can be an effective way to handle your workload. We are going to talk about several tips for effective multi-tasking. It is about being the most efficient and productive, 24/7, because your profit, or lack thereof, is always directly affected by your personal time. If you've failed at producing big results in your business, it's time to let the failures go and move on. As an entrepreneur, you do not have time to sit around with regret; you've got to get moving! If you want to produce big results, you first need to understand how to get big results. Big results are brought upon by the confidence to take action - again and again. When it comes down to it, who's going to believe in your business when you don't seem to believe in it yourself? If you have at any time questioned your ability to create the kind of life you have always wanted, a change in mindset would work wonders for your personal and professional life. Learn how to Use the 4-D Master Task List The first and most important principle to producing big results is learning how to focus on the high-payoff tasks while delegating or deleting the not-so-important tasks. Reduce time-wasters, while increasing your productivity to sticking to four rules regarding all of your tasks: Do it Now - Do it Later - Delegate it - Delete it. Each evening before you go to bed, you should be creating a Master Task List for the following day. Each task should be designated into one of the four categories: Do it now - Do it later - Delegate it - Delete it; and prioritized, with the highest payoff task at the very top of the list. You'll want to do this every evening for two reasons: 1) You can get a good night's rest knowing that you've written everything down and 2) So your sub-conscious can organize your day while you're busy sleeping. Live each day by your Master Task List - and schedule everything by 15-minute marks. You'll want to list everything, including morning coffee, shower and drive-time. To avoid being rushed or feeling overwhelmed, give yourself 15-minute buffers between each item. That way, if you're running a few minutes behind schedule, you can still remain calm. If you don't have time to get to something, transfer it to your next day's list. Learn from other Successful Entrepreneurs Making friends with other successful entrepreneurs will get into a positive, successful mindset. The wealthy and successful think and act very differently than those who are just scraping by, and what you want to do is learn the distinctive differences, so you always know where your mindset is taking you. A successful mindset will put you into superior state of mind, where you see opportunity not obstacles, income not the lack of. Find mastermind networking groups where you can immerse yourself in a room of big thinkers. Or attend dinner parties where successful business owners congregate. Successful entrepreneurs know how to get big results and soon enough their savvy business tips will rub off on you. Ask good questions and get a mentor or mentors to help you. Create a board of directors to bounce ideas off on. They can be like multiple mentors. Learn to Take Risks Would Bill Gates would be where he is today if he didn't drop out of Harvard to follow his dream? What if Steve Jobs gave up building computers? Neither would be where he is today if it weren't for taking risks. Ask any successful entrepreneur; sometimes it takes big risks to get big results. If you're wondering why you haven't gotten to where you want to be, it's probably a safe bet that you haven't taken much risk. The moral of the story is that without some risk, you will never have big results. Period. Not all risks pay off, but if you don't take them at all, you will always stay where you are. The important thing is to remember that you shouldn't throw caution to the wind and risk everything without a pay off that's worth it. The trick is to learn to take calculated risks that have the potential to get you where you want to be. This is where learning from other successful entrepreneurs will help you greatly. Remember, it is always and only about taking action that puts you on the straightest path to achieving your goals. The only person responsible for creating that path is you. You must learn it is only habit that separates you from the most successful entrepreneurs in the world. They have learned how to optimize their time and results to get there faster. Most people I coach don’t initially have a Master Task List, Prioritized Action List, or one place where they keep all the activities required to achieve their goals.
