E104: My Favorite Trello Tips and Boards

Just One Simple Thing

Play Episode Play 29 sec Highlight Listen Later Mar 20, 2023 12:57

If you ask me how I keep things organized, my answer would be one word. Trello. Join me for Episode 104 of Just One Simple Thing where you'll learn how I use Trello to helpme and my clients save time and stay on track. If you aren't very familiar with Trello, it's a visual organizer. Information is put on Cards, which are organized in Lists, and saved on Boards. You can assign people and due dates to cards, create checklists on a card, and It's super easy to move cards around between Lists and Boards. Now that you have a visual, let's talk about a few time-saving tips. One of my favorites are Labels. These are little colored bars at the top of each card. You can set each color to represent whatever you want it to, and toggle between just a small colored dash, and a longer bar with the text of the label. It's helpful if your colors mean the same thing across all your boards. For me, the black label always means the task is completely done. Red usually means something is on hold, or waiting for info, or otherwise stuck. Green might mean the VA has done it and it's ready for me to check. My other favorite time saver is Automation.  I mainly use Rules and Board Buttons. For Rules, you set up a trigger that then starts one or more actions. Board buttons are similar, except the trigger is a button that Trello puts at the top of your board and the automation will start whenever you click the button.Let's wrap this up talking about a few of my favorite boards that keep my business rolling.  My Weekly Plan board works with my To-Do List to keep me on track every week. I also have a Social Media board. Another favorite is the Do A New Thing Hub. This is where all the important info about my business belongs. There's also the Do A New Thing Team board, where I have all the projects and ongoing tasks that the VA's are working on, so I can assign things to them, monitor the progress, and make sure they are not waiting on anything from me.  On the Clients board, I have a list for each of my one-on-one coaching clients. The first card in each list has their contact information, and a checklist of all the elements of their coaching package, so I can check them off as we do each one. Then there is a card on the list for each of our coaching sessions with my notes from the session. And one of my recent additions .... The Strategy Six Pack. This is part of my Simple Strategy Solution that keeps me on track with my most important strategic plans, and also functions as an idea capture system.ACTION STEPIf you are already using Trello, try one of these tips to make it even more efficient and let me know how it goes. If you aren't using Trello yet, head to my free Facebook group Plan & Pray with Do A New Thing and grab one of the Trello template boards I've linked there and get started. RESOURCESBuild A Better Quarter Workshop - learn to use the Strategy Six Pack Using Trello LabelsTrello AutomationBack Office Assessment by Shannon BakerFREE Define Call+++++++++++++++++++++++++++If you're frustrated because your business or ministry has you so overwhelmed, you may need an upgrade to your systems. Playing it safe means you aren't finding that edge in life that makes you the best version of yourself. But if adding one more thing to your list to take action on or try harder at seems overwhelming, rest assured, finding your edge doesn't always mean you have to do more. This episode is a continuation of last week's episode in which I discussed what it means to find your "edge" and how to go about doing so.   But when you're on a self-understanding journey, it's not about trying harder or doing more, but instead using intentionality in the way that you approach life and perhaps even shedding some things from your life in the meantime.  When your version of playing it safe is to keep busy all the time, here's how to better yourself without adding to your to-do list.  Resources:Daily Rhythms Tracker - In order to know where your edge is in life, you first have to become aware of where you are.  And to do that, tracking is essential.  Grab your Daily Rhythms Tracker here. I'm sure you have a lot to do. If you use a To-Do list, I'd like to pass on advice to make your days much more fun. LOSE your "To-Do List." Replace it with a" Did I Do It List."  To-Do Lists make you a slave to the checkmark. They cause more stress the longer they get.  A" Did I Do It List" assumes you know what must be done. Instead of chasing, you are checking to make sure you did it.  An un-focused path produces additional tasks to fill your day. Do you feel there is never enough time to get things done in the day? It doesn't help when you hear gurus tell you just make it a priority and you will get it done. You have so many priorities, and it can get pretty stressful trying to sort things out as a mom. My guest, Cara Harvey, is here to help.In this episode, we unpack some of the topics mentioned in her new book called The 15 Minute Formula. This book is what you need because it is a productivity book geared toward moms. Typically, most productivity books are written by men, which they're great, but they don't take into account a lot of the struggles of us moms. In addition, Cara shares her story and how she even started with A Purpose Driven Mom. And then what led her to write the book, The 15-Minute Formula. She also talked about priorities with us and how to use micro priorities, which was something new that I learned from her. And then lastly, we talked about seasons and how we can be more aligned in our life by knowing what season we're in and setting things up so that we can be more in alignment with the season we're in versus trying to jam-pack our days, weeks and months with things and burn ourselves out. One of the more challenging aspects of being in the workplace with ADHD is creating systems to get everything done. One key factor is having a to-do list system that works for your brain. Many adults with ADHD struggle with finding a to-do list that works. When we do not have an effective to-do list that can help us get our job done, we fall behind, miss important tasks, fail to meet deadlines, and, get stressed out. Dave runs through a few things to think about if you're trying to find a to-do list system that works for you and your job. Keep in mind there is no perfect To Do List, and everyone responds to different ways of getting it all done. Dave also briefly discusses his new video program, ADHD in the Workplace, now available. To those of us living with ADHD, this may sound terrifying… impossible even. But the only way to make progress is by taking one step at a time, tackling items one by one.In this episode, I'm divulging why I relish archiving ALL THE THINGS that take up too much brain space and how it helps me be *more* productive in the long run. When I'm working with private business & leadership coaching clients, one of the things we are always talking about is building traction. When you're eager to grow and evolve in your leadership (in a business, the workplace, or your community), it's easy to overlook the significance and impact of small (tiny!) actions over time.   Tiny action adds up. But you have to be paying attention. Notice how you are showing up to do the little things each and every day that further your growth toward your goals. Be methodical and strategic in taking tiny actions and tracking your traction. This can be done by tracking tiny wins as you tick little things off your To Do List, or writing down small accomplishments and achievements at the end of each day. When I am in seasons of struggle and I feel like my growth is stunted or things are just not going the way I want, I commit to taking small, simple steps each day to keep going, while also noting the small (sometimes minuscule) wins each day that prove to me that simple action creates momentum (ie: traction!) and that always feels good.  In this episode, I talk through 5 ways to build traction by taking tiny action. Let's keep going and growing together!  Sponsor info and promo codes: Please find our sponsor information here: shamelessmom.com/sponsor/ Interested in becoming a sponsor of the Shameless Mom Academy?
