Today we are talking about Business Communication Tip #4 for Even Greater Success, which is to Avoid Speaking for Other People. As a business owner, you are the voice of your business. The responsibility of performing exceptionally lies with you as you have to set the professional example. When an employee does something that affects the business, you should speak to them about how that behavior or attitude affects you as a person other than how it affects every other employee. By doing this, you are giving all your other employees a voice to explain their views without generalizing them. This helps your employees develop their individual thoughts and ideas that can help your firm as a whole perform more effectively. 7 Tips to Enhance Your Performance in Life

The Accountability Coach: Business Acceleration|Productivity

The need for a balanced life is more important than ever. Too often, our work life and personal life overlaps, so enhancing your overall performance can only benefit both aspects of your life. Having a growth mindset can help you to overcome any challenges you may face, both professionally and personally. By following these seven tips to enhance your performance in life, you'll be more likely to maximize your potential and reach your goals in the timeframe you desire. Are you ready to start implementing changes into your life that will increase your performance and help you grow as an individual? If yes, then keep listening! 1. Set Crystal Clear Goals As a business owner, you may be constantly thinking about setting your team up for success, but don't forget about yourself! Set yourself up for success by setting clear goals. You set your annual goals and review your progress every month to help you know where you are against your annual goals, so you can course correct, if you are off track at all. If you're not sure where to start, you can start by setting longer term, larger goals and breaking them down into smaller and more manageable goals. For example, you can set a goal of running a half marathon in the next year. Break that goal down weekly by starting small and running 3 miles a week, then build up slowly until you're running more and more each week. By the time the half marathon comes along, it'll be a breeze for you to do! Another example is, instead of setting a goal to “increase revenue for the year,” set a specific goal with an actual number, such as “increase revenue to $120,000 by year end.” Then break that down into smaller goals by month, such as “hit $10k in revenue per month.” Once you have a more concrete goal, you can plan out the actual steps it takes to achieve that goal! 2. Practice Effective Communication Effective communication is so important in both our personal lives as well as in business. Practicing empathy goes hand-in-hand with communicating effectively. Whether you're speaking with a loved one or a co-worker, approach the conversation with empathy and an open ear. Start by trying to see where they're coming from, and use phrases to describe how you feel, not what you don't like about the other person's actions. Listening well is a very important skill that needs to consistently be practiced to be refined. It can be easy to hear something and react immediately. It's much harder to listen, take time to reflect on what someone says, and then respond with intention and kindness. With practice, it can become second nature and enhance many different types of relationships in your life! 3. Set Aside Time to Rest and Recharge Performing at your potential doesn't mean going nonstop 24/7—it means having the self-awareness to know your body and its limits. Take the time to rest and recharge. Get enough sleep, and also take moments throughout the day to give your brain a break. Whether that means taking a walk around the block or stepping away from your laptop for a coffee break, taking breaks will actually increase productivity. When you do take a break, work to clear your mind of anything work-related. Do something fun, meditate, get some fresh air outdoors. If you have someone who can take a break with you, it helps to have that accountability and be able to interface with someone face-to-face throughout the day. On a larger scale, plan out vacations for yourself! It could be a road trip, a staycation—nothing necessarily extravagant. Taking time away will help recharge your batteries, so you can come back ready to tackle whatever comes your way! 4. Define Your Top Three Tasks Each Day Do you ever find yourself continuing to add to your to-do list throughout the day until it's long and overwhelming? It's not realistic to think we can get through everything on our list. Start your day by defining the top three tasks you want to accomplish for that day. It could be an errand you've been putting off, a proposal you've been needing to send, five calls to prospective clients, or a dish you've been wanting to cook. Stick to those three first—when you get through them, then great! Either give yourself time to rest or knock out more to-do's that are next on the priority task list. You'll feel more productive getting those extra activities done, and at the very least, you'll know that you've accomplished the three top tasks on your list. 5. Practice Gratitude Each Day Gratitude is a powerful emotion. When we express gratitude, our brains actually release dopamine and serotonin, which are the neurotransmitters responsible for making us feel good. Expressing gratitude can lead to better health and bring us happiness. When life gets overwhelming, it can be hard to consistently practice gratitude. Which is why it is what it is—a practice. Some people start their day with something they're grateful for, and others prefer to end their day reflecting on what they were grateful for that day. Whichever one you prefer, write it down and speak it aloud. If you have a partner you can do this with, even better, as you can remind yourself to reflect on the day and ask each other what you're grateful for. Practicing gratitude can help you put things into an even more positive perspective. As hard as things may seem, they could be worse. There is always something to be grateful for. You just need to be intentional about acknowledging it. To download my complimentary Gratitude Journal Exercise, go to https://www.accountabilitycoach.com/gratitude/. I hope you get value and insight from using this Gratitude Journal exercise. 6. Revisit Your Definition of Success Often As you go through different stages of life, your definition of success will change. Perhaps at a younger age, monetary success was your only definition of success. But as you get older, that definition may change as spending time with loved ones becomes more important to prioritize. Whatever your definition is, revisit it often to make sure it aligns with your current values and goals. By taking time to think through how you define success, you can check how you're progressing towards your goals or if you need to pivot. Keep in mind that “success” is subjective–someone else's definition of success is not your own. It will look differently to everyone, and it's important to build your own definition of it. 7. Get Enough Sleep Each Day Never underestimate the power of getting enough sleep each day. Being well-rested enhances your performance in many ways. It can improve concentration and productivity, and leads to a healthier lifestyle, and also decrease long-term illnesses. For optimal performance, aim for 8-9 hours of sleep per night. Make it work around your schedule! If you tend to work better at night, stay up a little later and sleep in a bit later. If you're an early riser, get to sleep earlier, so you can wake up earlier. Your body will thank you for it and you will be more focused and productive. By incorporating these 7 tips into your daily life, you'll enhance your performance in life in many ways. To recap, set clear goals, practice effective communication, set aside time to rest and recharge, define your top three tasks each day, practice gratitude daily, revisit your definition of success, and get enough sleep every night. Not only will you be more successful, you'll also be able to enjoy the benefits of a truly balanced life! Today we are talking about Business Communication Tip #3 for Even Greater Success, which is to Stay Away from Absolutes. Habits are hard to break, and personal relationships can get heated. When in business, your employees and vendors have their habits and may bring these behaviors into the business. Though these habits may be detrimental to your business success, how you communicate your displeasure in business can help you to have people who respect you and want to support you and your firm's goals. For effective business communication, it is important to stay ways from absolutes like ‘never,' ‘always,' and words that paint a continuous habit of your employees. When you say this, it instantly puts the person on a defensive mode, preventing them from listening to you and adhering to corrections, comments, suggestions, and recommendations. Finding more constructive ways to pass essential information will put you on a path to business success through effective communication. Today we are talking about Business Communication Tip #2 for Even Greater Success, which is to Practice Active Listening. Communicating effectively in business is double-sided. Just as you should learn to speak clearly to avoid mistakes that can cost you business, you should also practice active listening. Non-verbal cues, such as nodding your head, looking the speaker in the eye, turning towards the speaker, and other facial and body gestures, present interest in the speaker's communication. You probably have heard this before… we have two ears and one mouth, so listen twice as much as you speak. Most people don't ask enough questions and really listen to what people are saying. As a business owner, you need to strive to communicate clearly. Clear communication prevents miscommunication and a varied interpretation of your message. It is also important to state the reason for each business communication you have. When you do this, you are more likely to have your listener's attention and practice business communication skills effectively. Be succinct and direct in a way that is all about them is always the ideal way to communicate. Superficial chit chat is just that, superficial. Today we are talking about Cybersecurity Tip #6 of the 6 tips to protect your business, which is to Implement Anti-Virus Software and Firewalls. Anti-virus software and firewalls block malicious software from getting into and infecting your computer. They guard your system from any suspicious activity or users trying to make contact with it. It's like a security guard, making sure only the people on your approved list are let in. VPNs mask your identity on the internet and protect your location and online activities. A VPN is like a middleman—when you go to a site, the site sees the VPN's IP address, not your own personal IP address. You get what you pay for, so it's a good idea to pay for a VPN service instead of going with a free one. A decent VPN can cost you between $5-$12 per month, which is a small price to pay for added security. Anti-virus software can protect your computer from things like spyware, adware, or trojan horses. Firewalls, on the other hand, protect your network from suspicious traffic. Together, you have the best chance of fighting cyberattacks from various angles. A few anti-virus software options are: • McAfee • Norton • Total AV • Surfshark • Kaspersky • Bitdefender • AURA • Panda • Avira If you don't already have a cybersecurity strategy in place, now's the time to implement one or more of the 6 tips I shared over the past 6 days. Take a look at the systems you have and get a sense of what needs to be done to protect them from all angles, whether that's using two-factor authentication, backing up your data regularly, using a VPN, implementing anti-virus software, or encrypting any sensitive information sent over email. It's your job as a business owner to protect your company and its assets from cyberattacks. Putting in the work now and having the proper tools to build resilience to threats will definitely pay off. Today we are talking about Cybersecurity Tip #5 to protect your business, which is to Encrypt Any Data Sent Via Email. Cybersecurity training should be part of any new employee onboarding. This includes training employees on the types of data to send or not to send through email. Any sensitive information, such as login information and passwords, credit card information, or social security information, should never be sent through email. Tools such as Enigmail are useful security tools to encrypt your email. Never email any confidential information to anyone via email. Passwords can be sent through software such as LastPass. The same way you wouldn't want to send sensitive information on a postcard for everyone to see, you should be very cautious about what you send through email in case you get hacked. Today we are talking about Cybersecurity Tip #4 to protect your business, which is to Create Separate User Accounts for Each Team Member. As much as you'd love to retain your team members for as long as possible, the time will sometimes come for them to move on. Hopefully that's on good terms, but in case it's not, it's always safer to make sure you can easily delete their individual user accounts. Having separate user accounts also helps keep track of version history, or who makes changes to what. If anything ever happens to your files or data, you'll be able to track who the last person to make the changes was so you can restore the files. Make sure that when your employees are setting up their user accounts, they understand how to set up a strong password. Tune in tomorrow for Cybersecurity Tip #5 to protect your business. 5 Tips to Trick Your Mind into Overcoming Procrastination

Work Life Balance Podcast: Business | Productivity | Results

Play Episode Listen Later Sep 22, 2022 8:58

Mind over matter, right? Sometimes, that's easier said than done. When we're faced with a laundry list of to-dos and with not enough time in the day, it can be easier to distract ourselves and push things off to the next day. And when more items get added to our list, it becomes overwhelming, and we continue to procrastinate even more. A vicious cycle, but one that can be overcome. In order to overcome procrastination, we have to first understand it. Start with perspective—procrastination may not be something you can ever fully get rid of. And that's okay. When you accept that it may be a part of your process, that's the first step to figuring out how to work through it. The reason why many of us procrastinate is because we choose to do something that's more immediately gratifying than something we know we need to do, but it is probably not as fun. Procrastination is an emotional reaction, and we put off necessary tasks in order to stay happy in the moment. So, how do you overcome procrastination and move on to a mode of productivity? Here are 5 tips to trick your mind into overcoming procrastination. 1. Make It Super Easy to Get Started on Your Task The hardest part of completing some tasks is getting started. Sometimes thinking about a task can snowball into feeling overwhelmed because of what the task entails. If you're going into the task with a dreaded mindset, that will make it harder to get started. It's much easier to get started if you don't think about it as much. For example, if the task at hand is getting out of bed to go work out, you might find yourself thinking about how you have to find your workout clothes, then you need to make sure you have clean socks, and by the time you work out, half your day will be over—before you know it, you've convinced yourself to stay in bed. Set things up ahead of time so it's super easy to get started. If your goal is to work out in the morning, make sure your clothes are laid out the night before. Then, when you wake up, just get out of bed. Don't spend time thinking about whether or not you want to work out, or you'll fall into the same pattern as before. Just get up, get dressed, and get out. If the task at hand is making prospecting calls to potential clients, start with making a list of people to call and the script you will use for what to say. Once you have that list and script, set it next to your laptop (or open it in a notes document on your laptop) the day before you even start the task. Now that your prospect list and script are ready and waiting, all you need to do is pick up the phone and call! You can also open up any CRM you use ahead of time, so you're ready to take notes on your calls. The less you need to think about it in the moment, the easier it will be to get started. 2. Remove All Distractions Yes, I'm talking about your phone. That's probably one of the biggest distractions from doing our work. Want to know a super-secret strategy for not being distracted by your phone? Either flip your phone over, turn it off, or remove it completely from the room. The simple act of not having your screen in front of you, with notifications popping up and noises sounding, can make a huge difference in making sure you are able to focus on the task at hand. If you wear a watch with notifications, the same suggestions apply to that. Have a browser window open with dozens of tabs but need to get started on that blog post? Separate out one browser window and just focus on getting your writing done, so you're not tempted to see the other sites you were browsing. The bottom line is, simplify your environment and pare it down as much as possible to remove any and all distractions, as much as possible. 3. Think of a Reward for Completing the Task If there's no light at the end of the tunnel, of course you'll want to push it off! Think of a reward for when you complete the task. Maybe it's a drink at your favorite smoothie place, or tacos for dinner. It could be something larger, like that shirt you've been eyeing. Having a reward gives you not only something to look forward to, but something to work towards. When you think about how much you're going to enjoy the reward once you complete the task at hand, it can help you make better decisions about getting started. Your reward could even be the completion of the task, especially if it's something you've been putting off for a while. Think about the relief you'll feel once it's done! 4. Set a Timer to Work on the Task Sometimes it's not knowing how long a task is going to take that can deter you from even starting. What if it takes longer than you think? What if that keeps you from doing other, more important activities? Might as well push it to tomorrow. Set a timer so you know exactly how long you'll be working on the task. Start with 25 minutes and see how you feel, and if you're in a good flow, set the timer for another 25 minutes. That way, there is an end in sight. The Pomodoro timer is a good one to check out to keep you focused on the task at hand for 25 minutes at a time before reminding you to take a break. If you have a deadline the next day and absolutely need to finish today, try setting timers with breaks in between, if you can. That way, you're at least breaking up your day, so there is an end in sight after each time the timer goes off. You can even make a game out of it. Set a timer first for 10 minutes. If you “beat” that timer, try setting another timer for 15 minutes. Keep going for as long as you can, and before you know it, you'll be done! 5. Give Yourself Permission to Try Again the Next Day Some things are okay being put off, and it's okay to give yourself permission to try again the next day. It's easy to get into a cycle of feeling disappointed or discouraged because you didn't get something done that you meant to get done. But if you forgive yourself and give yourself permission to try again, you'll approach it with a better mindset the next day. You'll have less negative feelings around what you're putting off, and you'll be less likely to procrastinate again with self-forgiveness. Once you understand why you procrastinate and accept it as a natural part of the process, you can figure out the best way to deal with it. By practicing these 5 tips, you can go forth and conquer procrastination! To summarize, make it super easy to get started, remove all distractions, reward yourself for completing a task, set a timer so there's an end in sight, and if you don't get to something, give yourself permission to try again the next day (just don't make a habit of this). Today we are talking about Cybersecurity Tip #3 to protect your business, which is to Backup Your Data Regularly. If your system gets hacked, not only will others gain access to sensitive information, but you may lose access to your own data. Backing up your data regularly to the cloud will still give you access to it if anything happens. Ransomware attacks happen by locking you out of your data and preventing access until you pay a ransom fee. If you have a recent copy of your data, you don't need to worry about getting that information back. How often you backup your data depends on your business and how much information you're storing. At the very least, you should back it up after any important task has been completed. Some backup service options are: • https://www.carbonite.com/en/ • https://mozy.com/ • www.mypcbackup.com • www.justcloud.com • www.backupgenie.com • www.zipcloud.com • www5.ibackup.com • www.crashplan.com • www.sosonlinebackup.com • https://www.idrive.com/index.html Tune in tomorrow for Cybersecurity Tip #4 to protect your business. Today we are talking about Cybersecurity Tip #2 to protect your business, which is to Secure Your Wi-Fi Network. Make sure your Wi-Fi is secure and hidden. While your router typically comes with a pre-set password, make sure to change it immediately to something more secure. Additionally, if you offer free Wi-Fi to your guests, create a separate guest network with a different password, so they don't have access to your company's network. You're ultimately responsible for what people do on your network. By securing your guest network with a password, you can control who has access to it and make sure you're not opening up your business to considerable risks. Also check that encryption is enabled on your router. Encryption provides data security for sensitive information, and enabling it scrambles plain text that's sent or stored on the web into unreadable, or “cipher text.” Once it's sent to the end user, the text is unscrambled, or decrypted. If you're out of the office or in a public area, avoid using the free Wi-Fi network. As tempting as it may be to check your email at the airport, there are a lot of potential risks that come with a free public network, such as opening yourself up to hackers. Look for a network that's secured with a strong password, and if you can't find one and absolutely need to hop online, use your phone as a temporarily private hotspot. Today we are talking about Cybersecurity Tip #1 to protect your business, which is to Use Secure Passwords and Multi-factor Authentication. Not only should you have a strong password to sign into the various platforms and software that your business uses, it's also good practice to change those passwords regularly and use multi-factor authentication. Longer passwords are better—at least 8 characters, with a mix of uppercase and lowercase letters, numbers, and symbols. Passwords can be hacked with automated software that tries every possible combination, so the longer your password is, the more combinations it has to try. Multi-factor authentication is when you need a password and an additional step. It's also called two-step verification. This reduces the likelihood of a successful attack because additional information is needed to login. Typically, this is a code sent to the user's cell phone, or a code generated by a two-factor authentication (2FA) app such as Authy. You can use a password manager to help you manage the various passwords for your accounts, so you're not reusing the same one, or having to try and remember all the passwords you have for all your accounts. If one account gets hacked, then any other account using the same password can also more easily get hacked. And whatever you do, avoid using the word “password” as your password at all costs. There are many password manger options. Some are: • Dashlane • LastPass • LogMeOnce • Keeper • NordPass • Bitwarden • RememBear • 1Password • PasswordBoss • Enpass • RoboForm • ZohoVault • TrueKey Tune in tomorrow for Cybersecurity Tip #2 to protect your business. I think you will find my guest to have valuable insight about helping business owners hire, train, and retain high-value staff to help you take your business to the next level. Quality Assurance Manager at Coca-Cola turned entrepreneur, Denise Cagan, of DCA Virtual Business Support, my guest today. She has owned one business or another for 20+ years. Denise was running a virtual workforce before the pandemic forced companies to do so. Listen in to hear what she has to say about sustainability of staff in the hybrid and remote business models. Here are a few questions I asked Denise Cagan that you will benefit from by listening to her interview: • When hiring support team members, you always want to find the A Players to be on your team, of course. In order to find the best people, what exactly would a game plan for success look like? • What do you need to do differently, if anything, in the interview process for a virtual person and a person who would be physically in your office, or a person who might be virtual and in the office? • What tools have you found helpful to manage your remote team? (How do you hold them accountable and know exactly what they are doing for you?) • What technology recommendations do you have for helping business owners and their staff be as effective and efficient as possible as a team? • Now that you've hired your talent, what is the best way to train them, so you only have to teach them something once (ex. Having them create/update a procedures manual)? Making sure your business has systems in place to withstand cyberattacks is one of the most important actions you need to do. As a business owner, you have an obligation to protect your company's sensitive information, as well as your clients' information. The Equifax data breach of 2017 exposed the personal data of millions of people. As a result, Equifax had to pay $700 million in settlement fees. This is just one of many unfortunate examples. Smaller businesses may be even easier targets, which is why it's very important to have a solid cybersecurity strategy in place. If you're not sure where to start, I'm going to share 6 tips to help you increase your company's cybersecurity to protect your business over the next 6 days. So, tune in tomorrow for the first one. Today we are talking about Technique #4 to Help You Manage Your Time More Effectively, which is to Use Time Blocks to Maintain Structure. Structuring your work hours cannot be over-emphasized. After your to-do list and prioritizing that list, it is important to structure your daily tasks. This is where time blocks help you to maximize your very valuable time. Time blocking works by sectioning each task into specific minutes or hours of the day, depending on their volume, importance, and relevance. Time blocks are effective for time management because they help you concentrate your focus on a particular task at a particular time slot during the day. By using time blocks, you can complete many tasks because you have dedicated sections of the day to complete each task. Time blocks are useful tools in creating structure and accomplishing tasks that require in-depth attention. Setting recurring time blocks helps you to plan for what you regularly intend to happen. For example, calling prospects, meetings with support team members, checking email, exercising, etc. can all be recurring time blocks. Did you know that some of the most productive people in the world swear by time blocking? Ever heard of Elon Musk, Bill Gates, Michael Hyatt, or Cal Newport? Yep – all time-blockers. They're squeezing every drop of productivity from their days, and so can you. When managing your time effectively, it is important to be focused on the tasks you have at hand. By prioritizing, you are able to see which tasks need your instant attention and align your focus to those tasks. While some distractions are easy to identify, others are not easy to spot and may waste valuable hours. This is why being able to delegate is a valuable skill for all business owners everywhere. The Accountability Coach: Business Acceleration|Productivity

There is an entire industry dedicated to fighting cyberattacks and making sure other companies have solid cybersecurity systems in place. Cyberattacks have become increasingly common, and typically involve some sort of breach of information systems to steal sensitive data or deny users' access to their data. Many attacks have a financial motive, so it's crucial to protect your company against the possibility of a breach. It only takes one attack to bring down a network and do serious damage to your business, but if you take the necessary steps to protect your systems, you have a much better chance of thwarting any hackers' attempts. There are several different types of cybersecurity threats, and it's important to know what they are so you can understand how to fight them. 1. Malware Malware, or malicious software, is an umbrella term for all sorts of programs designed to hack, disrupt, or damage a device. Malware breaches the security of your device and can steal data or control your device. It works by tricking users into clicking something they shouldn't click, which then downloads malicious code into their system. Types of malware can include viruses, trojans, spyware, bots, bugs, and ransomware. You can prevent malware by using tools that detect a breach early, such as software that scans your network, and removes any malware it detects. Never click on a link you aren't exactly sure where it came from. Even emails that may seem okay and legit, are not. Malwarebytes offers a free and an affordable paid version to help with possible malware issues on your computer. Check it out by going to https://www.malwarebytes.com/. I personally use this software on my computer and on my phone. 2. Ransomware Ransomware is exactly what it sounds like—your data is taken hostage until you pay a ransom to get it back. It can be considered a type of malware, and is spread throughout your network through various ways, such as phishing emails that have malicious code attached, or drive-by downloading, which is when a user visits a site that's infected with malware and unknowingly downloads it to their device. Once ransomware has infected a device, it encrypts the user or company's data so they can't access any of their files. It spreads quickly across the database and servers, and the attacker holds a private key needed to decrypt the files until the ransom is paid. There may be some situation in which the attacker refuses to release the private key, so it's important to back up your data regularly, along with implementing other tips to increase your cybersecurity. 3. Phishing Phishing is when cybercriminals pose as legitimate companies and send users emails, phone calls, or text messages to get sensitive information out of them. A common example of phishing is a password reset email, where the attacker pretends that your account is under a security threat and asks you to reset your password. When you click the link provided in their email, it goes to a website that isn't legitimate, and your new password gets saved. They can then change it on their end and use the information to log into your account. Other types of phishing emails to be suspicious of include notifications of winning a prize, urgent requests, or emails from people you don't know with attachments you don't recognize. 4. Man-in-the-Middle Attacks Using free public Wi-Fi is a good way to leave yourself vulnerable to a man-in-the-middle (MITM) attack. Generally speaking, a MITM attack is when the attacker positions themselves between the user and platform the user is trying to visit, and essentially intercepts and hijacks that connection. When the victim gets on the free Wi-Fi network, it allows the attacker to have full visibility and access into their online activities. The best thing to do if you can't get onto a secure Wi-Fi network in public is to use your phone as a temporary hotspot. 5. DoS and DDoS A Denial-of-Service (DoS) attack works by shutting down web servers and essentially denying users access to it. It does this by flooding a server with traffic until it crashes, rendering it unavailable and unusable. Some signs of a DoS attack include slower network performance or a loss of connectivity to your site. A DoS attack uses a single system to launch the attack. A Distributed-Denial-of-Service (DDoS) attack, on the other hand, uses multiple systems to attack a single system. Running tests regularly on your internal systems can help expose any vulnerabilities, so you can protect against future DoS or DDoS attacks. Implementing things like anti-virus software, firewalls, VPNs, employee training and cybersecurity solutions can help protect your company against cybersecurity threats such as malware, ransomware, phishing, MITM, DoS, DDoS and more. By understanding what dangers these different threats pose, you can be proactive about preparing your systems to recognize and remove the threats as soon as they're detected. Today we are talking about Technique #2 to Help You Manage Your Time More Effectively, which is to Prioritize All of Your Tasks. When you have listed everything you need to accomplish during the day, you should sit still and prioritize your tasks based on their level of importance. More in-depth activities like meetings with clients, important business meetings, marketing meetings, and team updates can be organized, depending on their urgency and level of relevance to you making progress on your firm's goals, and your personal goals as well. Other less important tasks can be ranked at the bottom of the list. Ensure that these “bottom” tasks are handled at the end of every day. Otherwise, they can constitute a greater problem that will affect business activities and relations in the upcoming days, weeks, and months. If at all possible, delegate as many of these tasks as possible to a team member (virtual or in your office). Tune in tomorrow for Technique #3 to Help You Manage Your Time More Effectively. Today we are talking about Technique #1 to Help You Manage Your Time More Effectively, which is to Keep a To-Do List or a Prioritized Action List (PAL) as I like to call it. A to-do list is one of the simplest and most common time management techniques in the world. To-do lists have been ingrained in many lives right from a young age. This is because to-do lists serve as a central location for imputing everything you need to accomplish in a day. To-do lists serve as one powerful time management tool because they let you be productive by being intentional about what you need to achieve in an outlined time slot. When you are intentional by keeping a to-do list, you can divide each task into tasks that can be completed in 5 minutes or less, in 10 minutes, or in longer time slots. Keeping to-do lists also helps you plan your time blocks more easily. The availability of many online to-do lists can help you manage your time effectively. Pick one that works best for you, your team members, and your business. Your to-do list can be in Outlook, your CRM, https://todoist.com/, https://workflowy.com/, or a simple spreadsheet like my Prioritized Action List. You have options. To download my simple Prioritized Action List (PAL) excel spreadsheet that everyone in your office can use, go to https://www.accountabilitycoach.com/pal-sample/.
