Today we are talking about 1 way to Increase Your Business Efficiency with Time Blocks, which is to Develop Your List. At the beginning or end of every day, it is essential to take stock of what you have done previously. You should know where you are with each task, and what you need to accomplish for the next day.At the beginning of a new week, start by writing out everything you need to achieve during the week. When writing this list, pay attention to deadlines, meetings, and upcoming projects or tasks for the following week. This will help you keep the most important (highest payoff) activities in perspective when planning your week.You can organize all the business activities you need to make the next business week better by consistently developing your list.To help you and your team be even more time efficient, use a Prioritized Action List (PAL). This is a list of everything you have to do, so you don't have sticky notes, pieces of scrap paper laying around, or things in your head that you are trying to remember or afraid you will forget. Everything on the list in a priority order – hence the name – so you are more focused and on target to getting the most important tasks/activities done very single day. If your business is not growing, you need to get a handle on the way you're running it. Many business owners tend to spend a great amount of time performing unnecessary tasks that contribute little to the growth of your business. The 80/20 rule, otherwise known as the Pareto Principle, teaches that only 20% of your actions should lead to 80% of your results. Get a handle on your business by putting the 80/20 rule into effect and identifying your high payoff tasks. The 80/20 Rule (Pareto Principle) Explained Developed in the early 19th century by Vilfredo Pareto, an Italian economist, the Pareto Principle was used to explain why only 20% of the population was responsible for 80% of the country's wealth. It was later in the mid-1900s that the theory of the Pareto Principle was modified by Dr. Joseph Duran. When applied to cause and effect, he theorized that 20% of actions (cause) would produce 80% of the end results (effect). Because Duran's theory expanded on Pareto's original version of the 80/20 rule, Dr. Duran's theory soon became known solely as the Pareto Principle. What the Pareto Principle Means for Your Business The 80/20 rule can be applied to pretty much any situation, but, it is especially beneficial when applied to a business (especially if you're currently a one person show). The 80/20 rule isn't just another ordinary time/business management method; when used effectively, it holds the power to drastically increase your income and free up your very valuable time, allowing your business to grow. Maybe this means that you can cut down on staff by weeding out tasks that are completely unnecessary by setting up an automated system. Perhaps it means that it is time for you to hire an assistant or virtual assistant to whom you can delegate low-priority tasks. Using the 80/20 rule to identify the high payoff tasks within your business and automate the low-priority or non-income driving tasks will allow you the freedom you need to grow revenue. Identify the High Payoff Tasks For the purpose of putting Duran's theory into context, let's say that 20% of your employees are responsible for driving 80% of your sales, or 20% of your clients make up 80% of your product or services sales revenue. To grow your business and success, it's vital that you closely analyze your business model and examine which 20% of your actions are accountable for 80% of your results. Put the 80/20 rule into action by focusing in on specific tasks that will result in driving sales and revenue. Instead of relentlessly marketing your business to new clients, focus more of your attention on up-selling to your existing clients. In addition, there are also other important aspects of your business such as bills to be paid, staff to manage, and all kinds of decisions to be made. In short, there aren't enough waking hours to deal with all there is to be done. This is why effective time management is a vital skill for all business professionals and seasoned entrepreneurs. How can you manage your time effectively? Effective time management is where time blocks come to the rescue. The challenge you, as an entrepreneur, face is your inability to streamline your focus into a few tasks without getting distracted by other tasks to be completed. Lack of focus becomes a problem because when you split your attention into all the tasks you have to complete. You won't be able to complete any of them while doing this. As a business owner, new tasks can spring up daily, and you'll need excellent time management skills to carry out your business. Time blocks serve as a way to carefully break your day into very specific blocks of time. Activities are scheduled for certain hours (blocks) of the day. When managing your time, you can streamline your focus into a few tasks that should be completed daily. Time blocks help you keep your focus on a particular task at a particular time, and for a period of time. By doing this, you can avoid procrastination and complete each task more quickly. You can also make important decisions and become up to 80% more productive. Five ways to improve your time management using time blocks There is a shift in work ethics requirements from how much work is done to what results are produced at the end of each day. Because of this, multi-tasking has been exposed to present sub-par results in all tasks carried out simultaneously. Placing a tunnel focus on few tasks and presenting best results through time blocking is the best choice for all everyone. Here are five ways you can improve your time management skills with time blocks. 1. Develop Your List At the beginning or end of every day, it is essential to take stock of what you have done previously. You should know where you are with some tasks, and what you need to accomplish for the next day. At the beginning of a new week, start by writing out everything you need to achieve during the week. When writing this list, pay attention to deadlines, meetings, and upcoming projects or tasks for the following week. Plan Your Day From your waking hour, it is essential to plan each hour of the day. Doing this allows you to focus on essential hours of the day where you perform optimally. Depending on their relevance, plan your first one or two crucial tasks in the block of time where you function the best. Pay attention to your slow hours (non-primetime) and work on tasks that require little to no brainpower at these times. When you plan your day, you can work optimally and manage your time efficiently. 4. Account for Every Hour When managing your time effectively with time blocks, ensure that every hour of the day is accounted for. This allows you to function at the highest possible level and complete every important task on your list. As a general rule of thumb, you want to set time blocks for 30, 60, or 90 minutes. Some people can work in 4-hour time blocks, but I haven't seen many that can do this effectively. It is better to start off with specific time blocks that will move your tasks to completion with giving yourself a break every 90 minutes or so. This also helps you make faster decisions that improves your overall business performance. 5. Stick to Your Time Blocks The only constant thing in business is change. New activities arise every time that may require some flexibility or adjustments with your plans. Always attend to your priorities and set different hours to attend to these occurrences. Make sure that you communicate your unavailability to everyone when you are dealing with your priority tasks. This will help tunnel your focus and achieve your daily, weekly, and monthly goals. Ideally, working by appointment only, as much as possible, is the best way to work for you and everyone in your office. Procrastination hits at the most inopportune times and halts progress, makes us miss deadlines and causes overwhelm. There are a myriad of reasons for procrastination and in order to help push past its potential downward spiral, you need to understand the reasons you procrastinate. Once you understand the reasons behind your procrastination, you can take steps to alleviate and eliminate it, so you can move forward. Procrastination can be a threat to your professional productivity and your livelihood. Why do you procrastinate? There are many who believe procrastination is a time management issue, but it's not – it's an emotional issue. When you delve into the emotional reasons you procrastinate you can move past it. Here are five reasons people procrastinate: 1. You're not sure the project is worth the perceived effort you need to put in. If you're not invested in the task you can tell yourself “it's not worth it.” You may be right, but you need to determine how missing this deadline could impact your future self and business. 2. You fear failure. This is a major reason for procrastination – if you don't start, you can't fail. Your fear keeps you frozen. Lack of training or knowledge of the overall project could add to that fear. 3. You are already overextended, but still you said “yes” to a new project. If you are already overwhelmed, and you add another project, procrastination is almost sure to follow. 4. Your perfectionist tendencies rise up. If you're concerned that your efforts won't yield 100% satisfaction, you are afraid to start. The desire to produce a perfect project helps assure you don't work on it. 5. Your time management skills are lacking. If you procrastinate because you are overwhelmed, it could be because you truly do have too many tasks on your plate. However, you could be procrastinating because you don't know how to properly manage your time and your tasks. Additionally, if you haven't written down all of the tasks you need to do, you could be imaging you have more to do than you truly do. Write down everything you need to get done and you may see it's not as overwhelming as you imagined. Prioritize everything on your list with the most important items that will help you make progress on your goals (revenue generation, for example). How many items are on your list that can be delegated – and delegate them? To help you be even more effective and efficient, so you can achieve your goals at an accelerated rate, you can delegate more to your team members than you have or might think possible. Stop holding on to things that can be done by someone else and do only those activities that you can do and can't be done by anyone else. Stop doing revenue generation / business development avoidance activities and delegate more! You should be doing only those activities that only you can do and nobody else can. Successful people are excellent delegators, so work at being an even better delegator and be even more successful. It's easy to get distracted. It's easy to lose focus and when this happens regularly you need to determine the underlying cause. If you were formerly focused and stuck to tasks and didn't waste time, what is happening now that you're not focused? nnFor many entrepreneurs the reason for losing focus and wasting time is procrastination, pure and simple. If you want to manage your time effectively and be more efficient and productive you need to get to the root cause of your lack of focus. nnLet's first look at four habits that waste your time and that are insidious to productivity. nn1.tThe internet and social media. If you're researching an item for your business it is easy to go down a rabbit hole, and it's also easy to get off track from your original research topic. If you don't have the willpower to stay off the internet or from constantly checking email or responding to social media pings. Turn off the apps that distract you and reward yourself with social media or email time once the task(s) at hand has been completed. n2.tKeep your work housed on one device. When you switch between your work desktop and your home laptop and check your email on your phone and not your computer and then pull out your tablet to scroll social media you are pulling your focus into too many directions. Every time you move from one device to another you are more likely to get distracted. n3.tHave a schedule and use a calendar. If you write down your tasks and have a specific schedule for particular tasks you are more likely to keep your focus and not waste time. Set a timer while you're working on a particular task and don't let yourself stop until the timer goes off. Avoid the distraction of setting the timer on your phone unless you use a voice command to do so. But if you find that you're wasting time daily and can't stay focused, you will begin to lose motivation because you're not seeing to-dos getting checked off. If your business is suffering you may not even place the blame on being unfocused, but it could very well be the case. Do you find yourself staring out the window or scrolling through social media and tell yourself, “I'm just going to look on social media for five minutes” then discover that it's been a half an hour or an hour or longer? It's easy to get distracted. It's easy to lose focus and when this happens regularly you need to determine the underlying cause. If you were formerly focused and stuck to tasks and didn't waste time, what is happening now that you're not focused? For many entrepreneurs the reason for losing focus and wasting time is procrastination, pure and simple. If you want to manage your time effectively and be more efficient and productive you need to get to the root cause of your lack of focus. Let's first look at four habits that waste your time and that are insidious to productivity. 1. The internet and social media. If you're researching an item for your business it is easy to go down a rabbit hole, and it's also easy to get off track from your original research topic. If you don't have the willpower to stay off the internet or from constantly checking email or responding to social media pings. Turn off the apps that distract you and reward yourself with social media or email time once the task(s) at hand has been completed. 2. Keep your work housed on one device. The Accountability Minute:Business Acceleration|Productivity
Today we are talking about an idea to help you get even more done, which is to Cull your to-do list/ master task list / prioritized action list (as I prefer to say). Get lethal with your to-do list and delete (or move to the bottom of the list) anything that isn't going to add value to your daily activities. Then review what items can be delayed and move them down. Use your contact manager, outlook, or an excel spreadsheet to keep your Prioritized Action List or To Do List current at all times. Do the most important activities, and those are the activities that only you can do and can't be done by anyone else. When you consistently do your high payoff activities, it will help put you in the highest probability position to achieve your goals, and in the timeframe you have set. Today we are talking about Productivity Tip #6, which is: Write it Down. If you write down tasks, project steps, and other items you need to do on a regular basis, you are more likely to get it done. When you're hoping to remember what you need to do and are just letting tasks float around in the ether without being written down it is easy to feel overwhelmed that you have too much to do and not enough time to do it, then you procrastinate. When you make a list and make note of all the projects you have to complete, you feel more in control and will be more productive. Today we are talking about Productivity Tip #5, which is: Speaking of Distractions. If you work from home, distractions are, well, distracting! They take you from your work and make you less than productive. The vacuuming, dog walking, laundry, errands… they all can distract you when you work from home. If you work in an office, your staff can be distractions. People popping their heads into your door just to say hi or pick your brain will take you away from the tasks at hand and will keep you from being as productive as you could be. If you work from home set up specific office hours and let friends and family know you're not available to always go out to lunch or run errands for them. Do your laundry and household tasks on your lunch breaks or after working hours. What if this statistic is true? Every 11 minutes you are distracted or interrupted by someone or something that takes your focus away from what you are currently doing. Then it takes approximately 30 minutes to go back and get refocused on where you were to then begin again. If this is true or close to reality, what would have to happen to not let this be true in your life? Today we are talking about Step #3 to help you Increase Your Power of Focus, which is to Create a Daily Task List. At the end of each day, create and update your Task List for the following day. Prioritize your tasks in order of importance, with the most important being at the top of the list. The following day, start with the number one item and work your way down the list. At the end of the day, you will have completed your tasks with improved organization and efficiency. This is the part where most people run into trouble - they hate making a task list! And that's OK, you don't have to like it - but it is necessary for your success. Why? Because successful people practice The Power of Focus every day and a Daily Task List is part of that regiment. You must be an active participant in your life and take responsibility for those things that you must do. And it's easier to do that when your tasks are staring at you in the face! You can't conveniently forget about them…You suddenly become accountable for your actions, and knowing that this is all part of the process of becoming successful. How do you decide when to call someone and when to send them a text? Anne: To help you be even more effective and efficient, so you can achieve your goals at an accelerated rate, you can delegate more to your team members than you have or might think possible. Stop holding on to things that can be done by someone else and do only those activities that you can do and can't be done by anyone else. Stop doing revenue generation / business development avoidance activities and delegate more! You should be doing only those activities that only you can do and nobody else can. Successful people are excellent delegators, so work at being an even better delegator and be even more successful. What are some basic examples of business processes? A business process is a defined (and hopefully documented) sequence of steps that enable a business to get something done. How you pay your bills, how you approach a new customer, how you deliver a product? 7. How do boss-employee relationships impact effectiveness and efficiency? It's hard for them not to reduce both effectiveness and efficiency. Most work is routine; it's doing something you are confident you know how to do and then you do it. While there are occasional moments of uncertainty, these are usually resolved. Communicating with a boss breaks that flow. If you have to stop what you're doing, then you're not going to be as effective. And if your boss requires that you do things a certain way, that's going to reduce efficiency. However, a good relationship with a supervisor is more about them finding you resources and clearing out distractions and interruptions. These relationships are rare, however, as most boss-employee relationships are more about control and suspicion than they are about freedom and support. Anne: My business owner coaching client wanted to better hold his support team accountable, so I created a performance assessment tool. This enhances regular communication with each team member about their specific performance of what they are responsible for (whether internal or virtual). It lets the team member feel good about their progress and it helps the business owner feel more confident about what is being done and at what level of performance. You will benefit, just as my clients have, from utilizing this simple and effective performance assessment for every member of your team. Customize it for each person on your team based on their job description. More specifically, each team member should customize it for themselves and you approve it. Schedule a meeting every 90 days to review progress in each area you are measuring. A good example is batching: do you turn on your computer, then go get some coffee, and by the time you return the computer is ready? Do you reply to emails during certain times of day? Anne: To help you be even more effective and efficient, so you can achieve your goals at an accelerated rate, you can delegate more to your team members than you have or might think possible. Stop holding on to things that can be done by someone else and do only those activities that you can do and can’t be done by anyone else. Stop doing revenue generation / business development avoidance activities and delegate more! You should be doing only those activities that only you can do and nobody else can. Successful people are excellent delegators, so work at being an even better delegator and be even more successful. What are some basic examples of business processes? A business process is a defined (and hopefully documented) sequence of steps that enable a business to get something done. How you pay your bills, how you approach a new customer, how you deliver a product? 7. How do boss-employee relationships impact effectiveness and efficiency? It’s hard for them not to reduce both effectiveness and efficiency. Most work is routine; it’s doing something you are confident you know how to do and then you do it. While there are occasional moments of uncertainty, these are usually resolved. Communicating with a boss breaks that flow. If you have to stop what you’re doing, then you’re not going to be as effective. And if your boss requires that you do things a certain way, that’s going to reduce efficiency. However, a good relationship with a supervisor is more about them finding you resources and clearing out distractions and interruptions. These relationships are rare, however, as most boss-employee relationships are more about control and suspicion than they are about freedom and support. Anne: My business owner coaching client wanted to better hold his support team accountable, so I created a performance assessment tool. This enhances regular communication with each team member about their specific performance of what they are responsible for (whether internal or virtual). It lets the team member feel good about their progress and it helps the business owner feel more confident about what is being done and at what level of performance. The Accountability Minute:Business Acceleration|Productivity
Once you're clear on the types of tasks to include, create subsections for each of your tasks. Generally, you should list two to seven subsections under each master task. In the subsections, list smaller tasks that must be accomplished in order to carry out the master task. This is a way of breaking down larger tasks, one step at a time. Here are some examples of a master task list main task with subtasks. Master Task List 1. Marketing Management • Locate blogs to advertise with • Contact bloggers and negotiate rates • Locate Linked-in Expert at Advertising • Determine an Advertising Budget for Expected Outcomes based on Stats the Expert Shares • Ask people I know for a referral to a copywriter. • Hire a copywriter to create copy for advertisements • Ask people I know for a referral to an online graphics designer • Hire graphic designer to design online advertisements 2. Hire Virtual Financial Planner/Virtual Assistant (VA) • Ask people I know for referrals to a possible virtual planner / VA • Hire a virtual financial planner, so I don't have to spend my time on the plan • Hire a VA to do things that they can do, so I don't have to do them • Have the FP / VA create a procedures manual for their job 3. Client Liaison • Meet with clients over lunch • Negotiate contracts • Up-sell clients on additional services and products that they need to have • Address the concerns of prospective clients • Create a survey to determine client satisfaction • Meet with clients for their progress meetings • Ask clients for referrals / introductions The goal is to accomplish the tasks on your list as soon as you can, so you can clear your head of the distractions. To aid in that, place the tasks from your master task list into a calendar where you can map out time limits for each task. As you accomplish your tasks, check them off or cross them out so you get a visual affirmation of your goal achievement. If you don't complete all of your tasks in any given day, just carry them over to the next day - or the next available day. Remember to delegate the unimportant or low-priority tasks to an assistant or employee. You, as the business owner, should only be focusing on the most vital tasks that are best suited to be handled by you. Everything else is trivial, temporary, or low-priority, and can likely be delegated to an assistant. The composition of everyone's master task lists will differ greatly, but the most important thing to keep in mind when learning how to use a master task list is remembering to not make it overly complicated. Understanding how to use a master task list can only be done by truly understanding why you need to create one. A master task list has one purpose: to help you complete the key tasks vital to running your business at its optimal efficiency and effectiveness. To get started, list all the activities that must be completed and by what time they need to be done. Prioritize the tasks, putting the most important at the top of your list. Focus on the high-payoff tasks that would be best served by you. If you can minimize the list by delegating - then do so. In addition, if certain tasks will be better served by someone else, you must delegate. All tasks on your master task list can be categorized into the 4 D's: Do It - Delegate It - Delay It - Drop It. This system makes prioritizing much easier. Use the 4 D's everyday in your master task list by choosing one category for each task. Remember, it is always about taking action that puts you on the straightest path to achieving your goals, and every step you take (or do not take) directly affects how quickly you get there. Examples of tasks that would fit a master task list might include things like: • Resolve a conflict with a client • Review virtual financial planners or virtual assistants before hiring • Get a valuation of my business to know what it is worth today • Prepare for a client progress meeting • Prepare for a client appreciation event where there will also be prospective clients • Client acquisition activities (making calls to prospects in the pool, meeting with prospects, etc.) • Client service activities (conducting a progress meeting with clients) • Preparing employee evaluations • Preparing for a company business planning meeting To download a Free Sample Prioritized Action List (PAL) that everyone in your office can use, go to https://www.accountabilitycoach.com/pal-sample/. Today we are talking about some of the 16 most valuable ideas and concepts to help you work smarter, not harder. Idea #1. Set Daily Goals / Activities It's impossible to work efficiently without a precise list of goals or activities you want to achieve each day. Plan your goals or activities in advance, and then put the time necessary to do them and achieve them in your calendar, so you have the highest probability to make it happen. 2. Cull your to-do list/ master task list / prioritized action list (as I prefer to say) Get lethal with your to-do list and delete (or move to the bottom of the list) anything that isn't going to add value to your daily activities. Then review what items can be delayed and move them down. Do the most important activities that put you in the highest probability position to achieve your goals. 3. Create mini goal posts When you begin a new task, set a specific goal post for what you are going to achieve before you stop work, and then focus on working until you reach that milestone.
