Grab a timer and get ready to say goodbye to procrastination. The Pomodoro Method is a data-backed way of getting stuff done. The time management technique is named after Francesco Cirillo. He was an Italian student in the 1980s who struggled with procrastination. Francisco had a tomato-shaped kitchen timer on his desk. Pomodoro is the Italian word for tomato. He set it for 25 minutes and committed to focusing on his work until the timer went off. Then he took a five-minute break. Timing work and break intervals had a remarkable effect on his productivity and mood. And the Pomodoro Technique was born. It's easy to try and very effective with getting work, homework and even household chores done. It's easy to try and very effective with getting work, homework and even household chores done. SHOW NOTES: On this show…we're diving into a topic that many of us are all too familiar with: procrastination. It's the sneaky little gremlin we all know too well. You promise you'll “get to it tomorrow,” but somehow tomorrow keeps moving further away. The truth is, procrastination isn't about being lazy or disorganized; it's often about dodging discomfort, whether it's tackling a tough project, having a hard conversation, or just folding that mountain of laundry. It's not complicated, but let's face it—it is hard. The good news? With the right mindset and a few practical strategies, you can kick procrastination to the curb and finally get stuff done. So, grab your to-do list (if you haven't procrastinated on making one), and let's explore why we put things off and how to overcome this all-too-common hurdle. Because, hey, even a baby step forward is better than a perfectly polished excuse!...Most of the time. Just kidding… Alright, let's kick things off with a quick, no-pressure quiz to see where you stand on the procrastination spectrum. Grab a pen—or just think about your answers, but no procrastinating! Answer “yes” or “no” to these questions: Do you ever tell yourself, “I work better under pressure,” and then wait until the last minute to start a task? Is “I'll get to it tomorrow” your unofficial life motto? Do you have projects or tasks that have been on your to-do list so long they feel like part of the furniture? Do you find yourself doing something else productive—like cleaning the fridge or reorganizing your closet—to avoid the real thing you need to do? When you finish one task, do you think, “Whew, I deserve a break!” and then start a four-hour Netflix marathon? If you answered “yes” to even one of these, procrastination might be paying you a visit. If you answered “yes” to all five…well, we've got some work to do—but don't worry, you're not alone! Now, let's dive in and figure out what's really going on behind the scenes when we procrastinate, and more importantly, how we can start turning those “I'll do it tomorrow” moments into “Wow, look at me go!” moments. To tackle procrastination, we first need to understand what it is and why we do it. Procrastination is more than just laziness; it's a complex psychological behavior rooted in our desire to avoid discomfort. According to an article from Verywell Health, procrastination can lead to increased stress, health problems, and poorer performance.   It's often linked to factors like fear of failure, perfectionism, and low self-esteem. Recognizing these underlying causes is the first step toward change. How to Stop Procrastinating - By Michelle Pugle Dr. Bobby Huffman sheds light on another side of this coin,  The Scary Truth About Procrastination found at Psychology Today  The Crucial Role Emotions Play in Productivity - TIME Dr. Andrew Huberman shows us How to Stop Procrastination & Increase Motivation found on his YouTube channel Huberman Labs I've heard this advice before…take big projects and break them down into smaller, bite-sized chunks and this is excellent advice, but let's take it a step further with granular tips and tricks to ensure this strategy truly works for you. Start with the End Goal Visualize what “done” looks like. What does success mean for this task? Write it down. Example: Instead of just “finish the report,” write, “Create a polished, 5-page report with data visuals and an executive summary.” Reverse Engineer Your Steps Work backward from the end goal and ask: “What must happen immediately before this step?” Keep repeating until you reach the beginning. Example: For “create a polished report,” steps might look like: Format and proofread the final document. Draft each section based on research. Organize and clean up the data. Gather data from different sources.   Create Micro-Tasks Break down tasks into time-boxed, specific actions. Use the 2-minute rule for any task that's quick (e.g., “create a folder to store research”). Example for “research topic ideas for presentation”: Spend 5 minutes brainstorming keywords. Spend 10 minutes searching online and bookmarking articles. Write down 3 ideas in a notebook.   Use Action Words Write tasks as specific actions. Avoid vague labels like “work on project.” Instead, use verbs like “outline,” “call,” “research,” or “draft.” Example: Instead of “organize inbox,” write “delete 20 old emails” or “label 10 client messages.” The Rule of One Focus on one part of the task at a time. Example: If you're writing a report, don't attempt the intro, middle, and conclusion all at once. Start with just the bullet points for one section. By taking these granular steps, you make any daunting task feel manageable, and before you know it, you'll be crossing things off your list like a pro!   CHALLENGE: Identify one task you've been putting off and apply one of the strategies we've discussed today to start it. Remember, taking the first step is often the hardest part, but it's also the most rewarding.   I Know YOU Can Do It!

Listen To Episode 703 As Josh Trent Answers Your Questions [02:50] Stop Lying to Yourself: The Root of Self-Sabotage Let's get to the question because it's a question from you, which I love your vulnerability. I love that you're actually sharing something that's human that you struggle with self-sabotage to and procrastination. Well, you said it, almost everybody struggles with this. And since we're in a new year and it's a new beginning, I think it's the best opportunity for us to actually look into this topic. So my question is: Why do we keep lying to ourselves? Why do we keep procrastinating on the goals and the dreams that we set to achieve, even though they matter so much to us, and we've really, really want this so bad, but we still don't get ourselves work and push through the discomfort and get out of the comfort zone and actually achieve that. It's so good. So thank you for being vulnerable and sharing what most people deal with, but they haven't developed the courage yet to say. Let's start with this. Let's start with a story because I love stories and it's how we learn. In 2014, I was deep in a pornography addiction. I hadn't experienced any plant medicine. I was really at a low point in my life. And in the span of 6 months, I broke up with a woman I thought I was gonna be with. I put my mom in a mental home and I got fired from a quote safe corporate job. Wow. It was like a reckoning for me. And I had been sitting on this idea of having a podcast for like 3 years. For 3 years, I was like, should I do it? Should I not do it? I was procrastinating. And here's why It wasn't until I got my ass kicked so hard self or by the universe that I was forced to look at the honesty of my life because of pain. I knew I didn't want what was around me anymore. I knew I didn't want the fruits of my life anymore, but I just simply did not know how to change. And let's be honest, I was procrastinating for 3 years, playing the safe route, because A, I didn't know really how to love myself. B, I wasn't surrounding myself with the kind of people that could actually fuel the productive side of me. And actually I was hanging out with people on the procrastination side of me. And then C, I didn't experience enough pain yet to really change from. Like I have to clear my throat because it's interesting. My throat chakra is getting blocked right now. It's because I'm reflecting on that time when I didn't trust myself to speak and express with authority and with conviction. I hadn't earned it yet. I hadn't earned the right to do what you and I are doing right now. And so for all of us that are dealing with procrastination, let my story be a starting place for you in whatever phase story that you're in. What is something in your life that every night when you put your head on the pillow, you know that you get to do differently yet you're not doing it? And how much torture and pain does that cause you on a daily basis? Because let's be real, Mar, we're not gonna change habits unless there's enough friction. I'm reading a book right now called Atomic Habits by James Clear. And he says that friction, the more friction that you have, the harder it is to do a behavior, the harder it is to change. So we actually need so much friction that it becomes so exhausting that we finally do the thing that's causing us the friction we've been resisting. In other words, the friction or pain has to be so high that we finally take an honest look at the story that we're creating that's making us not do the thing that we know we want to do. This struggle that I had was severe and it really didn't come from laziness. A lot of times procrastination can be laziness perceived, but what's deeper. Cause you know, on the podcast, we always explore like the cover emotion or what's being presented as the cover, the real story, the real stuff, the real beliefs are always much deeper. Procrastination isn't laziness. It's fear. It's fear in disguise. It's like perfectionism is like fear a jacket. Well, procrastination is like fear looking away. It's seeing what's possible for us And it's developing the courage or kowtowing to the cowardice that blocks us from achieving it, from doing it... [12:00] What Is Your Dream? What is your dream? How much work have you spent really crafting and cultivating the clarity on your dream? And then now that you have clarity on your dream, does it align with your core values? Do your core values mirror your dream? Then once you have that built, then you can start going to work on the behaviors. But until we get to the bottom of the bottom of the ocean inside of ourselves, core values, dream setting, and purpose, then nothing can really move forward from there. It's almost like a lead weight that pulls us back. Has anybody ever felt this? You know exactly the thing that you want, but potentially when you really feel into it, you either don't feel worthy of it, you feel like it'll be too hard, or you might have a narrative that comes up that says, well, who am I to do this? Who are you Mar to have this audacious dream? Who are you Josh to have a podcast and try to reach millions of people? Well, the difference between the result of the dream being real and the result of the dream being just a dream is inspired action. Inspired action is the winner of the game. But in order to be inspired, you have to have clarity on why you're doing it in the first place. So I wanted to say that because the punchline here is you mentioned it was about safety. And the safety that you're rubbing up against is that you might be judged. And it goes into some very ancient wiring too, right? Because in your brain and all of our brains, there's an amygdala, and that amygdala is actually wired for tribal connection. So it makes sense that by you having a dream of going to the gym, that that dream might be fought against by the projection of others potentially judging you. Am I on the right track? Like you might feel judged or it might feel unsafe or uncomfortable? Yeah. And now there's actually a new excuse that I made, which is I don't want to join the gym in January so that people think that I'm 1 of the resolution people who decided to join the gym in January. That's how crazy it is. All right, cool. So just noticing the stories that we make is really big. And it goes back to the clarity of and the word to use right now is actually identity. One of the courses that I'm building out in the curriculum for Liberated Life is called Wellness Identity. It's an identity that you show up as regardless of your thoughts or your external circumstances. And the thing that's really cool about identity is that we're all identifying as something, whether we know it or not. And so if I identify as a self-regulated, emotionally regulated, authentically expressing, abundance sharing man, because that's in alignment with my game, that actually Mar, you and I got clarity on, right? We got clarity on our game. And our game is actually our dream. It's the same thing... [21:00] Your Dream Is Far Greater Than Any Crisis Procrastination never comes in because you're so clear on your identity of who you are, what you stand for, and how you're being of service to the world that no one and no thing can get in your way. That's why in the studio, on the wall, I have the quote, my dream is far greater than any crisis, and above it is because it reminds me to nourish the 5 sides of me so that I can have this conviction around my purpose and dream and so that my identity feels real in my body so I can actually be it and live it and eat sleep and shit everything that my dream is (pardon my French) so that's the beautiful thing that you brought forth today is this consistent inspired action so this is what we do and this is the strategy for all of us. This is actually the most fun part. When we meet resistance, can we take a breath and just ask 1 question? Do I feel identified with this behavior or with this thing that I want to do in alignment with my dream? Do I feel identified with this thing I'm about to do or the thing safety is wanting me to sabotage? Can I look at this as an opportunity to reinforce or feed my identity with the clarity, dream, game, and vision that I know is real? And then just listen to what comes up. If you notice from the mind that there's a story running and it says you might be judged, you might be shamed, it might be uncomfortable, just say thank you. Hey, I appreciate, I appreciate you trying to protect me. That's cool. You've protected me for a long time. Thank you, protector. Get clear, usually through breath or through meditation or journaling, just something. Take a breath and ask. You can put your hands on your heart and you can say, is this something that an empowered feminine woman who shares her love and dreams with others does? Is this an embodiment? Is this something that an empowered, sharing of love and dream woman, feminine woman would do? And is this in alignment with my identity? If so, it should create lightness and it should create fullness and excitement in your nervous system. Where then when you go to the gym, you just quite simply won't give a fuck if people are judging you, it just won't fucking matter because you'll be so attached and so in alignment with your game your vision your purpose, and your identity that when you finally go and do the thing, it'll feel like you've come back home in a way. The problem with the procrastination is that people are not aware that the root cause of their procrastination is emotional and psychological traumas. And as a neuroscientist, I have to tell you, those traumas, they actually impair certain parts of the brain in structure and function. So your brain has been impaired in structure and function because when there was an event, an experience back in the day, maybe in your childhood, there was a strong emotion associated with that experience. And that has caused damage in the structure and function of your brain. And especially if you were young and something happened, there is this part of the brain called amygdala which actually is responsible for emotional regulation, for fear responses. And it becomes highly hyperactive, highly vigilant. And now it's thinking and feeling that is always some danger. You're gonna get eaten by a lion. That is the state you are in. You are in a perpetual state of survival, perpetual state of fight or flight, perpetual state of fear. And now you are trying to go about your life and because of that past experience, you actually are reliving that trauma in the present moment. Now, in the body of an adult, you are age 30, age 40, age 50, 60, and you have been reliving, marinating and ruminating in those juices of that trauma in the present moment. Because the brain and the body does not know the difference between something imagined or something real. And as you are mentally rehearsing that past experience, you are reliving it in the present moment. And this is causing you to feel incapacitated, causing you to feel stressed and you don't feel like you want to follow through. And this is why you procrastinate. This is why you look for escapism. This is why you go and binge watch Netflix for eight hours. This is why you go and doom and gloom scroll on social media, or you grab a bottle of wine, or you go for alcohol or drugs or something, sex, gambling, whatever is to escape those feelings. But unless you do the deep healing of these emotional and psychological traumas in a child wounds, you will always struggle to achieve your objectives and you will actually always feel like you are shortchanged.

Stop Procrastination With a Question Are you a member of the Procrastination Club?  Procrastination is the intentional and habitual postponement of an essential task that you should be doing.  Is that what you are doing?  In my view, three things could be happening if you procrastinate - It may be possible that you are not procrastinating at all? Instead, you may be forcing yourself to do something that you don't need to do anyway. The other possibility is that it simply doesn't mean enough to you to start the process. Or, said another way, other things mean more to you. Finally, your wisdom is telling you this is not something you should be doing. Yes, you must complete some tasks. That's called being a responsible person. But if your list keeps getting longer, it's time to ask yourself a question - Is it important enough to me to get it done?  If not, you know why you are procrastinating. Key Moments & Takeaways:Part 6: The Power of a Daily Routine•Why Routine Matters for Artists:Establishing a daily routine can help you stay on track. It doesn't have to be rigid—just a consistent practice where you dedicate time to your art. This removes the need to “feel inspired” before you start creating.•How to Build a Simple Routine:Start small by dedicating just 10-15 minutes each day to your art. Over time, this habit builds momentum, and you may find yourself creating for longer periods naturally.•Morning vs. Evening Creativity:Experiment with the time of day that works best for you. Some artists are most productive in the morning, while others find their creativity flows better at night. Test different times to see when you feel most focused.Part 7: Simplifying Your Workspace•Declutter Your Space to Declutter Your Mind:A cluttered workspace can lead to a cluttered mind. Keep your creative space tidy and organized, reducing distractions and making it easier to start working.•Set Up a ‘Go-To' Workspace:Have a designated space where you can sit down and immediately start creating. This could be a physical desk or a portable setup for digital artists. The fewer obstacles between you and your work, the easier it is to begin.•Minimalist Approach to Supplies:As an artist, it's tempting to surround yourself with materials, but this can lead to overwhelm. Try using only a limited selection of tools or mediums for certain projects. This constraint can actually foster more creativity.Part 8: Overcoming Creative Blocks Through Simplicity•Embrace Imperfection:Often, procrastination stems from fear of making mistakes. Simplify your mindset by accepting that not every piece needs to be a masterpiece. Allow yourself to create bad art—it's part of the process.•Start with Warm-Up Sketches or Exercises:Rather than diving into a major project right away, start your session with simple sketches or exercises to get your creative juices flowing. This can help overcome the intimidation of a blank canvas.•Change of Medium or Technique:If you feel stuck, try switching to a simpler medium or approach. For example, if you're working on a detailed painting, take a break to do quick ink sketches. The shift can open up new perspectives.Part 9: Simplifying Your Social Media ApproachDue to limited storage space for text please continue reading via the download link here (Google Docs).ABOUT THE PODCASTCreated by artists for artists, illustrators, creatives, and aspiring designers and art lovers. It is a weekly podcast by Ping He. Key Moments & Takeaways:1.Why Artists Procrastinate:•Overwhelm by Too Many Ideas:Artists often face decision paralysis due to the abundance of ideas and inspiration. It can be hard to know where to begin.•Perfectionism and Fear of Failure:Fear of not achieving perfection can lead to procrastination. Artists delay starting because they worry their work won't be good enough.•Distractions from Technology & Social Media:Constant notifications and distractions from social media make it hard to stay focused, leading to wasted time and reduced productivity.2.Simplicity is the Key to Overcoming Procrastination:•Break Down Big Projects into Smaller Tasks:Instead of tackling a huge project all at once, break it down into manageable steps like a quick sketch or color selection.•Use Limited Tools & Mediums:Reduce the complexity by limiting yourself to specific tools or mediums. This narrows your choices and increases productivity.•Set Simple, Clear Goals:Avoid vague goals like “paint more.” Set specific and manageable targets like “sketch for 15 minutes” or “complete one piece this week.”3.Practical Tips to Stay Focused:•2-Minute Rule:If a task takes less than two minutes, do it immediately to build momentum.•Time-Blocking Sessions:Use the Pomodoro Technique (25 minutes of work followed by a short break) to maintain focus without burning out.•Limit Your Choices for the Day:Focus on one task or project each day to avoid decision fatigue and paralysis.•Celebrate Small Wins:Reward yourself for even the smallest progress, as these little victories add up over time.4.How Simplifying Unleashes Creativity:•Less Stress, More Freedom:By reducing choices and focusing on key tasks, artists can experiment and explore more freely within their structured approach.•Flow State:A simplified process helps you enter the “flow state,” where you are completely absorbed in your work, leading to more productive and satisfying sessions.•Consistency Over Perfection:Showing up regularly to create, even in small steps, will improve your work over time. Consistency is more important than aiming for perfection.5.Wrap-Up and Takeaways:•Keep It Simple:Simplicity means focusing on what's important, not doing less. Declutter your mind, tools, and goals to make it easier to take action.•Action Step for Artists:Take one small step today to simplify your creative process. It could be setting a timer for 15 minutes or limiting your tools for the next project.By focusing on simplifying your workflow and reducing the overwhelming number of choices and tasks, artists can break free from procrastination and stay productive. The key is consistency, clear goals, and removing unnecessary distractions.ABOUT THE PODCASTCreated by artists for artists, illustrators, creatives, and aspiring designers and art lovers. It is a weekly podcast by Ping He. Your business is scaling, which is fantastic! It means that your business is successful and growing, as is your team. And it's more important now than ever to preserve your company's culture, or what made it so great in the first place. A symptom of rapid expansion can be feeling like the spirit of the company is not the same as it once was. With more people joining your team, they can have an impact on the overall culture of the company. More individual personalities means more voices, and the core set of values that you once established may be lost among the noise. Scaling your business doesn't mean you need to choose between success and a strong company culture—in fact, if your culture is well-defined, many of your new hires will echo those values and uphold them as they help you grow your business. Let's explore four ways to preserve your company culture as your team continues to grow and you scale your business. How much of your company culture you preserve as you scale depends on how much you care about it. Preserve your company culture as you scale by being an example of your company values, hiring to fit company culture, and adapting as the company grows while maintaining the core of who your business is.  Get your daily Accountability Minute shot of a single, simple, doable idea, so you can start your day off on the "right foot". This is part 4 of my 5-part series on how to *actually* stop procrastinating. In this episode you'll learn how to create ‘positive time pressure' so you can get your best work done without burning out. If you're anything like the perfectionist entrepreneurs I work with, you work well under pressure. But there are 3 big problems with this: You're constantly exhausted or burned out You push off the most important things because there's no pressure to get them done You have to create a business that feels like a job in order to be productive Let me teach you how to create ‘positive time pressure' so that you can become a true high performer. That means being able to work well under pressure AND being able to work well without it.  In this episode (part 4) you'll learn how to develop the skill of saying you'll do something and then actually doing it - even when it's not urgent and no one else knows about it. This is what all successful entrepreneurs have in common. To perform at your best as an entrepreneur, you need to be able to perform even when there's no pressure. Anyone can develop this skill. Me and my clients do it by using our Power Planning to create what I call ‘positive time pressure'. The beautiful thing is you don't even need to be thinking about ‘positive time pressure' when you're Power Planning. Power Planning creates ‘positive time pressure' without you needing to think about it so you can become a true high performer and get shit done without the stress, pressure and burnout. The biggest needle movers for your business, like starting a podcast or posting consistently on social media, are never going to *actually* be urgent. Listen to this episode now so you can learn how to create positive time pressure and you can turn your talents on when you want, not just when the circumstances force you. All you need to do is hit play… This 5-part series is for perfectionists who: Get stuck in research mode when it comes to your niche, messaging and branding Buy cameras, domains and planners to try to motivate themselves to show up Push important tasks off until the last minute because you need the pressure Everything you've learned about how to stop procrastinating doesn't apply to perfectionists! This is part 2 of my 5-part series on how to *actually* stop procrastinating. If you're struggling to move forward with your business because there's a big decision you need to make first then you need to listen to this episode (part 2)... Maybe you need to figure out the perfect niche, your messaging, your branding or you're still deciding which social media platforms you should be on.  You've probably been signing up for webinars, listening to podcasts and buying programs to help you BUT rather than feeling clearer, you feel more confused than ever and more pressure to get it just right… You don't want to make the wrong decision, you want to get it right from the beginning so you have the best chance of succeeding.  If you're like the perfectionist entrepreneurs I work with, there are a few big decisions that have been keeping you stuck. It's counterintuitive but your human brain feels discomfort when making a decision that involves you changing your circumstances - even if that's a positive change. Your human brain doesn't want you to make more money and it doesn't want you to put yourself out there. It wants you to stay safe and that means staying in familiarity, even if you hate having to work for someone else and not being able to rely on your business financially. By the end of the episode, you'll be able to use my simple 5 step process for making decisions and use it to make a decision that feels good for you, in a timeframe that doesn't freak your perfectionist brain out. 4 Steps to Building Persistent Behavior and Get Even Better Results

Persistence is sort of like a ‘magic word' when it comes to success. Persistence is basically the repetition or continuation of behavior, and it is an absolutely essential part of business. As a successful business owner, you no doubt have at least a pretty good idea of what it takes to be persistent, though it never hurts to revisit a subject that is very important.  The whole idea of persistence revolves around the fact that motivation has a tendency to wax and wane a bit as time goes by. Persistence is a behavior that can be learned, and it is also a behavior which will render this troublesome waxing and waning of your motivation harmless in the long run, which is why it is so instrumental to expanding your current level of success. However, since persistence is an attribute of longevity, it can take some strength of mind and some psychological fortitude to really believe in it enough to make a commitment to practice it day after day. Now, we are going to discuss 4 steps to building persistent behavior. Following these steps will help you with the process of more consistently being a persistent person so you can experience even better results. Every day, remind yourself that persistence is an absolute necessity. Without it, any business will flounder and possibly even fail. If you find yourself lacking persistence, then keep taking each of these four steps, one at a time. Taking a proactive approach to solving this problem is by far the best way to deal with it, and these steps forward are a perfect way to get started! I'm the author of many books, including, Excuses Don't Count; Results Rule, Live Life with No Regrets, No Excuses, The Guide to Stopping Procrastination, The Power of Visualization, My Gratitude Journal, the Work Life Balance Emergency Kit, and The Roadmap To Success with Stephen Covey and Ken Blanchard, and more.   Support the showIf you would like help sticking to your goals, so you can make more money and work less, and ultimately enjoy having your ideal business and ideal life, reach out to me today to schedule your complimentary consultation. Using calendar time blocks is one of the best ways to effectively manage your time. It's a skill that is often overlooked but is an essential key to a productive day (day after day). We'll explore different ways you can make this critical practice easier in your life and take some of the stress out of your schedule by breaking up tasks into manageable chunks. One of the benefits of using time blocks is that it gives you more control over your day. You can use it to prioritize what's important and get the most critical tasks done right away, or you can set up time blocks for things like checking email, social media, or other less pressing activities that take up a lot of time. It can also help you manage tasks when you have limited time to work on them. Remember - time blocks aren't set in stone! You'll notice that I've given you many different options for creating your time block schedule. That's because there is no one-size-fits-all when it comes to managing your time effectively. How to Stay Motivated During a Time Block It can be hard to stay focused and motivated when you know you only have a limited amount of time to do something. One trick is to set your target for the time block and break your goals down into smaller steps. This way, you'll feel like you're constantly moving forward, rather than just staring at a long to-do list or a pile of work. How to Make the Most of Your Time Blocks When you plan your day, think about how long tasks will take you. Then, block off enough time to do them correctly. Avoid multitasking and using time blocks for more than one task at a time, as it can be stressful and cost you extra time in the long run. It can be tempting to say that a particular time block will work for all tasks, but it doesn't. Experiment with different lengths of time blocks and see how they affect you getting the work done. A longer time block might give you the chance to take a break from your work now and then, while a shorter one may help you stay even more focused. When deciding how to split your day, give yourself a small test run of each time block. If you need more time than scheduled, increase your blocks to the desired length in the future.  Similarly, if you feel that tasks are taking less time than expected, reduce your time blocks. Your schedule should be flexible enough to allow you to shift your time blocks as you go along. This will save you from wasting time on tasks that don't need as much time and help you manage your overall productivity for the day. My philosophy is that if the calendar could talk, assuming you have the “right” activities in it, it would tell you what to do and when, and you would say, thanks calendar and move on to the next activity.  Did you know that some of the most productive people in the world swear by time blocking?  Ever heard of Elon Musk, Bill Gates, Michael Hyatt, or Cal Newport?  Yep – all time-blockers.
