How I Stay on Task Episode #385 with Dr. Marty Williams Do you want to be more efficient, more productive, and a lot less stressed out? Then you need systems and checklists for your practice! And to help you build your ideal system, Kirk Behrendt brings in Dr. Marty Williams to share his checklist that gives him predictability and peace of mind. A checklist is one of the easiest ways to get things done! To learn the best practices for staying on task, listen to Episode 385 of The Best Practices Show! Main Takeaways: Checklists will give you high levels of predictability. Distractions are inevitable. But checklists will keep you on task. By using checklists, you can ensure that nothing gets left undone. Having checklists and systems will improve workflow.   Review your system and checklists often for improvements. Quotes: “[Staying on task] is extremely important because there are certain things that we do and want to have done with each procedure, and with each system that we have, or the patient that we see. I want to follow certain steps so that I assess, diagnose, and treatment plan all the different areas of their mouths and make sure that I get all the documentation in at the end of the week.” (4:29—4:59) “I practice the Pankey/Dawson philosophy where we get [patients] in, I do a separate new patient exam. I spend at least a good hour with them. And then, all the data that we gather, at the end of the week, my team will give me a purple folder that will have all the information in there, and it'll have a copy of the checklist in there. So, I sit down, and I'll go through that step by step. I'll start by looking at all the notes that were taken that day. I have it right here, and it's listed down here, the sequence of steps, and looking at the X-rays, looking at their periodontal information, looking at the information about the tooth, the aesthetics, the smile, function. And then, I take a set of clinical photographs for each new patient. I want to make sure I edit those and read those and put them into the Dentrix system. So, we take all their information. I put it right into their Dentrix chart.” (5:05—6:03) “Sometimes, when I'm going through this, there are distractions. I come in on a Friday and typically go through all my new patients from the week. And sometimes, there are emails; I would get distracted and look at it. Or my phone will go off and I'll look at that, or UPS comes and rings the doorbell, and I come and let them in, or I have my therapy dog here, he wants to go out to the bathroom, or I just want to take a power nap and then come back, and I've got everything here when I get done with all these distractions. And I think I have all my i's dotted and t's crossed. I go through the checklist at the very end, and I literally check everything off to make sure that I checked all the areas of that case that I wanted to, and I made a nice diagnosis and a thorough treatment plan for each patient.” (6:06—6:56) “You'd think that I'd have it down and I wouldn't need the checklist. You'd think, every time, my memory would have that checklist right in my head. But I'm amazed at the times I go through and it's like, ‘Oh my gosh! I didn't do that part,' and I go back and open the chart back up, and I redo that step and check it off the checklist, and I know that I've got it done. And so, nothing gets left undone.” (8:35—9:02) “[Checklists] are the strategic things that I do when I need to get things done. There are so many other piles of things and emails that can be done, but I want to make sure I get the important stuff done. And then the rest of it, it'll be there when I get back on Monday.” (9:49—10:05) “[My current system] has been pretty standard and set for a number of years. Dealing with Mobile Home Permits   Photo:  Underpass at Linebaugh was flooded, so I had to go the long way to work on my bike.   Yesterday, while walking around the sanctuary with my mother she told me that the little old bitty who lives near my lot on Valimar had thrown a fit that we were putting a used DCA mobile home on the lot rather than building a new house that would increase her property value.  She threatened to burn it down if we proceeded and later in the day somehow managed to get code enforcement to come out for the second time, and halt our progress with no reason given.   The permit expert, Laura, had been told by the county that they didn't have to answer any of her questions about why our permit had been revoked.  My mother asked if I wanted to give in and build a new house there or fight it…Not too hard to guess which way that conversation went.   So today I wrote Marty Williams, of AAA Manufactured Housing:   Dear Marty,  I'd like to go with Laura to let Jim know that I own  properties in Pasco County and as a developer of vacant lots I add hundreds of thousands of dollars of value to their tax rolls?   And as founder of Big Cat Rescue we have 78,000 supporters in Florida who aren't going to be happy if we are being treated unfairly?   And as a litigant have recently been awarded a 1.2 million dollar judgement against a defendant who thought he would try to play unfairly with me?   What is the exact time, address and suite number for Jim?   9 minutes later Marty wrote:   Carole as of  8:15 this morning,  Laura with GTS installers & permitting told me county has released the permit for Valimar  so we start again  I think county had their meeting and knew they had no right to stop work on this permit just because  someone did not like that you were putting a  pre-owned home there, I will email you the permit

Had a ton of fun hanging out & getting to know Marty Williams - Retired Special Agent FBI on the Podcast... Marty and his wife Kelly have a daughter and son-in law and on March 1 became a Grandparents. (She is an embryo adoption child). Embryo was frozen for four years and adopted and placed in Tate, our daughter. Now we have Sawyer Raye… ) Grew up in Sikeston, Missouri. Small town in Southeast Missouri. Agricultural town also known as being one of the most northern places to grow Cotton in the United States.  Father owned a residential construction business and mother was an accountant. One brother, who is a school administrator. Anderson University, Anderson, Indiana. Played football (punter – they are part of the team). Obtained degrees in Economics and Criminal Justice. After college went to work for a bank. Father raised quarter horses. Family roped. Cousin’s rodeo’d. Thought I was a bulldogger for a few years. Started team roping after one of my cousins moved back to Missouri from Texas. Mostly jackpots, US Roping’s.  Became interested in the FBI after Timothy McVeigh blew up the federal building in Oklahoma City. April 19, 1995.  After entering the FBI and completing training at Quantico, Virginia I served in Indianapolis IN, Springfield IL and St. Louis MO Divisions. Served overseas assignments in Iraq, Pakistan, Romania and Israel. Prior to 9-11 – served as a criminal agent investigating, drugs and violent crimes. Post 9-11 – served as a National Security Agent investigating International and Domestic Terrorism matters.  After 9-11 went to New York as part of the evidence recovery efforts. Largest Crime Scene in the history of the FBI. Other significant cases:  1.     Serial Murder case – Robert Eugene Brashers 2.     Violent Felons – Chadrick Fulks and Brandon Basham (broke out of jail and went on a 17 day violent crime spree. Murdered 2 ladies, Alice Donovan, Conway, South Carolina and Marshall University student, Samantha Burns. 3.     Violent Child Predator – William C. Davis. Captured after being profiled on the Oprah Winfrey Show. Oprah awarded the tipsters $100,000 for turning Davis in. Tipsters ended up suing each other over the money. This week on Open Sources Guelph, we get a break from non-stop COVID-19 coverage so that we might talk about other tragedies. We're going to dedicate some time on this week's show to talk about the ongoing tragic state of affairs on the East Coast, and then we will talk about the ongoing - could be - tragic state of affairs in the U.S. with some fairly silly protests. We'll have all that to talk about, plus an interview with the Downtown's chief advocate too! This Thursday, April 23, at 5 pm, Scotty Hertz and Adam A. Donaldson will discuss: We Are Nova Scotia. In an act of unspeakable violence, a madman ran a bloody rampage across the province last weekend killing two dozen people before taking his own life. There are so many questions resulting from this violence, and not the least of which is the motive for the massacre. On top of that, people are now wondering why the authorities in Nova Scotia didn't let the public know why an active shooter situation was ongoing, and what the Canadian government is going to do in the form of further gun control. Question, Period. The COVID-19 reaction is going in some strange new directions. In Canada, the House of Commons spent the day on Monday debating the limited re-opening of Parliament with a mix of in-person and virtual sittings. Meanwhile, in the United States, small groups of agitators being driven into a frenzy by right-wing media are pushing for stay-at-home measures to be lifted even as the number of cases keep growing, and worse still, some governors are listening. Are we entering the crazy phase of the pandemic? Recovery Talk. We've spent over a month in quarantine, and, as mentioned above, some people are eager to get back to work, and back to business as usual. Most people are more rightly concerned about the health crisis, but small business owners are also understandably worried about their immediate financial futures. We'll talk to somebody this week that knows a little something about the business scene in the Royal City, Downtown Guelph Business Association executive director Marty Williams.
