John Clarke joins the show; he helps private practice owners build a practice that they love. In this episode, John gives tips on how to do private practice made human. First, start with your “why”. Why are you considering private practice, or why did you get into private practice in the first place? Later, John gives more tips on establishing your endpoint, creating company values, and knowing your ideal income.  Meet John Clarke John Clarke is a licensed psychotherapist and a private practice expert at PrivatePracticeWorkshop. After learning a lot of things the hard way while building his first practice in San Francisco, he started a blog to share with others the lessons he had learned. Private Practice Workshop was born, and this blog eventually evolved into so much more: a thriving Facebook community, a successful podcast, online courses, and coaching/consulting. Some therapists want to learn how to use digital marketing to grow their audience and get more clients, but the majority just want to leave it to the pros. John founded Unconditional Media, the digital marketing team for therapists, to meet the biggest need of private practitioners: getting more clients! When he's not nerding out over all things private practice, he's playing jazz drums, practicing Muay Thai martial arts, and talking to his pets like they're humans. Having Fuel in the Tank Start with your why. You are crafting your purpose statement. Why do any of this in the first place? Why does this matter? Knowing your why will be your fuel source. So especially on days where it's tough to get out of bed in the morning like in a crisis, you need enough fuel in the tank to make this worth it. There are more risks associated with being a business owner than being an employee. There are more risks; there's more stress. You are going to take work home more often; you're liable to different things that you're not as responsible for if you're the employee of a company. So for John, it has to be worth that. The bumps in the road have to be worth it.  Why Private Practice? Many therapists feel like they were born to do this. They were born to help people. Take that one step further and write down why private practice? If your purpose in life is to help people, then why private practice? It's not the most effective place for you to help people. Do you have other ideas behind your purpose? Whether it's owning your schedule or increasing income. Try to get honest with yourself.  Establish Your Endpoint The endpoint is a mission statement. You should think big! You should think of the ripple effects of your work. Your mission statement is this high-level impact that your business could have on the world. Start to sketch out how are you going to get there? If you don't know where you're going, than any place will do—reverse engineer your big tasks. So if you want to get 50 fully booked students in this launch, you can start to work backward and go, then what do you need to do in these next one to three months to build your email list for that? What do you need to do this week to create more lead magnets to make your email list? So it helps if you trace back what actions you are taking today and what they should lead to. Establish Company Values  Establishing your company values will help you make decisions. Even if you're a solo practitioner, John highly recommends doing this. Create the kind of practice that you want to have for yourself. Put some thought into that and get out a piece of paper to write stuff down. When we write, we get clarity and can see the big picture. Set Your Ideal Income and Ideal Schedule Get in there, create that income target and make it sure it's based on something. What are you going to need to get that money, and how are you going to use it? Then, you can reverse engineer that around your schedule. If you want to make a certain amount, how many hours will you have to work to get there? What kind of schedule do you need? Start sketching out your days, weeks, months, and years and make sure when you look at your calendar that it seems right to you. It looks good. It looks like, yes, this is worth it. Put a pop-up on the website stating that you are offering telemental health services. Do not put your client's health at risk – do not see clients in person. Now is the time to get ahead of everything and start seeing clients virtually. Remember HIPAA. Creative Ways to Serve Clients Discount your fees. Do mini sessions. Charge a small fee for a mindfulness meet-up. Teach meditation techniques. Work on relationship-building during this time. Write blog posts to provide useful information for your community. Emergency Planning Practice both short-term and long-term thinking. Make sure you keep your long-term vision in mind. Have a three to six-month fund ready for emergencies like this. This is either an opportunity or a challenge. Take lessons during this recovery. Be realistic with your staff. Make sure all your staff is working toward the same thing. Call your liability insurance. Email your boards to get clarification on things. Therapists need to think about what really matters: your health, your clinician's health, your client's health, and your business. What To Do Now Use this time to position your brand, grow your email list, create multiple streams of revenue. Deepen your relationships. Bring joy to your life every single day and to other people. Book your free consultation at: www.unconditional.media Offering a free 15-20 minute phone or Skype consultation to a prospective client is a popular approach of many private-pay therapists, and one that can really pay off if you know how to handle it well. On the other hand, if it doesn’t go well, it can discourage a client from further pursuing therapy with you. How does it usually go for you? As I’ve said in an earlier post, when clients finally take the next step of calling you, they’re ready for their search for a new therapist to be over. Your job is to make this easier for them, to make it clear that yes, they’re in the right place. In fact, I often use that very language. Here are my 6 essential tips for navigating that first phone call: Answer the phone in a professional manner. This might seem obvious to some, but it’s worth mentioning. If you use your personal cell number as your business number as well, maybe you just answer with “hello.” Clients are going to be confused right off the bat, and often they’re already anxious. Make it clear that they have dialed the right number. Something as simple as, “Hello, this is John” is a great start. Even in my small group practice, I answer the phone with “Charlotte Counseling and Wellness, this is John” every time, because I want to convey professionalism and high value from the very first interaction. Use your counseling skills to get the conversation started. Again, they’re nervous, and most people don’t know where to begin once they have you on the line–they’re hoping you’ll take the reigns right away. Maybe start out with something like, “I’m so glad you called. Tell me a little bit about what’s going on for you,” and see how comfortable they are answering that question. Do a little bit of reflection, but don’t overdo it. Demonstrate your expertise. Expanding on using those basic listening skills, the first conversation is the perfect opportunity for you to also convey your value and expertise. You can really reach a client by saying something along the lines of “it sounds like you’re struggling with X, Y, and Z. You’re in the right place–I treat issues like the ones you’re describing everyday. Here’s how I’ve helped people through these kinds of issues in the past...” Be prepared to talk about money. Especially if you’re running a private-pay practice, you need to be ready to talk about your fees. When the client asks, start off by stating your fee plainly and with appropriate confidence. Have a second part to your fee spiel ready to go–otherwise you end up with an awkward silence after you state your fee and the client sits there on the other end thinking it through, and maybe waiting for you to say you’ll slide for them. You might try saying something like “I’m a specialist with advanced training in X, Y, Z, and my fee is $150 per session. I provide statements to my clients at the end of each month, and many are able to be at least partially reimbursed for the cost of therapy.” Stay positive, and help them get the information they need. You should already know before you pick up the phone whether you have a sliding scale slot to offer at the moment, and how far you’re willing to slide, based on your current caseload of full-fee clients. Have your calendar ready. Most clients will benefit from booking their first appointment at the end of the phone call. Many have already waited weeks or months to start therapy, so this is a big deal, and you want to both acknowledge and validate that, and be ready to convert this prospective client into an official client. I tell each new client that even if they end up needing to reschedule, let’s go ahead and put something on the books. Most clients are relieved to be able to do so, and they can rest easy that their search for a therapist has just ended. Instill hope. We know from common factors research that hope is a significant factor in predicting therapeutic outcome and success. You want to convey a sense of hope from the very beginning. This happens when you accurately capture the picture that the client is painting for you during the phone call, summarize their needs, and communicate to them that things will get better. This sets the stage for great therapy work and a satisfied consumer. What is your current conversion rate for when clients call? How many book that first appointment with you?
