Episode 502: Going Cashless with Eastern Michigan University

As more higher ed institutions explore becoming cashless campuses, schools like Eastern Michigan University (EMU) can be used as a model for success. EMU is a four-year public university with 20,000 students that has been completely cashless since 2017. Beth Hardcastle, Assistant Controller for Student Business Services at EMU, joined the FOCUS podcast to discuss how no longer accepting cash payments, closing the in-person cashier's office, and implementing payment plans have impacted their operations over the past five years. How EMU Became a Cashless Campus For EMU, going cashless was the next step towards the future, but it required enabling debit/credit card and digital payments for every interaction across the institution, including student account charges and everyday purchases. As established partners with TouchNet, they were able to smoothly transition to a cashless campus with the TouchNet Payment Center and Marketplace. To remain accessible to those who opt to use checks, drop boxes are available across campus to deposit checks. The cashiering staff can then pick up checks and process them through TouchNet's cashiering to be posted to student accounts. EMU also has a credit union on campus that allows students who still prefer cash to receive cashier's checks. Some departments like health services and the childcare center still accept cash, which then use the TouchNet web deposit to put the payment into an account with the credit union. Going cashless also meant a role change for campus cashiers. Now, the cashiers at EMU are integrated into a one-stop shop helpdesk in customer service-oriented roles dedicated to student account needs. Benefits of Reducing Cash on Campus The two primary benefits EMU has seen from going cashless are increased security and improved payment management. Eliminating cash on campus greatly reduced the liability that comes with having large amounts of cash on hand. Staff no longer have to stress over all the safety precautions that come with cash. Additionally, with primarily digital payment methods, backend management and reconciliation became much easier to manage. An unforeseen benefit to going cashless was how easy it became to transition to fully remote learning during the pandemic. Because they were already used to not having a physical cashier's office, students, parents, and staff were unfazed by making payments online. For the students who used the drop boxes, EMU was able to have minimal staff on campus to take care of processing. Improving Payment Operations In addition to relieving the stresses of cash and adapting to the pandemic, going cashless created the opportunity to reevaluate cash flow trends through the year, which resulted in exploring new payment plan offerings. EMU implemented the option for students to divide their balance over five installments with no additional fees. Spreading out tuition payments over several months encourages students and parents to make payments early, providing EMU with a more consistent revenue flow during summer months. Payment plans have also helped the university with their accounts receivable. One condition of the five installment plan is that students must make their first payment during registration. Once EMU rolled this out, they saw immediate positive results with more students paying their bills on time. Over the past five years, this has remained consistent for the approximately 1000 students who use the plan on an annual basis. TouchNet Payment Plans have greatly improved payment operations for EMU as well. Not only can students set automated recurring payments, but TouchNet will send them reminders before money is taken out of accounts. These fully automated messages have cut back on staff work, allowing them to focus more on customer service. Final Thoughts When EMU made the decision to go cashless, there were some who had doubts. However, the institutions that used to question the decision are now asking Hardcastle for advice on how to move in this direction after seeing the effectiveness of this strategy. As the future of higher ed institutions approaches, EMU has put the concept to the test and come out better for it. By implementing TouchNet Payment Center and Marketplace, EMU has been able to succeed without cash payments, putting the institution at the forefront of cashless universities. •   So before I even had the idea to do this, my background is in accounting, so I went to school... My major was accounting, then I moved on to grad school, got my MBA, concentration in Accounting and pretty much started working right away. I did that for a few years, I wasn't really loving it, but now it was like, Okay, I got my degree in this, so this is what I'm going to do for the rest of my life, this is just the path that I'm on. So whether I love it or not, this is just my career now... Right? And then my husband and I, we grew up in New York, we were born and raised on Long Island. We decided after we got married, we were going to move to Texas, his parents had lived here for about 10 years, and then... So we were like, Okay, we're going to pick up and move. We're going to try something new. So after moving, I said to my husband, I don't really think I want to do accounting anymore, new state, new me. I want to figure out something else that maybe gives me a little bit more freedom that I can go fly and visit my family when I need to, or just not having to take those days off work, something that's more just based around me, a little more flexible. So I was doing all this research, what can I do? What can I do? A little soul searching. A little deep dive into what makes me happy and what I would be good at, and then I was like, You know what? Why can't I do house flipping? (01:03)•   Yeah, so first I started following people on Instagram that were real estate investors that posted little nuggets of information on their pages, I started watching a lot of YouTube videos on it, listening to podcasts, like absorbing everything that I could. I had a whole notebook that I was taking notes on everything. And then there was somebody that I came across on Instagram who did a mentorship program, and that was kind of like what brought it all together for me, everything that I had been learning. Every day my husband would go to work and I'd pull out my laptop and I would just study all day... I mean, I went through a master's program, so I know how to study. If there's one thing I could do, I studied for years, so that's pretty much what I did all day, every day. And then that last little bit of mentorship was to bring it all together, to wrap it up, bring it all home and really give me that last push to start doing it. To get out of the analysis paralysis, where you just reading, studying... How much more information can I accumulate before I feel ready to do this? At some point you just have to go. You just have to do it. (06:21)•   My husband would come from work for lunch and he's like, What did you do today? And I'm like, Oh my Gosh, I put in an offer on a house. But now it's like I do it, I just send these offers like they're nothing, but it was really funny to look back. So that first house, it was actually the second offer I ever put out to... Where was it? It happened really quick. It was in Memphis, Memphis, Tennessee. It was a cute little house, it was in pretty rough shape and had been vacant for three years... How did you find it? I found it just on Redfin, I was just zooming in on map, looking for trends, looking for a cluster of homes with a certain price point, and then maybe one or two that was super low, so I was just looking for something that stood out to me and the only reason I started looking in Memphis was actually because I had a really great conversation with this lender, like a hard money lender, that I was reaching out to all these different places to see what their terms were, and she had recommended me to an agent and Memphis, she was super helpful. (11:02)•   Yeah, so actually, this was my first one and it went on the market a month ago, so I got a handful of offers on it, but they were all creative finance offers, which I wasn't interested in taking, and that shows me that maybe they're trying to use it as a rental, and then I had a handful of Airbnb people come, and I was thinking like, hmmm... If everybody is looking at this for rental or an Airbnb, then why don't I just keep it? So I'm like, I've already taken out the hard part of how to flip the House, right? Why not just pull two birds with one stone and figure out how to Airbnb as well, which is a very good way to build wealth and cash flow and all of that good stuff. So that is where I'm at right now. I am in the process of doing a cash out refinance on... Okay, I'm just waiting for the appraisal to come back to see how much I can actually take out, which the numbers are really good, everything sells pretty high in the area, and I felt very comfortable with my assessment of it at the beginning. I also had my mentor analyze it and give me his number, and then my hard money lender on top of that, to lend on the deal, they had to tell me what they thought it was going to be worth. So I had three confirmations of this after repair value, so I'm pretty sure that after the cash out refinance, I'll be close, if not... Right on! So then you're going to... Elena Levario, a CPA with years of experience in the banking world, joined us for this episode of the Where Accountants Go podcast. We originally heard about Elena's inspiring story while attending a state CPA event, but we didn't know quite how inspirational it was until we had her join us for the program. Elena originally migrated to the United States from Mexico with her family at the age of 4.  She and her sister were the first in their family to graduate from high school, which was an accomplishment that was highly supported by their mother. Initially Elena actually wanted to be a nurse, and in fact has a degree in nursing.  However, she had to work while in college and during that time realized that she enjoyed business.  She remained at the bank where she worked while continuing her education for a second degree, this time in accounting.  That accounting degree ended up launching her into the career she has today, as an Assistant Controller with a well-respected bank in the Midland / Odessa area. She currently serves as the Director of Finance, Assistant Controller at Interstate Batteries, where she has worked for over 10 years. Melissa serves on numerous boards and loves to travel. Stephanie E. Wilson-Coleman is the GSA's Director of Personal Property Management & the Office of Small Business Utilization. The Small Business Utilization Center serves as the advocate for small businesses; and The Personal Property Division is responsible for disposing of the federal government’s excess and surplus property through utilization, donations and sales.  Ms. Wilson-Coleman spent over 20 years in various financial positions in the private sector. These positions included Assistant Controller for The Virtual World Entertainment Group, the St. Petersburg Medical Clinic, Finance Director for The Bay Plaza Companies and Manager and Technical Specialist for Allstate Insurance Companies. Ms. Wilson-Coleman is a graduate of the University of Chicago, Graduate School of Business (Executive MBA Program) where she earned a Masters of Business Administration and the University of Arkansas, Little Rock, where she earned a Bachelor of Arts degree.  She also earned a Financial Management Certification from the USDA Graduate School. Ms. Wilson-Coleman is a member of Alpha Kappa Alpha Sorority, Blacks in Government, the National Association of Black MBA’s and the National Forum of Black Public Administrators.  She is a member of the advisory board for the Chicago Children’s Advocacy Center.
