This post is cross posted on my blog. What are the most important things you do for your productivity? Keep checking in with your high-level goal I think it really comes back down to writing down and rewriting down and thinking about the high-level goal of the project. Having something that's an easy handle, that's like a sentence or two, and just checking in with myself a lot about where I'm at with respect to the high-level goals. Writing something every month about like, "I did this last month and what was the goal? Have I moved toward the goal or not?" Ajeya Cotra Start by breaking the task down One thing that's really helpful for me is just small-scale planning. When I'm starting a task, write down a list of the things that I would probably want to do. Just having that be clear helps a lot. Daniel Ziegler Checklists I have a checklist and every day when I sign off, I will write every single one of my projects and email them to my boss letting them know status on all the projects. When I was in college, I lived on a checklist. Every day I had the checklist that needed to be completed that day. It makes it so that I don't drop the ball. Abi Olvera Decrease anxiety Decreasing anxiety over things. Because I feel like there's this vicious cycle a lot of people get sucked up in, where if you're really anxious about something, you're focused on the anxiety and assuaging the anxiety rather than on the work that you need to do. Eva Vivalt Internalize that procrastinating only makes aversive tasks worse I think I've gotten better over time at doing what needs to be done that's not easy or particularly enjoyable, and finding out again and again that it's all better if I tackle it head-on rather than trying to put it off for as long as humanly possible. Similar to being a recovering introvert who always thought going to a party was a terrible thing to do yet always, every time I went, both enjoying it and then on reflection going, "Wow. I definitely make the right call there." Regretting it when I decide not to do so. I guess over time I've learned that the sense of aversion usually fades after I actually start doing the aversive task. It's not fun, but it's okay. A sense of relief after you've done it and gotten it off your plate. It seems like worth doing rather than maybe like spending a week or two weeks or two months going, "Oh man, I need to do this. It's even worse since I haven't done it for this long." Getting stuck in that sort of cycle. Greg Lewis Financial penalties for work within your control I use Beeminder. I had to put in the initials of the person that I emailed, and it kind of just, "Why don't I aim for five emails a week?" I was trying to hit more than five. It was only counting on what I could control, which was emailing. It doesn't matter if they don't respond, the fact is I emailed. I do it as well to cap my Facebook time. I do it as well to keep my unread inbox below 75. Abi Olvera Track if your week actually moved something forward It's like, "Was there something that I was able to take the time for this week, and that moved forward significantly somehow," which can look like lots of different things. In Keep Your Identity Small, Paul Graham argues against associating yourself with labels (i.e. “libertarian,” “feminist,” “gamer,” “American”) because labels constrain what you'll let yourself believe. It's a wonderful essay that's led me to make concrete changes in my life. That said, it's only about 90% correct. I have two issues with Graham's argument; one is a semantic quibble, but it leads into the bigger issue, which is a tactic I've used to become a better person. Graham talks about the importance of identity in determining beliefs. This isn't quite the right framework. I'm a fanatical consequentialist, so I care what actions people take. Beliefs can constrain actions, but identity can also constrain actions directly. To give a trivial example from the past week in which beliefs didn't matter: I had a self-image as someone who didn't wear jeans or t-shirts. As it happens, there are times when wearing jeans is completely fine, and when other people wore jeans in casual settings, I knew it was appropriate. Nevertheless, I wasn't able to act on this belief because of my identity. (I finally realized this was silly, consciously discarded that useless bit of identity, and made a point of wearing jeans to a social event.) Why is this distinction important? If we're looking at identify from an action-centered framework, this recommends a different approach from Graham's. Do you want to constrain your beliefs? No; you want to go wherever the evidence pushes you. “If X is true, I desire to believe that X is true. If X is not true, I desire to believe that X is not true.” Identity will only get in the way. Do you want to constrain your actions? Yes! Ten thousand times yes! Akrasia exists. Commitment devices are useful. Beeminder is successful. Identity is one of the most effective tools for the job, if you wield it deliberately. I've cultivated an identity as a person who makes events happen. It took months to instill, but now, when I think “I wish people were doing X,” I instinctively start putting together a group to do X. This manifests in minor ways, like the tree-climbing expedition I put together at the Effective Altruism Summit, and in big ways, like the megameetup we held in Boston. If I hadn't used my identity to motivate myself, neither of those things would've happened, and my life would be poorer. Identity is powerful. Powerful things are dangerous, like backhoes and bandsaws. People use them anyway, because sometimes they're the best tools for the job, and because safety precautions can minimize the danger. Identity is hard to change. Identity can be difficult to notice. Identity has unintended consequences. Use this tool only after careful deliberation. What would this identity do to your actions? What would it do to your beliefs? What social consequences would it have? Can you do the same thing with a less dangerous tool? Think twice, and then think again, before you add to your identity. Most identities are a hindrance. But please, don't discard this tool just because some things might go wrong. If you are willful, and careful, and wise, then you can cultivate the identity of the person you always wanted to be. Thanks for listening. In today's digital world, there's an app, podcast, or video for everything, including motivation. According to American Express's blog on motivation, commitment trackers such as Stridesapp or Beeminder can give you that extra push to keep up with your long-term and short-term goals. The article also suggested writing the goals down on pen and paper for extra focus, and I certainly agree with this, and all my clients have their specific long-range and short-range goals written down.nn2.tSet Milestones. Working on a long-term goal can seem endless at times, which results in a loss in motivation. Setting smaller milestones to hit along the way keeps the motivation level up and gives you something to celebrate along the journey. As soon as you break up a large project into smaller tasks, you can start checking them off your list and feeling like you are getting the job done! nn3.tReward Yourself. Give yourself something to work toward and acknowledge tasks when they are completed. When you hit a milestone, treat yourself to something. It could be a latte at Starbucks, a movie, a massage, or a new pair of shoes. Whatever makes you happy, this type of incentive is effective in maintaining motivation for both you and your team. nn4.tWalk Away. For those times when you just can't get focused, take a break from your desk and get a change of scenery. It could be a cup of coffee at the local coffee shop or a walk around the block. Carve out a few quiet minutes to sit down alone and let your mind go. Think about ways to grow the business, get new clients, improve your marketing materials and efforts---wherever you see a weakness in your business, think about a solution to it. Sometimes, inspiration can be hard to find at work, but there is no room for negativity when it comes to staying energized. Positive affirmations can increase your motivation. Some days you'd rather be in bed watching Netflix, going surfing, or skiing, than picking up the phone to make client acquisition (revenue generation) calls to increase business revenue. It happens to the best of us, even those of us that love our business. When you feel uninspired to tackle that to-do list, try one or more of these 10 tips, I'm about to share with you, to ramp up your motivation level and be productive again. 1. Get Digital. In today's digital world, there's an app, podcast, or video for everything, including motivation. According to American Express's blog on motivation, commitment trackers such as Stridesapp or Beeminder can give you that extra push to keep up with your long-term and short-term goals. The article also suggested writing the goals down on pen and paper for extra focus, and I certainly agree with this, and all my clients have their specific long-range and short-range goals written down. 2. Set Milestones. Working on a long-term goal can seem endless at times, which results in a loss in motivation. Setting smaller milestones to hit along the way keeps the motivation level up and gives you something to celebrate along the journey. As soon as you break up a large project into smaller tasks, you can start checking them off your list and feeling like you are getting the job done! 3. Reward Yourself. Give yourself something to work toward and acknowledge tasks when they are completed. When you hit a milestone, treat yourself to something. It could be a latte at Starbucks, a movie, a massage, or a new pair of shoes. Whatever makes you happy, this type of incentive is effective in maintaining motivation for both you and your team. 4. Walk Away. For those times when you just can't get focused, take a break from your desk and get a change of scenery. It could be a cup of coffee at the local coffee shop or a walk around the block. Changing your environment might refresh you enough to get back into it with a fresh perspective when you return to your desk. 5. Brainstorm. Carve out a few quiet minutes to sit down alone and let your mind go. Think about ways to grow the business, get new clients, improve your marketing materials and efforts---wherever you see a weakness in your business, think about a solution to it. How can you prevent the competition from getting ahead of you? 6. Think Positively. Sometimes, inspiration can be hard to find at work, but there is no room for negativity when it comes to staying energized. Positive affirmations can increase your motivation. Say what you are trying to accomplish aloud or write yourself a note that says, ‘I can do it!'. In addition, knowing that what you do in your business helps people in some capacity can up the motivation factor. 7. Get Feedback. Be open to constructive criticism. Sometimes it is hard to accept that a client has moved on to another company but understanding the why can help you build an even better business. Chances are, if one client has an issue with something, others might too, and you will be able to work on the problem and stay motivated to improve your business. You can also get feedback from peers, members of your mastermind group, or a mentor. Sometimes having outside eyes on something, can be very beneficial. 8. Find Inspiration. What you do outside of work can inspire you at work too. Spend some time reading industry news to see what others are doing. Check out blogs and articles posted by other companies within your industry. This widens your knowledge of what other companies are up to, while keeping up on the latest trends. Plus, doing something that is productive but not related to the task at hand just might end up motivating you more. 9. Fake It. There are just those days when you have to fake it ‘til you make it. If you muster up enthusiasm and a let's do this attitude, you'll find that you will be energized, and most likely will motivate those around you. Sometimes you just have to put your big girl or big boy pants on and deal with it. 10. Set Your Hours. It might be tempting to burn the midnight oil in order to get a project completed, but it usually ends up backfiring if continued for a long period of time. You'll end up burning out much faster than if you work at a steady pace. A 20-hour workday isn't sustainable and will not be productive. Set the hours you plan on working for the day and then turn off the work when it is time. You'll feel more refreshed when you begin work again the next day. You might even consider taking a half day off on Friday to “play hooky” will get you rejuvenated. No one feels motivated to work every single day, all day long. When you feel a motivation slump coming on, try to assess why and then choose one or more of these ten tips to help get you back on track to achieving your work goals. Keeping Your Self on Track - Revisiting Beeminder I was using the free trial of Beeminder. I use a wi-things scale, and I love that when I wake up and weigh in I can see if I'm on track to meet my goals (via wi-fi it logs my weight). So I had a friend of mine who had a death in the family. As always when there is an event in people's lives we meet together with food. So I helped my friend for about a week and sure enough skidded right off the track. Using Beeminder, I was able (in fact I was notified) that I was off track. If had pledged any money (for an incentive, I would lose the money). While I hate their graph (it's got WAY To much information, I do like that I can see if I'm on track to meet my goal and adjust accordingly. This article explains how it work more in depth   Avoiding the Rip Tide I was reading the book Living Forward by Michael Hyatt (technically I was listening to it via Audible) and he shared the story about a surfer who wasn't paying attention and got sucked into a rip tide which takes you out to sea (this can be very dangerous with 60-100 people dying a year from rip tides). The point is the person wasn't paying attention. Then when you figured out you have a problem, you try to take the shorter route in (which unfortunately can send you against the tide which is a battle you will lose). The solution is to swim across the tide, until you are out of it, then steer toward the shore. I have two apps that give me grades beeminder and nutritionix both give me clear symbols that let me know when I'm headed in the wrong direction. When I see my weight going in the wrong direction, I can look back at the days when I lose weight, look at the food entries around those days and repeat them. If we aren't paying attention, we can get caught in many of Life's Rip Tides and be taken into the sea of obesity. Today I share my first impression with a new app Beeminder which I'm using to replace the PACT app. The pact app was slick, polished, and I loved it (you pledged to give money if you didn't hit a goal and it was distributed to those who made their goal). Beeminder works similarly in that it takes money out of your bank account if you don't hit your goal every time you miss your goal (so it could get expensive) and it's not giving any money back. Their intro video look at first like someone is going to share ghost stories (there is no official beeminder channel only the channel of one of their creators). I get they did the best they could with whatever budget they had, but why does someone with a lapel mic sound like it was recorded in a bathroom (and putting music in the background doesn't make this point go away). Then they give you a ton of information on a graph that looks like you ate a mouthful of Skittles and then sneezed them on to a piece of paper. Here is a sample To understand that graph, I need to look at the legend. They have a legend that helps you understand all the dots, dashes, etc, but holy cow what is up with the big 50 cent words like "Akrasia horizon" Sheesh. You need a legend for your legend. So my first impression was not a great one. However, after using it for a few days I think I'm getting the hang of it. You can have it remind you to update your goal. I'm using a withings scale which updates my fitbit which updates the app. By syncing it with m fitbit it brought in a lot of data points that I'm not sure were helpful. So in the end, I started off a little confused.  They do let you try it for free, and if you "Drive off the road" there is no fee, but if you want to continue, you need some skin in the game.  Every time you miss your goal it raises the penalty. You can set a limit on how high it can go.  I do like that it someone "gamifies" your goals, and it keeps you posted and can alert you when you're about to go off course. I just think its a little busy at this point, but what do you expect for free? It has potential, and my guess is going to be that they didn't see the boost of PACT users coming their way, and they get caught with their pants down a bit.  Overall, this could be useful, but their graphs introduce a learning curve.  Check it out at www.beeminder.com Realistic Lifestyle Change - Tips New study from Harvard with tips on achieving Lifestyle Change.
