The role of a wedding planner is more important than ever right now, they should be like your second mother, says Senior Editor Kim Forrest at The Knot Worldwide. She should know. She has been writing about weddings for nearly 15 years and has been helping The Knot produce stories and content to help couples navigate COVID wedding planning. From setting up a support hotline that has received over 3,000 calls to date to coining terms for all of the new kinds of weddings we’re seeing (minimonies, sequel weddings and anniversary receptions), and even culling data (66% of couples have pushed their weddings to 2021 and 7% have pushed to 2022) Kim and her team have been working nonstop to make their couples feel special and supported throughout one of the biggest milestones in their lives.  Jump straight into: (02:18) - How Kim Forrest got into writing about weddings - “The wedding industry, it's been really exciting and again, [I] just love writing about love.” (06:32) - How The Knot is working behind the scenes to support couples - “It was just a matter of talking to to vendors who were really on the ground, we talked to health experts, we really did the legwork to make sure that we were giving our couples the most up-to-date and the most helpful information out there.” (11:10) - Why they started the hotline - “It's been really a safe space for couples to ask for advice from experts and to vent and to just kind of hear a friendly voice.” (17:13) - When couples were rescheduling for  - “66% pushed to 2021, 7% pushed to 2022, and then there are people who are not sure, and people who rescheduled till later in 2020.” (23:15) - Kim on COVID wedding trends - “There are a lot of trends that we're seeing. For 2021 wedding trends, the sort of theme I came up with was smaller but bigger. So the guest list is smaller, but that means that a lot of the other elements of a wedding are bigger.” (27:44) - On couples feeling guilty about wedding planning during the pandemic - “Because weddings are such a happy thing, and with so much happening in the world, one can feel guilty for planning a wedding during this time. That could seem frivolous. So we really tried to help couples see that it's not something to feel guilty for.” (29:13) - The importance of celebrating anyway - “Having these moments of joy, they mean a lot to people, they really do. And I think that there's a lot of good in that. NOTES:I'm not going to list all the myriad of things that you should have in your emergency kit that you can find with a 2-second search on Google. That wouldn't be helpful or novel. But I am going to tell you my 5 go-to items that I always make sure are in my supply kit. 1) Fake rings or back-up rings. Just in case you didn't listen to tip #37 about how to pack your wedding rings, consider having fake back-up rings to use at your ceremony should a certain someone forget to bring your real wedding rings. 2) Black men's socks and a black tie. These get misplaced or lost all. the. time. Problem solved. 3) Glue dots. Better than any other glue out there. They're super sticky and tiny and work on so many things. 4) A wine key. Seriously, you don't want to be without one. I've used it more than you would think. 5) A box cutter. All those boxes of programs, menus, and other supplies aren't going to open themselves.

NOTES:If people are singing to pre-recorded music, like for example during your wedding ceremony, ask them to send you the mp3 of the music ahead of time so whoever is running the audio can have the file cued and ready. BUT you should ALSO ask your singer or cantor to bring their music with them on a jump drive in case there are any issues. That way, you'll still have access to their music on the day of the wedding. It's also really important that you listen to the music ahead of the wedding day. What you think of when you hear "Amazing Grace" could be completely different from the arrangement they've chosen to sing of Amazing Grace." So it's best to hear it so there aren't pictures of you looking surprised and in a bad way on your wedding day. Well, at least not during this part of the wedding.

NOTES:This is a pretty basic tip, but one that needs to be said. If you're having an outdoor ceremony, make sure you appoint someone, whether it's the venue or your planner, to wipe off your chairs or pews about 15 minutes before guests begin to arrive. Lots of unwanted debris, like dust, pollen, and even bird poop can land on your chairs between the time they were set up and when your guests arrive, and it's important to start the day off right with your guests. You wouldn't want them to have their clothes covered in pollen (or something worse) the minute they arrive at your wedding, would you? Unless I guess they're your fiance's ex that you didn't want to come in the first place, but we can talk about ex's in another tip.

NOTESMake sure you read closely any contracts that you're signing. If you have any changes, write them directly onto the contract and send a scan of that to the vendor. That will make it easier for them to update. It doesn't hurt to also write an email explaining your changes, but definitely write it onto the contract first.

NOTES:Once you come down from the high of getting engaged, what do you do? 1) Pop some bubbly and get your ring insured, right? No seriously, get that ring ensure. 2) Before you begin any wedding planning, make sure you talk to all the parties involved that will be paying for the wedding - whether it's just you two - or whether your parents or some rich eccentric aunt are paying for it - make sure you talk about your priorities (and theirs) and your budget range. I say the word "range" because it's hard to plan for a life experience that you've never planned before. So have some wiggle room in case some things end up costing more than you expected. Having a low-end and a top-end budget will help.

NOTES:Following up on Tip 146, today's last-minute details tips focus on supplies, back-up plans, and contingencies.Have some open seats in your floor plan (and know where they are or tell your planner/caterer) in case someone shows up without an RSVPPut aside sentimental objects that you'd like included with your "details shots" and put them all together for your photographer to shoot at one timePack a good emergency/supply kit, which includes tape, fishing wire, needle and thread, extra black socks, floral wire, post-its, sharpies, scissors, bandaids, mints, and dental floss. Double-check the weather forecast and see if it's going to affect any of your locations.Make sure you screenshot this tip so you can come back to it as you're getting close to your wedding!

Other couples don't know where to begin in terms of the venue, so they hire the planner to help them narrow down the field. Unlike other providers, most planners don't have a wedding every weekend. The good ones will start to get booked a year out from the wedding date, so make sure you talk with them early so you have your pick of planners and aren't limited to who's left.

NOTES:Last week I was DM-ing with someone about ways to social-distance with guests at their wedding so I wanted to share with you what we came up with.First, it’s important to let your guests have the ability to celebrate with you in a way that allows them to feel safe and comfortable. You’ll have different groups that will have different levels of comfort, and that’s okay.For guests that choose to celebrate with you in person, you can have them attend the wedding in shifts and have something like a more extended cocktail hour over 2 hours with heavy hors rather than a seated meal with everyone at the same time.You can also let your guests have the option to only attend virtually if they wish.Finally, you can have a way for guests to signal to other guests their level of comfort when it comes to social interaction. They could wear a green wrist band if they’re okay with hugs. A yellow wrist band if they’re okay with elbow bumps and staying 6 feet away. And a red wrist band if they only want to chat from 6 feet away.Like I’ve said in previous tips, our new normal is here, so embrace this unique time to get married and find opportunities to make your wedding unique, memorable, and totally you.

NOTES:One of the most popular questions people ask me is, what are the ways to save money? What should I cut from my budget? What’s something couples get that they don’t need?One of the top places I see couples waste money on all the time is favors. Unless it’s something that people can eat or use all the time - and I mean all the time - don’t bother. I’ve seen a lot of bookmarks, bags, candles, and other cute but unnecessary items be thrown away because, unless it’s unique, guests already have what you’re giving away. So don’t waste your money on it. Do something fun like a hot cocoa station or fresh hot pretzels or cookies that they can take home. Or you could even have your florist come back, because sometimes they need to do that anyway, and repackage your centerpieces into small bouquets that guests can take home. Whether it’s plus ones, family, etc., have a specific rule you can consistently follow when it comes to who you invite.A popular rule pre-COVID that experts recommend is only to invite people you’ve seen in the last year or that you plan to see in the year following your wedding. Those distant cousins you see once every 5 years? Nixed. That business partner your parents want to invite but you’ve never met? Nope. NOTES:On my recent webinar, 5 Ways to Pandemic Proof Your Wedding, someone asked me for alternative ideas to entertain guests rather than the traditional crowded dance floor.So I came up with a couple to give you guys some ideas.If space allows, flip the model of having a traditional dance floor in the middle and invite guests to dance on the outside of the tables or the perimeter in order to spread people out.Lean into sight acts or live or experiential entertainment, such as caricature artists, lawn games, a live painter, dueling pianists, mind readers, haiku poem writers, or something else. There are lots of ways to entertain your guests. You want to do something that feels natural and right with your style and personalities but still allows guests to feel comfortable and safe.

NOTES:Someone recently asked me when was a good time to send out save-the-dates to their upcoming wedding in order to have enough time for guests to plan, for them to be able to monitor the situation in case guidelines change, and to also continue planning their wedding. his is quite an intricate balancing act between all the different sides that are involved. At this point in time, and it’s July 2020 when I’m recording this, my best answer is to send them closer to 4 or 5 months before your wedding, instead of the traditional 6 months, just because so much can change in a short amount of time. I highly recommend noting that you are monitoring the situation and to ask guests to fill out a form on your website that provides you with their email address in case you need to make changes or provide new information to guests quickly.

NOTES:A new development that has come up as a result of COVID19 are additional cleaning fees in response to the increased need for sanitation between groups. I wouldn’t say this is a widespread occurrence, but definitely something to think about as you’re budgeting for your upcoming wedding. However, those little airplanes are really delicate and can’t fly during high winds.Therefore, it’s smart to discuss a backup plan if drone coverage is really important to you. Can your photographer or videographer come back at a different time and get the same shot? What happens if the shot doesn’t come out? NOTES:Have you ever been to a wedding and listened to the DJ or Band absolutely butcher someone’s name when they’re announcing them? Ugh. I think we’ve all heard that happen more than once.To avoid embarrassing mispronunciations, include phonetic spellings for everyone that’s going to be introduced at your wedding - even if it’s a virtual wedding. Rehearse these pronunciations with whoever is going to be reading the script. Finally, go over these pronunciations again on the day of your wedding or have one of your delegates practice this with the DJ so you don’t have to.

NOTES:As you continue with your wedding planning, it’s important to make sure you have a clear understanding of your priorities before making any big decisions, like choosing your wedding venue. In my last tip, tip 189, I talked about why it’s important to keep moving forward with your planning.Everyone’s priorities are different. But you need to know some important things, like what kind of ceremony you’re going to have - indoor, outdoor, secular, or religious? Also, what kind of style of wedding do you want to have? Uber modern, rustic and vintage, luxe ballroom? Knowing the answers to these questions will help you narrow down your search so you’re not going down multiple rabbit holes wasting time on venues that aren’t viable options.
