So many amazing tips and tricks came out of this episode with Jacob from Snap Pea. Jacob is the owner of Snap Pea, along with being their Executive Chef. Snap Pea is a smaller company than most of your big time catering company which he talks about on the episode. Jacob points out that with them being a smaller company, you are going to constantly be dealing with the same person throughout your entire experience, and that person is him.

NOTES:Have you ever been to an event and felt incredibly self-conscious because you ate something and you could never get that taste out of your mouth? It's the worst! Don't do this to your wedding guests. Avoid strong smelling or tasting ingredients in the menu that could offend some guests or make them feel self-conscious, like raw onions, garlic, or blue cheese.
NOTES:Now that we're getting into summer, my next couple of tips are going to be about having food trucks at a wedding. Tip #43 is about budgeting the cost of a food truck to serve dinner. If you're planning on having food trucks serve the main meal, be prepared to budget for a higher per person cost than a normal food truck visit. First of all, there's nothing preventing guests from having multiple servings, so that has to be taken into account. You could always tell the food trucks to cut off service after a certain number of servings have been given, but it's awkward for the food trucks to have to stop service if they can still see guests waiting. Second, you will want to serve your guests some side dish or appetizer like options. You might not buy this on a normal food truck visit, but if this is supposed to be in place of a dinner meal, you will want to provide more than just a main course for your guests. Again, the food truck provider will need to allot for guests to have multiple visits, and their price will reflect that.
NOTES:Today's tip is about trash. Don't you hate it when you're at a party and you're having a great conversation with someone, but you keep looking around for somewhere to put your empty glass or dirty napkin? I hate it too! And trust me, your guests don't like it either. When you're picking out which food to serve at your cocktail hour, make sure its served as small, bite-sized pieces. Avoid serving food on a stick or spoon so your guests aren't left with trash afterward. Basically anything with the words "skewer," or "lollipop" are off-limits. If you really can't resist that lamb lollipop, remind the catering staff to remain with the guest to take their trash or have extra drop tables for the remnants.

NOTES: Ask your catering company how many servers they normally provide for a wedding your size. Depending on the type of service, a rule of thumb is having 1 server per 10-12 guests for a plated dinner. If you're having a family style meal, you could be closer to 1 per 15. However, this ratio could change if you're serving multiple courses and wines throughout the evening, which would require more servers per guests.
NOTES:In terms of clean-up, most traditional food truck providers provide a trash can for guests to dispose of their garbage. . . and that's it. No one's going around busing tables or emptying out trash cans. So make sure you talk with them what they do and DON'T provide, such as plates, forks, knives, beverages, alcohol, and trash removal. Then have a plan in place to fill in those gaps. Trash duty is the worst and no one wants to do it. But I don't know what's worse. Having to walk around on your wedding day busing tables and picking up trash, or having to pay a steep fine from the venue because you didn't do this. It's up to you, but consider yourself warned.
NOTES:Last tip about food trucks! But this one's super important - well, they're all important. Make sure you talk with your food truck provider what they will provide in terms of service and clean-up. Part of the traditional food truck experience is walking up to the window and choosing a specific dish and waiting for it. If you have 150 guests all doing this at the same time, there's going to be a wait. How can they mitigate this? How much of a wait are you okay with?
NOTES:Just like with a normal off-premise caterer, make sure you ask your food truck providers how much time they need to prep in order to be ready for food service. Some will need to heat up oil or grills prior to cooking. Others might not need as much time. But you want to make sure they arrive early enough so they're already in place before the ceremony if they're serving dinner. If they're coming for later, you still want to make sure they're in place with plenty of time should anything be delayed and so they don't arrive during the middle of important events like toasts or dances and distract your wedding guests.
NOTES:If you're planning on having food trucks at your wedding, ask them to visit the site in advance to ensure their truck can access and park at the location. Food trucks can weigh over a thousand pounds and they can get stuck in muddy fields. They're also taller and wider, need access to power, and might require special permits. You might even need to get a permit to reserve their spot on the street. In order to avoid any delays or issues on the wedding day, make sure you have them visit the venue and talk through any needs they have in order to provide the best type of service.

NOTES:I've had caterers joke that they spend their lives brewing coffee and then throwing it away. You probably don't need to plan for every guest to need a cup of coffee. Plan to serve coffee to about 40% of the guests at the end of the night and that should be enough.

NOTES:Make sure you confirm with the caterer if you can add any late RSVPS after you give them your final catering guarantee. The guarantee is usually due 2 weeks to 10 days out from your event because the caterer has to buy all the ingredients. After this point, you cannot decrease your guest count from this number. You also cannot increase your guest count by more than certain percentage. Usually it's 3-5% of your final guarantee. So if you guarantee for 100 guests, you can only add 3-5 people on the day of the wedding. If your family is the type to bring extra guests, make sure you account for this. The caterer can't serve a plate of food from ingredients they don't have.

The rule of thumb is 1 bartender per 75-100 guests. However, there are circumstances that would cause you to staff up. If your guests are arriving at the same time on a shuttle, or you're having an outdoor wedding and it's a particularly warm day, or your guests like to party, definitely increase your number of bartenders. No one likes to wait for their drinks.
What are service fees and why do they matter?Make sure you ask potential venues if they charge a service fee before tax on any items they provide. Usually service fees are applied to catering and staff, like coat check and bar tenders. And always clarify what the service fee is (around 18-21% is typical) and what it's applied to so you have a complete picture of what your costs will be at this venue.
