Well, almost all the decisions. Sometimes I still need to fire up the printer... like this morning, only to find that I'm out of paper. You see, I print so infrequently that it's IMPOSSIBLE to know when I'm on the edge of running out of paper. But the bright side of this inconvenience is that I got the immediate therapy of complaining about it on my podcasts, and using it as an opportunity to give some tips on making your office paperless. What you need to print Contracts Invoices Meeting agendas Why digital intead of print? Offsite backups - fire, water, carelessness, etc can ruin your print documents. Digital files can be secured and backed up in several locations in case there's a problem Accessable by multiple apps, computers and other devices. You can also share, or limit access to certain files and directories Searchable - Ever tried searching for a term or keyword in piles of paper? WAY easier in digital form. But how can you avoid the general day to day paper mess? First, determine a method of storing PDFs, scanned images/receipts, or other documentsDropbox (https://db.tt/d7zxY4OK) Google Drive OneDrive Carbonite Next, determine a backup/security policyRegular backups Encrypted? They are usually outdated the second they are printed. You can fax using services like HelloFax or E-Fax for much cheaper than a phone line and a paper/ink-fed fax machine. Don't Print web pages. Apps and sites like Pocket can save, categorize and share pages to be easily found later on all devices. When you get an invoice, bill or other paper document… scan it, save it and forget it instead of print it, file it, and dig it out later. What should I do with the old paper? Besides a bonfire? Shoeboxed offers a service that will scan, organize and categorize receipts Many companies offer scanning services to scan and organize other documents Expense savings No printing costs (paper, multiple printers, toner or ink) No storage costs with additional file cabinets, or even file rooms Increased efficiency in retrieving files and not walking/waiting by the printer for files to print.
Meryl Johnston runs Bean Ninjas, a bookkeeping service primarily for online businesses. She's based in Australia. In this episode of The Next 100 Days Podcast she advises us about cloud accounting and how you can move to the cloud and sort your book keeping problems easily in the next 100 days. Meryl's background Meryl had a traditional path – university and worked at a mid-tier firm where she became a chartered accountant. She questioned why she was working in a Melbourne firm and moved to a Gold Coast. To another firm. She repeated the same long nights etc, so decided to start her consultancy business. Having thought about the frustrations of working a consultancy business, she started Bean Ninjas in July 2015 with a business partner. She wanted recurring revenue. Fixed cash flow that she could predict each month. Making it easier to hire a team. Concentrating on one defined task, to make it easier to systematise the business. Bean Ninjas now have a team of 10 and 100 clients. Meryl Johnston - Bean Ninjas and cloud accounting in the next 100 days Who are Bean Ninjas? Bean Ninjas offer a bookkeeping service. Requires a lower skill set. Make sure all information in accounting software is accurate. Day to day transactions, sales, expenses and payroll are all entered accurately. Her clients include ex-accountants – it's a task they realise they ought not to do, so they free time to grow their business. Some business owners are in a mess. Once the business gets to $100k they ought to be focusing on other areas rather than accounting. Meryl has taken a service business – consultancy and created a systematised product business. She learnt quickly to identify her market. A market that has a particular set of clients. She has 3 fixed pricing tiers, fixed service products suited to different clients. Once she realised which clients saw value in the different aspects of her product, and where her unique skills were, she evolved her prices into the 3 pricing tiers. She worked out there is a gap in the bookkeeping industry in understanding online businesses. They might be selling overseas They might have customers throughout the world Their business works online They might have a remote team They might pay their staff in different currencies The business might be selling on Shopify or Amazon To do the bookkeeping for those types of business requires knowledge that traditional bookkeeping services don't possess. Bean Ninjas now specialise in this area. They didn't start with that niche, but their business evolved there. What cloud accounting service do Bean Ninjas use? Meryl's team uses Xero as her accounting service and Shoeboxed for receipt processing She also uses Skype and Slack as tools to communicate as her clients are remote. Bean Ninjas are not the right fit for someone who wants a book keeper to visit their premises, Most of bookkeeping happens online now anyway. Xero takes bank feeds. Xero has 500 add-ons. Bean Ninjas makes sure everything is setup correctly. Less about entering information but more about ensuring the system is setup correctly. Kevin has experience of this too. He bought Shoeboxed, a plug in for Xero, taking photos of receipts and automatically enters the information. He admitted the image capture was a little wrong – it meant he had to correct the currency back to £ from $ on occasional receipts, but even with this issue the time saving is enormous. ReceiptBank is similar but excellent too. Kevin also has T Sheets, to record consultancy time. T Sheets works with Xero to link timesheet and client billing. We featured another Xero add in in episode 72. Floatapp. Kevin also uses Floatapp with Xero to forecast and manage cashflow. There are lots of plug-ins for all kinds of business. Think about what industry you are in to prevent yourself from getting overwhelmed. What influenced the Bean Ninjas mindset?
Is cash flow one of your biggest issues? Do you have sleepless nights worrying whether you have enough funds to pay suppliers? To make payroll? This weeks podcast guest has a powerful tool that will help you. Colin Hewitt founded Float, the cash flow forecasting app. He lives in Edinburgh, Scotland but was originally from Belfast, Northern Ireland. Why was Float created? Colin Hewitt was caught up in the excitement of the web. He started an agency doing digital work like building sites and eventually his focus turned to finances. It's something you must be very aware of. Making a payroll becomes front and centre. Float - Cashflow forecasting made easy with Colin Hewitt. He didn't want to be so worried about finances so he decided he needed a better solution. A more automated solution. Initially it was via a spreadsheet. He started using cloud accounting. He realised he could extract data from the accounting software and via an API direct the data into his spreadsheets. Then he attended a conference in the States, along with people like Mark Zuckerberg and other exciting entrepreneurs. This prompted him to get out of agency work and into product work. How does a design guy come to build a financial app? He was always operating at the intersection between design and technology. He was non-financial. After university, he needed to get out of student overdraft and student loans. He built a personal spreadsheet to get himself out of debt. He built a spreadsheet. It told him that if he spent £100 less than he earned in 12 months he'd clear his overdraft. He graphed it and this visualisation made all the difference to him. He took this graph idea into his business. Kevin's experience from the business health check suggest 9 out of 10 businesses worry about cash. His system works like IFTTT, IF THIS THEN THAT. You authorise your accounting platform to allow float to access your data. Once you have given permission, Float have a token which allows Float to request data from the software, like: Bank transactions Open Invoices Journals Float builds a set of accounts back into a cash basis. This provides the user a really nice cash based forecast. There is no need to re-key data into a spreadsheet. As soon as you leave the spreadsheet, a new invoice coming in changes it immediately. Colin recommends Receipt Bank or Shoeboxed to capture receipts in a timely way so the accounting system is up to date. He then transfers this data from the accounting system (Xero, Quickbooks online, or Free Agent) into Float using the automated API. Float has a big development programme Colin has worked on the Float solution for 5 or 6 years. It is very nuanced. It is not likely to be subsumed by the accountancy solution provider like Xero. Cash flow forecasting is a more niche, targeted area. Float is just focused on developing more and more features and application uses for Float users. He is going deeper into understanding what customers want. Customers are busy, so the product must be easy for people to pick up quickly and use. For more complex modelling and sophisticated forecasts, patterns, growth trajectory, he's still in the foothills. A lot of leg-work is still required for these issues. 40-50% of his clients are professional services. The pipeline looks rosy for 4-5 months then after then the forecast falls off a cliff. So, the focus turns to chasing monies you are owed. Xero has just hit 1,000,000 customers. When they started with Xero, they had 20,000 customers. It still feels like the market is very early. Plus, it is an international business. Xero is a New Zealand business. There has been a lot of innovation from the southern hemisphere. Most companies are using cloud software, whereas businesses in US are still turning cheques. Why does Float help a small business? There is appoint in any small business where you can keep a handle on finances. A few invoices,
