    Hey there I'm your host, Tracey D'Aviero, The Confidence Coach for Virtual Assistants, and today we're talking about one of my favourite topics: systems. We're going to talk about how to stop trying to reinvent the wheel every week, and how setting up systems can help you grow your business with confidence and consistency. Because here's the truth: being busy is not the same as being productive. And for too many VAs, those two things get mixed up. Not just VAs, actually. But yes, us too. Let me start by defining what I mean by reinventing the wheel, in case I'm aging myself and you are saying what the heck is she talking about?? Reinventing the wheel means trying to find a new way to do something that has already been established. That exists and that works. You don't have to create something new for each aspect of your business. There are strategies that work. Checklists that exist. Platforms that help your automate. You aren't starting from ground zero every time you do something new in your business. The wheel has been invented already, and it works! Assess what you need to plan or automate, and get it done. You deserve to run a business that feels smooth, predictable, and scalable, because that's how you step fully into your role as the CEO of your VA business. Let's revisit today's quote: You do not rise to the level of your goals. You fall to the level of your systems. Doesn't this just make so much sense? Your systems can make or break your- so don't overthink it all and just get them in place. Use them, follow them, and grow your VA business. Stop trying to reinvent the wheel. Stop trying to figure out new ways to do stuff if there is already a good way in place. Stop running and identify where you can slow down and still get more done. Stop rushing through client tasks and saying yes to everything, and step back and check, is there an opportunity here for growth?     Mistakes VAs Make - Avoiding Networking

Rik, with a brain the size of a planet, challenged everything, and after a gruelling couple of pints it was decided we should see if we could do it. We brought in another brain, Max Paukovs, overseer of our crack coding team of Kristaps, Ritvars, Martins, Atis and Valdis. They worked on proof of concept code. The code worked. We moved on.  Over the next two years, we raised investment, both institutional and private, launched and tested the beta version, got things wrong, made them right, got more things wrong, heard feedback (some harsh, some amazing) and developed Kirmada to become the app small businesses need to organise their client workloads, boost productivity, and increase billable revenue. Everyone who saw the concept during development “got it” and we were able to build an impressive cap table of investors which includes an Australian investment fund and the legendary ex-CFO of Google, Patrick Pichette.     Mistakes VAs Make - Not Clearly Defining Service Offerings

    We are back with another mistake that Virtual Assistants make. This one often happens in the early days, but honestly, sometimes even years into their business. It's not defining their services clearly. And when I say “clearly,” I don't mean just listing a few tasks on a website or profile and hoping clients will figure out how they can use you. I mean really understanding what you offer, how it helps, who it's for, and how you're packaging it and positioning it. Because when that isn't clear, nothing else in your business works the way it should. Let's talk about why this happens, what it causes, and what you can do instead. When you can define what you DO, you also define what you won't do. Clarity is key, and making the choice to do this and not that is what is going to help you set yourself apart from other VAs. Now let's be clear right away: perfection is a lie. It's a delay tactic. It's fear dressed up as being responsible or professional. And if you fall into this trap, it will keep you stuck for far too long.     What is the illusion that readiness creates? Let's get something clear right from the start: “Feeling ready” is a myth. It's not a real thing. It's a feeling. But it's not a milestone you suddenly arrive at. It's not a box you check off. It's not something you get handed after watching 10 webinars or reading a few books. It's an illusion. And the longer you wait for it, the longer you stay stuck. What you actually need is courage and a decision. That's it. It's easy to think you need more training, a better website, more confidence, or even more time before you can truly start your business or move it forward. But what you're actually doing is using “not ready” as a shield. A form of protection. If you never launch, you never fail. If you never promote yourself, no one can judge you. But the flip side? You never grow. You never help anyone. And you certainly don't build the VA business you say you want. I've seen it over and over again with the VAs I coach, and I've experienced it myself. I remember struggling to have the VA business that I wanted. I took every course I could find (free of course), and I kept adding to my arsenal of learned stuff.     Let's talk about something that's not acknowledged enough in the VA world, but that's almost always at the root of the biggest struggle new and growing virtual assistants face. You're not getting hired. Not because you're not talented or capable. But because your confidence hasn't caught up to your potential yet. There's a reason this episode is called Confidence First, Clients Second. Because it's the truth. Your confidence is the foundation and everything else flows from that. Without it, you're going to hesitate, procrastinate, and undercharge. You'll be afraid to promote yourself, unsure how to talk to potential clients, and second-guess every decision you make. And when that kind of energy shows up in your business, it's also what potential clients pick up on, even if you don't realize it. Now, I want to be really clear here. This doesn't mean that you have to feel 100% confident before you can land your first client. That comes with experience. But if you're stuck in a place where you're doing all the things... posting content, scrolling job boards, applying to RFPs, and nothing is working, the issue probably isn't strategy. It was frustrating because I knew I had something valuable to offer, but for some reason, my message wasn't connecting. That's when I realized something crucial: Selling isn't about listing features. If you want to attract the best clients, the ones who respect you, value your work, and pay you well, then it all starts with what is going on in your head. If you have ever struggled with setting your rates, dealing with imposter syndrome, or feeling like you have to take on any client who comes your way, this episode is for you. I am going to walk you through the mindset shifts that will help you stop settling for just any clients and start bringing in the right ones. Get your mindset where it needs to be. In this episode, we'll talk about why active listening is such a powerful tool for virtual assistants, how to develop it, and how to use it to build stronger business relationships. Today's quote: When people talk, listen completely. Most people never listen. - Ernest Hemingway Hemingway is right - listen to the next conversations that happen around you. Listen to how people talk, how the people they are talking to listen (or don't). Watch what people type in social media comments. It's alarming to see how when someone says they are looking for VA help for instance, and they say to email them, that some VAs say ‘DM'd you'. They aren't listening. Or when someone says on Threads I'm so excited, I've decided to hire a VA this year, and then their comments and DMs are filled with pitches. That's not the response to that conversation starter (all social media posts are conversation starters, did I say that?) Now, I'd love to hear from you!     Choosing the Right Social Media Platform to Market Your VA Business

    Not all social media platforms are created equal, especially when it comes to marketing your VA services. Choosing the right platform isn't just about where you like to spend time—it's about where your ideal clients are spending their time. If you're putting all your effort into a platform where your audience isn't active, you're working harder than you need to. Before we get into specifics, consider these key questions: Who is your ideal client? Where do they hang out online? What type of content are you comfortable creating consistently? Your answers to these questions will help determine which platform makes the most sense for you. The best social media platform for your VA business isn't a one-size-fits-all answer—it's the one where your ideal clients are most active and where you can show up consistently. Focus on cultivating relationships, not on promoting your VA business. So, I challenge you this week to do a little research. Look at where your past or ideal clients are spending their time online, and decide which platform you want to focus on moving forward. When you focus on the relationships you are going to go much farther, much faster. It's about the people. You don't need hundreds of connections to get one client, or 10 clients.     So this isn't an episode where you will learn about mindset, or time management or marketing your VA business. Not really, anyway. In this episode I want to talk about your VA colleagues. A supportive network is vital in any industry, but I really think having a solid community around you is essential for Virtual Assistants. Over the years I have obviously connected with hundreds, maybe even thousands of VAs personally. I have met a lot of VAs - at all stages of their business. When I was a VA myself, we used to connect online in forums and attend live events that the associations ran, as often as we could. We really wanted to get to know one another. We needed to get to know one another. It's not that it has to be lonely to be a VA - but it often is. You are not meant to do everything on your own when you work for yourself - and by yourself. You still need community. And I don't mean surfing the local VA Facebook group for job opportunities. I mean really connecting with people.     Mistakes That Taught Successful VAs About Business

    Every VA journey is unique. Yours is different than mine was, and mine was different that hers was. We try to learn everything we can, and yet still some things don't go the way we want them to, or the way we expected them to. There can be tough moments. Your job is to figure out a way to get our of them - and not repeat them again. Tough situations help us learn how to do things better. Let's talk today about a few things that might go wrong - and how to fix them and move forward. Failure will happen, things will go wrong, and it's how you bounce back from those failures that will help you grow in your VA business. Obviously we hope nothing ever goes wrong - but sometimes it does and we need to handle it. Learning to deal with things in a professional manner, without letting one walk all over you, is resilient. It's the much better way to be! What have you experienced that has made you feel like throwing in the towel, or running away to hide, or dumping a client, or even is just giving you stress of any kind? Fix it. And move on. That's the advice. Jane says you can do it, and I agree with her. You deserve everything you dream of. Let's circle back to today's quote by Sheryl Sandberg: Resilience is not about overcoming, but becoming. It is about finding yourself in the process. Staying in business long term means building that resilience. And it's not about overcoming things, really, it's about you finding yourself as a business person. Not just a VA, someone's helper.     Using Social Proof to Get Virtual Assistant Clients

    A lot of the marketing for your business will occur when you aren't even talking directly to someone - on social media or in other conversations. But you still can control what is said, when you leverage social proof. Social proof leverages the opinions and feedback of other people to talk about how great your product or service is. For your Virtual Assistant business, being able to share social proof can really help build the know, like and trust with those people that haven't worked with you before. What do I mean by social proof? Wikipedia: Social proof (or informational social influence) is a psychological and social phenomenon wherein people copy the actions of others in choosing how to behave in a given situation. The term was coined by Robert Cialdini in his 1984 book Influence: Science and Practice. Social proof comes in many forms. Some you might have thought of before, and some you may not have. But all of them are effective ways to get the word out about your services.     8 Places to Find Virtual Assistant Clients

    The number one thing that VAs come to me for help with - and the ones that don't come to me also want to know this … ...where to find clients? We have this sense that when we build it they will come and that is so not the case when we start our VA business. We struggle trying to perfect our website, our social media like our IG grid, our branding - and then when we finally deem all of that to be perfect and ready, we have no idea how to get clients. To have a VA business, you need to have clients. Without it, you have a hobby - or a job that pays like crap. So you have to prioritize learning how to find clients in order for your VA business to be successful. And that starts with where to look, which is often the most important part. In a nutshell, you have to find the places where your people are hanging out, and then go hang out with them there. That's it, that's the advice. You know I tell you exactly this when we talk - when you ask for advice, that's what I tell you to do. To find the place, or places, you need to know who your people are - and then where they go. Today I will tell you 8 places to look for clients.   Business can be hard if you don't. Once again, it's not about getting somewhere quickly.
