Happy New Year and welcome back to the SaaS Fuel Podcast! In this episode, Jeff Mains sits down with Leslie Shreve, workload management and efficiency expert, and founder of Productive Day. Leslie shares her proprietary system, Taskology, and dives deep into the real reasons why busy SaaS leaders and professionals feel overwhelmed, despite using the latest tools and productivity hacks. Together, they unpack the hidden costs of “gray work,” the myth of the infinite workday, and why most task management apps fall short. Leslie offers a practical, actionable framework for regaining control, reducing stress, and making real progress—one atomic task at a time.Key TakeawaysThe Hidden Cost of Modern Work Chaos(00:47) – Being busy doesn't mean being productive. The proliferation of tools and notifications can drain focus and create “gray work.”Gray Work and Quiet Cracking(06:00) – “Gray work” is the time lost managing disconnected tools and notes. “Quiet cracking” is when professionals appear composed but are overwhelmed inside. The Infinite Workday(09:00) – Without boundaries, workdays can feel endless, leading to burnout. Protecting personal time is essential for health and productivity. Why Most Productivity Apps Fail(15:00) – Apps like Asana, Trello, and Notion offer features, but without a clear method, they can overwhelm rather than help. The Myth of the To-Do List(22:00) – A to-do list is only useful if it's complete, digital, and actionable. Paper lists and scattered notes don't cut it.The Fast Action Formula & Atomic Tasks(28:00) – Break projects into the smallest possible action steps, each with a clear what, how, why, and when. This makes progress achievable and reduces stress.Time Defense vs. Time Management(35:00) – Protecting time (a “time shield”) is more effective than trying to manage every minute. Block focused time and let others schedule around it.Tweetable Quotes“Gray work is what happens when you're chasing after tasks and notes, but nothing feels like it's getting done.”“Technology alone won't save you. You need a method to cut through the noise.”“Don't outsource thinking, decision-making, and execution—those are your superpowers as a leader.”“Atomic tasks are the smallest, most actionable steps. That's where real progress happens.”“Protect your time like it's your most valuable asset—because it is.”SaaS Leadership LessonsCentralize Your Work – Avoid scattered notes and tools; create a single digital hub for all tasks and information.Break Down Projects – Turn big projects into atomic tasks with clear action steps.Prioritize Ruthlessly – Focus on the few actions that truly move the needle, not just what's urgent.Protect Your Time – Use a “time shield” to block focused work periods and defend against interruptions.Embrace Flexibility – Plans will change; adapt quickly without losing sight of your priorities.Don't Rely on Tools Alone – Methods and systems matter more than the latest app or hack.Guest...
Megan chats with Chanda Coston about building real success without burnout and why hustle culture is not worth the price. Chanda Coston is a U.S. Navy Veteran, Business Strategist, and Founder of Chanda Co., where she helps entrepreneurs build profitable, purpose-driven businesses without sacrificing peace or passion. With over 20 years of leadership experience and a background in project management, she teaches systems, mindset, and strategy that enable creative professionals, like food bloggers, to grow sustainably, delegate effectively, and avoid burnout. Her coaching blends structure and soul, because clarity and calm are the ultimate success tools. Burnout is not a badge of honor. In this episode, Chanda breaks down what sustainable success actually looks like and why systems, boundaries, and self trust matter more than working harder. This conversation is a reset for anyone who feels overwhelmed, reactive, or constantly behind. Key Topics Discussed: Burnout is a warning, not a requirement: If your business only works when you are exhausted, something is broken and it is not you. Mindset comes before strategy: No system will stick if you believe rest equals failure or productivity defines your worth. Self awareness changes everything: Learning your personal burnout cues helps you intervene before things spiral. CEO themed days create clarity: Structuring your week around focus areas removes daily decision fatigue. Boundaries protect your energy: Time blocks only work when you are willing to turn things off and say no. Delegation is not optional for growth: If you are the single point of failure, your business cannot scale. Guilt is not a good decision maker: Especially for moms, choosing yourself now creates a better future for everyone. Asking for Good: Fundraisers help you launch your Nonprofit Career
Dacia Moore, LPC, NBCC dives right into one of the biggest and all too common drawbacks of the nonprofit sector: BURNOUT. She draws from her training as a Licensed Professional Counselor, nonprofit executive search partner and personal experience with burnout to teach us how to manage our own emotional regulation and find long-term success in the nonprofit sector. Nurture a Championship Mindset. This isn't about winning a sports trophy. This is about resilience, optimism, and a burning desire to work with excellence. It sounds like, “I'm in this for the long haul, we're doing a good job and getting better everyday.” Acknowledge what needs to be improved and give the most energy to what works well. Avoid perfectionism, it will kill you. Sweeping your own doorstep, an idea she learned from Mother Theresa. Do what you can and what's in front of you. In a nonprofit leadership context this means not doing other people's job instead delegate and trust your staff. Then support the staff. Nonprofit leaders need to provide direction and vision and then move over to let staff execute.Remember that your piece, whatever it is matters. You matter and we can think about a tiny bolt to illustrate this. There was a bolt that got loose and an airplane door flew off midflight. Leaders need to focus on their part. Be the bolt, don't try to be the bolt, the plane, the FAA…And as you are working, remember that we all play to mixed reviews. In any group, you will have 40% with you, 40% not with you and 20% on the fence. Recognize the negativity bias, spend the bulk of your energy on those who are on the fence and those who are with you. As a job seeker, try to determine if the organization has healthy boundaries. Ask about the last person who was in this role, how long did they stay? What are the key traits of the next person who fills this role? How does the person that is interviewing you maintain healthy boundaries? Consider the interview process, was it designed to allow conversation or were you as a candidate just grilled by staff? Dacia leaves us with two big ideas: If Oprah and Michelle Obama can do it, so can you. Think of those who you admire. They're all human. If they can figure out how to achieve excellence and have balance, then you can too. Protect your mental and physical health; they are too important not to take care of them. The nonprofit sector needs leaders who can sustain their energy and keep coming back to do this challenging work.Resources: DaciaMoore.com From Stuck to Unstoppable: 5 Strategies for Getting Your Second WindABOUT THE GUEST:For eight years, Dacia L. Moore served as the Executive Director of a non-profit organization, driving its significant growth and success as a vibrant community resource. Her extensive background in fundraising, philanthropy, behavioral health, and non-profit management helped diversify the participants served and staff employed.Throughout her career, she has established a strong track record of enhancing organizational processes, motivating teams, and exceeding established targets. She now shares this expertise through workshops, keynotes, professional coaching, and counseling. She also contributes as a Senior Recruiter with Moran & Company, assisting non-profits in finding their next great leaders. Research has found that a staggering 88 percent of the UK workforce has experienced a degree of burnout since 2020. Burnout is a type of chronic, unmanaged stress that has significant consequences for our physical and mental health. It's characterised by feeling exhausted all the time, with no energy for everyday tasks, and little enjoyment in everyday activities. Feel Better Live More Bitesize is my weekly podcast for your mind, body, and heart. Each week I'll be featuring inspirational stories and practical tips from some of my former guests. Today's clip is from episode 329 of the podcast, which was a solo episode I recorded all about the rising issue of burnout. In that episode, I outlined the 7 signs that may indicate you are on the road to burnout and shared 10 practical tools to help. In this clip, I walk you through 5 of those simple habits you can think about introducing into your life that can quickly start to help. I truly hope you find this episode helpful and, of course, if you know someone in your life who could benefit from listening, please do share this episode with them. PLEASE NOTE: the signs I mention in this episode are very common and are not exclusive to burnout. If you have the odd sign and it is short lived – please do not worry – we all will experience some of these signs from time to time. Just be mindful if these signs are becoming longstanding. Also, please note that some of these signs can also be found in a variety of other conditions, for example, depression. With host retail coach Wendy Batten https://wendybatten.com/podcast-intro/ In This Episode: Are you feeling burnout creep in? Are you just plain tired of making all of the decisions? You're not alone. In this episode, I'm getting honest about burnout, decision fatigue, and what really causes that drained, frazzled feeling. (Hint: it's not just working too much!) Through my own recent experience, I'm sharing how leaning into trusted mentors and peers can reignite clarity, confidence, and momentum. I know you'll walk away inspired to simplify, close open loops, and stop overcomplicating your next steps. What You'll Learn About Burnout and Overwhelm in Retail: Why burnout often stems from indecision, not just overwork The power of leaning into the support of others instead of trying to "figure it out" alone How to fast-track decision-making by trusting mentors and peers The importance of investing in both mindset and skill-building at every stage Your Next Steps: What "open loops" from your to-do/results list can you close this week? Make a short list and carve out a small amount of time everyday to get them closed. Remember: You don't have to do it alone! You can do, delegate, delete, or defer. OK, if you're honest with me, I'll be honest with you: How many podcasts, emails, newsletters, trainings, etc.etc.etc. are on your “to listen/watch/read” list? Last I checked, I had 103 podcast episodes downloaded. Kate told me her Goodreads “want to read” list currently sits at 398 books. Will I listen to some of those podcasts? Absolutely. Will Kate read many of those books? 100%. But there's always going to be more. Don't get me wrong, consuming information is necessary! But at a certain point all that consumption can start to feel like just another task you can check off your list. It feels productive. And sometimes it is. And sometimes you space out after listening to the same 30 seconds of the podcast 3x over and realize you “listened” to it … but you didn't do anything with it. Heck, sometimes I don't even remember what I just heard. So, Kate and I decided to share our best tips for unplugging on this week's episode of the Build Your Copywriting Business podcast. Why? Well, sometimes the best thing you can do for your business isn't reading another marketing or copywriting tip. It's not downloading another guide. It's not listening to podcasts (I know, shooting ourselves in the foot a little there …) Sometimes the best thing is turning it all off for a bit and letting your brain breathe. Now excuse me while I go stare out a window for 10 minutes.
Let's talk about burnout. It's something that most virtual assistants eventually face - are you there right now? You know that feeling when you've been pushing hard for too long, saying yes to too many things, juggling client work, admin, marketing, maybe even your family or another job … And suddenly everything just feels… heavy? You're exhausted, unmotivated, maybe even resentful of the work you used to love. That's burnout. And it's something confident, successful VAs work hard to prevent, not recover from. Burnout isn't a badge of honour. It's a sign that something deeper in your mindset, boundaries, or systems is out of alignment. So today we're going to talk about: The real reason burnout happens (it's not just because you're busy or tired). How to identify the specific things that drain your energy (and what to do about them). And the daily mindset habits that help you stay calm, clear, and in control (even when your business is growing fast). If you're ready to grow your VA business in a way that feels sustainable, without losing your spark, your sanity, or your patience, I'm here for you today! When you build systems, say no with confidence, and create daily habits that support your energy, your business becomes lighter, smoother, and more fulfilling. And if you're ready to go deeper into building that kind of business, one where you grow confidently without burnout, I'd love to help. Reach out to me at YourVAMentor.com/links to chat. It's the only reason I'm here at all, to help you become a ridiculously good virtual assistant. Protecting your energy isn't selfish. It's smart business. Your clients do it. Their clients do it. And you need to do it too. When your energy is strong, everything else flows better - your work, your results, your confidencez and then of course your income. So unplug when you need to, protect your peace, and keep building your business with that calm, clear confidence that you know is in there. You have to shine a light on it every day to see it! Protecting your energy as a VA isn't about doing less, it's about giving yourself permission to pause, reset, and create systems and boundaries that keep you from burning out. When you step back to recharge, you come back more focused, more confident, and far more effective. That's what sustainable success really looks like. Thanks for tuning in to this episode of The Ridiculously Good VA Show. That's all I've got for you this week. I'll see you next time!
Do you feel like the closer you get to the holidays, the more your peace disappears? Between family birthdays, travel plans, homeschooling, and endless to-do lists, it's easy to slip into overwhelm and exhaustion. In this episode of the Thriving Together Podcast, Clarissa and the team share practical ways to simplify your schedule, set healthy boundaries, and say “no” to what drains you—so you can say “yes” to what truly matters. Together, we'll talk about how spiritual discipline and intentional planning go hand-in-hand, and how learning to rest in God's wisdom brings lasting peace in every season.Whether you're a mama juggling a full calendar or simply longing for breathing room, this conversation will encourage you to slow down, realign your priorities with God's heart, and find joy again in the life He's called you to live.
You think you're too busy to work on your business. But what if I told you you're spending 15+ hours a week on tasks that will never move your business forward? In this episode, I'm walking you through the Opportunity Cost Audit - a framework for figuring out where your time is actually going, what it's costing you, and what to protect instead. We'll cover: Why busy work feels safer than important work (and how to stop hiding) The real cost of spending 10 hours a week on content that doesn't convert A case study from a Recovery Call with a founder who was spending her entire 12-hour work week on low-value tasks The 4-step framework to audit your time and make strategic decisions about where it goes Four reflection questions to help you see what you've been avoiding This isn't about hustling harder or optimising every minute. It's about seeing where your time is ACTUALLY going versus where you THINK it's going, and then making conscious choices about what deserves that time. Because every hour you spend on something that doesn't serve you is an hour you can't spend on something that does. That's the trade. And you don't get both. If you're tired of being busy without making progress, this episode is for you. What's the real cost of juggling too many priorities, and how do you recognize when you—and your team—are reaching a breaking point before it's too late? Agility requires more than speed—it demands clarity in prioritization and the ability to say “no” to distractions that derail long-term growth. Today's executive leaders are under increasing pressure to grow revenues while simultaneously reducing costs, a balancing act that often leads to burnout and misalignment. Ever felt like you're hustling so hard that you're slowly burning out—but you keep pushing because that's what entrepreneurs are “supposed” to do?In this episode of the Happy Hustle Podcast, I sit down with Jesse's Fireside Chat, and I share my personal story of burnout, reinvention, and building what I now call The Happy Hustle. We dive into the turning point in my life when I walked away from a high-flying tech startup career in New York City, with big VC backing, partnerships with giants like Microsoft and IBM, and a public exit on the horizon because deep down, I was empty. I was “successful” on paper but completely out of alignment: no sleep, no joy, and relationships falling apart. That decision to say “no” and pivot to a life in harmony was the seed that grew into The Happy Hustle, a bestselling book, top 0.5% podcast, and thriving community that now helps purpose-driven entrepreneurs systematically harmonize ambition and well-being.In this conversation, Jesse and I talk about what it really takes to recognize burnout, the lessons I learned rebuilding my life in Bangkok, and the tools I now share with others through masterminds, events, and the S.O.U.L.M.A.P.P.I.N' system. It's real, raw, and hopefully relatable for anyone who's grinding without fulfillment. Here are a few of the big takeaways you'll hear in this episode:Burnout is a signal, not a badge of honor. Recognizing the stress, anxiety, and overwhelm for what it is can be the first step toward change.Commit to the process, not the stats. I promised myself 200 podcast episodes, no matter who listened and that discipline became the foundation of the show's success.Balance requires intention. The S.O.U.L.M.A.P.P.I.N' framework is my personal operating system for staying aligned.Community is the cure for isolation. Masterminds and retreats aren't just events—they're powerful spaces to be vulnerable, connect, and grow with like-minded entrepreneurs.Good and done beats perfect and never finished. Whether it's publishing a book, launching a business, or making a big pivot, action trumps perfection every time.If you've ever wondered how to build a business without sacrificing your health, relationships, or joy, this episode will hit home. Alan welcomes back Dr. Dawn Grimes to talk about burnout. Lately it seems like social media can't stop talking about it and they both have some things to say about it! They define burnout as emotional, physical, and mental exhaustion from prolonged stress, arguing it's not unique to dentistry. Dawn asserts that a poor relationship with stress, a lack of resilience, and unrealistic expectations—often fueled by social media—are the real causes. They suggest that instead of quitting or hiring a coach, dentists should reframe their perspective, manage expectations, and take practical steps to improve their lives both in and out of the office. Key Takeaways Burnout is real, but it's not unique to dentistry. It's the result of prolonged, unmanaged stress from any demanding part of life or work. Social media can worsen burnout. The algorithm feeds you more of what you look at, so lingering on videos about burnout can make you feel worse. The constant comparison to a curated, glamorous online presence creates unrealistic expectations for your own life and career. A "coach" may not be the answer. The hosts question the credibility of coaches who no longer practice clinical dentistry, suggesting that their advice may be disconnected from the day-to-day realities of the job. The only thing you can change is yourself. Rather than trying to change your job or circumstances, you should focus on changing your reactions to problems. This is a core part of developing resilience, which allows you to let go of negative experiences and start over. Rumination makes things worse. Dwelling on past mistakes or bad days (internal rumination) or consuming content about burnout (external rumination) reinforces negativity and prevents you from moving forward Meditation is a powerful tool. It helps you train your brain to let go of unhelpful thoughts and focus on the present moment, which is the key to building resilience and managing stress. Maintain perspective. Remember that dentistry is a well-paying profession and many other jobs are physically and emotionally harder. Accepting that life and work are often challenging is the first step toward finding peace. You have control. You can manage your social media algorithm by engaging with positive content like dog videos, mountain bike content or clips of cooking very tiny food! Like and highlight the things that are joyful and light on social media and the algorithm will do the rest. When you're in the midst of burnout, it can be difficult to recognize the signs and take action. Things may feel the same, but with a depleted amount of overall energy to take on what you normally would. So how can we learn to recognize the signs of burnout? And how can we build resilience in the process?Joining us today to discuss this complex topic is Dr. Gary Simonds, who, for the past 14 years, has immersed himself in the study of burnout and building resilience. He's the author of three books on the subject, namely, Building Resilience in Neurosurgical Residents, The Thriving Physician, and Thriving in Healthcare.Having spent the bulk of his career as a neurosurgeon, Dr. Simonds is no stranger to the toll that this type of work can take on healthcare workers. Tuning in you'll hear him expand on the nature of burnout, why it can be so difficult to recognize, and what we can do to build resilience. To hear his insights on this complicated subject, and his advice on how to address it, be sure to tune in today! What you'll learn about in this episode:Why Dr. Simonds chose neurosurgery after an unexpected "epiphany" in his final month of medical schoolHow burnout manifests in high-pressure environments and why it often goes unrecognizedThe spectrum nature of burnout and how professionals cycle in and out of its worst componentsPractical strategies for building resilience, including the powerful "harvesting uplifts" techniqueHow COVID and cultural shifts have impacted healthcare professional wellbeingThe importance of finding meaning in difficult circumstances as an antidote to burnoutWhy role-playing and communication training are essential for healthcare providersHow patients and families can better navigate healthcare interactionsThe courage and grace Dr. Simonds witnessed in patients and families facing life's most difficult momentsHow creative expression, including storytelling, plays a vital role in personal renewalTranscript: HereAdditional Resources:Website: https://garyrsimonds.com/LinkedIn: https://www.linkedin.com/in/gary-simonds-5b0225a/Instagram: https://www.instagram.com/garyrsimonds/X: https://twitter.com/garyrsimondsFacebook: https://www.facebook.com/garyrsimondsLinks Mentioned:Building Resilience in Neurosurgical Residents: A PrimerThe Thriving Physician: How to Avoid Burnout by Choosing Resilience Throughout YourMedical Career

Frugality Tip Join the LFTN Stocking Exchange — because life is about more than just saving money. Operation Independence Reached alignment with Tactical on building a double-purpose shed. Sold the old roofing from Basecamp (still have ridge caps available for sale). Main Topic: Avoiding Burnout and Hard Work If you came to hear how to NOT work hard on your homestead and still be successful you have come to the wrong place. We've been talking lately about the need for rest and recovering from burnout --- and then I realized on a walk that hard work is part of homesteading - so burnout is one thing, but hard work another = so where is the line between these two? Many people hesitant to get out and about lately. Stories of burnout are common → led to conversations about resets, weekend retreats, and monthly calls for homesteaders. Giving talks on Build Abundance Not Burnout (like at SRF in October). Realization: some come to hear “how to make it easy,” but building the life you choose is not easy. Burnout comes from: Overcommitting and saying yes to everything. Lack of rest or intentional reset. Poor design → every task feels uphill. No tracking or systems → constant re-doing and searching. Trying to do it all alone without community. Expecting it to be easy and feeling defeated when it isn't. Design makes things flow, but doesn't remove the work. Design for future you (20–40 years older). Example: rabbit hutch above garden bed → nutrients flow without transport. Design with profit in mind. Tracking matters (avoids wasted effort). Systems = less friction, but animals still need care, water lines must be buried, harvests preserved, fencing run. Homestead Revenue Stack (Holler Homestead Example) Core Product – Sheep Service Layer – Airbnb experiences, tours, classes Scalable – LFTN Podcast, HomesteadSkills.academy, cookbook Community – Meetups, connecting people Add-ons – Holler Roast Coffee (became its own core product), laminated cheat sheets, small guides, dried herbs Game changer: Add-ons bolt onto existing work. Sometimes the add-on is another person → ties into Holler Hub model (spokes). Each layer still involves hard work. Smart design + add-ons keep that work from tipping into burnout. Honest contrast: the grind is real, but structure turns it into momentum. Hard work is baked into homesteading — there's no escaping it. Burnout comes when that work isn't designed well or isn't supported. The Homestead Revenue Stack shows how to make your effort count: core products require grind, but when you design smart and bolt on add-ons (whether that's coffee, guides, or community), the same work builds abundance instead of exhaustion. “...hustle and hard work might get you past a certain project or deadline, but then habits will help you last over the long haul, right? So build a business that doesn't ultimately break you over time.”What does it take to build a speaking business and a life that lasts? In this week's episode of The Speaker Lab, host Grant Baldwin sits down with his longtime friend Chris Ducker, who just released his new book, The Long-Haul Leader. Together, they dig into the real strategies behind sustainable success, steering clear of the non-stop hustle that risks burnout.Chris shares candid insights from his entrepreneurial journey and research, emphasizing that while hustle is required in the early days, you can't stay in high gear forever. Instead, he champions the power of habits, boundaries, and honest self-care, arguing that protecting your energy is more important than squeezing every last minute from your calendar. The episode is packed with valuable advice: how to recognize burnout before it hits, why recovery is a competitive edge, and how to make sure your business supports your life, not the other way around. If you've ever wondered how to chase big goals without losing yourself along the way, don't miss this conversation, and check out Chris's new book for even more practical wisdom on becoming a true long-haul leader! You'll learn:Building lasting habits over perpetual hustleRedefining success to include health, relationships, and joyNavigating the nature of starting a businessAligning business priorities to support personal well-beingBig-picture thinking without neglecting current obligationsAbout Chris' new book The Long-Haul LeaderReframing self-care as strategic, not selfishDistinguishing between busy seasons and burnoutThe importance of adaptabilityAnd much, much more!“What you have to understand is that success, even initially, should not cost you your health, it shouldn't cost you your family, it shouldn't cost you your relationships or your joy of the work that you're doing.”Episode ResourcesChris' WebsiteThe Long-Haul Leader Book2 Day Booked and Paid BootcampGet Free Speaker ResourcesBook a Call with The Speaker LabCalculate Your Speaking FeeJoin The Speaker Lab Community on FacebookSubscribe on Apple PodcastsSubscribe on SpotifySee Privacy Policy at https://art19.com/privacy and California Privacy Notice at https://art19.com/privacy#do-not-sell-my-info.
