This episode is sponsored by Mekorma. ERP implementations and AP automation initiatives are well-known for introducing meaningful change into organizations. Veterans of ERP consulting learn quickly that change management is easy fto minimize during project planning but hard to ignore when deployments run into go-live challenges. Our guests on this episode are Don Anderson, a senior lecturer at the University of Georgia's Terry College of Business and co-founder of SC&E Partners, and Brendan Coffey, director of revenue at Mekorma. Both Don and Brendan are students of organizational management and we begin the discussion by examining some of Don's research that relates specifically to modernizing technology on finance teams. Don shares some of the surprising findings of his own research in this field, including the balance that leaders must find when working to improve processes while keeping staff engaged. And we discuss how AP teams adapt to the introduction of modern AP automation capabilities. The reaction can vary widely depending on the legacy approach and factors like team size, industry, geography, and more. We also explore the concept of openness to change, what the research tells us about team success, and the advice that Don and Brendan would give to a team embarking on a new AP technology project today. More from Mekorma: Why does change feel different in Accounts Payable? The conversation doesn't end here. In our whitepaper, AP Resistance Isn't Pushback. It's Pattern Recognition, we take a closer look at why AP teams may approach system changes with caution, and what their questions can reveal about risk, control, and readiness. Read the whitepaper.

Money in your business bank account is not always money that is available to spend. Some of it may already be committed to vendors, subscriptions, credit-card payments, taxes, and other upcoming obligations. Without a clear system for tracking those expenses, even a profitable business can find itself struggling to pay bills on time.In this episode of It's the Bottom Line That Matters, Jennifer R. Glass and Patricia Reszetylo discuss practical ways small-business owners can organize their accounts payable, protect money designated for expenses, and avoid being surprised by recurring bills and annual renewals.Jennifer and Patricia discuss:The difference between accounts payable and accounts receivableGrouping and scheduling recurring business expensesKeeping money for upcoming bills separate from general operating fundsTracking annual subscriptions before they automatically renewReviewing when credit-card statements close and payments become dueUsing vendor payment terms without paying bills lateWhy cash visible in an account may already be committedHow separate bank accounts can make financial obligations easier to manageThe conversation also touches on concepts associated with Mike Michalowicz's Profit First, particularly assigning money to specific purposes and using separate accounts to reduce the temptation to spend funds that are already committed.Jennifer also explains how the timing of a credit-card billing cycle may provide additional time before cash leaves the business. This approach should only be used when the money needed to pay the charge has already been reserved and the credit-card statement will be paid in full. Payment timing should not be used to conceal a cash shortfall, carry unaffordable debt, or spend money that will be needed when the bill becomes due.The goal is not simply to delay expenses. It is to understand what the business owes, when each obligation is due, and whether the cash will be available when payment is required.Good accounts-payable management helps a business protect its cash flow, avoid unnecessary fees and interruptions, and make more deliberate financial decisions. This episode provides general business information and is not individualized accounting, tax, legal, or financial advice. Consult an appropriate professional regarding the needs of your business.

Everyone thinks AP is just “paying bills” — until they have to manage it. Then they discover how complicated and far reaching the function really is. Let's take a quick look at the seven core components that make AP management far more challenging than it first appears. How important is it that you get what I'm about to discuss right? I know of several organizations that had their AP function so messed up, the auditors threatened not to sign off on their financial statements. In two of those cases I was brought in to help reorganize the function, install proper controls and best practices etc. so the organizations were able to get the much-needed sign off. They were not pretty situations – but if I'm being totally honest, a lot of fun … for me … not for the companies involved! Many professionals view accounts payable management as a simple task of paying bills, but this function carries significant weight within an organization. Poor oversight in your accounts payable process can lead to severe consequences, ranging from operational inefficiencies to auditors threatening to withhold critical sign-offs. This video breaks down the complexities often ignored in daily operations. Mary S. Schaeffer discusses the realities of maintaining a compliant AP department and explains how to avoid the ugly outcomes that stem from neglect. By implementing standard ap best practices, you can stabilize your workflow and mitigate risk effectively. Understanding the far-reaching impact of these functions is essential for anyone responsible for corporate financial accuracy. you work in, manage or have responsibility for accounts payable in the US or for a US organization, you need to understand a handful of IRS tax forms. You don't have to be experts – unless of course, they are your primary responsibility – but you do have to know what they are and when each should be used. And, I'm here to not only share that information with you but to tell you, it's not that difficult. The whole purpose of these forms is to ensure the US government has the information it needs to collect all the taxes it is owed. Your job is to supply the information, the correct information. In this AI Agent & Copilot Minute, Mason Siefert explores how Dynamics 365 is evolving into the agentic era — transforming financial reconciliation and accounts payable into continuous, intelligent processes, and previews what's ahead at Summit North America 2026. Key Takeaways Agent Evolution: The journey from manual processes to copilots and now fully autonomous agents marks a fundamental shift in enterprise finance. While early tools accelerated workflows, today's agents proactively execute tasks end-to-end, reducing human intervention and enabling finance professionals to focus on higher-value strategic work rather than repetitive operations. Continuous Finance: Financial reconciliation has transformed from a stressful, multi-day effort into an always-on background process. Autonomous agents continuously match and verify records across systems, eliminating bottlenecks and dramatically improving efficiency, accuracy, and consistency across financial operations without requiring manual initiation. Fraud Reduction: Accounts payable agents not only automate invoice matching but actively reduce fraud risk by cross-referencing invoices against purchase orders and learning from human corrections. With organizations facing high rates of fraud attempts, these adaptive systems provide a critical layer of intelligence and protection while minimizing costly manual errors. Is your debt a strategic tool or a heavy burden? In this episode, I'm pulling back the curtain on a topic many entrepreneurs avoid: Debt Management. Debt isn't inherently "bad," but for inventory-based businesses, the wrong type of debt can quietly choke your cash flow and restrict your freedom. Let's break down the six common types of business debt—from traditional SBA loans to the predatory nature of Merchant Cash Advances—and learn how each impacts your balance sheet. Whether you are navigating high-interest credit cards or utilizing vendor terms (Accounts Payable), this episode provides the roadmap you need to move from "servant to the lender" to a confident, profit-focused CEO. Key Takeaways: The Debt Spectrum: Why predictable debt (like traditional loans) is power, while unpredictable debt (like capital loans) is a danger to your daily operations. The "Inventory Gap": How to strategically use Lines of Credit to fund long lead times without falling into a debt trap. Family & Personal Loans: Why documentation and amortization schedules are non-negotiable, even when the lender is "Mom and Dad." The Debt Payoff Plan: How to prioritize your repayments to regain control of your cash flow. Actionable Steps You Can Take Now: Audit Your Debt: List every balance, interest rate, and payment term you currently hold. Identify the "Predators": Prioritize paying off Merchant Cash Advances and high-interest credit cards first. Formalize Agreements: Ensure all informal family loans have written terms and a clear payoff schedule. Seek Expertise: If your books are a mess, consider hiring professional services to clean up your records so you can make data-driven decisions.
