Show notes News Item: - On December 28, 2021, Illuminate Education was hacked. The intrusion, which lasted until January 8, 2022, compromised the private data of nearly one million students in New York State (and maybe more) - The breach affected at least 24 school districts and 18 charter schools, along with one Board of Cooperative Educational Services (BOCES) - The company initially described the hack as an “attempted security incident” but then shut down both Skedula and PupilPath for more than a week to address the issue - Possibly the largest school data breach in U.S. history - What Is Illuminate Education? - A California-based edtech company (founded in 2009) that runs a variety of school information platforms, including Skedula (aka IO Classroom), PupilPath, and eduCLIMBER - From its website: - Our solution brings together holistic data and collaborative instructional tools, and puts them in the hands of educators. - As a result, they can visualize each student's progress, determine the right instructional or intervention strategy, and take the best next action, moment-by-moment. - More than 17 million students and 5,200 districts and schools across all 50 states rely on Illuminate every day to move the student performance needle. - It does not have a NY state- or city-wide contract but it is an approved vendor, which means that it was “rigorously reviewed” by the IT Department for the state Department of Education - Schools use the platforms for a variety of purposes: - tracking grades and attendance - communicating with parents - contact tracing for COVID–19 - The company has earned about $5 million per year from NY schools - What Data Was Compromised? - A database containing a variety of personally identifying information, including: - names - birthdays - ethnicities - home languages - student ID numbers of current and former public school students going back to the 2016–17 school year - identities of special ed students - class and teacher schedules - identities of those receiving free lunch - Post-Incident Responses - Illuminate waited two months to formally notify the city - Avoid bad publicity and/or litigation - Negotiating with hackers - Avoid compromising investigation - Illuminate claimed that all student data is encrypted but the breach revealed that was not true - New York state law requires that student information be encrypted both “at rest or in motion” - The hack is still being investigated by the Dept. of Education, the New York Police Department, the FBI, and NYS Attorney General Leticia James - A school district in Connecticut also reported a breach, as did at least two in Colorado - New York State Education Department drafted a template for a letter/web page for parents - Notification of “unauthorized release of such data” - Notification of number of years of data affected (blank in template) - A promise that more information will be provided - What Are the Risks? - Profound impact on the ability of schools to function - Identity Theft using dark web tools and resources - Credit damage to minors, who typically don't monitor their credit - What Can Schools Do? - Make sure that their own house is in order - Updated security patches - Collaboration with other schools/districts - Ongoing review and utilization of state and federal resources - Consider bringing in outside security consultants - Review what student data is collected and whether doing so is mission-critical - Don't just collect data because it is possible to do so - Make local backups of any data that is being transmitted to third-party vendors - Thoroughly vet third-party vendors who collect and store student data - Have they had security or data breach issues in the past? Bryan MacDonald, CEO of SchoolMint, joins Discover Lafayette to share the story of how his company chose Lafayette LA as its new headquarters. A technology industry leader in choice, enrollment, registration, and behavior for K through 12 schools, SchoolMint serves more than 12 million students in 18,000 schools nationwide. With over 25 years of education software industry experience, Bryan has been at the forefront in designing technological advancements that dramatically affect all aspects of the educational experience for students, parents, and schools. Bryan got his start as a middle school math and science teacher at the University of Wyoming Laboratory School while also working as a Technology Specialist. He loved it, got immersed in statewide committees in Wyoming that were working to improve school data collection, and ended up being hired by the local school district as its technology leader. It was there that he discovered the antiquated ways the school system collected grades, student attendance, report cards, and transcripts and thought, "There must be a better way." He looked around for tech help and discovered PowerSchool, a start-up company that was the first web-based system delivering cutting-edge services to schools and families who needed ready access to student information. "For the first time ever, teachers were using the same system as the front office and parents were using. Moms could drop off their kids, go home, get online and see if their kid made it to class." This was heady stuff for the 1990s tech world. Bryan was enamored with the work of PowerSchool and moved to join the company which was based in Northern California. Through that role, he had the opportunity to travel to Cupertino, CA to meet with Steve Jobs to pitch PowerSchool's software. Apple bought the software and the company! Besides Apple, Bryan's career has also led him to work with national companies such as Safari Books Online, Maximus Education Systems, and most recently Illuminate Education. He joined SchoolMint three years ago. SchoolMint's customer base keeps growing as its services continue to evolve to meet the demands of today's schools. They offer strategic enrollment management and marketing strategies, and also offer data management and coaching to assist schools with behavior management and support. Originally based in San Francisco, CA with employees also working in San Jose, Costa Rica, the company made the decision to move its headquarters to Lafayette in 2020 after purchasing Smart Choice Technologies in 2019, which had been founded by Casey Bienvenu when he was a student at the Carencro High Academy of Information Technology. Smart Choice Technologies' focus was on the development of student registration and lottery system software similar to that of SchoolMint. Bryan said, "They were basically doing the same things SchoolMint was doing. What if we teamed up? Why build the same things twice when we could build it together right and make it amazing?" "SchoolMint can be summed up in three words: Attract, Enroll, and Retain. We're all about strategic enrollment management. It's a new thing for K - 12 schools, but not for higher education. We help schools make themselves known to parents and help the parents find the right school. It's a bit of matchmaking. Illuminate offers several products for teachers, administrators, school districts and for parents Primary folks calling in are administrators Illuminate recently had a 5-way merger and had to integrate several ticketing systems — shared inbox, multiple Zendesk instances, Freshworks, Servicecloud. Done by a 3rd party — Import2.com Incoming tickets — several thousand a month. Volume is double during back to schools months (Aug/Sep/Oct) Matt leads the Support Team which is part of overall Services Team (Support, Success, Implementation, Migrations, Data Team, L&D) Support Team has 3 directors (focused on different products) Incoming ticket split over channels— Phone - 60% , Email/Web - 40% (rolling out chat as 3rd channel). Focus area -- How to reduce volume on phone (its expensive) and move it to chat or do deflection Support Tech — Centered around Zendesk (ticketing, chat, community ,help), Phone (Talk desk), Maestro QA (evaluate agents work). Big believers in “incremental improvement” Maestro QA — Connects to the ticketing system. Used to grade agents. Manually set certain criteria (people/tickets you want to grade, set certain questions) and then reviewed by human graders Challenge — Running reports across systems like Salesforce, Netsuite, Zendesk, JIRA is a challenge. Existing integrations are basic and don't help “No one wants to call support. How can we provide frictionless environment” Products are very customizable and many questions are unique, specific nuances that are not covered by generic help docs. We need to understand the context of customer and case so that our agents can provide prompt service Knowledge Management — Analyze user queries and understand what help docs are being used the most and use that as baseline for up dating knowledge. Roughly 3000 help docs across all systems Top priorities for 2020 — Want to build a tiered support system, revamping help docs, Live agent chat Learning Management System (LMS) — Both for agents and customers i.e., agent on-boarding (human intensive and not only content from general LMS, but also about Zendesk, support style etc.). Customer training — they had in-person train-the-trainer model earlier but that didn't scale. Focus in shifting to put training in LMS and use that to train the trainer Key Metrics — First reply time & Total resolution time (indicates backlog especially during busy season). Common ones — CSAT etc. Prefer actionable insights e.g., automatic email being sent to agents that gives them actionable data about how they did in a certain period Recommendation of resources in Support — HelpScout Blog (content on Support is really good), Support Driven Community, Radical Candor, The Goal

Adam runs a fantastic company called Illuminate Education.His programs inspire the next generation of entrepreneurs, small business owners and the problem solvers.He is transforming the mindset of an entire generation of kids while they are still in school and in the process giving them the tools that they need to make a real difference in their next venture of either study or work.Adam achieved some great success early on however he took his foot off the gas and in the process realised that he was playing much too small.
