Productivity Tips From Incredibly Busy People

Title: Productivity Tips From Incredibly Busy People   Productivity Tips From Incredibly Busy People 1. Have a single purpose focus. "Pick one thing and do that one thing—and only that one thing—better than anyone else ever could." We can derive a great deal of power from developing a laser focus on our top business priorities. It's one of the attributes that sets apart the average businessperson from the more successful one. 2. Ruthlessly block out distractions. Tennis legend Martina Navratilova says, "I concentrate on concentrating." For those of us who don't have the willpower to be self-accountable, there are several technology solutions for blocking out distractions.  3. Set a strict time limit on meetings.  People generally don't need as much time as they ask for. Meetings are time vampires. Be ruthless in managing this endemic productivity drain so you can focus on high value tasks. 4. Set up productivity rituals. Set up rituals to automate behaviors that will make us more productive, without depleting our energy reservoir. One of them is prioritizing one key task to accomplish per day, and starting your day focused on that task. Look at Seth Godin and Zig Ziggler with Law of 4    "Force yourself to prioritize so that you know that you will finish at least that one critical task during the period of the day when you have the most energy and the fewest distractions.  5. Get up earlier. Use the mantra "mind over mattress" to motivate yourself to get out of bed to pursue your goals.  6. Group your interruptions.  see how you can ask others on your team to group questions, requests and other non-urgent inquiries so you're not distracted by interruptions that don't add value. 7. Outsource personal chores. Highly productive people are selective about how they expend their energy. They don't waste it on tasks that others can do. 8. Set up email rules to maintain sanity.  Analyze your email habits and institute time-saving policies that work for your particular situation. 9. Capture all creative ideas. Most leaders and entrepreneurs are visionaries who generally don't lack good ideas; however, capturing all these ideas is often a challenge for busy people. Evernote is a popular, free program for collecting ideas.  10. Increase your effectiveness through technology. There's a wealth of programs to make a small-business owner more effective in increasing productivity. A few popular tools—some of which are free—include Dropbox to store files online; GoToWebinar or Zoom to host a webinar; Canvas Planner, and Hootsuite or Buffer to schedule your social media postings. BONUS. Learn from others. Subscribe to this show and leave a 5 star rating :-)    2. Be productive / what we learned from some of our best guests.    3.  Leading a Remote Team Successfully   To lead an effective remote team successfully, managers must learn new techniques for communication, task direction and team building that do not require physical proximity.   4. Essential Keys to Leading a Remote Workforce: Leading a team during a crisis is a test in and of itself. When that team is remote, it can be more challenging. Here’s a few suggestions above and beyond what you might already do as a leader under normal circumstances and above and beyond the steps you may be doing in the execution of your business continuity plan. Clear communication is crucial. Leading remote teams is hard enough but during a crisis it can become much more difficult. Clear communication is crucial. And it should use multiple means including phone, video call, email, chat and other methods (e.g. posting to an Intranet, etc). Be crisp, simple and when necessary repeat your communication. Now’s not the time for you, as their leader, to go dark. Be decisive. Employees hate it when leadership waffles or is unable to make decisions. In a crisis try to be decisive to mitigate doubts your staff may have. Make a decision, explain it, and move on. If it was the wrong decision, adjust. Be understanding. Your employees are probably feeling very unsettled. Their spouses may be very nervous. Their budgets may be tighter now. Maybe they were able to get stocked up, maybe they weren’t. Maybe they panicked and overspent and now are going to maybe miss their rent payment. Be understanding if they are a little distracted. It’s about more than mission accomplishment. When speaking with staff resist the urge to limit your conversation to work related topics (e.g. do you have enough to do your job, or how is it going working remote). Sure, asking those work related questions is important, but don’t stop there. These are uncertain times. Ask your staff if they have enough food. If their families are holding up. Have an interest in their total well being – not just their work status. And it should be more than lip-service. Actually care about them and show it (if you don’t, already, you shouldn’t be in charge, btw). For example, instead of asking “Is everything ok at home?” ask “Are you caring for anyone who’s at risk?” “Do you have enough food and supplies?” They may not want to tell you they are more concerned or may be embarrassed. You may have a dedicated office, but your staff may not – be ok with that. I have a lot of young employees who work for me. First job out of college type folks. Many still live with their parents and/or have young families. They live in 2 bedroom apartments. They have a few kids, etc. They may not want to turn their camera on because they are embarrassed by the chaos of their lives. They may have some background noise. Be ok with all of that, as best you can. Consider daily or weekly stand ups to keep folks more connected. This will vary based on your specific business circumstances, but consider holding more frequent meetings with your now-remote team. This will help keep your staff connected and feel less distant. Don’t forget to take care of yourself. Chances are you have a boss too. Don’t be unwilling to voice your concerns to your boss and ask for help if needed. If she/he is a good leader they will be ready and willing to assist. Master Motivation

Play Episode Listen Later Apr 22, 2020 14:12

While there are many things in life that are out of our control, motivation is not one of them. There will always be conditions, people, and situations that can affect your motivation, but staying motivated is within your control, no matter the conditions.   1 What makes you tick?   Everyone will differ slightly in what drives them, and one person’s motivation will not be the same as their teammates’. Start by getting a sense of where your motivation comes from. When are you at your most motivated, and when are you at your least motivated? Where were you and what were you doing in those times? How confident and capable did you feel? What were you thinking about? How well-supported were you? How in control did you feel? What was your attitude like? Answering these questions will give insight as to where your motivation stems from so you know how to find it again.   2. Choose your attitude   Moods can come and go like thoughts and clouds in the sky, but you always have the power to choose your attitude. Research shows successful athletes have an innate sense of positivity and get their motivation from within They find a way to enjoy the process and embrace the challenge whatever it brings.    3. Get out of your mind and into your body   If a particularly arduous training session seems overwhelming, the mind’s motivation centers can falter, causing you to give up before you’ve even started. In times of challenge, our minds love to tell stories on past and future failure, hardship, and struggle. Research has shown that mindfulness can help you to minimize that voice and  detach unhelpful thoughts. By strengthening the connection between your body and mind, you can tune into a more pleasant side of training. And by increasing your awareness of your body and movement, you are also better able to predict how your body will respond to changes in circumstance and how to manage them appropriately.   4. Connect with your values   Passion is a natural fuel for motivation. If your goals aren’t truly connected to your deeper values, or you don’t believe wholeheartedly in your mission, you’ll have to summon a huge effort to motivate yourself through training. We naturally invest more effort and find more enjoyment in activities that are connected to what we value. Make sure your goals are truly aligned to what’s really important to you in life.  5. Know your purpose   Even some of the best athletes in the world don’t enjoy the process. They see it as a worthwhile means to an end to win the next big competition. Some sports require us to be able to execute compulsory skills or perform within the restrictions of rules. This can require hours of unpleasant, repetitive training to try and perfect movements solely to meet external criteria. To be successful is to have a bigger sense of purpose and identity worth training for. 6. Be fully present   Living in our minds and thinking about training can force our attention to unhelpful thoughts of the pain we might experience, the discomfort or challenge that a hard workout brings. Our minds might go into overdrive predicting the most unpleasant experiences that lie ahead should we continue, begging us every step of the way to stop, bargaining and willing us to give up. The result? We are defeated before we’ve even begun. The more present you become, the more likely you are to experience the positive aspects of each movement as it unfolds, moment-by-moment. Tune into all of the sensations available to you. Listen to your body and let your body—not your mind—tell you when to stop.  7. Have a plan   Start off by identifying your end goal that you want to achieve, then write out a plan for how you are going to achieve it. By knowing what affects your levels of motivation, you can make sure your plan meets your needs, energizes you, and keeps you interested.    8. Visualize success   Whether you are going for a run or about to climb a mountain, visualizing yourself enjoying the journey and achieving your goals can increase your motivation for action. Your central nervous system doesn’t recognize the difference between imagination and reality, so seeing yourself succeed triggers the same sensations inside as if you are actually doing it, increasing your confidence in your ability to succeed!   9. Reward yourself   Reward feeds motivation and enjoyment. Recognizing small achievements towards your bigger goal can provide a great source of intrinsic motivation. Meditation will allow you to appreciate each moment, each milestone, each success for what it is. Be kind to yourself in times of challenge and congratulate yourself for small successes. Small steps cover big distances—enjoy the journey.   Subscribe   Apple| Google| Spotify| Stitcher   A Podcast Company - is the leading podcast production company for brands, organizations, institutions, individuals, and entrepreneurs. Take these certain actions in uncertain times   3 Valuable Quotes    1. Eleanor Roosevelt wrote, “You gain strength, courage, and confidence by every experience in which you really stop to look fear in the face … You must do the thing you think you cannot do.”    My body usually protests against that statement, but theoretically I concur with Eleanor. I sincerely believe the good stuff happens when we are afraid. If we go a lifetime without being scared, as Julia Sorel said, it means we aren’t taking enough chances.   2. "I wanted a perfect ending. Now I’ve learned, the hard way, that some poems don’t rhyme, and some stories don’t have a clear beginning, middle, and end. Now lives near Kurfürstendamm in West Berlin with his gorgeous wife and daughter. He has had a varied career path and have mostly been self-employed within the events industry for the last 15 years. I loves dancing (disco) and is always the first one on the dance floor and the last one to leave! He recently started podcasting and has loved the journey in talking to people and finding out more about an industry he has been a titan in.   Interesting fact, Mark is the fastest 1 comma club winner in the world ( meaning he went from 0 to 1000 in just first 2 weeks as a podcaster) as he smashed records for his first time in podcasting after completing the Podcast Made Perfect Course.    Mark is also the founder of events consultancy MCF Consulting. Where he represents a portfolio of companies in the events industry. He manages event locations, destinations, event technology and publications as well as organising events.    What’s your sport of choice? Cycling followed by running and swimming… yes, you gue  When and how did you discover the sport? Back in London in the ’80s I used to commute to work by bike and my competitive instincts got the better of me when other cyclists overtook. So I bought a racing bike and started to train,  then joined a club and started to race properly. And I got into triathlon from there.   What’s the best piece of advice you’ve ever been given? Love: Every day you spend unhappy with someone you don’t love is a day wasted with someone you really love. Business: A ‘no’ is as good as a ‘yes’ as it allows you to move on. She delights, she surprises and she delivers. And did we mention bubbles? Tahira loves them. And chocolate (of course). But most of all Tahira loves her husband, her son and daughter, and their life on Canada’s west coast. Intentional Event Design Our Professional Opportunity Book by Tahira Endean (Author) -- Our role as event professionals is to create experiences steeped in trust, where our audiences feel their participation in our event was the best use of their time and financial investment and our stakeholders see the value from investing in worthwhile events. This requires our event designs to bring out the best in human nature by making intentional decisions based on the knowledge available about our participants and their needs. Deeply understanding how human beings respond in live event environments is our new currency. The seven intentions include developing stronger event processes, understanding how to make the most of the available technology and data including digital marketing, designing to optimize the experience through immersive, brain-friendly design, and creating sustainable, wellness-driven events.

I don’t know how they do it. 15th Degree’s sole purpose is to support them and their wellness. As the founder, I care deeply about helping everyone travel the world without fatigue. Managing your health whilst traveling is no different to managing it at home, providing you take control of it. The subject of wellness whilst traveling is relatively new, so it’s hard to find the science around the areas we’re analysing because clinical trials don’t exist. Qantas have just undertaken a trial with the University of Sydney and I can't wait to read the outcome. My role is to develop new innovation to help the traveler stay healthy on the road, ranging from technology solutions to consumable goods. Idea generation is never an issue. I’m also responsible for sales and marketing and ensuring the team share and execute the company’s long-term vision. I’m in my element when I’m being creative, building new relationships and helping to solve someone’s problems. What skill do you think has been most critical for your success? Resilience, grit, determination and a positive mindset. The only way to develop them is through failure and adversity, it’s irrelevant what school you went to, what your degree was or your family wealth. The real-life skills can only be taught through personal experiences, both good and bad. There are lessons to be found in every experience. Once you realize you are where you are because of every single decision you have ever made, you can begin to create what success means to you. What’s changing in the wellness industry that excites you the most? I’m still astonished at the rapid explosion in London’s wellness scene. I was personal training, teaching boxing in nightclubs and parks and trying to motivate people to live healthily in 2011. It was hard work as people really weren’t motivated, it wasn’t trendy or cool and Instagram wasn’t on the scene. I always wanted the healthy Australian lifestyle to hit London, I may have been 7 years ahead of the trend, but wellness now just feels the norm. Strip the ‘fads’ and 'trends' aside and what excites me the most is that people genuinely care enough about valuing their health now to want to look after themselves. I remember pitching my bootcamps to corporates who couldn’t understand the value in healthy, fit employees. They couldn’t see the impact this could have on their business. It’s all evolved so quickly. Whilst it feels saturated in parts, there’s still massive innovation waiting to explode. What would you like someone to invent to make your life easier? I wish Elon would speed up the direct London to Sydney 1 hour flight as I could live in my dream location, Bondi and still be back in Suffolk for a family Sunday roast lunch. If you could spend your time doing anything you wanted, what would you do? I feel very lucky in that I am spending all my time doing what I want to do, if I didn’t feel that way, I wouldn’t be doing it. I’ve mentally challenged myself with my current business goal to not need to accept any more physical challenges whether that’s marathons or races. I’m pretty all or nothing and I can only focus on one big goal at once. Right now, I’m really happy enjoying the journey, becoming the person I need to become to achieve my business and personal goals. There’s nothing else I need or want to be doing right now and that’s a pretty special feeling. In business who do you find most inspirational? Obviously, game changing visionaries like Elon Musk and Steve Jobs who changed the world with their innovations, are always an entrepreneur’s inspiration, but deep down mine will always be my entrepreneurial parents. They taught me from a very early age that I could achieve whatever I set my mind to (however out-there it was) and they instilled in me the relentless ‘Luck work ethic’. It’s pretty brutal and very stoic in its philosophy, basically it teaches you resilience, so giving up is not even an option. Whilst being a Luck is sometimes exhausting, my parents are the reason I do everything. If you could choose anyone, who would your ideal 5 dinner party guests be? Could I have 6? Dinner conversation would be an epic conversation of the subjects I'm fascinated by most; discussions with Elon Musk about inhabiting Mars, both Professor Hawking and Brian Cox could discuss their theories of cosmology and quantum physics (which blow my mind and reminds me I’m a tiny speck in a far bigger universe which is both exhilarating and petrifying in equal measures). Putting it more into context of our current planet earth, David Attenborough could delight us with endless conservation stories. Chrissie Rucker could tell us how she launched, grew and scaled such a simple but exquisite White Company brand that changed our interiors for good. Lastly, James Norton because he’s dreamy (especially playing a vicar with a black Labrador in Grantchester). Favourite way to wind down? Always yoga, any flow practice for idea generation (which I do every morning). On stressful days, I’ll practice twice daily - a yin class enables me to put the day (& my brain) to bed. When I face a problem, I go straight to my mat. I’ve yet to find a problem I can’t solve after 60 minutes of practice. Logistically it helps having The Third Space literally beneath our offices. Their yoga studio is my immediate problem solver. How do you like to dress for work and what can’t you not take with you to meetings? I always carry my Aspinal leather folder and a fountain pen to take notes in meetings, it genuinely makes the other guest feel I’m valuing their time and input. Someone once said not to waste my special paper on a conversation with them. Surely all conversations are special otherwise why have them? Nothing looks ruder than tapping away on tech in a meeting. Following a meeting with either a new acquaintance or someone who has gone out of their way to support or help me, I always send a handwritten thank you note on Smythson paper, a kind touch I learnt from a colleague I once worked with. No one expects it and they are normally tough to decipher so it always gets a response, usually a thank you email, to thank me for my note. I’m that person that always carries loads of bags, everyone always says to me when they see me ‘what’s with all the bags?’ – it’s very annoying. I leave the house at 5am and don’t get back until 9pm so my bags contain my entire day!! My trusty Mulberry handbag is now 14 years old, I love it more now than when it was brand new. I don’t like my clothes to represent a brand, I like to be minimalist, contemporary and stay clear of anything too fussy. I get great mental peace wearing the same thing every day as it removes an element of stress and mental decision making. A black trouser suit and a crisp white shirt, or my favourite brown leather Karen Millen jacket make me feel smart but casual, like I’m always ready for business. Cashmere jumpers in muted colours are always good to snuggle up in if the day is stressful and you need some comfort. I always wear Nike trainers for dashing around town, with a quick high heel switch before a meeting (although I have been known to be so excited about a meeting the trainers accidentally stay on). Every morning I’m so excited for the day ahead, I don’t give enough time to preening, I just want to get on with the day but I would love to be more groomed. Is there a scent that you love? I’ve just discovered the inner joy of Neom when my sister in law bought me an energy boosting kit for those start up days when you’re desperate for a surge in power and you can’t take anymore caffeine. My thoughtful colleague also bought me a beautiful Neom calming travel candle (I think they are both trying to tell me something). Neom personally represents a hybrid between a beautiful scent and an additional coping mechanism. It’s dual purpose. It reminds of using scent to get through exams. My favourite scent is always Rose or Peony as it reminds me of my mother and acts as another stress release. I can close my eyes, inhale and be taken back to my happy place, the farm where I grew up. Favourite work travel destination? My favourite cities in the world are Sydney, Hong Kong and my hometown, London. Sydney fits my wellness obsessed lifestyle, the sun and beaches put it at the top of the list and nowhere has yet beaten it. Hong Kong was a bustling surprise on a 3 day stop over to Australia. I didn’t expect to fall in love with it so quickly and be so sad to leave. London, well London is the greatest city in the world (minus the weather and the lack of beaches). Whenever I get bored or stressed with London, I take myself to a different part of it. Each pocket of the city is totally different to another, it can make you feel you’re in several cities all rolled into one.
