Suddenly, there's plenty.05:40    The secret to having more time is to somehow get our minds and emotions fully present in the NOW, where time ceases to be relevant, and we just exist.06:00    If you're not in the past, or off in the future, you get to be present and enjoy the moments that are actually here.06:10    Our minds really love to spin off into the future or the past, and that's how we get to the end of our day and wonder where the hell did our day go?06:50    There's so much added judgment on top of our lists of things we believe we have to do that makes our experience of time kind of suck as adults.07:25    What if we could not be so burdened by our stuff and inherit some of the innocence of children?08:27    Time feels more burdensome and oppressive for me when I feel I am racing against the clock for something.08:55    “How much of this stuff is true?” This is the question we need to ask ourselves to unlock the possibility of more time.09:18    Children that experience the expansiveness of time seem to assume that they are not alone in any task that needs completing. Adults who experience the fleetingness of time seem to assume they are the only one who can get it done.09:40    It seems to me that joy is what makes time more expansive.10:00    I am able to be very busy but still feel like I had a lot of time in my day when I am not worried about what else I need to get done but appreciate what actually is getting done.10:10    Which feels better: “Oh god, I have so much to get done?” or “Wow, look how much I got done!” Both can be true, but one feels better.10:50    When I focus on 15 things to get done, none of them get done very well or at all, and the end of my day feels pretty shitty.13:10    Whatever I choose to do now, I am learning to just wholeheartedly dive in and set everything else aside so I can enjoy my life and give my brain a break. This week’s podcast episode is going to help you simply your life and business. The stress of chaotic schedules and spaces keeps us from living effectively. I know for me a few practical tips can make all the difference. Our guest this week has personally helped me simplify my own life through simple, easy-to-do daily changes. One small change got me thinking beyond my personal life to business. I can’t wait to share a few tips to simplify your business today! Five Ways to Simplify Your Business 1. Simplify Your Paperwork In addition to a laundry mountain, I have mail mountain. It piles up high for weeks or months until I finally address it and sort it into neat stacks. What if we had permanent stacks? What if there were permanent places where those things go? What if we created, like my friend April Perry calls it, a Command Center? You probably already know the main categories of paperwork you encounter throughout the month in your business. Just start there. Do a little bit of work on the front end, and create spaces to sort your paperwork as it comes in! Whether it’s your email inbox, your computer desktop, or a few literal spaces, this strategy is going to help reduce stress in the long run. 2. Simplify Your Workspace When my husband Matt and I were planning our wedding and had a larger invitation list than our budget would allow, our wedding planner provided us with a challenge: cut 10%. We eliminated 10% of our list by eliminating from each category. The same challenge can be applied to your workspace. What if you cut a percentage of what was there? Let’s say 30%. Go into your work space and choose 30% of the items taking up space to sort, store, or throw away. Junk, clutter, and the seventeen pieces of artwork from your children are overwhelming your space. It’s time to approach your workspace with an elimination mindset. Imagine creating a workspace you actually want to work in. You’ll enjoy your work more when you've created a space that you love. Related: How to Have More Time 3. Simplify Your Product or Service Offerings When it comes to your customers, less is more. In products, design, and content, it’s important to create clarity. If it’s complicated to you, it’s even more complicated to your customers. You want to make sure you have a clear path for your customers. A million options with a million varieties is not clear for your customers. It’s overwhelming. Research shows the more options you give people, the less likely they are to buy. People do better with limited options. Get rid of anything in your product offerings that wastes space, doesn’t sell, you don’t enjoy making, or has a horrible profit margin. You’ll leave more space and fewer options for your customers to actually buy what they want. 4. Simplify Your Website Just like with your product offerings, your website needs to be simple and clear for your customers. My friend Donald Miller says, “People don’t buy the best products and services; they buy those they understand the quickest.” People understand the fastest when you give them a few simple words. Everything needs to have a purpose and a point—every tab, landing page, and product description. If it doesn’t, it doesn’t need to be there. When I’m writing a talk, I challenge myself to write the “one sentence.” What’s the one thing I want people to know? Then everything I say points back to that one thing. Your website should be just like that! Your website is a source of communication with your customers. Make it as clear as possible. What landing page, words, or images are not the most important things you want your customer to know? What words are confusing? What words are a distraction? 5. Simplify Your Schedule Similar to your workspace, you can approach your schedule with an elimination mindset. Set a goal and take a percentage right off the top. It’s time to find some margin, and the best way to do that is to be honest with yourself about what you have to do, and what you just think you have to do. You don’t have to do a lot of what you think you do. That’s how we get burnt out: doing all the things halfway. You made that to-do list. You can cut some of it. What if you created margin to do the things you wanted to do, and then did them really well? Related: How to Create Your Perfect Schedule You can make these changes. You can stop perpetually running ragged. I firmly believe that you can slow down and begin to do less and do those things better. I’m speaking to myself on all of these things. In order to do the things that matter most to me, I have to create margin. We’re really good at setting goals in our business, aren’t we? But I think we neglect setting goals in one major area. Rest should be a goal too. Recuperation, recovery, and rejuvenation are also metrics we should also value. How do I feel? How are my husband and I? When did I last spend time with my friends? Have I had quality time with my kids today? I don’t know where you are in this busy season. But I want to remind you that rest and recovery aren’t just things for the summer. This Podcast Is Episode Number 0211 And It Will Be About Contractors Messy Bookkeeping Issues Solved Messy Bookkeeping Happens Just A Little At A Time When Contractors are doing their own bookkeeping, it becomes a problem that grows and grows There is not any limits to the number of transactions that can be entered into QuickBooks improperly. Messy files build transaction by transaction or more simply put invoice by invoice, receipt by receipt all can be entered into QuickBooks improperly. There is no popup that says “This Is WRONG” – Do It Over. Unlike loading the dishwasher or washing socks which have an end. You run out of dishes or can’t find clean socks. Filling up the dishwasher will magically produce clean dishes. After loading, adding soap, and pushing start the rest happens automatically.  Quality of clean dishes depends on soap, how you load the dishwasher and finally, pre-rinsing is optional depending on the dishwasher Same with the washing machine, fill up the machine, add soap, and turn on the machine. Better results happen with a little bit of sorting by clothing type or color. The washing machine will wash either way. Yhe clothes will come out clean. The unanswered question until the load is done is: Will the T-shirt still be white? Are the colored clothes the same exact color as when they went into the washing machine?   Many Contractors Practice The Keep It Simple Method For Bookkeeping   Put all of the receipts in the drawer. Out of sight and out of mind. The drawer is next to the computer with the QuickBooks for Contractors or other Bookkeeping Software on it.   Using the power of Wishful Thinking; the hope is that the transactions will “Magically Appear” into the Bookkeeping software without any additional assistance from them.   Unfortunately, with all of the technology available; it still requires the help of a “Real Person” with skills to know where to put the transaction into the system. Does Income Exceed Outgo? – Short Answer Yes, there is still money in the bank, and ALL of the bills are paid. Do Problems Come From Not Knowing What To Do?   The bank only knows what has been deposited, what has cleared and the balance left in the account. Without an accounting system that tracks all of the income and expenses, How Do You Know?  It is easy to put everything on Auto Pay and forget it. Unfortunately, your clients have higher expectations and may not be willing to pay you based on when your auto-pays will be coming out of the checking account. Throw enough money in the checkbook, and everything will be ok – Right?   In the short term, all is great. It is called “Robbing Peter To Pay Paul.” In other words, you are paying yesterday’s bills with tomorrow’s money. This works perfectly when the economy is booming, and work is plentiful. You can take that job deposit and go to the nearest Truck Dealership and buy a New Truck. Money is coming in fast like a spring thaw; no end in sight. No big deal with supplier bills or subcontractor being paid twice. There is enough money for everyone. Unfortunately, that was not the way it works forever. Outside forces can cause the world of Construction to go from a Boom to a Bust in minutes, and recovery usually takes longer than a few days.   For Example Weather related Floods, Hurricanes, Earthquakes, Avalanches, Mud Slides, No Snow, Too Much Snow. Bridges crash for a variety of reason. All of these things can cause Major Interstates to be closed. Other economic factors can cause businesses to lay off workers or close. High fuel prices and everyone stays home. I remember waiting in Long Lines to be able to “get gas.” Your day depended on the last digit of your license plate. About that same time, it seemed like Houston, Texas would be a “ghost town” forever. In 1971 there was a billboard in Seattle and had “Would the last person leaving SEATTLE - Turn out the lights” and look at it now. Downtown is dense, full of skyscrapers, building projects everywhere and lots of traffic. Construction Contractors Face Challenges of Feast and Famine Depending On Your Local Area The last few years in many areas of the country has been extremely tough on Construction Contractors. Some areas became the New Boom Towns while other areas declined or stayed the same (no growth and limited decline)        Contractors adapted what they did, and whom they worked for and survived. Contractors were financially able to close shop and weather the storm.   Contractors went back to work as employees of other contractors Contractors changed professions Contractors changed lifestyles Contractors retired The economy is picking up in many areas of the country the need for contractor bookkeeping increases.   Contractors are going back to work. Able to charge reasonable prices (versus cutting bids just to keep working) For a long time; it was very depressing for Contractors to look at numbers when they know there is limited money for personal.   All income going back into the business in the form of tools, trucks, equipment and material for the job: Hoping the get by without any major truck breakdowns.   Hoping that the weather would be good and the jobs would keep coming in.   Hoping to get back to the part of Construction the Contractor likes to do and not just what it takes to keep going. Many contractors took on additional businesses or business types just to be able to keep going Many of these 2nd and 3rd businesses were not directly related to their primary business. They found a “Need” and “Filled It” and made a little extra money along the way. Most New Construction Builders do not want to do a Custom Home Project Most Custom Home Builders do not want to do Large Additional Projects Most General Contractors do not want to do Small Remodel Projects Most Remodel Contractors do not want to do Handyman Projects Most Trade Contractors do not want to do more then (1) trades unless it is related. The Common trait for all these contractors is that “Contractor Did What Was Needed To Provide For Their Family.” Contractors did their own bookkeeping. Spouses helped with Bookkeeping, Paying Bills, and Answering Phone. Many spouses are “self-taught” because it didn’t matter if the training was available; there was No Money.  Now both Contractors and their Spouses want to know: Are We Making Money Or Losing Money? Is that “5 Cents” in the checkbook Our Money to spend as we please? Is that “5 Cents” in the checkbook already spent and the check has not been entered? Is that “5 Cents” due to a supplier or for some other bill coming I don’t know about yet? Does the “5 Cents” belong to The Government (Local, State, Federal) in taxes I don’t know about? How to Have More Time   Have you ever wished you had more hours in your day? If there were just a few more hours you could get so much more accomplished. Since that isn’t possible, why not try to find ways to save some of the time you already have? Here are some ways to carve out more time in your day: Streamline Your Life If you want more time, try streamlining your life, meaning start combining the things you can do at the same time. This makes you day run more efficiently and uses your time the most effectively. Delegate Tasks The number of tasks they have to complete each day overwhelms many people, when the real problem is their inability to delegate some of the work to other people. Lighten your load by letting someone else with more free time do some of the work. Stop micromanaging once you’ve delegated the tasks as well. Delegate and then let go. Saying Yes and No Effectively Learning to say “no” tactfully and without feeling guilty afterwards is necessary if you want to have more time. That’s not so say that you should say “no” to everything, you should just start saying “yes” more selectively. This simple act is not only time-saving, it is also empowering and will make others have more respect for your time.
