A podcast to answer all your questions about productivity, time management, self-development, and goal planning. My name is Carl Pullein, and I am your host of this show. If you have ever watched a Formula 1 race, it can be easy to believe that from the moment the lights go out and the race starts, the cars go flat out until the end of the race.  Ah, as if it were that simple.  The truth is if a team tried to do this, they would be guaranteed to lose the race.  Even though a race may only last ninety minutes, during the race the teams will need to conserve their tyres and fuel. Going flat out to the finish would degrade the tyres too quickly, which would mean they lose essential grip in the corners, and running out of fuel would be game over for a team.  You are like that Formula 1 car. When you start your day you have a limited amount of energy and your ability to focus needs to be managed through the day.  It's not physical energy. Your body has a way to utilise your fat reserves to help keep you out of danger when necessary, physically. It's your mental energy. That is limited. And it's a lack of mental energy that results in you making mistakes, procrastinating and being unable to make a decision about what to work on next.  It your mental energy that requires careful management each day. Getting home exhausted each day won't do very much for your relationships. You won't be in the mood to do very much, and having a conversation with your partner or kids won't be a top priority.  Yet, your family may have been waiting for you to get home to talk with you, play and just have some quality time.  The good news is it doesn't have to be that way. There are things you can do to preserve your mental energies so you arrive home feeling relaxed, fulfilled and ready to engage with your family.  However, before we get to how to do that, let me hand you over to the Mystery Podcast Voice for this week's question.  This week's question comes from Matt. Matt asks, Hi Carl, do you have any ideas on how to stop feeling constantly tired and using the weekends just to recover before doing it all again on a Monday?  Hi Matt, thank you for your question.  If you are constantly feeling tired, my first advise would be to go see your doctor. A constant feeling of fatigue or tiredness could have an underlying reason and it's better to get that checked out first.  If, your doctor reports there are no underlying illnesses, then it's time to look at your lifestyle.  As I wrote in Your Time, Your Way, there are three areas you need to keep in balance. These are the foundations of any productive life.  They are: Sleep, movement and diet.  Are you getting enough sleep for you? We are all different when it comes to the amount of sleep we require. Some of you may work well on six hours, while others may require eight or nine hours sleep.  If you want to operate at your best each day, finding out how much sleep you need would be a first step.  For years I thought I only needed six hours of sleep. Yet when I did the test that Matthew Walker, the sleep doctor, suggested, I discovered I actually needed seven hours twenty minutes.  What is that test? I hear you ask. What you do is sleep with no alarm for seven days and calculate how much sleep you slept each night. Then you add the total number of hours you slept and divide that number by seven.  That will give you roughly the number of hours of sleep you need.  I did this experiment while I was on holiday—when I didn't have to wake up at any particular time. That way I had no anxiety about not waking up on time.  Now I make sure I get seven hours at a minimum. Movement does not mean you have to go to the gym or out running. If you look back to a time when fewer people were overweight, the 1950s for instance, there were very few gyms—and the gyms then were centred on specialised bodybuilding or competitive sports people.  You didn't see people jogging round parks either.  Instead, people moved more. They walked, took the stairs, manually cleaned their houses and were more active in general.  The statistics are shocking. In the 1950s, around 10% of the adult US population were classified as being overweight. That number was 6% in the UK.  In 2020, those numbers had increased to over 40% in the US and 38% in the UK.  While I know convenience is wonderful, it's also destroying our health. Humans were designed to move. We are not designed to spend as much as fifteen hours a day sitting down.  Your brain needs movement. This is why often you will find you come up with solutions to difficult problems when walking down a street or exercising.  Movement does so much more for you. It gives your brain a chance to reset, relax and more importantly these days, gets your eyes off the screen.  And then there is diet.  I am sure you re familiar with how you feel after a lunch high in carbohydrates. You feel drowsy, sluggish and sleepy. It even has a name; the afternoon slump.  If your diet is a mess—full of highly processed foods, sugars and carbohydrates, you are going to struggle to focus. You'll always be feeling tired, sluggish and exhausted.  Switching your diet to a healthier one, will do wonders for your overall productivity and mental energies.  So, get those three basic fundamentals of a productive day sorted first and you will see a significant improvement in your productivity and focus.  Next, though, is how we apply ourselves each day. In other words, how we manage our workloads.  Constantly switching your attention between designing a presentation or trying to figure out how to ask Chat GPT the right prompts so it gives you the answers you are looking for while a the same time responding to Slack or Teams messages will leave you completely wiped out in no time at all.  Your brain was not designed to be switching contexts in that way all day. It's called cognitive overload and while, perhaps, in the moment you don't recognise it, what you are doing is rapidly depleting your brain's capacity to make decisions, and remain focused on the job at hand.  It's the most inefficient way to go about your work.  The danger is it becomes addictive. I've seen in recent years this called “dopamine addiction”. This is where you have become addicted to the drama of urgent deadlines, the sound of another notification and constant buzz of distractions from breaking news and short videos with flashing lights and rapid changes in context.  It destroys your focus, mental energy and leaves you feeling worn out and exhausted at the end of the day.  To improve your focus and better manage your mental energies, look for ways to group similar work together.  For example, if you find that you focus better in a morning, try to avoid having meetings at that time. Instead, perhaps start your day with a two hour session of work on a particularly difficult project or task. One that requires a fair bit of creativity or skill.  Then give yourself thirty minutes or an hour before you attempt to do another mentally challenging task.  I've found that when I suggest to clients that they use these gaps between periods of deeper focused work to get up move around and use their phones to reply to messages using the dictation feature, or return phones calls, they get an instant boost in their energy levels.  If you think about it physiologically, you've gone from hardly moving at all—sitting down and focusing on something—to getting up and moving and suddenly your blood is surging again, in a positive way.  More importantly, you're not context switching in a mentally depleting way.  A quick tip I can share with you here is to keep the first thirty minutes of your work day free. Use that time to get a heads up on your day. Clear your email inbox, have a chat with your colleagues or hold a quick team meeting to discuss the objectives for the day.  What this does is prevents that sense of FOMO (the fear of missing out). It settles your mind, gets you focused on your objectives and gives you time to deal with any unknown emergencies before you settle down to doing some difficult work.  I', currently reading a book called “In Search of C. The Biography of Mansfield Cumming”. Mansfield Cumming was the founder of the British Secret Intelligence Service, MI6. The British version of the CIA. The service was founded in 1909—five years before the start of the First World War. The majority of the UK's workforce at that time were employed either in factories or in service.  In service meant people who worked for the aristocratic landed gentry in their large mansions and palaces.  Very few people worked in offices.  Those that did, didn't work a nine till five job. It was far more flexible than that. Often the day was spent travelling between meetings. And given that most transport at that time was horse and cart, you can imagine how slow that was.  Then there was large liquid lunches, often taking up to three hours.  It was in the evenings that any work managed to get done. Mansfield Cumming, for example, would spend most of his evenings replying to letters and reading documents.  One time, when Cumming was ill and bed ridden, his superiors send over a typist so he could stay on top of his correspondence.  120 years ago, people recognised the dangers of letting correspondence get out of control on the efficiency of getting work done.  And don't be fooled into thinking things were very different then. Not only did they get an equivalent number of letters as we do emails, they also got telegrams—the equivalent of Slack or Teams messages today.  It might not have been digital, but the volume was very similar.  Today, we allow ourselves to neglect staying on top of our correspondence and admin. When we do that it creates a low level of anxiety draining our energies. The fear of not knowing what is waiting for us. And the fear that we might be missing something important.  To avoid this, find some time each day to dedicate specifically to dealing with your messages. Try to do this as late in the day as you can. This avoids you getting trapped in email ping pong. That's were when you reply you give the receiver time to reply to you the same day. That just doubles up the time you need to spend dealing with your messages.  Slowing down your response times, gives you space to get back to doing the work you have identified as being important.  So there you go, Matt. If you want to have the energy to do a days work and have enough left in the evening to spend doing the things you want to do, then first make sure you are taking care of the basics, tough sleep, movement and a healthy diet.  Then avoid getting trapped by context switching. Protect time on your calendar for doing specific types of work that is similar in nature, and allow sufficient flexibility between these sessions for moving and dealing with the inevitable message load.  I hope that has helped. Philotimo is an all encompassing concept that gives meaning to life that stretches well beyond ourselves, as that deep seated awareness in the heart that motivates the good that a person does. Philotimo is a sense of duty to your fellow human being. It is about love and friendship. It's about giving and it's about honor. And when you break it down in Greek, Philo means friend timo means honor. We talk about the geography of where Phylotimo was born in history and how that very same spot is paying it forward in modern times. We ask individual questions from our expert friends at the table, like: Of Matt we ask what tech or programs help us to be of service to our fellow human beings? We ask Paul to give us some meditation tools to provide us all with philotimo. We ask Katy how food can help us with phylotimo. Of Beth we ask for visualization tools to bring about this way of honor. I (Fawn) talks about communication and language in relation to phylotimo. It's it's probably one of the only things that I'll actually get, because I like to make everything from scratch and having dissected this word dissect. Having broken this word down that I'm about to say, I [00:01:00] was like, wow. It's I feel like Homer Simpson filo dough, because, okay. Okay. So the word today's subject is Philotimo and my beautiful Greek friends, please, can you call me, I'm sure I'm mispronouncing it. philotimo philotimo Philo Timo phyllo, Timo. There is an island it's the third largest island in Greece. It's called Lesvos. I think it was around 1922 with all the strife that was happening; the Ottoman empire, everything was breaking down in that area. You know, world war one was just, there was such devastation. So, this group of people from they call it Asia minor, went to this island Lesbos. And it's actually where Aristotle had been many, many, many, many, many years before. And the greatest inspiration throughout history of all the [00:02:00] scholars and everything came from Aristotle. And Aristotle's, apifany of this beautiful land, this beautiful island of Lesvos, everything originates from this place. So going back to the word, Philotimo I'm telling you about this because these people sought refuge to this island and the island embraced them. And so the entire population pretty much that lives, there are direct descendants of the people that had to flee asia minor. Yeah. And they started their own culture, their own beautiful life. And it's really interesting, pretty much, a hundred years later, they now are paying it forward because the people that live here and I think it's illegal, but they have been embracing the people that are fleeing Turkey that are running for their lives and their arms are open [00:03:00] much like the Island's arms were open to them a hundred years before. And they'll talk about this and they'll, they'll talk about filo Timo and what, what it is. Philotimo. Seriously, I get so frustrated, especially with economics and business. And it just seems like things are set up from my perspective in such a way for you to never understand economy and business,. It's meant for this certain group over here. And I always felt like an outcast. And the way you explained it to me is exactly what I needed. SHOW NOTES INTRODUCING TOBY WINANS! In 1988 the Future Farmers Of America changed its name to the National FFA Organization because of Toby Winans.  Toby Winans was only born 18 years ago, and 1988 is 32 years ago, so how is this possible?  Well, Toby Winans is the perfect avatar for the person that the National FFA Organization was thinking of when they changed their name to reflect the growing diversity in agriculture. What the FFA recognized in 1988 was that there were a lot of students in the United States that were devoted to agriculture but who did not have the aptitude or desire to do the ground level work of farming.  However, these students loved agriculture just the same and had something to contribute with their particular skill sets.  The name Future Farmers Of America could have the connotation of excluding these students because they already knew that they were not future farmers. Capturing the talents and devotion of students like Toby is important.  If we can, we want to keep students with talent as he has in agriculture. We need people like him to stay around.  This is probably why Toby's FFA advisor refers to him as an "FFA member who 'saved the year'".  Here is a note that she sent me: "Hi Matt, This afternoon I set you up with an interview with an FFA member that "saved the year". Here are a few facts that might be good for your interview with Toby. Toby Winans was a quiet freshman that has turned into a true leader for Taylorville FFA. Last year when Covid19 canceled the final 9 weeks of our school year, Toby knew that canceling our Annual FFA Banquet could not be an option. We have a large banquet every year with over 250 in attendance. (The banquet is Big Community Event). When our school shut all extra activities down due to Covid19, Toby figured out a way to have our FFA banquet by using his technology expertise and was able to follow our county guidelines. Toby Winans was a master mind of the 2020 Taylorville FFA Drive In Movie Style Banquet. Toby used his grandfather's semi van trailer for the movie screen and his other grandfather's flat bed trailer for our stage. He asked his dad and some community friends to borrow some audio video equipment and the rest is history! The 2020 Annual Taylorville FFA Banquet was the best in the history of the program because of Toby Winans! His work on the banquet was incredible and it was an amazing night that was very uplifting for our community. The 2020 banquet will be one I never forget! Nonetheless, I answer some amazing questions by you guys and I hope you enjoy! QUESTION QTIMESTAMPS: (1:38) You're told you have 7 days to live. What do you do? (7:07) I've been cutting for the last year and have been pretty happy with the results. I think I am ready to start transitioning to bulking, but I am nervous about putting on/regaining too much fat as I increase calories. (14:41) What is something totally not necessary that you love to splurge on? (22:15) How to get support from your partner when they have no interest in activities or sports? They think you are using activities to get away? (29:02) How long does it take for an individual's BF set-point to change? And once it does change, is eating maintenance calories enough to maintain it? (35:33) Most effective supplement for sleep? (40:19) Hi Matt! I've heard over and over that weight loss comes down to simple math: burn more calories than you take in and you'll lose weight but does that apply to fat loss as well? I've lost some fat but the math doesn't add up. I should have lost more. What gives? A trainer at my gym said hormones play a role, is that accurate? (49:26) How do you determine the amount of weight you should be lifting when you aim at maintaining muscle during a calorie deficit? I'm guessing it doesn't have to be the same as when you lift to gain, but I have no clue what one should go for. (52:47) We have all seen discussions regarding fasted cardio. But what about fasted weight lifting? Or better, what is the "optimal" way to lift weights in the morning. (57:00) What is the best way of staying lean all year round? (58:44) On a full body day, let's say you have chest, back, legs..and you wanna add some tri and bi too, for more volume. She's also a chartered accountant. She's host up her own podcast, the Bean Ninjas podcast, which I definitely can recommend listening to. And she's also a big surfer living on the Gold Coast, the beautiful Gold Coast here in Australia. So welcome to the show Meryl. Meryl Johnson the founder and CEO of Bean Ninjas Meryl Johnston: Hi Barb. Hi Matt. Great to be here. Barbara: Good. So listen, why don't you just give us the quick rundown, Bean Ninjas. What is it? Why did you start it? Meryl: Well, Bean Ninjas is a bookkeeping and financial recording business, and before starting Bean Ninjas, I was running a consulting firm, not very cleverly named MCJ Consulting, my initials. And I was doing project accounting work and quite quickly found the business difficult to scale. It was hard from a cash flow perspective, with project work being lumpy, and it was difficult to build a team. And I looked at some other business models out there and the kind of business that I wanted to build, which was recurring revenue, it would have processes so I could scale the business and I wanted it to have global potential. And then I looked at my skill set, which is accounting and thought about how I could marry the two together, my skill set and the kind of business that I wanted. And that's where Bean Ninjas was born. I founded the business with a co-founder who had a similar vision of creating a global business and a business that we could run from anywhere in the world. So that was where it started.

Today our guest is the author of the bestselling Rick Cahill crime novels. His books have all either been chosen as finalists or won various awards including the Anthony for Best First Novel. It's my pleasure to introduce our guest Matt Coyle. Hi Matt. Thanks for being here today. Matt: [00:01:25] Thanks for having me. Debbi: [00:01:26] Well, how is San Diego? Matt: [00:01:28] It is a beautiful day today. It really is. Debbi: [00:01:31] Oh God. Matt: [00:01:33] It's exactly the kind of day people think about what they think of San Diego. Debbi: [00:01:36] Yeah. I love San Diego. Such a wonderful city and the weather is fantastic. So tell us about Rick Cahill. Who is he and what's his story? Matt: [00:01:51] Well, when the first book opens, which is Yesterday's Echo which came out 2013, it's been about eight years for Rick since his wife was murdered. He was a police officer on the Santa Barbara Police Department, arrested for his wife's murder, but never tried. He was released but never exonerated. [00:02:13] So he was kicked off the force eventually and he moved back to his hometown of San Diego, went to work in a restaurant kind of behind the scenes and eventually worked his way up to manager. We had to be more out in front because when he was arrested for his wife's murder, obviously the press was all over him. There was a 48 Hours episode on it, on her murder, which made him look like he was guilty. So he had all that baggage since his wife's death. Now, in the first book, he's managing a restaurant, helps a woman in peril. Now in Book Five, which is Wrong Light he's been a private investigator for five years. And a radio station has hired him to try to find out the person who's calling himself Pluto, who this person is, and why he's harassing their breakaway talk radio star Naomi Hendrix, and bad things ensue. Debbi: [00:03:20] Uh huh. So in the bio that you wrote with your guest post, you credited Raymond Chandler with inspiring you to write crime fiction. What was it about his writing that inspired you? Matt: [00:03:34] You know I read him very young. My father gave me The Simple Art of Murder when I was ... I think I was 12 to 13, 14. Somewhere around there. And of course I read the short stories in the book and I read his thesis on writing detective fiction. I just liked the idea of someone living by their own code. He was a man of honor, but he had his own code. I always see the private eye as kind of a gunfighter who rides into town alone and has to deal with sometimes competing forces, and all he has is his honor and his code. And Rick's very much that person. He actually lives by the credo handed down to him by his father who was a disgraced cop before him, which is sometimes you have to do what's right, even when the law says it's wrong. And with each book, Rick takes that more and more extreme. "I always see the private eye as kind of a gunfighter who rides into town alone and has to deal with sometimes competing forces, and all he has is his honor and his code." Debbi: [00:04:21] There's almost a Dirty Harry-ish side to that sort of philosophy.

Matt: [01:13] Right from the very beginning she went to college and got her degree in photography and we started the business like the week she got out of college Kia: [01:19] and so you’re more like me. You actually, we both have education degrees, although yours is a high school math and you managed a camera store and now you run the marketing and the operations of your photography studio. Matt: [01:33] Yeah, exactly. So Alice and I actually met at that camera store, her part time job when she was so cool. Was that the camera store? So we met there and started dating and then eventually moved to Durango and got married and built. Built a business and stuff together. But yeah, so I taught high school math for awhile, which was really awesome. But I’m really glad I stopped doing that at the same time. Yeah. Now I just run like, like you said, operations and marketing for our business. So make sure that the phone rings in the calendar, gets booked so that she can go out and photograph. Kia: [02:01] Yeah. And you’re able to build your life around what you love to do. Matt: [02:05] So one of my passions, just total side note, one of my passions is fly fishing and so what I love about the business that we’ve built as I’m a I, I fly fish at least one day a week if not more. We live in a world of monetized Jetpack. Gone are the days where commercialized plugins were looked at under a watchful microscope, and leadership at Automattic felt that charging for plugins was, well, plain wrong. Today we're seeing Jetpack as the revenue bridge between .org and .com offerings — and a very big bridge at that. See, I've received an uptick of customers and friends I've helped onboard to WordPress, question its security. Why? Because Jetpack is prompting to upgrade users to their paid backup and security services. Obviously, I have mixed feelings about this, of which, I'll save for the end of this post. For now, here's how you can turn off those nagging Jetpack upsell ads. CODE to disable Jetpack upsell ads TL;DR (Sorry, you'll need to get out your text editor for this one.) Look inside jetpack/class.jetpack-jitm.php, for the filter ‘jetpack_just_in_time_msgs' See this GitHub link. Use this code in your functions.php file: add_filter( 'jetpack_just_in_time_msgs', '_return_false' ); It won't come easy for the non-technical user to disable these ads, you can't simply click a button to squelch these pesky messages. How do I know? After poking around through the nooks and cranny's of the options pages, and expressing my displeasure on Twitter, I took to Jetpack's official support channel. A Happiness Engineer responded, at first thinking, I wanted to disable the ads of their monetization network — it's like a Google AdWords — but for WordPress. After making it clear I wanted to disable the upsell nags, she responded with: Hi Matt, no there isn't a way to remove those upgrade messages in the unpaid version of Jetpack. from a Happiness Engineer Huh, not possible on the free version. Got it. So again, I expressed my frustration on Twitter, a tweet I've since redacted because Elliot reached out to me to set the record straight: Glorious! So you CAN disable these upsells, through a filter for “just in time messages.” A clever name, really, seeing the messages pop-up “just in time” of the users most aware time on screen, a clickable action. Most notable is when the user publishes a new post, and they are presented with making sure their website is securely backed up, conveniently pointing them towards the Jetpack Pro pricing grid So there you have it, if you're sick of Jetpack upsell nags, you can edit the code and it will all go away…for now. Why is this a big deal; what the 1% of 1% care about For most people, it's a “who cares?!” situation, but, for those of us in the product & service space, it's an irritating issue. Let me get this out of the way first: I'm not disparaging the plugin, or the people behind it because I think there's a need for Jetpack. I do understand that Jetpack is a business, even if it was never formally announced or perceived as one — and that's the crux. Issue #1 is it's an Automattic business, tied too closely to the WordPress brand. “An Automattic airline powering WordPress.com” as their tagline reads, with the little WordPress logo next to it. For a massive majority of people, that means it's WordPress, and WordPress is telling them they need to buy something. Issue #2 is when you already have these solutions in place, non-technical users receive a turbulent experience on that airline. As a consultant who recommends the best WordPress hosting, hosting that does all the backup and security for you, a client now thinks I lead them down the wrong path. The very least, it makes them stop what they're doing, question security, and shoot me an e-mail. Now everyone's time is being consumed for something that isn't truly urgent. Then the upsell ad, yeah, it becomes the definition of a nag, because without disabling it, it just repeats itself. From a plugin owner perspective, that is, someone who makes money selling code — excuse me: support — that provides features otherwise not provided in WordPress, Jetpack is the 1-ton Gorilla in the room. What once started as a jack-of-all-trades plugin which seemed to soften the blow of some missing core features, has become an all-you-can-eat buffet of bells and whistles. From CDN to backup, to contact forms, to themes, Jetpack is poised to become the marketplace plugin, a concept which WordPress.org repo banned since the early days. So it's not the fact that Jetpack is a business, or that they are charging money, it's just — well — I wish they just came out with it. And when you have that kind of brand leverage, whether it's fair or not, heck even legal — it's frustrating. If you grew up as a “blue collar” product owner in the space like I did, you feel beat down from the days of submitting themes for approval, only to get rejected for upsell links, or promoting a pro upgrade. A frustration that is amplified by the overall lack of wanting to actually pay for a well-coded plugin. It's hard to make money in the product space, and sometimes you feel slighted for it. Users just want everything for free, because WordPress is free, and then if you ever spent any time promoting a paid solution to the overall community, even volunteers in the space, they look at you like you're trying to rob a bank. Then along comes the “most recommended plugin” on the .org list, because it's Automattic's, and they show up like charging for that pro version — is no big deal. Remember that feeling from when you were a kid and you cleaned the whole house from top to bottom, only to have your parents walk in with your little brother holding the broom, and he got all the credit — yeah, it's like that. Meh. Anyway, since I can feel the burning stares from the Jetpack fans, I'll repeat: nothing against Jetpack or the team behind it, Jetpack, along with Gutenberg, is changing not just the platform — but the very economics of our industry. It's not happenstance, just think of all the amazing Gutenberg layouts you'll be able to buy straight from Jetpack. ★ Support this podcast ★

One of the questions … I mean, I hear this quite a bit at Virtual Angel Hub, but I also see it online and I've heard it from people I've spoken to, who've had VAs or virtual teams before, what if my … Let's say you have an amazing VA, that just does epic work for you, is a massive asset to your business, and then they tell you that they're resigning for whatever reason, they may be going back to study, or whatever. They've announced you that they're resigning and you go into this total panic mode of, “Oh my god, what am I going to do now?” because this person is such a huge part of my business and knows all the processes and what we do.   And I find this really interesting, because in my business, I often move people around, I promote people. Thankfully nobody's ever really left me, but people often very quickly have to be moved into new roles, which means that I can't have a situation where they're indispensable in the previous role. So Matt, I'm really interested to talk to you about this as a business coach. How can people not fall into this trap of having somebody who is indispensable, I guess, in their business, and then you're left in chaos if they leave? Creating a turn key business Matt:  Yes. It was a really interesting conversation we were having just before the show, but I think that the person that put this best is probably Michael Gerber in The E-Myth, about you've got to create a turn key business. A business that can operate without you.   And I think that anytime in business, where knowledge is held with a person, without documented systems or processes, it's risky. And I know Barb, what I see, a lot of these business owners holding a lot of the IP in their head, and doing things just naturally in the natural course of business. Then they bring a team member on, and what they do is they download their brain into the team member's brain, without getting it all documented. So really what you're doing is transferring the risk, as opposed to de-risking the business. You must document tasks Barbara:  Yes. And you know what I find as well?
