Rules, Roles, and Results: The Blueprint for Effective Board Meetings

The Boosted Volunteer

Did you know that running a booster club board meeting is a lot like managing a business? Clear rules, defined roles, and structured discussions lead to real results. One key to success is Robert's Rules of Order, a time-tested framework that helps meetings stay on track, make informed decisions, and avoid unnecessary chaos.  In this episode of The Boosted Volunteer, host Robin Eissler sits down with Jim Buchanan—adjunct professor at UMHB, founder of Brighter Honor Consulting, and former AT&T director—to share expert strategies for running efficient, organized, and results-driven board meetings. Jim emphasizes the importance of preparation for effective meetings, where decisions are made rather than learning new information. He advocates for forming committees to streamline discussions and prevent endless debates. Jim also stresses the need to train new board members on Robert's Rules of Order using bylaws, policy manuals, and online resources. A well-prepared board chair leads confidently, improving decision-making and operations. Jim and Robyn also reflect on their volunteer experiences, highlighting teamwork and patience. Jim's background in theater and leadership with children's activities contributed to his booster club's success.  Key Takeaways: 2:46 Importance of Robert's Rules of Order:  Jim explains Robert's Rules of Order 4:24 Structure and Organization in Nonprofit Meetings: Jim emphasizes the importance of having a structured meeting to prevent chaos and ensure productivity 7:29 Managing Unexpected Topics During a Meeting:  Jim suggests using a "parking lot" to address out-of-agenda items later in the meeting, helping to maintain focus on the primary agenda. 8:34 Ideal Meeting Structure: Jim outlines the key components of a board meeting, including preparation, organizing logistics, staying on time, and maintaining accurate meeting minutes. 10:06 What Should and Should Not Be on the Agenda: Jim explains what items belong on a typical agenda, stressing the importance of staying focused on the key topics relevant to the meeting. 12:00 Common Mistakes in Parliamentary Procedure: Jim highlights a common mistake in meetings 21:31 Robert's Rules of Order: Training new board members with bylaws and Robert's Rules of Order is essential    Resources: https://www.linkedin.com/in/jim-buchanan-cam-c-p-m-58a65123/

This slimmed-down version of the first round actually worked out pretty well. Five of the eight games went down to the final couple of minutes, and the three blowouts were against the No. 38, No. 39 and No. 40 seeds in the tournament. So now that that's out of the way, we can move on to the Round of 32. But first, we'll recap those eight games, you'll hear from some of the key playmakers on Saturday, including both winners of our game balls, just like it should be. Is John Carroll upset at having to play Mount Union? Not that we can tell. Is Mary Hardin-Baylor upset about playing Hardin-Simmons? Not exactly -- UMHB is just happy to be playing a D-III team, as Cru coach Larry Harmon said after the game.  How did the ESPN+ experiment work out after one game? Should there be more bowl games? We'll tackle those questions and get an insider's advice on how to punch up your broadcasts. And we'll talk about who this Round of 40 really benefited.  Plus, we chat with John Carroll coach Jeff Behrman for Fast Five (Nifty Nine), about the injury to quarterback Nick Semptimphelter and his quick recovery, Behrman's approach to practice, his quarterback and top receiver's quick rapport, and facing Mount Union again.

Well, welcome back to the Purple Power of the South! It had been a good 11 months or so since we last really had to consider the Cru, when they lost to Hardin-Simmons last Oct. 28, and this season was a mixed bag with UMHB's most telling game being a loss to a Top 10 NAIA team. Well, that's no longer the case as the Cru went to UW-Whitewater and came away with a lot of takeaways. Eight of them, in fact. Meanwhile, Salisbury's season just keeps getting better. As the opponents have been higher and higher ranked, the Sea Gulls have won by larger and larger margins. We talk about their win against Johns Hopkins with coach Sherm Wood on Fast Five.  Cortland avenged its last loss, Mount Union got by against John Carroll, and a number of teams played Division II opponents this year, but one team had the best performance, and who it is might surprise you. We'll whip you through the big games in Division III from this past weekend, catch up with the Bendokovic Bowl, visit the game that of course, had to end on a blocked field goal. Plus, who's getting it done in the 1? Who's pulling through in the 2? Who's prompting glee in the 3? Who's getting up off the floor in the 4? Who's looking alive in the 5? And, who's got something to fix in the 6? To see a list of all the teams talked about in this podcast, look at the list at the bottom of the post. Math Correspondent Logan Hansen talks about the three biggest playoff leverage games for Week 4, plus give a snapshot for how those top eight seeds are looking. Remember, my goodness, people, this is based on projection of how the season will play out and of course, teams with harder schedules might have a harder time making the top eight because they might not actually win all their games. We also hand out game balls to the top performers, pick out the stats of the week, and run through region by region to get some of the other stories you might have missed, such as the team which threw to 15 receivers this week. And since that didn't seem to be enough, Greg and Patrick have to pick one more region to tell one more story about on the fly. There's that and so much more in this week's podcast, so give it a listen! The D3football.com podcast is a weekly in-season podcast by Patrick Coleman and Greg Thomas, which was started in 2007. New episodes are published weekly during the season.

We're continuing our offseason series diving into interviews with new coaches at Division III football powers, as we check in with Larry Harmon, the new head coach of the defending national champion, Mary Hardin-Baylor. Much like last month's guest, new North Central coach Brad Spencer, Harmon had been an assistant coach at his school for years, including defensive coordinator for the past 17. Harmon talks about what the expectations are for the Cru's title defense, the transition into taking over the UMHB program, and what the team learned from spring ball. Plus, UMHB made some of the biggest news of the Division III offseason in April, announcing an ambitious non-conference schedule of Muhlenberg and UW-Whitewater. Plus, three words: ASC-WIAC Challenge?! Sounds like it could happen. That leads us into the other podcast conversation, where we dive into exactly what strength of schedule means, why it's broken, and what it would take to fix it. We have that conversation with Logan Hansen, @LogHanRatings, the former Wartburg player whose ratings have been refined over the past decade to provide a quality ranking of Division III football programs. The current SOS metric could take a couple of minor tweaks to fix obvious flaws, and we talk about those, but it needs a wholesale replacement which involves measuring home-field advantage, and yes, margin of victory. Logan talks about how that works, why running up the score won't work, and much more in our conversation. Plus, Pat and Greg talk about the various big games on the schedules that have been announced so far. We all have beliefs: religious beliefs, political beliefs, social beliefs, and many more. But we do not always examine why we believe what we believe. As we grow and learn more about ourselves, our beliefs may grow as well. But mindful are we about how our beliefs may change? How do we reckon with the ways our beliefs may impact others, often in ways we do not want? Dr. Jude Austin from UMHB and Vista Church joins Warren and Jason to talk about how we form beliefs, how those beliefs influence our actions, and how those actions may have negative impacts on others.

Oh, heck yeah -- we have one of those nice new Stagg Bowl venues with a nice new stadium smell. And no, we were never going to get 23,000 people to attend this game, but having it played in a big, professional stadium, next to the Pro Football Hall of Fame ... that's pretty special. The teams, North Central and Mary Hardin-Baylor, are veterans of the Stagg Bowl and are loose and ready to go. We'll hear a little of that from each coach. We'll also talk to Mary Hardin-Baylor quarterback Kyle King and linebackers Micah Hackett and Jacob Mueller, plus Andrew Kamienski and Jake Beesley from North Central. How do you prepare to defend Brandon Jordan? What do the UMHB players think of North Central running back Ethan Greenfield? How often does Kyle King audible out of a play in any given game? Plus, Greg Thomas puts Pat Coleman and guest host Frank Rossi on the spot with a few over-unders, such as, how many passes will Jordan catch? How many carries will Greenfield get? Pat Coleman and Greg Thomas talk about it all in the latest D3football.com Around the Nation Podcast. We get a new, never-before-seen matchup in the Stagg Bowl, and that's something to be excited about. In the latest edition of the D3football.com Around the Nation Podcast, Pat and Greg break down each of the semifinals, and North Central coach Jeff Thorne and Mary Hardin-Baylor coach Pete Fredenburg join us to do the same.  For North Central, the key performances came all over the field: from an offensive line missing two starters, from a freshman kicker called on to do the unlikely on a rainy and windy day, and of course from the dare-we-say future All-American running back and his quarterback, and the entire defense. We'll talk about each of those performances. For Mary Hardin-Baylor, of course, the biggest performance on offense was from the biggest man on the offense, Brandon Jordan. Plus the defense did more than enough to keep Alex Peete in check, and there are very few questions for UMHB. But we ask those questions anyway!  Plus, we talk about who the elite teams are in Division III football right now, and where does Mount Union rank among them after we've had two consecutive Stagg Bowls without the Purple Raiders for the first time since the early 1990s. And what the heck was up with the replay official in Whitewater on Saturday? Pat Coleman and Greg Thomas talk about it all in the latest D3football.com Around the Nation Podcast.
