How many meeting invites do you get each week? If your company is like many American organizations, it's probably too many. Recent research shows that 70% of all company meetings are keeping teams from completing their tasks. On top of that, a Harvard Business Review article reports that “Ineffective meetings that waste our time can negatively impact psychological, physical, and mental well-being.” Yikes! In this episode, I share three steps that can help reduce meeting overwhelm. There's no doubt that declining a meeting is easier said than done. Company culture and concern for professional relationships can make it anxiety-inducing to even consider clicking anything but that little “yes” box on a meeting invitation. 'One on One Meetings are Underrated; Group Meetings Waste Time'. The title of Lawrence Krubner's book is the theme of this week's Connected Leadership Podcast. Lawrence discusses with Andy Lopata how meetings can be essential for some people but an inordinately inefficient way to get things done for others. If you invite fifteen people to an hour's meeting, you have to be sure the meeting is actually worth the fifteen hours of work lost. Too many large meetings are called to give out information that could be transmitted using technology, while one to one meetings are more productive. The basics of good meetings need to be understood and practiced by leaders. Larger gatherings for social reasons are good for morale. They can also be good for brainstorming exercises and for discovering talent. Smaller meetings help develop and deepen relationships and can help leaders adapt to the strengths and weaknesses of their teams.

Discussion of Fellowship of the Ring, Book Two, Chapter One Join Cam and Maggie as they return to the books – and are surprised by some old friends! Gandalf and Bilbo are both back from the dead, even though Cam thinks one of them might be a ghost. Old School Tolkien returns here – Gandalf feels like narrator, we’re reminded that Bombur is fat, and Frodo is exceedingly polite. We express our growing disappointment with the wizard and his lack of answers (despite apparently having global omniscience). For the first time in any Middle-earth book, the phrase “Lord of the Ring” is used in this chapter. Cam and Maggie have very different understandings of the phrase, and the true identity of the titular “Lord”. We also consider the colorless, peaceful characterization of Rivendell – and what theological implications that might have for Middle-earth’s occupants and afterlife. In our Second Breakfast, we discuss two very different perspectives in this chapter about heritage and the power of bloodlines. Are all members of certain families fated for greatness, or are great families doomed to produce diminishing returns? Frodo is presented with both views at Rivendell, and we wonder which he finds more sympathetic. In this episode, Professional Scrum Trainer Sam Falco addresses the complaint: "I don't like Scrum because there are too many meetings." At first glance, that seems like an odd thing to say, because there are only four meetings. The Meetings in Scrum Sprint Planning is timeboxed at up to eight hours for a one-month Sprint. It's usually shorter for shorter Sprints. The Daily Scrum, as the name implies, happens every day, but it's timeboxed to no more than 15 minutes. Sprint Review takes no more than four hours for a one-month Sprint, and it's usually shorter for shorter Sprints. Sprint Retrospective maxes out at up to three hours for a one-month Sprint. Like the other two big events, it's usually shorter for shorter Sprints. In a one-month Sprint then, you're spending no more than 15 hours in the big events, and for the Daily Scrum, five or so hours spread out in fifteen-minute increments. And that's out of roughly 160 hours per month. That means that we're talking about twelve to thirteen percent of your time in meetings that are designed to make the remaining 87 percent more effective. It's not actually that much time. So, what drives the complaint that Scrum has too many meetings? Scrum Might be Adding Needed Structure One driver comes when Scrum is being introduced into an environment where there aren't many existing meetings. Usually, this is an organization that is emerging from a startup culture, where there is a more wild-west style, with an informal network of ad-hoc communication. As startups grow, that informal network starts to break down. A framework like Scrum ensures that the necessary coordination and collaboration occurs. Otherwise, meetings metastasize across the calendar. Get Rid of Some Old Meetings More commonly, I hear the complaint in the context of an organization that already has a ton of existing meetings. Scrum events are overlaid like a veneer on existing process and meetings, which are retained without examining them to determine if they're providing value. The Solution The solution is not to add Scrum to existing process and meetings. Scrum is a radical replacement for an ineffective, bureaucratic culture--including all those meetings that aren't providing value. Odds are, the Scrum events supply all the value you need for effective collaboration and delivery. If you find that you really do need more structure than Scrum provides, you can always add it back in. Regardless of which direction the concern about too many meetings comes from, implementing Scrum requires intentional, thoughtful organizational redesign. That calls for an experienced, effective Scrum Master who is adept at navigating all levels of the organization and helping achieve business agility. Want to Learn More or Get in Touch? This behavioral economics podcast continues our series about the five senses. Last week, I talked about the sense of sight. This week I’m talking about the sense of smell. No matter what type of business you have, these episodes will apply to you. The senses are all powerful and create memories the brain uses to make decisions, and decision making is a big part of successful business. Understanding how our brains use past experience to interpret the world around us is super important when it comes to understanding how to integrate stimuli from our senses in business. We have all experienced a certain scent bringing back a memory. Today, I talk about the sense of smell and how awareness of it can help make your business better. CLICK HERE FOR YOUR FREE DOWNLOAD! Show Notes [09:48] The sense of smell is made up of olfactory bulbs, which are part of the limbic system. [10:06] The sense of smell is one of our oldest senses, and it connects directly to memories and emotions. [10:17] It's one of the first senses we use as infants, and it ties to certain emotions and memories by the time that we are five years old. [10:43] Our sense of smell developed through evolution to help our species survive. We can detect danger through our sense of smell, and we can find our children in the dark. [11:35] Molecules of items separate from the item in question (like bread baking) and those little pieces travel into our noses and are read by our olfactory epithelium (which are like the taste buds of our nose), sending a direct message to the brain. [11:55] Sight, sound and touch do NOT have this connection, so they are not as closely linked to memories or emotions. [12:19] Adult humans can distinguish between approximately 10,000 unique odors using 40 million different olfactory receptor neurons. [12:54] Because it has a direct route to the limbic system, certain scents can trigger fight or flight while others bring up vivid memories and others can make your mouth water. [13:27] Scent is also linked to physical attraction and our noses are trained to like people who are dissimilar to ourselves. [14:46] Smell is linked to where, when and why – thus the power of memories and really taking us back. [16:24] Being able to understand how these memories are formed and how to create positive associations can help with your business and customers. [16:47] Most of our scent memories are formed when we are around the age of five. [19:59] Scent marketing and scent logos are a thing. [22:02] Melina shares a story of how smelling Lush products made her hungry for P.F. Chang's food. [22:53] ScentAir made grocery store sales go up by 7%. 83% of shoe shoppers preferred a floral scented room when shopping and valued the shoes at a higher price. [23:40] An experiment with scented slot machines. Casinos have branded scents. A gas station was able to increase coffee sales by 300% with coffee scented air. [25:08] Rosemary essential oil made test subjects perform tasks faster. [25:23] People can remember a scent and its related memory with 65% accuracy after 12 months. [25:47] An inhaled vanilla aroma decreased anxiety for 63% of MRI patients. [26:42] If you have a physical location, the scent you infuse makes a huge difference and you want to make sure it ties in with your goals. [27:38] There are companies who are experts on scent branding. You can actually hire them to help you choose a scent for your business. [28:53] Scents are used to create an experience, and it will be a different experience for each business. [30:10] Bad scents can impact behavior and make it difficult to focus on anything else. [31:10] Our world and the way we think about it impacts everything we do. Our memories – and particular scents – can trigger emotions. [32:05] Even showing a picture of someone smelling something can trigger mirror neurons. [34:01] If you don’t sell food and you don’t have a physical location, it is still important to know the power of scent. You can use the power of sent to prime memories. Thoughts “I wish you could have held out at Weathertop.” (NJ - if he had not revealed himself by way of the Ring, would they have been able to fight them off with fire without them making an attack on Frodo?) “There are many powers in the world, for good or for evil.” “Some are greater than I am.
