You likely noticed how hard it is to get noticed on Instagram now. It's not that some evil cyborg algorithm hates you. It's just a numbers game. Instagram is on track to reach 2.5 billion users by 2023. It was half that in 2019
It's summer time, which means more chaos, more vacation time and lower productivity from employees. Vacation for exhausted healthcare workers is a good thing. But less productivity, even in the summer, is a challenge. It doesn't have to be this way! Join me with my guest, Sabrina Runbeck, as we cover productivity in your practice or healthcare company. Contrary to how we sometimes think of productivity, Sabrina sees it as a way to avoid burnout, focus on the work you enjoy and take more breaks. Some ideas we cover: How healthcare tends to be a field of a lot of overachievers, which can make the work culture cut throat and lead to burnout. How to shift your internal mindset to set realistic goals and focus on how you really define success. How knowing your peak performance hours can help you get more done. About Sabrina Runbeck Sabrina Runbeck's passion is helping practice owners increase productivity, ultimately leading to having more free time, higher satisfaction, and greater profits. As a Cardiothoracic surgery PA, Sabrina found a way to cut her working hours by 40%, gaining at least one day per week, and increasing profitability. Now she teaches other practice owners to do the same. She is still practicing in surgery and empowering other healthcare leaders to have a double win in work and life. Join me with my guest, Justin Knott, from Intrepy healthcare marketing to discuss the role of SEO in marketing your practice and how to get started. SEO can be confusing and overwhelming, but Justin breaks it down into actionable steps for a practice or healthcare business of any size. Done right, SEO can be a key driver of patient acquisition and retention. Some ideas we cover: When practices are struggling to win the search battle, even against large health health systems in their area, it usually comes down to content deficiency. If you want to rank for a keyword, you need a page for it. That's the foundation of your SEO content. Google has made an obvious shift to wanting to focus on localization from a search experience standpoint, which is great for local practice owners. Good seo is like following an outline when they taught you how to do outlines and middle school for research papers. You need to have an individual location page for every one of your locations, because that is going to be the driver of all of your "near me" search. About Justin Knott Justin Knott & his team are renowned for providing medical marketing services for healthcare organizations. When's the last time you dusted off your old content and repurposed it all shiny and new? There's something about opening the windows in spring makes us all more inclined to clean. As long as we're in the mood, how about spring cleaning your content? Here's what spring cleaning looks like for your content: Much of our marketing in 2022 is digital, which means it's meant to be dynamic. But most small to medium size businesses set it and forget it. These days especially, the world is changing, we change and our businesses change rapidly. Cleaning up your content in the following three ways can make your marketing easier and keep your content up to date. But even if your people aren't scrubbing every nook and cranny for the sake of God, something about opening the windows in spring makes us all more inclined to clean. 1. Recycle your old content. My recycling bin is filled a mile high as I write this. Your recyclable content should be too. Here's how to recycle your content to save you time and make sure more people see it. Take stock of what you've got by creating a spreadsheet of existing content. Scroll through old social media posts. Can you reuse the photos in a different context? Recycle the caption and update the photo so it's good as new? Go back through old blogs. Can you update them with new examples and new tips and repurpose them as new ones? Identify videos and podcast episodes that you can turn into a blog It's gratifying to constantly produce new work. But your audience isn't following you as closely as you think. Repurpose your old content to save on effort now and maximize on effort you made before. 2. Clean up your website The hardest part of spending loads of money and time on a new website is that when you're finally done…you're not done. Consider these 3 ways to clean up your website. Run any updates and makes sure everything still displays properly on desktop and mobile. Fix any broken links simply by entering your url into this website. Trust me, it feels like magic. Revisit your About page. It's the second most visited page on your site, and it's likely a boring digital CV/backstory/mission statement. Instead, make it about your audience. Let them know how your particular approach solves their problem. Include calls to action so they can work with you. Add testimonials on why they should. Take a look at your homepage and see what needs updating. With fresh eyes, you'll likely see better ways to present your company. 3. Clean up your email list Cleaning up your email list is the spring cleaning equivalent of finding coins in the couch cushions
A crucial part of your clinician marketing strategy that most people don't talk about is the consultation call or in person meeting. Most clinicians are so busy focusing on getting referral sources and keeping up wiht clients, that the consultation call becomes an afterthought. The truth is that this can be a powerful way to identify the right prospective patients or clients for you, as well as determining if you are the best person to help them. My guest Aisha Shabazz joins me on this episode to share how to make these calls the most successful. She divides the call into three parts: before, during and after. And she breaks down a step-by-step plan for how to handle each stage. Aisha generously shares her resources with my listeners here: The Thriving Therapist Shop 20% Off Client Inquiry Form Template "SPARKR" https://aisharshabazz.com/shop About Aisha: Aisha Shabazz (she/her/hers) is a private practice strategist and host of the Beyond the Session podcast. She teaches mental health therapists in solo private practice how to infuse time-saving strategies, solutions and tools into their businesses, so that it's easier to make space for life beyond the session. Aisha guides therapists on how to ethically fill their caseload with ideal clients by helping them create a streamlined therapy consultation process that's not only value-based, but data-driven and informed by their customized strategic marketing plan. Aisha believes “it's unnecessary to sacrifice your health, well-being, and livelihood to offer high quality care” and encourages helping professionals to practice meeting their needs first and to nurture themselves as they nurture others. Aisha is also the founder of In Real Time Wellness, a solo private practice in the Philadelphia Metro area, serving socially conscious and creative teens, young adults, and human beings who are seeking to relieve anxiety, release insecurity, and rediscover their confidence. When Aisha is not helping others, you can find her writing, practicing yoga and meditation, and spending quality time in nature with her partner, Shad. Did you hear there's a new update on Instagram? This one's actually worth hearing about. Instagram reinstated the chronological feed and introduced a favorites feed. Here's why this matters. As users, the favorites feed means the channel is about to get a lot more intimate and even more interesting. As business and practice owners, the chronological feed means everyone is competing to create the latest and greatest piece of content. Let me explain. If you're using Instagram to grow your practice, you can now toggle between two groups: 1. All the folks you follow to grow your business 2. All the folks who actually interest you For example, your chronological feed might be filled with referral sources and potential client or patients. Your favorites feed might be filled with accounts that give you content ideas and inspiration. This is good news. But the flip side of this as business and practice owners is that we're all pitted against each other in a race to post more. This was true before with Instagram, but the chronological feed ups the game. Here's what you need to know: To view the chronological version of your feed, tap the Instagram logo on the top left corner to toggle between “Following” and “Favorites.” Select “Following” to see posts in chronological order. Select "Favorites" to fill that feed with, well, your favorites. I shared a Reel on Instagram today to show you how. If you do nothing, you'll automatically see the chronological feed. Now, here's what you should do about it: Don't be tempted to create more content. I mentioned this last week, but it's worth repeating here. There's too much content on social media because we're all making too much. And it's making most of us miserable. Even with the chronological feed, you as a clinician don't need more content. This is because most people who check you out on Instagram are going directly to your handle. They're checking you out to see if you are the right person to solve the problem they have. Your Instagram needs to do 3 things: Have a strong bio: This is the first thing people see. It should include your name (unless you're a group practice), how you help, who you serve and your location. Have appealing content that speaks to your audience about the way that you can help. Be consistent so it looks like you're accepting new clients/patients. That's it! A lot of folks who check out your Instagram aren't even going to follow you. Would you follow your therapist or gynecologist?

One of the hardest parts about starting a new practice is figuring out everything that you didn't have do when you work for someone else. High on the list of frustrations is billing. But my guest this week, Kym Tolson says billing doesn't have to be so hard. And doing it right can mean making more money and staying compliant. Check out Kym's free mini course to decide if DIY billing is right for you About Kym Tolson: Kym Tolson is an LCSW, CSAC licensed in the state of Virginia. She has an online insurance-based therapy practice and she teaches online billing to therapists. IIn February, she officially became a digital nomad. Kym's course, "DIY Insurance Billing for Private Practice," has helped nearly 1000 clinicians because she truly believes it's imperative to have at least a basic understanding of insurance billing if you are going to accept it in your practice. She also has a supportive community, Bill Like A Boss, for therapists who are billing insurance in their private practices. I also developed a directory for therapists to find trusted billers and virtual assistants to help them in their practices if they do not want to do their own billing. Whenever I talk to clinicians about social media marketing, one of the first questions I get is, "How often should I post?" My answer is always the same: it depends. According to Later.com, the rate of reach and engagement per individual post varies as more posts are shared — and this changes even more depending on how many followers an account has. For accounts with under 1K followers: posting 14 times per week delivers the highest reach and engagement rates per post. For accounts with 1K-250K followers*: posting 14 or 20 times per week delivers the highest reach rate per post, while posting once per week delivers the highest engagement rate per post. For accounts with 250K+ followers: posting only once per week delivers the highest reach rate and engagement rates per post. Posting 14-20 times a week is completely unrealistic for a clinician, unless you have marketing support to help. That's why my answer is always, it depends on what works for you. Listen to this episode where I cover how to get consistent on content creation at a pace that will work for you and your practice or healthcare business. When you need more reviews for your private practice or healthcare business, consider your own behavior. Your typical appointment with a healthcare provider likely ranges from acceptable to excellent. Once it's over, you hurry to take care of all the tasks in your day that the appointment disrupted. The only times you consider leaving a review for the practice are those appointments that didn't meet your expectations--where you waited too long or experienced some other frustrating scenario. Prior to that first healthcare appointment with the practice, however, you likely spent some time absorbing information on a site like Google, Facebook or Healthgrades. In a 2020 survey of patients, findings showed that 90% of patients use online reviews to evaluate physicians. Almost three quarters (71%) of surveyed patients use online reviews as the very first step to finding a new doctor. No matter your industry, positive reviews typically don't come naturally. It's human nature to react when we're annoyed but move on – albeit pleasantly surprised – when we are feeling appreciative. Rare is the client or patient who feels delighted and then proactively leaves you a review. This is why you need to ask. In this episode I cover... Why you need to ask for reviews How to ask How to make this part of your daily business practices How to respond to positive and negative reviews with HIPAA compliance Mistakes to avoid And more... Click here to read how to respond to reviews and to get a Google survey to gather more testimonials. In this episode I talk to Dr. Una of EntreMD, who has helped hundreds of physicians build practices and business they love. There are over 1 million doctors in the U.S., and Dr. Una says it's her goal to help even just 1/10th of them. Dr. Una realized in 2016 that the practice of medicine was changing and that doctors no longer had the same level of control in their field. Even with a successful pediatric private practice, she decided that she needed to invest in her speaking and leadership skills in case she ever reached a point where she couldn't practice medicine on her own terms. In this process she realized other physicians need the same skills, and Dr. Una set out to support them with live events, her EntreMD podcast and her business school. Dr. Una shares some of the most important lessons she's learned along the way: "If it fails, I would have learned enough lessons that my next project will be even better, so we don't stop. To be an entrepreneur means you fail forward. You're in motion. You have to learn that you wear different hats in different spaces. When you're wearing when you're running a code, please be perfect. But entrepreneurship? No." "I mean the fact that you can dream and create, that fixes burnout. When you're in that mode, there is a level of fulfillment that comes from it, a level of control that comes from it that it just makes your experience in medicine so different. And the financial rewards? When you get the money piece right then you're even in more control. You can determine how much you want to work, you can work because you want to, not because you have to. In this episode, I talk to Dr. Una about how to find your passion as a physician and create a business you love. Listen for our conversation on... Ending physician burnout How marketing can help you grow your practice and build a business you love Branding for physicians How to create content and finding time to do it Meet Dr. Nneka Unachukwu, AKA Dr. Una Dr. Una is the founder of EntreMD Business School. She's also a speaker, author and regular contributor to Forbes. She's helped hundreds of physicians get their time back, dramatically increase their bottom line and build businesses of impact. She's host of the EntreMD podcast and Doctors Changing Medicine podcast, as well as the CEO of Ivy League Pediatrics in Georgia. I don't expect you to follow this news amidst the chaos of building and running a practice in a pandemic, {{ subscriber.first_name }}, but marketers are in a tizzy lately. A lot of the “tips and tricks” marketing gurus would shout from social media like used salesmen no longer work as well. Turns out marketing hacks are about as true as most Tik Tok hacks, like this one that set this lady's washer on fire
When I was 19 I taught myself to run. I was slow, and it was hard. But I figured if I shuffled along for 12 minutes straight, that would add up to a mile. Then I moved the timer up to 20. It was sheer misery as I checked my watch just about every 15 seconds. After a month, running magically got easier. Before I knew it, I formed a habit. It's been 24 years since then. The hardest part of creating a new habit is starting. Before that, you can't even imagine what it's like to do the thing. It's true in life, and it's true in our work. This is especially true for everyone I know who creates consistent marketing content. Committing to consistently creating social media content is so much harder than actually doing the work. But consistency on social media is key to reaching more people and having a bigger impact. I shared three ways to get consistent on social media for your practice or healthcare business on today's live video. You can watch it here. Here are 3 ways to get consistent on social media Commit to a time on your calendar that you're focusing on creating content. Schedule it as a meeting with yourself and don't let anything else disturb you in that hour. Create content ahead of time. This saves you time and means you can ignore social media when you're busy or burnt out. Get help to make creating content easier. Do you ever have one of these weeks, {{ subscriber.first_name }}? My alarm went off early Monday when it was dark and rainy, and I had no pressing deadlines. Why bother getting up? Same on Tuesday and Wednesday. Every business has its seasons, and I've been doing this work long enough to know the patterns. I've learned to operate full speed ahead when my team is busy and not to panic when things are slower. Our job in a slow season is to reassess, plan and focus on all the things we never have time to complete when we're busy. I KNOW this, but my problem is that I operate best when I'm busy. A sense of urgency gets me laser focused. Having plenty of time makes me feel, well, blah. On this week's episode, I share 6 things to focus on to get focused when you don't feel like doing anything. There's an old adage that women tell new moms as they stand in the grocery line with a whining toddler and screaming baby: "Honey, the days are long but the years fly by." Your sleepless brain sorta feels like punching those ladies if you only had a spare arm. Now that I'm one of them (I keep the thought to myself!), I can say that it's true. I recently packed up my oldest for a year abroad. Wasn't she just clinging to my leg every morning of kindergarten?! It's the same in business Two years ago, at the time of this recording, I started Sparkr Marketing, after spending 10 years freelancing as a side hustle to my part time marketing job and full time mommy job. The old adage rings true in business too. When you're toiling in the work of starting a new venture, the days are long, but the years fly by. Starting a new business--or practice in your case--means having a running to-do list that never gets shorter. It means solving problems on the daily and figuring out things you don't even know you don't know. Mostly we look ahead at all we still want to do. But, if we take a moment to look back, the truth is we've done a lot. 7 mantras for when you feel like quitting In honor of my two-year anniversary, I'm sharing on this episode seven mantras to repeat in those moments of self doubt as you build your practice or healthcare business. We all have those moments, no matter how put together your colleagues or competition look! A lot of people who just started and are quickly full often didn't really just start. They likely were able to bring clients or patients over from a different practice or have an established reputation in the community. All you need is one success to prove you can achieve more. You've done harder things. If you quit, you will surely fail. Scroll back on yourself and see how far you've come. One good referral source is better than a 1,000 likes. No one knows anything when they start. Shoot me a message over on your favorite social media channel and let me know if one or some of these ring true for you. If you're using Instagram to grow your healthcare practice, by now you've likely heard that Reels are key to Instagram growth and engagement. Ever since Adam Mosseri, head of Instagram, shared on June 30 that Instagram is “no longer just a square photo-sharing app,” marketers have been in a tizzy announcing it's past time we all get moving on Reels. Are Reels right for clinicians? Knowing your goal for social media is essential to determining the right strategy for your practice. If you are a local physician, therapist, PT, OT or SLP, the truth is that you can fill your appointments with a small, engaged audience. Unless you have bigger goals of supporting many more people at once, such as offering virtual workshops or group courses, you don't need thousands of followers on Instagram…or views on your Reels. Find out how to get more followers and if you even need them in this blog. If your goal is to reach more people outside the walls of your practice, Reels is a great way for your ideal audience to find you. And even if that's not your goal, Reels still might be a good choice for you if you're already making short videos for social media, explaining something or even meditation videos. Of course, I've heard many reasons clinicians have no interest in adopting Reels as a social media content format. You likely don't want to dance, point like a monkey or change your outfit multiple times on a video. Your subject matter expertise may even be quite serious, and Reels just seem silly. The biggest hurdle is time. Reels take a lot longer to create than posting a photo. To the former concern, you'll see below that there are loads of ways you as a clinician can use Reels to deliver information–even important, relevant information–and maybe even show some personality. As for time restraints, Reels become easy to make with practice, especially if you batch them. Even one Reel a week can be a powerful tool in your social media marketing strategy. A great way to jump right in is a 5-day Reels Challenge In this episode, I cover ways to boost your social media results. These will work in any season, so if you're listening after summer, no worries! Carousel posts that feature other people (putting the SOCIAL back in social media without spending hours commenting on everyone's posts) Getting a strategy for direct messages (this works, I promise!) If your social media this summer tanked, you're in good company. We're smack in the middle of August, and this Chicago gal loves this season so much it hurts. Except for what it does to my social media engagement. On social, mid-summer is a bummer season...that is if you're not a travel agent
On this week's episode I talk to Michelle Griffin, branding and marketing expert, on why clinicians need a personal brand. Branding is more than choosing a color palette and creating a logo. It's about how you define the audience you serve, the problem you solve and how you do it. Michelle explains how we all have an online presence no matter what because if someone takes the time to Google you, they will find you. Michelle works with experts to become very deliberate about crafting their online image. She focuses on your purpose, the problem you solve, the people you help and more. In this episode we also get into how to determine your niche and how to leverage LinkedIn to reach more people. BIG NEWS on the podcast today! I have a new idea that I can't let go. I'm SO excited that I have to share
When it comes to healthcare stories in your marketing, the best ones win the hearts and minds of your audience. And in 2021, authentic marketing is the trend. But when authenticity is the marketing buzz word, where does that leave clinicians whose profession is built upon boundaries and confidentiality? The simple answer is it depends. In 2021 the boundaries between work and home life are blurred in a way that's not likely to ever change back. Even for therapists and physicians, telehealth visits mean that patients might be viewing you providers in you home environment. The fact that we all have a life outside of work is no longer something we hide, and for most of us, this is a relief. Plus, last summer's Black Lives Matter protests further raised widespread demand for authenticity from even small business owners. Clients and patients expect transparency and authenticity from the brands they buy and even the healthcare practices and facilities they use. 4 kinds of stories clinicians should tell in your healthcare marketing I like to think of marketing stories for clinicians in four categories. The first two are about the personality parts of you that you bring to your work. The second two are about the professional stories that set you apart. Both categories matter when it comes to attracting your audience. Why: These are stories of why you do this work. For some this might be your purpose with a capital “P.” Maybe there's one big thing that makes you get up each day and pursue the work you do. This is you if you had an incident where you or your loved one were sick or struggled and you knew then you'd grow up to work to heal others. If you don't have that one big story that drives you, that's okay too. You might have smaller stories that add up to your purpose. A teacher who sparked your interest in the field or a child who looks up to you for what you do. Sometimes the telling of these “smaller” stories will even lead you to the one big purpose story. Questions to ask yourself: What got you started in the first place? What makes you get up every morning and keep doing this work? How to use it: Tell this story often and everywhere. What: These are stories of what you bring to your work that's uniquely you. I like to think of these as personality stories. People are attracted to people they like, and healthcare is no exception. These are the stories that make you likable. This could be bigger identity traits like your race, gender, religion or even that you're a working mom. Or it can be your interests that make up your personality like running, cooking or gardening. Training and expertise certainly matter, but most people prefer a clinician they simply like and relate to. Questions to ask yourself: What about me attracts others to me? What makes me relatable? What attracts my friends to me? How to use them: Sprinkle these stories throughout your marketing. How: These are the stories of how you do this work. What sets you apart from every other clinician in your area? These are the stories of what you struggled through to learn in your field, the research you did or are doing. How you developed your framework or approach to helping patients to clients. The way you think about the your work that's different than others in your field. Question to ask yourself: What's a way that I do this work that's different from everyone else? How to use them: Sprinkle these stories throughout your marketing. For what purpose: These are the stories that explain where you are going. To what end is it all for? These are the stories of the results you achieve. Depending on your field, you may or may not be able to share specific stories. A pediatrician, physical therapist or dentist can certainly share specific stories and even photos or videos of results (with a signed HIPAA compliant form). A mental health therapist surely can't share specific results, but you can share stories about what's the meaning of your work. You can also share general stories. For example, you could illustrate how you help people with anxiety in general. How to come up with story ideas for your healthcare marketing Think of your life in chunks of five or 10 years. Write down everything you can remember in that time. If it's something you're willing to share, see if you can tie a message about how you help or something your audience needs to hear around that story. I also recommend thinking of every challenge or objection your target audience faces. Identify a time that you faced that challenge and how you overcame it. Identify how you helped others overcome those challenges or objections. This can include your patients or your friends or family. Here are some questions you can ask yourself to generate stories that work for healthcare Was there a moment when everything changed? (Connect that to how you can change something for your audience) What was some important lessons I learned and when was the moment I learned it? (Connect that to how you help your audience learn or practice this lesson) What was something important you accomplished and what did it take to do it? (Connect that to how you help your audience get there) What was something you hard you still managed to learn and what was that like for you? (Connect that to how it helps you show empathy) What was something really special for you as a kid and why? (Connect that to a way you make an experience working with you more pleasant) When was a time when you didn't have the right tools you needed? (Connect that to how you ensure your audience does have the tools they need) When was a time someone went out of their way to help you? (Connect that to how you help others) When did you feel most proud to be doing this work? (Connect to how you are grateful to your audience) When did you feel you were meant to do this? (Connect to how you help others) How to share stories so they resonate Once you have a story, it's important that you describe the moment in time so that your audience can picture the scene. Share small details like the name of the teacher, the car model or the breed of the dog you found. Then, tie the end of the story to an important message for your audience. You can usually find a few messages that work for each story so that you can reuse the story. The more you tell stories, the easier this gets. You'll hone your skills as you continually draw your audience in. As a busy healthcare provider, it's important that you stay involved in your content marketing and social media marketing. It used to work to just outsource all your social media marketing to a marketing agency or virtual assistant. These days, though, when there is exponentially more content posted to social media, and it's harder than ever to get followers and engagement, generic content no longer works. That doesn't mean you as a provider need to spend more time than you have posting to social media. But you should lend your subject matter expertise and personality to the content. This episode covers Affordable ways to get help as a busy provider What parts of social media you should outsource What parts of your social media you should still be involved in Check out episode 39 on how paying your kids to help you on your social media can help you save money on your taxes and help your kids gain experience and even earn wealth. If you need help managing your social media, the digital natives living under your roof might just be more perfect than you could imagine. Listen on this episode to my conversation with CFO Adam Knihtila as we discuss how hiring your kids as young as age eight can help your business. You'll get much-needed help on the age-appropriate tasks they can handle, they get real-life work experience, and you save money on your taxes. Your kids don't pay taxes until they reach $4000. This means that if your kids start buying some of their own necessities with that job income...your buying their shoes with pre-tax dollars. Sounds pretty good, right? Listen up. About Adam Adam Knihtila is a Virtual CFO and Accounting Firm Owner who translates finances into English. He has experience working with many industries but his talents and passions lie in helping small business owners make more money! Knowing the steps to set up your business, price your services, and keep more of your revenue in your pocket are the advantages that he provides to his clients. He’ll take some of the biggest things you HATE off of your plate: processing payroll taxes and forms, bookkeeping, and filing your income taxes. He then goes one step beyond and creates a customized tax plan that fits YOU, YOUR business, and YOUR goals and helps you implement, track, and revise those goals as necessary. Plus, he has been known to tell a dad joke, sing the lowest notes you have ever heard (think Marvin Gaye mixed with James Earl Jones), and spend his free time on the nearest golf course or watching his favorite football team, the Minnesota Vikings.
