Enjoy...It's launch season again! If you're like 99% of my clients, you're likely in the thick of a launch or a scale in some way right now. We tend to find that February to May is a busy season in business each year, and so I wanted to address something that every business owner should know more about: making abundant decisions when business isn't going so well. Every entrepreneur faces challenging seasons at some stage in business. There are failed launches, low sales and generally just difficult moments in their business journey. And while it's easy to sink down into the fear, I believe experiencing so-called failures is often the thing that propels you forward most in your business so you can course-correct to your biggest months, growth and biggest scale.Today, I share with you the step-by-step process I use to help navigate these situations and make decisions that support growth, abundance and long-term success. Sitting in the ShitGive yourself the space to sit in the negative feelings for a moment. It's okay to acknowledge and feel the disappointment, frustration or fear that comes with a challenging situation. Toxic positivity would tell us to override those emotions in our body, however that doesn't help us move forward. We need to embrace and process our feelings to make room for growth and abundance.Coming back to GratitudeOnce we've sat with our emotions, it's time to recalibrate back to the frequency of gratitude. Gratitude is the highest frequency we can be in when it comes to decision making and creating abundance. By shifting our focus to gratitude, we tap into our power and gain a fresh perspective that supports making decisions from a place of abundance.Recommit to Your GoalsIt's now time to re-anchor ourselves to our goals. Sometimes, a disappointing situation can make us doubt our capabilities or question the viability of our goals. But by staying focused on our goals and recommitting to them, we reaffirm that we're still in the game. We must remind ourselves of our power and take the necessary steps to show up for what we want to achieve.Taking Aligned ActionFinally, we need to take action based on our goals and the frequency we've recalibrated to, rather than being driven by the negative stories we tell ourselves. Making decisions rooted in scarcity or protection only hinders our growth and expansion. Instead, we need to trust ourselves, take risks and move forward despite the discomfort. Shifting Mindsets and Chasing Income GoalsAs I grew older, my mindset around money gradually shifted. I set income goals for myself and worked my way up in corporate to reach my ultimate goal of $100k a year. But deep down, I didn't believe that an abundance of money was possible for someone like me.Discovering the World of CoachingOne of the biggest money mindset shifts I experienced was when I discovered the world of coaching. Seeing other women earn money by helping others create exceptional lives inspired me so much. For me, it wasn't about the money itself, but knowing that I could make a difference in people's lives got me hooked. Feeling unfulfilled in my corporate job, I moved into the coaching space with the initial goal to replace my six-figure corporate income. This is when I started educating myself about money management and investing, and Chay has also played a big role in challenging my mindset in this space. As my business grew and I earned more and more money, I had to shift my mindset to embrace abundance and learn how to hold that level of income. I've taken calculated risks but I also prioritise safety, aligning my financial decisions with the things that are most important to me. I really hope this episode is of value to you. I've watched entire programs transform just by tweaking one part of their delivery or adjusting how they onboard clients. Don't overlook the small details and the big impact they can make.5. Streamline Your Offer SuiteScaling doesn't mean adding more to your offer suite. Actually, it's the opposite. Gone are the days of creating offer after offer - that just leads to burnout. Is your life a whirlwind of meetings, nappies, and occasional spilled coffee? Mine too! As a CEO and mama to a 7 month old, it can be overwhelming to balance all of my responsibilities. But, through trial and error, I've managed to create a schedule that works brilliantly for us.Today, I'm excited to share a behind-the-scenes look at how I've structured my days, weeks, and months to keep both my business and family thriving. My Monthly Routine: About two years ago, I realised I was on a non-stop treadmill of back-to-back calls. The only break was during my Christmas hiatus. So, I asked myself, “Why should every week be the same?” My solution was to allow for a “no-call week,” every fourth week. It serves as a breathing space that rejuvenates me, whether it's for deep work, family travel, or simply self-care. My Weekly Routine: My weeks follow a specific rhythm that aligns with the needs of my family and my clients:- Mondays: Every Monday is reserved for deep work so I can start the week on the right foot. I've got not calls scheduled and my mum looks after Sunnie, so I can focus on strategic planning and content creation.- Tuesdays and Thursdays: With our amazing nanny Lauren taking care of Sunnie, these are my main call days. I maximise my call time, ensuring no more than three hours a day to still engage in team communication and creative tasks. - Wednesdays: This is my husband Che's day at home with Sunnie, and my day to immerse in creative work and content creation. It not only helps balance the childcare but helps to create a varied rhythm in my weeks. - Fridays: This is my dedicated Sunnie day. I step away from the desk to spend time with her, only dipping into work while she's napping and if necessary. My Daily RoutineOur mornings vary depending on when Sunnie wakes up. If we're up early, we might go for a walk, and if not, we enjoy some playtime together. I start my workday once Sunnie is settled with her nanny or caregiver.In the evenings, we follow our family routine with Sunnie's dinner, bath, and bedtime. I often find the time after Sunnie sleeps to be productive, allowing me to wrap up the day's work tasks. I wouldn't manage this without my incredible support system. It might sound too good to be true, but with the right sales strategy, it's entirely possible.I recently achieved this for myself, and today I want to share some of the powerful steps that made it possible. My number one tip? Build a waitlist. Even though my mastermind is evergreen, having a waitlist ensured that when spots opened up, we had a pool of eager clients ready to fill them.It's not just about collecting names but nurturing those leads until they become raving fans. If you're not already using a waitlist strategy, I highly recommend implementing one.My next instrumental move was using the same reliable funnel strategy that has served me well since I started my business. That means generating leads through a lead magnet, and then hosting a live event to seal the deal.For this launch, I promoted a lead magnet detailing my biggest income streams and schedule. Over 600 webinar registrations rolled in, but live attendance is difficult to secure so I didn't stop there.I included special incentives for attendees, like a potential one-on-one session and exclusive resources. This boosted the attendance and engagement rates, and in turn my conversion rate. My final tip is to take an application-based approach to your selling. Particularly for high-ticket offerings, this approach empowers potential clients to self-assess their compatibility with your program. It's a tradition I hold dear, taking stock of what went well, what didn't, and how I plan to make improvements in the year ahead. Three Glorious Months of Maternity LeaveThis year, one of the best things that happened for me personally and professionally was taking three full months of completely unplugged maternity leave. Seven years into my business, I reached a milestone where I could step away entirely, knowing my team would keep everything running smoothly and profitably. It was a profoundly emotional experience. The overwhelmingly positive feedback from our clients during this time was the icing on the cake. They praised how well the team, especially Niv, handled everything, ensuring our standards remained high. If you're considering taking a similar break, know that it is possible. With intentionality and robust systems in place, you can enjoy this kind of freedom too.2. The Success of Our Scalable Freedom MastermindThe Scalable Freedom Mastermind continued to outperform expectations. We started the year with a phenomenal 93% retention rate, which was truly inspiring. Even after downsizing, we maintained an impressive 60-70% retention rate. Our systems have tightened up, and our clients are achieving incredible results. I'm endlessly grateful for the opportunity to work with such sophisticated and committed women. Lower Revenue YearWhile it's been an incredible year in many ways, 2024 was not a million-dollar year for us, mainly due to my maternity leave. Despite reducing client contracts by half during that period, the decision felt right. Our focus wasn't revenue this year but on profitability and sustainability, ensuring both my family time and business needs were met. It was a conscious choice that I believe was pivotal to our success and peace of mind.2. Working Late HoursI underestimated how much time would be needed to plan for maternity leave and subsequently reintegrate into the business. Although setting things up more efficiently could have been possible, I wanted to ensure everything ran smoothly for my team and clients. Balancing work demands with being a present Mum to Sunny took extra hours, but knowing I can rely on newly established systems in the future is a relief.3. Challenges with Ad CostsAt the beginning of the year, we faced increased ad costs during a launch, which required us to adjust our messaging multiple times. At the end of the day, it led us to bring in Jane Day to manage our ads, laying the foundation for even more strategic growth in 2025.I truly hope sharing these this with you from my year resonated. My word for 2025 is Peace. After honing in on Discernment in 2024, I'm reflecting on how that played out for me and am also keen to share how I'm choosing to value peace at all costs next year. This year was a pivotal year as I became a mother and I spent a lot of time evaluating what truly matters to me. Journeying into motherhood while running a seven-figure business meant I had to make a lot of decisions about my time and energy. It was about letting go of things that no longer served me and embracing those that did. Of course there have been challenges, but focusing on discernment truly allowed me to make room for meaningful moments, especially those precious first months with Sunny.Now as we're about to launch into 2025, my focus has shifted towards peace and simplification. For me, it's about deliberately protecting the beautiful life I've worked so hard to cultivate. This means boundaries and systems within my business and family life and guarding this peace when modern life says it should be otherwise.Practically in the business, my main priority will be growing and scaling the mastermind through strategic collaborations and an evergreen model. I've done live launches for a long time and love it but it's just not the season for it now and it feels really good to know this. I'm also choosing to stay in my lane. Nothing good comes out of comparing myself to someone else because I trust and know that my path is unique to me. Just because I work in the online space doesn't mean I need to scroll endlessly to see what's working. This season is about confidently knowing my lane and protecting my peace at all costs.Don't get me wrong. Peace doesn't mean boring. I've got so much travel and fun things planned for next year but I plan to embrace every moment fully. I know you love getting a peek of what happens behind the scenes at Swift Ventures and today I'm excited - and I'll be honest, a little nervous - to share my wins and challenges from the first 2 months back from maternity leave.3 of my biggest winsAbove all, I'm so incredibly grateful to have a healthy thriving baby and a healthy thriving business. To me, that's the biggest win. It's an amazing feeling to know I am showing up in both areas, being present as a mum and in my business and it's something I'm really proud of.Another win I'm celebrating is the success of my brand new masterclass which had over 750 sign-ups and a 20% show-up rate. I was thrilled with this result given the current season and it was honestly the best masterclass I've ever done. We had an incredible launch and at this point, we're about 95% sold out. All of that with a four-month-old baby is, I think, a massive win.This season has been very full and I am so grateful for the support system I have around me. Between my mum, my incredible nanny and Chey, who is such a wonderful father, I feel so supported to focus on the business when Sunnie is in their care. The day to day structure we have in place is working so beautifully and I'm so grateful. 3 of my biggest challengesI knew that motherhood would present me with challenges that I hadn't experienced before but I must admit, some challenges have taken me by surprise. One particular challenge has been the lack of flexibility in finding extra time. Those spontaneous late-night and early-morning work sessions aren't always possible now, which means I'm having to adjust to a much more structured work routine and have some really strong boundaries in place. During the already big season of my mastermind launch, there were a few nights when Sunnie wasn't sleeping as well and I found myself going into time scarcity in a big way. I experienced anxious thoughts in a way I hadn't in a long time. It made me realise that I need to acknowledge my limitations and also prioritise my wellbeing so I don't burn out. Looking ahead to planning next year with big business and personal goals in mind is both exciting and daunting. For the first time in my career, I'm planning the year ahead while also trying to factor in the practicalities of life with a baby - who will quickly grow into a toddler. I really don't have any idea what that will look like, so it's been a challenge to know how to make space for that. While my wins and challenges are specific to my season of life with a new baby, I hope this episode feels supportive to you in your unique life situation. Lesson 3: Trusting YourselfMia's final and maybe most important lesson Mia is that we need to trust ourselves. Scaling a business brings on lots of uncertainties and new challenges. If you can't trust yourself, you won't be able to make hard decisions when it matters. Mia advises gathering all necessary data and knowledge to understand where the fear is coming from, whether it's an old core belief or the natural anxiety of trying something new.By breaking down your fears and understanding their origins, you empower yourself to move past them. Embracing imperfections, being raw, and showing up authentically is what makes each of us unique and brings magic into our businesses. In one of my earliest conversations with Mia, she told me she needed something to help her mindset that week – a quick mindset boost. For those of you who may not know, I've just welcomed my beautiful baby girl, Sunnie Marg Robinson, into the world. From unexpected challenges to moments of pure joy, this experience has reshaped my perspective on life and business. So, I'm taking a quick break from my maternity leave to share with you my birth story and the incredible mindset lessons it taught me.Our journey began months before Sunnie arrived. At around 25 to 30 weeks, we discovered she was breech. Though I tried everything from inversions and acupuncture to chiropractics and moxibustion to flip her, Sunnie was steadfast in her position. This initial phase tested my mindset significantly, especially my preparation for a C-section, scheduled for the 11th of July—interestingly at 11:11 AM. Yet, just four days before the planned C-section, Sunnie miraculously flipped!While I had mentally prepared for a c-section, I was overjoyed that I could return to my original plan of a vaginal birth. This experience reminded me of the immense power of mindset flexibility, where embracing uncertainty and adapting to changes became paramount.The next two weeks were an excruciating yet exhilarating waiting game for natural labour to kick in. My heart was set on avoiding induction, so every waking moment was spent walking, eating dates, and doing stretches, all while hoping to trigger spontaneous labour. Just one day before my scheduled induction, labour finally began with a stretch and sweep, igniting contractions almost immediately.Affirmations and breathing techniques were my lifelines. I was deeply rooted in calmness, thanks to hypnobirthing preparations. As contractions intensified, my partner Chay's whispered affirmations anchored me: "You're so powerful," "Your body was made to do this," and "You've got this." These affirmations were soothing and reinforced my belief in my capabilities. They also reflected the mindset strategies I have long applied in business.Arriving at the hospital at 2 AM, I was prepared for the next phase. Asking for an epidural became a saga of its own, extending over two grueling hours due to an emergency C-section elsewhere. This unexpected delay pushed my mindset to its limits. I found myself physically and mentally shaken, but Chay's unwavering support helped me re-anchor into my strength.The key lesson here is knowing you can go further than you think possible. In business and life, we set boundaries for ourselves, but often, we are capable of much more when pushed to our edges.During the final stages of labour involving pushing and crowning, I realised the importance of support. Surrounded by an amazing medical team and listening to our birthing playlist, I felt an overwhelming sense of empowerment. Even when a final push required additional assistance with a vacuum because of Sunnie's large head size, I didn't feel defeated. Instead, I felt an immense gratitude for the support that ensured a safe delivery.As I looked into Sunnie's eyes for the first time, I felt an immense wave of gratitude and growth. Each step of labour taught me lessons about strength, patience, and the importance of mental preparedness. Engage with Your Audience: Just posting on social media isn't enough, you need to engage personally with your audience. Reach out through private DMs or emails to build a connection. In my launch, I found that personalised voice memos made a huge impact.5. Reflect and Adjust: Continuously reflect on your energy and data and make adjustments to keep yourself on track. Stay grounded, manage self-doubt, and remember your past successes to keep moving forward.Energetics and data are both powerful tools on their own, but combining them is where the magic happens. Communicate Clearly: Prepare your words carefully to come across as genuine and sincere and not in any way pushy. Over the years, Nivek and I have spent a lot of time honing and crafting our onboarding system, particularly around our masterminds, because we understand how vital this process is for client success. Task Management & Automation: At Swift Ventures we use Asana to manage our client onboarding tasks, ensuring key steps like contract sending, payment setup, and course access are systematically handled. We also do manual checks for certain tasks to ensure each client gets the attention they deserve. Educational Resources: New clients receive detailed instructions and Loom videos on using our preferred tools and platforms (like Slack and Kajabi) and we know from client feedback that this makes them feel comfortable and supported right away. 3. Data and Analytics SystemLast year, we committed to getting even better with our data and analytics to set ourselves up for making the most informed decisions in the business.Google Analytics and Looker Studio: These free tools provide comprehensive insights into website traffic, user behaviour, and other critical metrics. At the time, we were repurposing our podcast episodes as pins on Pinterest but when we looked at the data, it became clear that this strategy wasn't effective. Understanding the analytics helped us pivot to a more effective strategy. Revenue and Conversion Tracking: By monitoring monthly revenue, recurring income, and conversion rates, we've been able to make strategic decisions to optimise our marketing and product offerings. But I am very excited to share this final episode with you before we dive into a series that I have coined “Biz Insights from the Inside”. Over the next approximately 10 weeks, I'll have my clients take you through the tools, tips, strategies, wins and incredible examples of what they've created and achieved in their business.But before that, today we'll be exploring the top three essential steps I've taken over the past several months to ensure my business remains functional and thriving, even in my three-month absence.Team ManagementThe first vital component of preparing your business for an extended absence is ensuring you have a reliable team. For my lean business model, having one key person I can trust to manage the backend is crucial. I talk about who and what I've set up to support my business manager, and explain the different approach I took in hiring a new team member to support our upcoming season. I also discuss the importance of clear communication and expectations, ensuring the team knows their priorities during my absence.System SetupIf you are preparing your business so it can run without you, you need to have great systems in place. This includes a clear handover and processes for everyone to be able to succeed. For my business, we use a lot of automation with different project management and scheduling tools. This means things like emails going out automatically and payments being followed up on. So, what can you automate in your business? How can you make it really simple? Once you've figured out what to automate, pop that into an automation in your project management software and rinse and repeat again and again. This will give you so much peace of mind and support your team to thrive in their roles while you're away.Cashflow ManagementOne of the most critical aspects of preparing your business for your absence is cashflow management. Knowing your revenue streams and understanding your financials allows you to maintain business operations fluidly. I planned for cashflow management long before my maternity leave, ensuring that even with reduced revenue, the business can support its team and operations. By focusing on forecasting and front-loading revenues, we avoided the necessity of drastic changes during my absence. If you're planning an extended leave or just want your business to function smoothly without your constant oversight, this episode is for you.
