CLAIM YOUR TIME As you produce your podcast each week, how do you get your time back? I've invited Kathi Burns on this episode to help you with your productivity and organization. She is a board certified professional organizer. Your time is something you can never get back. It's important that you use it as wisely as possible. I want to see you spending your time building your business and working with your clients. When you spend more of your time than necessary producing your podcast, you business suffers. SPENDING YOUR TIME EDITING? You may think you can save money producing your podcast yourself. Let's take a look at what that costs you. There are a variety of things you need to do to publish an episode. As an example, we'll say you need to edit your audio, export it as an .mp3, edit your video, export it to file, create your show notes, create your podcast artwork, create your YouTube thumbnail, create a couple audiograms to promote the episode, upload the episode and artwork to your podcast host, and upload your video and thumbnail to YouTube. How long will that take you? I'm guessing 90 minutes to two hours. Let's go with 90 minutes. If you spent 90 minutes of your time hosting a webinar, how many sales could you make? What if you spent 90 minutes on sales calls. What is one coaching client worth to you in lifetime value? In our example, let's say you sell a $2,000 coaching package. Wouldn't it make more sense to spend $200 to have the production done for you so you could spend your time on sales calls instead of editing? Even if you only close one out of every four sales calls, you're spending $800 to free your time for four sales calls to generate $2,000 in revenue. This is how you leverage your time. ORGANIZE FOR EFFICIENCY Now if you're going to spend those 90 minutes watching television instead of pursuing business, keep editing your own show. But if you're going to leverage your time, make it count. The best way to do this is being organized. Plan your week. Plan your day. Batch your tasks. Get focused on what you want to accomplish, so you know where to spend your time. When I create this podcast, I take many of my summit interviews and use them as episodes of the podcast. I record 24 interviews in 3 days. That's nearly half a year of episodes. As I create my daily emails, I write the entire week on the same day. I get my mind in my connection and relationship mode to write great content and connect with my tribe. When it comes to producing your podcast and running your coaching business, there are many ways to save time in your week. But there is nothing better than grouping tasks that allow you to work in your zone of genius. 3 WAYS TO SAVE TIME There are three ways to save time in your week. Batch your work by doing multiple episodes at the same time. Group your work, so you're doing similar work at the same time. Use the same part of the brain. Find the time in the day when you do your best work for each specific type of work. SAVE TIME BY BATCHING First, you can save time by batching your work. This means doing multiple at the same time. If you are recording a podcast, record two or three. When you are writing your show notes, complete two or three. As I write my daily email each week, I write 7 days at the same time. This allows your mind to get in the flow. It will also save you time by getting prepared only once. To record a podcast, it takes time to set up the equipment, get the audio software loaded, turn off all the distractions and all the other prep tasks. When you record two or three episodes as the same time, you only need to do the set up once. It will save you a little time you can use elsewhere. Do this for your other tasks like email and show notes. The time will quickly add up. The flow will also produce better work. SAVE TIME BY GROUPING Different tasks use different parts of the brain. When you record the podcast, you use the performance part of the brain. Editing requires the analytical part. When you write email, you are tapping into the creative side. Each time your brain switches to a different part, it takes time to get into the flow to do your best work. When you group similar tasks together, you will save time because your brain isn't switching modes so often. Find tasks that are similar, and do those tasks at the same time. Many experts I know segment tasks by day. Monday is meeting day. Tuesday is content creation day. Wednesday is podcast recording day. SAVE TIME WITH TIMING Finally, you can save time by finding the right time of the day. We all have our perfect time of the day. I'm not a morning person. I perform best at night. Mornings need to be set aside with few interactions with others. However, I was just on a call with a client. She is a morning person and told me she works best between 3:30 and 5:30 in the morning. When she was on a training at 6p, she found herself getting irritated. After 4pm, she often gets exhausted and cannot be effective. Find the time of day when you do your best work. It will be different for different tasks. You'll present better at one time of the day and you'll do analytical work at a different time of day. Everyone has heard of FOMO, but have you also heard of FUD? I hadn't either, until a recent conversation with my son Andre on the topic of bitcoin. FUD stands for Fear, Uncertainty & Doubt and I am going to guess that these emotions are something you are more than familiar with, especially during these last couple of years. Once I heard the term and learned its history, I actually scrapped the podcast I was planning to create for this week and recorded this one instead. I hope you agree that it is both timely and relevant. The acronym FUD was coined in 1975, but variations of it have been used back to the 1920s and even in the late 1860s. It is a propaganda tactic used in politics, polling, public relations, sales and marketing, and inside cults. FUD involves disseminating negative and false, misleading, or dubious information with the purpose of evoking fear. That fear is intended to manipulate people into remaining loyal party members, clients, or customers by highlighting the perceived risk of exploring alternatives. From fake and conspiracy theories to the sleazy tactics of ‘bro' marketing, examples of FUD in modern culture are too numerous to count.
