Steven Rogelberg: Glad We Met Steven Rogelberg is an organizational psychologist, holding the title of Chancellor's Professor at UNC Charlotte for distinguished national, international and interdisciplinary contributions. He is an award-winning teacher and recipient of the Humboldt Award for his research on meetings. He is the author of Glad We Met: The Art and Science of 1:1 Meetings*. Many us appreciate the value of 1:1 meetings with employees. For a lot of managers, it's one of their biggest time commitments. And yet, nobody ever taught us how to do it. In this conversation, Steven and I discuss how to actually structure an effective 1:1. Key Points First and foremost, a 1:1 meeting is for the direct report. A set schedule for 1:1's with your team reduces bias by ensuring you connect with everyone, consistently. A loose framework is better than a lock-step agenda. Two approaches help: the manager proposing a core question or listing out topics that the direct report brings. Avoid status update meetings by articulating the purpose of 1:1's and dedicating agenda time (or future meetings) to bigger picture topics. Skip-level 1:1's are valuable for both employees and senior leaders. Avoid undermining another leader by approaching the meeting with the mindset to support the employee, rather than making decisions. Jason offers communication tips for business owners on how to build rapport with customers.   EPISODE HIGHLIGHTS: According to an independent study, the average response time for most businesses is more than 12 hours.  Almost half of today's customers expect a response to their inquiries in under 4 hours. 12% of customers expect a response in 15 minutes or less.  Time to resolution, the window of time required to solve a problem or answer a question, is a metric business owners can monitor.  Set up automated replies to acknowledge the person who emailed or texted you - your inquiry was received, we're working on it and we'll get back to you. Automated chatbots can be programmed to recognize specific questions or keywords. Chatbots are an excellent customer service tool for answering common questions.  During business hours, hire virtual assistants to respond to inquiries to ensure a prompt response time and to provide more personalized customer support.   It's all about creating a great customer experience and building relationships.    3 KEY POINTS: First response times need to be quick. It's okay to acknowledge the inquiry instead of providing a full-fledged answer or a resolution. Setting up automation may take some time and work, but it's great for responding to people who post inquiries after business hours or during weekends. Key Points: First, start with validating the problem. Just because you think it’s a problem, doesn’t mean others agree. Sometimes, people will guide you towards other ideas you hadn’t considered, or reveal that they actually have bigger problems they’d like solved. Ask people what they think! Carrie from Little Nugget (and a guest on the Better Product podcast), made a powerpoint and shared with other moms who she wanted to help.  Ensure that you are talking to the right person. I’ve talked to startups that are solving problems for retail consumers and they forget to talk to the store owners. For example, if you had an idea to create a parking app for grocery stores, you could validate the idea with the shoppers and hear things like “That’s a great idea, it’d make parking so easy!” But in that case, you’d need to also be solving a problem for the grocery because you can’t build something without their buy-in.
