The highly contentious battle over fluoridated water could be picking up steam again, despite many being over it. New Zealand First's new Member's Bill seeks to repeal the laws from 2021 giving the Director-General of Health central decision making authority. It would also mandate binding local council referendums. Dental Association Policy Director Robin Whyman told Mike Hosking the legislation already went through the whole select committee process where the public was consulted. He says there was a weighing up of the pros and cons so it's not fair to say there hasn't been any input from the public, and at some point we have to stop discussing it. I just saw an article stating the “Washington State Dental Association (WSDA) is coming for Delta Dental of Washington (DDOW).” The name of the article is called, “Putting patient Care First: Fixing Washington's Broken Dental Benefits System.” They stated that it's “the battle over dental benefits.” Well, they got it partially correct.When I read the article to this point, I started to get a little bit excited. I began to think that they finally got it. They understood that DDOW is coming between the dentist's ability to deliver quality dentistry to their patients. I began to think that WSDA finally understood what was meant by the term LEPAT (least expensive professionally accepted treatment) and how dentists could offer MEPAT (more expensive professionally accepted treatment) dental services without interference from DDOW. I was disappointed when my eyes passed to the next sentence.Support the show

So talk to us. What's one piece of advice you can give us this Monday morning? Bob: As we discussed off the air, the one advice I can give you definitively is to join the American Dental Association. And that comes from someone who criticizes them on a regular basis. Michael: So let me ask you this why join them and what do you criticize them about Bob: first of all, let's talk about the positives I don't like to talk about Negativity first, everybody can improve things, right?so why should you join the American Dental Association because for a hundred and sixty three years dentists like myself have contributed to building this huge organizations. We are the fourth largest lobbying power in Washington, DC. Think about it. Hospitals, physicians, all these physical therapists, all these health care organizations.We are the fourth largest. Representatives and senators and politicians know our lobbyists by name. So it is important for us to have proper representation. The government will bring different, ideas to the table. There are a couple of them going on right now that we should be opposing. And we need to have a voice there.So if you do not join the American Dental Association, and if you do not contribute, do not just write a check and go to your offices and say they don't do anything. We need to get involved. We need to have a voice within organized dentistry. It's basically for advocacy. Michael: We're advocating for our patients first. and then the profession. Our oath is to the,patients and then the profession. So that's basically why we should, join. Why do I criticize them? I don't criticize them to weaken them. I criticize them to make them better.Bob: Every, time we, as an advocacy coalition, criticize them is an opportunity for them to correct things and be stronger and attract more people. For me, lack of communication between what the American Dental Association does and the members, that'sbeen an issue. Also lack of focus. To what is important, for the benefit of our patients and the benefit of the profession.I feel like we need to reiterate to them what is important so they can concentrate better. Michael: So you mentioned that we need to participate more and not just cut a check and then, you know what I mean? go back to practicing, but then you also mentioned there's a lack of communication. So do they even listen?Bob: If we participate.They are listening. I guarantee you that they are listening. I have this facebook group dentistry in general. They are part of it. I have heard that they are listening and they are making some changes. Is it fast enough for most people? I don't know. That's why I have created this advocacy coalition that includes 30 people past present American Dental Association leaders and well known people within the dental community to help guide them.We have a platform, a six pillar platform that we have presented to them, and we're going to be at the House of Delegates Trying to contribute positively. I want everybody to understand we're not here to weaken the American Dental Association. This is all for making them stronger. Michael: Gotcha. Okay. So it's more like we're just sometimes, downhearted because it's not moving at the speed of our expectations.Bob: there is a, myth that the ADA can do everything. This is a capitalistic system that we live in, right? Michael: There Bob: are laws and there are rules that when a dentist Criticizes them that oh, why can't we have the insurance companies pay more? That's not the job of the American Dental Association That's illegal.We cannot to have Another company pay us more. These are things that we cannot control. A lot of times dentists criticize the ADA for things that's out of their control. Obviously they're struggling and they see their patients being affected. So we naturally want these things to happen, but we need to be realistic.The way we can affect all the things they want is by making sure we know what legislation to support. what issues we can push through the politicians through legal ways to make a positive effect. Michael: Gotcha. So then what can they control in simple terms and what issues right now do you see most trying to push?Bob: Right now two of the most important things is the dental loss ratio, which is identical to the concept of medical loss ratio that the Affordable Care Act brought for medicine. We want the DLR for dentistry. Unfortunately, ADA, in my opinion, agreed to a plan that is not What we should have agreed to so we need to be outspoken and we need to be involved in creating the better than a loss ratio one that was passed in massachusetts Called question two a lot of this information is on my youtube channel on my facebook group So if people need to find out more and educate themselves contact me educate yourself These are the most important things You that are affecting our profession and our patients.That should be the number one thing. We advocate for patients first, not for ourselves. And the second thing is Medicaid laws are being ignored in every state and people will say, why should I even worry about Medicaid? I'm fee for service. I'm a PPO. I don't take Medicaid. Medicaid laws dictate.every insurance law that there is. As Medicaid goes, so does the private insurance. Michael: Gotcha. So we should be focused more, especially if we're heavily insurance, but like Medicaid. Bob: We shouldn't be focused on it, but we should look at states to enforce Medicaid laws that are there. I have a YouTube video on this subject that goes into details of what it means.All we want is to prove to politicians that this is good for the patients and let's enforce it. Michael: Okay. And so doing this. The first steps, if we're like, ah, should we join? Should we not join is joining, right? Continue to join, continue to be a part of it. And then now, if we wanted to start having our input into it, we do what?Bob: The alternative is what? Sitting on social media complaining about our problems, right? And what's going to happen? Nothing. Zero is accomplished by not joining, So joining and getting involved is important, and then support the coalition. Dentistry in General Advocacy Coalition will be out there presenting ideas.It's not a, organization that collects money. I'm covering all the costs because I don't want people to think that this is a profit generating organization. This is to help younger dentists. For years to come. We want to make sure the profession is protected and our patients are protected.Michael: Gotcha. So right now, Bob, me a percentage from one to a hundred? How much of a percentage do you feel protected and your patients protected? Bob: Listen, we are fighting different wars on different fronts. The corporate intrusion into healthcare is something that everybody knows about, We have insurance companies. That's another corporation intruding into our profession and into our patients well being. So for me, to put a percentage on it, I'm an optimist, right? I'm a, Glass half full. I say something that a lot of dentists rolled their eyes at me. We are a lot like. Hairstylist, Then doctors. Why? Because you will drive two hours to see your hairstylist The personal relationship dentists form with their patients is very important to them. So I still believe we have a chance. of keeping corporate intrusion at bay.We can't prevent it. It's there, However, if you create this professional and compassionate relationship with your patients, they will travel to come to you, but they also pay out of pocket to be out of network with a lot of these insurances. So it's important to understand that. So I would say We are still 80 percent strong, my friend.Some people may be less optimistic as I am, but we want to make sure we keep it at 80 percent and we're not going to go down the road medicine took. Michael: Gotcha. Okay. Awesome, Bob. I appreciate your time. So talk to us. What's one piece of advice you can give us this Monday morning? Addison: Yeah. So the one thing that I've found in the data recently picking through the business, the phone calls, uh, you know, new patients is that online scheduling leads to a huge increase in new patients.But it's not that they are actually scheduling through online. It's that once they go online and then they see that you have availability, they will still call the office. So what we found was that when you didn't have online scheduling, phone calls to the office dropped, even though web traffic was the same, Facebook, uh, you know, traffic was the same.But when you opened up online scheduling, people click that link and you, of course, you have people that click those links that they see, you know, the availability and stuff, and you have a significant portion that don't schedule. But we did see that even opening up online scheduling allowed for more phone calls to the practice just because you have online scheduling.So my big key piece of advice here is that. Even though you might not see a ton of appointments coming through your online scheduling, maybe it's only 10 a month, or maybe it's only 15. But that is still super important for the other 15 or 20 or whatever appointments that come through because of just people checking that online scheduling calendar and then still calling in.Michael: Interesting. How'd you figure that out then? Would you ask, was the front team asking, Hey, where'd you find us? How'd you find us? Addison: Um, well, basically I was just, I love to watch my phone data. I'm like, I'm always looking at, okay, Google. How many clicks are we getting over to our website from Google? How many are coming from Facebook?Um, so just watching all these trends. And then when my online scheduling broke, uh, that's when it was like, something is off here. I'm like, well, why is this not working? Um, of course we saw a drop in online schedules as well, but it was a more significant drop than that. So sometimes it's just the crazy instances where something breaks and you're like, oh my gosh, this is something is up here.that really led to that insight of finding that. Michael: You mentioned phone data. Yeah. What do you mean by that? Like, are you watching? What are you watching? Addison: Yeah, so I check my phone data every week. Um, I go, I use Mango phones. Mango voice is super easy to set up. Um, you can watch, you know, when are most of the incoming calls coming in.Uh, you can also watch when are most of the outgoing calls being made. You know, either following up with patients or confirming their appointments for next day. and basically, I try to dig through to see when are the spikes in incoming calls, when are the spikes in outgoing calls. Of course, outgoing is a system of the practice and so, You know, we can make sure those two peaks are not overlapping each other to make the front desk feel overwhelmed.And basically what I learned was that most of the incoming calls are between 8, 7. 30 in the morning and 10 a. m. and so, okay, hey, let's wait until 10. 30 before we start making outgoing calls. Like, no one should be calling out early in the morning unless it's to fill an appointment for that day. Like, you know, don't be doing any of those mundane tasks or following up on collections.Don't do that until after 10. 30 in the morning. Uh, and then days of the week, like when, which days of the week are most active? When should we have all hands on deck? When should we give people their half day off or something? Or when, you know, if you're going to run errands, when should you be running them away from the front desk?And then also looking at that phone data to see how many phone calls are getting answered in general. Now I track that scorecard. Um, the last couple of weeks I've been at 92. 2%. Of all phone calls coming into the practice get answered by a person. and that includes even after hours calls. So, obviously when we're closed, we're closed.But, um, and that's probably about the 8%. But we do miss some calls during the day. But, uh, that's the average of all the time, you know, the whatever 160 some hours a week. Um, we answer 92%. Now, that is a really good, um, a really good number. I've seen it though in other practices across country where it's been pretty bad, like 60%, sometimes 40%.And of course, if you're trying to get new patients in the door, or you're serve your existing patients, if you're not answering the phone, that's pretty bad. And so you could be wasting tons of money, on marketing or internal marketing, or just you could be losing your existing patient base, because if they call in, And they don't get to talk to anyone, they're going to get pissed off.And so, that's just one thing to put yourself in their shoes. And it's like, man, I try to call my dental office and they never pick up the phone. And it takes them an hour to call me back. Like, that's just irritating. You know, if that's what you think about your general practice physician, or heck, your barber.Or any other person in your life, if they don't ever answer the phone, you're going to feel kind of slighted. As dentists in the dental office, we should absolutely be aware that that phone call answer rate is a huge customer service indicator. Michael: Interesting. Okay. So then you mentioned it spikes early in the morning.Do you have people answering that early? The phones? Addison: Yeah, we actually bring in, um, the front desk starts at like 7 15. A couple of people come in 7 15, one comes in 7 30. Everyone then takes a break at 7 45 because we go do cuddle for about 10 minutes. Um, but you know, people always text, you know, early in the morning or they leave a voicemail and they say, Hey, I'm sick.I can't come in today. So I always want the front desk team to be there about 45 minutes early so that they can start managing the schedule. And so their most important job, you know, a make sure the waiting room is clean, but that should be done 5 PM the night before. So they should come in and just manage the schedule.If there's holes that pop up like Swiss cheese, let's fill those holes. Let's make sure that every, you know, appointment is the appropriate length. Cause if someone does, Hey, I only want to do one extraction today rather than full mouth extractions, well, let's, let's shorten that appointment. Let's, you know, fill something in after that.So, they double check all that, uh, just to prepare for morning huddle, because morning huddle is that huge communication time when they can then say, Hey, if you wanted to add in extra treatment, do it right here. Um, you know, we had a couple patients drop off, so if you wanted to do some same day or if you have an emergency, let's throw them in here.Stuff like that. Michael: Gotcha. Okay. And then what days of the week would you say are the spikes? And then the days where it's like, no, it's not a good day, half days are here. Addison: Yeah, the, it's usually Monday is close to top Tuesday's top Wednesday, Thursday, Friday is like a slow downward slog. Michael: Interesting. Okay. So, Monday, Tuesday, all hands on, that kind of thing.Addison: Yeah. Yeah. So, Tuesday, I don't give anyone time off up front. Uh, Monday afternoon, one of my employees goes home at like two o'clock. And then, yeah, Wednesday, Thursday, and then Friday, everyone else gets a half day off as well. Nice. Michael: Okay. And then you mentioned a weekly scorecard. Cool. what is that? Addison: Yeah.So it's, you know, like if you wait till the end of the month to run your numbers, look at your profit and loss statement, look at your month end analytics, whatever, you know, whether that's an online dashboard you get or whatever, however you run your numbers, if you're waiting till the end of the month, you're going to miss so much data.And so when you look at it week by week, I always go in Sunday night, Monday morning, like sometimes the first thing I do Monday morning at like 5am when I wake up. Is like I go through and I run the numbers from the past week and that is takes about 10 minutes Maybe five to ten minutes and I just pull about 25 of the top numbers and that was kind of the basis for my first book by the numbers super short little read there, but it's basically like okay.What should you look at every week? leading indicators because you can always look at the production and the income later on. I mean, that's like, that's the end of the month. See how you did, but you want to look at like, what are your treatment planning? what's your phone answer rate? How far out are you scheduling?What does your accounts receivable look like? You know, and those little things, it takes me about 10 minutes and I don't. Um, give that to any other employee. I could totally pass it off and some other team member could do it, but I actually want to be the one doing it because it gives me all the indicators of how I need to lead the team that week.You know, it also gives me the wins. So in that morning huddle, I could say, Hey guys, you guys are killing it. 92. 2 percent is a great phone call answer rate. I'd love how everyone's helping out. Like we have a phone in the back sterilization so that if it's ringing and it's like, Oh, that's three rings.I should pick it up. sterile tech could pick it up. or, you know, like, Hey, our number of fluorides versus the pro fee rate, you know, so our fluoride delivery rate drop below 80%. Let's just make sure to pick that up this week. Let's make sure we're offering fluoride to every patient who needs it. Um, that sort of thing.or treatment plan, you know, like, Hey, Last week, for whatever reason, we just didn't seem to treatment plan as much as our normal average, you know, just make sure that we're spending the time educating our patients and like teaching them what's going on with their mouths, and hopefully we can get that back up to our average.So stuff like that, and doing that weekly, I think it's just the most appropriate cadence because Sometimes I can't remember what happened, what I ate for breakfast. And if I, you asked me what happened three and a half weeks ago, I'm absolutely not going to know. But if you ask me Monday morning, like how did last week go?I was like, well, I took a day off. Okay. Well, of course the numbers are going to drop pretty significantly if I take a day off. So just knowing that and doing the weekly scorecard, and I just have it in a simple, dumb spreadsheet and I just go line of data is just another row down. And some of the data cells are color coded so that they show up like more green if they're good and more reddish tones if they're bad.And so, yeah, that's what I do weekly. Michael: you have that in one of your books? The weekly scorecard? Addison: Yeah. So that's in the by the numbers one for sale on Amazon. Michael: Okay. Okay. So we can find it there. Look at it. Cause each, I guess sometimes I feel like, and I'm speaking for myself, but like other people, you tend to put all these other analytics on there and you don't really know what's the most important.I mean, maybe like you do, right? Like production collection, things like that. Right. But then there's stuff where, I don't know, you're worried about when it comes to marketing, like impressions. Right. And you're like, is that butts in chairs? What is that? No. Kind of thing. Addison: Yeah. And so that's, yeah. And that's the biggest thing that I think some of the analytics tools out there, they, they love to feed you data.They love to get your dopamine rush with like bright colors and graphs. But sometimes I think the most educational thing is dumbing it down to the simplest level and just being like, no, like we need to answer the phone. Like that's because yeah, impressions are obviously important, but that would be one of like that level of data digging in there would be like a, let's do that once a month type thing on my.If I'm going to dedicate like two hours to reviewing all the marketing efforts for the past month or the future months, let's do that on one day a month. But then this weekly scorecard would just be like, Oh, you know, the phone call is not getting answered. Or maybe you have the other problem. Maybe you're booked out really far.And so one of the well, two of the things on the scorecard are how far out you're scheduling both in hygiene. And then in the doctor side, and so like what's the next one hour free block of doctor time where I could do like a crown or a simple root canal, something like major, like when's the closest new free hour?Is that four days out? Is that today? Or is it like 26 days out? And if it's 26, oh man, maybe e. You need to either look at hiring another assistant if you have chair time, or maybe you need to think about an associate. then again on the hygiene side, it's like, okay, when is the next hour and a half new patient block?Because if a new patient calls your practice and says, Hey, I want to join your practice and you say, well, great, I'll book you in four months. They're going to say, well, thanks, but no thanks. I'll call another office. And whereas if it's in like the next seven days, if you have like an option in seven days, they're going to be like, okay.It's maybe, Oh, I've got three options in the next two to three weeks. That's much more normal. Um, but you know, of course, I think we see a lot of dentists across the country who are scheduling out pretty far and that's where it's like, okay, well, let's maybe change what kind of patients you're going after.Maybe you need more emergency patients. Maybe you don't want them in hygiene. Um, or maybe you need to consider dropping some insurance participation, which would thereby lose you some patients, but it would Probably gain you more higher paying patients. So there's so many levers to turn, but by watching that weekly, you can see some of those indicators and it's, and it's, yeah, like I said, they're super simple.Um, almost to the point of, you know, just it's black and white numbers, but, uh, they are mostly instructive forward looking metrics that will help you kind of guide what decisions you want to make. Michael: Hmm. And then real quick, have you ever seen like a, like a, like a Uh, in your performance, it's spike and you're like, man, that was great, but maybe it might've been a fluke or you know what I mean?Where it's like, what did we do that week? And we're like, we didn't really do, I don't know what we did kind of thing. Does that happen? Addison: Oh yeah. Or yeah. Or, or drops and you're just like, well, what the heck? Like, and, and so, yeah, you always see those and you know, sometimes it's a, it's a, it's you just didn't treat my plan as much, but every patient accepted something and you're like, I got 100 percent case exceptions, right?And so you're super happy and you're like, well, that was just a fluke of, you know, you had a bunch of patients that love you and trust you. And so, yeah, sometimes you, you see that. Um, so it's always good to kind of watch when you watch these numbers with a weekly frequency, they're always in your head.And you kind of understand them. You don't have to kind of review back of like, well, what's the average or what's the high, what's the low. You just kind of know, okay, well that's a good number or this is a bad trend. And of course, one week of one bad number is not going to affect you. But when you start to see like, man, three numbers above that on the spreadsheet don't look very good.That's when you start to see, well, three or four weeks, that's a trend. And that's where. The data isn't, you know, just noise. It's actually a signal telling you something is wrong. Michael: Interesting. Okay. And then real quick, I know all the, that was your first book, right? You've come out with many more since then.Addison: Yeah. So we got, yeah, seven more. I think we have the dental operations manual, the dental marketing manual, the dental front office manual, the associates manual, the startup and the acquisitions manual. Cool. Oh, and the dental supply ordering manual. That's the one we just put out. I should remember that first, but, uh, that's a little bit of a smaller one. It's only like a hundred pages. it's the manual size. It's got tons of spreadsheets and stuff. Cause man, us dentists, we get ripped off a lot by, Companies that sell supplies for more expensive than they should be.So that book will save people like 20 grand right away. So that's, that's a big, big one. But the next book I'm excited about that'll probably be coming out in about a month to a month and a half will be the dental assisting manual. And that one's going to be really cool. So that if you're out there trying to train up dental assistants and teach them, okay.Cause I mean, a lot of us have good dental assistants, but like, what does it take to be really, really good? Like what thought processes, what systems can you put in place to help train up somebody maybe from scratch to be really, truly great. Um, and like, how should you set up those systems to take them from, you know, rookie to rockstar essentially.Michael: Nice. Awesome. What's one piece of advice you can give us this Monday morning? Shahin: Well, first of all, thanks so much for having me. I appreciate the time and the opportunity. this notion we're talking private sector, we're talking practitioners that want to stay in the private sector.So we're not talking DSOs, we're not talking DPOs, we're not talking multiple practices and. multiple associates and 25 or 30 plus employees in a single small business, in a single dental practice, small business in the private sector. What you need to focus on is you need to focus on your financial numbers.The health of your business trumps everything else. and the more old school or, or seasoned dentists that, you know, got licensed in the eighties and the nineties, and maybe even a little bit later, Their thought process is that we need to focus on the patients and the patients come first. Well, I tend to say, yes, patients certainly have value when you're working in your business, but when you're working on your business, everything, is trumped by the health of your business.And that comes from your financial numbers. So If you are a private dentist in the private sector, you want to focus on understanding your financial numbers. And that's really most important because if you have a healthy business, you'll be much better capable and able to take care of your patients in your community at the highest quality possible.If you're in a stressed environment and you have financial stress in a business. And you have to try to meet payroll. You have to try to pay rent. It becomes a lot more complicated as far as the efficiency and patient experience of what, um, your patient and your community will experience at your practice.Michael: Okay. So then, break it down for us. What's the health benefit? And what does it healthy look like? Shahin: Yeah. So, you know, there, there's a lot of notions as far as what you need to net out of a practice. Ideally, you want to net at least 30 percent as a private practitioner or more. ideally you want to get, I mean, even some of the more seasoned dentists that really understand how to efficiently run their business.they're over 50 percent on their net, from their practice. So if you are in a practice, it's a million dollars. Do you want to be in a situation where you're netting 200, 000 or you're netting 400, 000? That comes a lot from the practical components of how much attention you pay attention to the financial numbers.So I would say minimum you want to be 30 percent net, um, out of your, uh, business. Michael: So then what financial numbers should we start paying attention to right now? If we're listening to this and we're thinking, okay, I have a analytic software, we're looking at the numbers. What do we got to pay attention to?Shahin: Yeah. Look at your expense report. Um, and so there's the practice analysis software that if you've been in business for three to five years, you should incorporate, um, but you also have to look at your bookkeeping and your expense reports and the key number that you want to pay attention to right out of the gate is payroll.Um, payroll is one thing that's really out of control in most dental practices that we're discussing here today. Okay. So, um, I think that's a really important component of, what you need to pay attention to. First, that's your biggest expense. Then obviously you've got to deal with rent. You've got to have a distinction between fixed expense and variable expense.Fixed expenses are payroll, are your rent, are your office loans or business loans that you're holding every month that you have to pay out, to every single month. Variable expenses are a little bit more your marketing, your supplies and, and some other, factors that come in, but you have to really pay attention to, to payroll.I think that's one key component that a lot of doctors are really overlooking. And what ends up happening is complacency comes into play, empathetic. Doctors are paying attention to the, employees that they've had longterm in their practice. And so we have to understand again, financial numbers trump everything else.The business health trumps everything else. If the numbers don't make sense, it's time for you to make some decisions. Michael: That's interesting. So then when it comes to the payroll, being out of control. What is out of control? What have you seen? Shahin: Yeah, so, one key metric that a doctor needs to pay attention to is production per hour.what their production per hour is dictates a lot about a practice. And you want to target being 600 per hour plus. if you're a private practice owner and you're at 300 an hour, 400 an hour, you're not really running a very efficient business. You want to be a macro producer. And there's a lot of discussion in this, and we don't have enough time to get into all the details, but.An important metric to pay attention to is when I am clinically in the practice, what is my production per hour? And we notice that if your production per hour is low, payroll is going to go up. And so many times what we recommend is you have to be innovative. In order to create ideas in order to grow your business, or the other option, obviously, is you don't have to be open five days a week in order to hit your production.If you're producing Um, 400 an hour and you're coming home at, you know, 3, 000 days, five days a week, you can do that in three or three and a half days, you don't need to be open five days a week that automatically reduces your payroll. Michael: You mentioned being innovative to grow your practice. What have you seen where they're like, wow, that's, that's innovative?Shahin: Yeah. So there's not much innovation in doctors. Um, and unfortunately the reason is, is because we're not business owners. We're not, we're not built and developed as a business owner or clinician. So many times what we end up doing when we want to learn to be innovative, we go and learn more clinical dentistry.But the reality is, is to be innovative means. Things like this. How do I build a system or an operation in my business to where I'm able to maximize. lead generation at the top of the funnel. We're talking now sales funnel. How do I maximize lead generation? How do I maximize my ability to engage with the leads?How do I optimize that engagement to convert into new patients in my practice? And how do I optimize those new patients to say yes to me? And so that system or that operation is basically. Pretty much nonexistent in most private practices. So one of the things that I would highly recommend on the innovation side is you've got to upgrade your business to 2024, which is where we are today.Still, many practices are lacking the systems. The technology and the software in order to run an efficient operation. And so that's the first thing is really take a look inside your operations and see where you're lacking, where you're not up to date in what standard practices are today.upgrade, update yourself, and then build these systems and operations in order to maximize the potential lead generation coming in. Cause at the end of the day, one great way you can grow your business is by getting new patients to say yes to you. Michael: So if we're looking at our operations right now and our systems, how do we know we need to upgrade it?For example, if we're like, I'm just going to give you an example, right? I'm going to say some names. So we're like using. Solution reach, right? Like old school solution reach and stuff like that. And there's new software coming out and all these things, but as a practice owner, how do I know, you know what I mean?Like if I'm not even, so, Shahin: so let me give you a couple of examples. If you're still traditionally, if you still have a traditional phone system and you don't have a VoIP phone system, you're outdated, meaning. When a new patient calls, they're all centralized in one area or one phone line, you're outdated.So, what you need to do is create yourself a VoIP phone system. That VoIP phone system will allow you an opportunity to separate. So when you call my office, it will say, if you're a new patient, click one, all other callers click two. Well, here's how it starts. If you're a new patient, you click one, you go into a certain funnel in my business.There's a different person that's a dental concierge that's going to connect with you. That concierge is going to be an individual that is going to be your point of contact through your patient experience at my office. And so now you have a point of contact, we'll name her Jill, who you can go to every single time when you have administrative questions, insurance questions, scheduling questions, what's next.questions and financial questions. That is your point of contact. Now in more complicated practices, they'll have obviously an insurance coordinator. So there might be some, some, uh, steps or some others that are going to be involved behind Jill that are going to support you. But that's one thing. The other thing is, is we have to have a phone tracking system.So we need to be able to listen to phone calls, actually listen to phone calls, not have the phone call software and not listen. So you can have the software and not take advantage of it. That becomes an expense. If you have software and you take advantage of the software and its capabilities, that becomes an investment in your practice.So you listen to the phone, um, You understand why you have a poor engagement in your front. Desk with the lead generations that are coming in. Remember the only responsibility of a marketing firm Is to generate leads for you and nothing else So everything else as soon as they trigger that lead the marketing firm's job is done Now it's your internal team that takes over and this internal team is a team that the doctor is not innovative enough to understand how to manage How to run like a professional organization.At the end of the day, the owner is a dentist, but first he's an owner of a corporation. That corporation needs to run like a professional team, which means that dentist owner is the vice president and the general manager of the talent. That he has on his team. Well, how do you manage that talent that's on your team?What ends up happening is that owner dentist opens a dental practice, forgets about the corporation, forgets about the professional environment, and just wants to practice dentistry, doing the type of dentistry that they want to do. So they open a practice to become self employed. They don't open a practice to run a corporation.So innovative means this mindset that I am first a CEO of my corporation, and second, I'm a dentist practicing within the corporation. That's why we have a W 2 draw for the owner dentist. Michael: Interesting. Okay. So that's on the Shahin: top of the funnel, right? So talk to us. What's one piece of advice you can give us this Monday morning? Rubi: Hi, Michael. Yeah, of course. Um, you know, thinking a piece of advice that I, I remind myself constantly when I feel overwhelmed or I feel like I'm being extremely challenged by something I'm going through.And it's from a book I read called the art of exceptional living from Jim Rohn. And the quote goes like, this is the greatest value in life is not what you get. It's who you become. And for me that's so important. And something to keep in mind as a leader and a people manager and, and being part of a startup business.as I am, as I, as I'm part of, sometimes we go through things that seem very challenging in the moment, and I'm sharing this advice because this quote makes me. Put things into perspective in the sense of I try to not think about what is this challenge? Giving me right in the sense of like, this is causing me a lot of trouble to do or this is like a painful learning curve.I'm going through. I try to think who am I becoming? Am I becoming a better person? Am I becoming a better leader? And when you put things into that perspective, it makes things seem better and it makes you be able to feel a bit of more comfort in the sense of this is an obstacle or something that I have to go through to become a better person or to become a better practice owner to become a better general manager.And that's the piece of advice that. You know, I wanted to share with everybody today and not only share it with you, but also remind myself, right, of how important that is, at least in my life and, and my philosophy in leading and managing people and myself. Michael: When do you find yourself? Reminding yourself of this more often.Rubi: I find myself from, you know, we, I go through challenges, right. From a work perspective, I'm part of a business, um, that is considered a startup or scale up business. I work at the dentist supply company and we have a mission of serving solo practitioners, dental practitioners. And we go through challenges that, you know, are we ensuring the right price and are we delivering on time for customers?And in some cases we aren't, and there's things on my control and there's things that are not on my control. And some of these challenges seem pretty overwhelming. And I find myself reminding. Myself of that quote, when I go through those challenges, right, I put myself in the shoes of who am I becoming and who am I serving to be able to feel more at ease with going through that process.That can feel very uncomfortable while you're going through it, but when you come, you know, when you surpass it or when that period is over, then just thinking of who have you become after it, it makes you kind of reflect on how it was worthwhile going through that challenging time. Michael: Hmm. So what are some of the most common challenges you've seen when it comes to supplies and with the clients you work with?Rubi: Yes. Um, so one of the most common challenges is always ensuring we have the right price for customers. That's something that we promise to do. That's something that we take very seriously in doing, and we are an eCommerce business and. every day prices change online, right? So how do we ensure that we have that best price?And we've recently implemented technology to be able to understand prices across the board and the internet with, you know, other e commerce players. And, that's a challenge that. We've had to go through, like, how do we make the best of this tool? How do we deliver to our customers on this in a way that's scalable?And we're growing through that, that program to ensure that we do provide that best price. Um, but it's, it's one of the things that, you know, that's been a work in progress, that it, it takes time and you have to remind yourself that although you want to, you know, get to the finish line tomorrow, it's not, you know, it's, it's a process and ensuring that.You consistently review having a competitive price that you can deliver to your customers is an everyday thing. Michael: I like that. So then to you, what's the difference between in supplies when it comes to supplies and a practice is ordering it. Looking for the best price and the lowest price. What's the difference between best price and lowest price?Rubi: Totally. That's a great question. So the best price, I think it's a combination from my perspective on the lowest price, the best delivery. Level, right? Getting it next day or, or in two business days based on your needs and ensuring that the product is in stock.I think those three elements in the e commerce environment and for dental practices, needing supplies is what should compose the best price because potentially it may not be the lowest, but it could be close enough. And you can ensure that you get the product next day or the day after. And. You also ensure that you know, the item is in top in stock, which helps with of course that delivery that delivery time.Um, so I would say a combination of those three things are what defines the best price Michael: Interesting. Okay. So then what has the dental supply company had to go through in order to become what they are? Uh, especially when it came to like struggles Coming up. Rubi: Yeah. So I would say the dentist supply company.We've gone through through that process of one ensuring that our inventory that is available to customers is accurately shown on the site. So we do have a vast Inventory a portfolio of products that are in stock and that ship next day. And one of the biggest obstacles is ensuring that, you know, that stock status is consistently updating and that customers can find those items that are in stock.and we have thousands of them. Although, you know, again, just ensuring that that is kept really much up to date, which is refreshed, um, consistently, um, multiple times a day. Is, you know, that's, that's what we do. Um, additionally, service level. So, you know, we're part of a larger organization called shine.We have access to some of the best delivery times that you have in the industry, we deliver next day in 24 hours. If your order is placed before 5 PM you know, on a business day and we deliver next day or the day after, um, you know, depending on where you are located in the country. contiguous United States.so I would say those things are, are part of what we do to ensure that we can have items in stock and then also, ensure that, that our delivery times are, best in class. Michael: That's awesome. So then I know a lot of people talk about price matching too. Does that play a role by any chance or no?Rubi: Yeah, I think that that comes back to what I was speaking to. Right. Like, how do we, we have tools in place to ensure that we're looking at, you know, a competitor prices. Now, you know, you always have to take a balance of things of going back to the best price. And it relates back again to not only having the lowest price and matching a competitor, but also, you know, some different players have different right.benefits, right, that they bring to the customer and, and the price should be a reflection of that, right? Of the value that you're getting, not necessarily just, the actual cost of what you're getting. Michael: Okay. So then going back to the quote, Rubi, and I'm sure you work with, do you speak a daily on the phone with a lot of practice owners?Rubi: do not, but my team does. Michael: Okay. Okay. So your team speaks daily on the phone with a lot of practice owners from what they've noticed and what you've noticed. How can a practice owner implement this quote inside their practice? Meaning what struggles are they going through that you feel like if you just keep going a little bit longer, going to mold you compared to.You know what I mean? Giving up. And then, uh, this is what I thought I was going to get, but it's about who you're becoming. Rubi: so I can think about it. Um, let's say in, three ways, three aspects, right. For a practice owner. One of the things that a practice owner. You know, practice owner wears so many hats, so it can apply on many, things.I think one on people, right. We rely on people and on our team to deliver the best service levels that patients want. so as we think about applying that. working with people comes with its challenges, right? We have emotions, we have different styles of wanting to communicate, and we have different needs, right?We're humans, we have families. So, you know, working with people is sometimes one of the most challenging things a business owner and potentially a practice owner goes through. And keeping in mind, just addressing situations with. With your team with that mindset of who am I becoming here?Am I becoming a better leader, a better manager for my team while going through this difficult situation with an employee? You know, maybe we had a situation amongst employees that we need to resolve or, a situation between an employee and a patient, So that's one hat or one place that I can see, you know, practice when we're applying this type of.Quote or this type of advice. The second one is on managing technology, right? Technology is moving at such a fast pace, not only from a practice marketing side, right? With how patients want to communicated to with a text. And, you know, and I am sure you speak to this to your audience, right? With the dental marketer, like all the technology that goes today marketing and communicating with patients in a practice.seem pretty overwhelming. So just thinking about who you're becoming and who your practice is becoming by going through the learning curve of implementing new technology, to address patients. And then there's the clinical side, right? Of all the technology that is coming out for practices to implement with the digital workflow, et cetera.So, know, I think they are thinking. Again, on who you're becoming and who your practice is becoming is so important because, again, it can seem overwhelming, and I think, the third aspect is managing the financials, right, that overhead, we're talking about supplies, just thinking about, You know, how do you balance having the right supplier or a right mix of suppliers so that you don't, you never run out but then you balance the inventory, right, the cost that you have on your shelf so you know it's another fine balance of how do you, how do you ensure that you learn enough and that you.price shopping off or evaluate the value that the different suppliers are bringing to your practice, you know, again, can seem like overwhelming and, I think it's thinking about who you're becoming. Are you becoming a better financial manager? Are you becoming a better business manager and leader by thinking about those things that could seem pretty challenging and overwhelming when you're going through it?Michael: Wonderful, Rubi.
