We are moving through a new era in federal grant writing. For access to federal grant funds during this new Trump Administration in 2025, nonprofits need to be more aware of what types of words you are using, and are not using, in your grant applications. We have always said that grant writing is a word game, and the types of words you use play a big part in how you construct a grant. With the Trump Administration in 2025, though, we have not experienced the sheer elimination of word usage in federal grant guidance before. Regular Changes in Words in Grants To put it into context, we've been writing grants for more than 20 years, and we have learned to play the wordsmith game of grant writing. What is normal in federal grant word usage changes is that words are often added to the federal grant cycles when: A new administration starts Societal movements and norms enter into the federal mainstream Priorities of the federal government are identified Even for foundation grants, we have been training grant writers to connect words with the funding source priority areas, Request for Proposals (RFPs), and website information so that grant writers mimic funding source language. Then we teach grant writers how to integrate these words into their programs in a way that aligns with what they do. This ensures that everyone is on the same page with language and what that language means AND helps with consistent language in grant applications. This approach also helps nonprofits so they aren't mission drifting or scope creeping, but are aligning with funding sources for their specific cause areas. While we still entirely support this approach, the new wrench in the bucket in February 2025 is the potential sheer number of words to NOT use for the new recommendations from certain federal agencies (as of 2/10/2025) Replace Potential Trigger Words Using ChatGPT I ran all the words listed in ChatGPT to find alternative words. While this was helpful to get ideas, it was not entirely efficient. At the end of the day, words are important. Tune in today to listen to this podcast. Building an Agency Model Around Work-Life Integration Since his start in the industry, Scott has been always intrigued by engagement rates and frequently referred to Gallup's data – a multinational analytics firm that conducts workplace consulting research – and found the results were frankly concerning. In the 25 years that Gallup has been measuring employee engagement rates, it has never been above 32%. Additionally, at least 15% of the surveyed employees felt actively disengaged. Scott also worked as a management consultant for a while and observed people usually leave their jobs to attend to family life responsibilities like taking care of their kids or sick parent. He could see how much they struggled to balance both and ended up disappointed. Around this time, he was in conversations with an agency that offered him to work on a different and very meaningful project. He pitched the idea to build a model that would allow an agency to tap into a well of talent looking for meaningful work but have to deal with the difficulties of being a main caretaker. “There are 5 million stay-at-home moms looking for meaningful work. It's unused capacity we could tap into,” he explains. The decision to engage solely with contractors also significantly influenced the agency's operational approach. Scott notes they operate entirely on referrals, focusing on inbound leads and project-based work rather than traditional retainers. This is how his agency has operated for the past six years. Referrals over RFPs: The Power of Building Relationships in Agency Business In the agency world, one of the traditional approaches to acquiring clients involves responding to Requests for Proposals (RFPs). These documents outline the client's requirements and ask agencies to submit proposals detailing how they would meet those needs. However, there is a growing trend among agencies to rely less and less on engaging in the RFP process. It's a shift that highlights the power of building relationships and trust with clients, and the benefits that come with it. In their six years operating, acquisition of business has been the hardest part for his agency. Being 100% referral-oriented, they don't typically respond to RFPs, don't believe in retainers, and focus exclusively on doing good project-oriented work, building trust, delivering quality work, and fostering long-term relationships with clients. Their goal is that clients are completely satisfied with the results and hire them again. For agencies seeking to move away from RFPs, a potential approach could involve offering a reduced fee for a consultation to gain a better understanding of the prospect's needs. Spending at least one hour to build a tailored plan based on the client's input can demonstrate the agency's commitment. If the client approves the plan, they can choose to engage with the agency, or implement the plan themselves. If the client is dissatisfied, they receive a full refund. How do you respond to an RFP? Content is KEY:  From “Publish or Perish” to “Adapt or Die” Writing, podcasting, and video creation are great lead generators in sales and things agency owners are encouraged to do to attract clients. However, as an author for several publications and books Scott finds that marketing is much more about building trust, establishing relationships, and ultimately driving business growth. Content creation allows agencies to showcase their expertise, build credibility, and connect with their target audience on a deeper level. By consistently putting out valuable and engaging content, agencies can attract new clients, retain existing ones, and differentiate themselves from competitors. In Scott's case, he predominantly produces informative material based on client research and experience. Two additional ways for him to leverage his writing to build relationships could be to: 1. Approach industry experts for interviews, thereby enhancing audience trust and fostering connections, and 2. Take his research and advice to other formats like audio and video. With the widespread popularity of audio podcasts and video content, it's crucial for agencies to adapt their content strategy to align with their audience's preferences. According to Scott, some of this content is concerning because it has no knowledge or research to back it up. “We have a generation now that understands marketing tools but doesn't understand marketing very well,” he says. In this sense, experience will play a crucial role in establishing credibility. The audience will typically look at someone's practical experience in a particular field before offering opinions or advice. They launched Loopio in 2014 and had paying customers within one year.  The three founders built the software and sold the first customers before adding more employees as they approached $1M ARR. They kept growing faster with a disciplined and frugal approach to $3M ARR before raising a round of VC funding from OpenView Ventures, a practical investor that aligned with the vision and approach of Loopio's founders.  Loopio now has hundreds of employees and Sumeru Equity Partners made a strategic $200 million private equity investment in 2021. The Biden Administration announced Sept. 27 that it has approved Electric Vehicle Infrastructure Deployment Plans for all 50 states and the District of Columbia under the National Electric Vehicle Infrastructure (NEVI) Formula Program. More than $7.5 billion will be distributed to state transportation departments to install electric vehicle charging infrastructure along alternative fuel corridors. You may download your state's EV deployment plan here. State DOTs now will begin issuing Requests for Proposals (RFPs) to partner with the private sector for EV charging stations along alternative fuel corridors. It is critical that NATSO members interested in investing in EV charging stations watch for, and respond to, these RFPs. Needless to say, our team has been very busy sifting through and filling out Requests for Proposals (RFPs), crafting bids for modest and lofty projects, all in a rather successful attempt to keep our small businesses alive and well during the pandemic. So far, so good. In this Roundtable edition of I HAVE SOMETHING TO SAY, we share some practical tips for small businesses to consider when participating in RFP processes, whether for private, public, or nonprofit sector accounts. Even though it may seem that more RFPs floating around means a higher chance of landing new business, the actual RFP process can be labor-intensive and suck away at your limited resources with no guarantee of winning the award. It was a distinct pleasure to spend some time with Dr. Byron Clayton, CEO of the Advanced Robotics for Manufacturing (ARM) Institute. The institute, located in Pittsburg Pennsylvania, is the result of a public/private partnership that was formed by the federal government. With a five year, $80 million grant, along with funds from academia and industry, they are tasked with a wonderful challenge: To advance robotics and robotics education. Yes: that caught our attention, too! It's no secret that certain manufacturing jobs are disappearing with an older workforce as machining is quickly becoming a lost art in this country. We've encountered this first hand through our close relationship with the Foundation for Community Driven Innovation (FCDI) here in Florida, as they forge new relationships in the community to help create safe spaces for the FIRST students to create and build, as well as try to find a platform for internships and apprenticeships. Also, it is currently too expensive for small and midsize manufacturers to compete effectively and therefore maintain a stable and growing workplace. But it is extremely important that we not lose this integral cog in the manufacturing wheel. Through technology, ARM aims to lower costs. The result enables them to make robots safer and more versatile so they can effectively work with and around people. To accomplish this, they are conducting project calls, or Requests for Proposals (RFPs), designed to advance technology and lower the barriers to adoption. This, in turn, will give manufacturers the ability to buy, adopt and use robotics throughout the manufacturing process. When this happens, they not only become more productive locally but can also begin to compete with overseas companies. The exciting result is that they will be creating new pathways. As these companies better position themselves through technology, they will increase their workload and thus create more jobs. During the process, they are working with high school and college students to come up with innovative solutions that will eventually create these pathways and fill the newly created jobs.
