In today's episode, I address a question from one of our long-time listeners: What are my favourite legal documents to design? Today I'm diving into one of the aspects of my work that truly sets my soul on fire—drafting client service agreements for small business owners. So join me as I take you through the intricacies of legal agreements and why the client service agreement holds a special place in my heart.The Joy of Designing Client Service AgreementsYou can call it anything you like - a design agreement, styling agreement, client service T's and C's - but client service agreement lays out the terms that a business issues when they're working with their client. Essentially, it's the agreement that a business enters into with its clients, setting the stage for a smooth, professional relationship. I relish the opportunity to dive deeply into a business when crafting these agreements. It's not just about the legal text; it's about creating a document that aligns perfectly with the unique workings of each business. This detailed approach allows us to address pain points and set client expectations - and I just love collaborating with my clients to ensure their business is protected. The Process and ImpactAs I've mentioned many times before, my process is very client-centric. I take the time to ask my clients essential questions about their operations—everything from project timelines to payment terms. This helps me ensure that the client service agreement covers all bases and shields the business from potential issues.The real and lasting impact happens when a business owner feels secure, knowing they're protected legally and they can focus on their core activities.Implementation and Lasting SuccessOne of the most important aspects of this process is the implementation of these agreements. It's not enough just to have the document; the business needs to know how to use it effectively. This includes understanding how to incorporate it into their processes and systems. I even go as far as reviewing the communication that will accompany the agreement to clients, ensuring every aspect is finely tuned. The goal is for the client to feel confident and self-sufficient in using these documents, and the privilege of enriching lives through these crafted agreements is central to why I do what I do.Now that I've talked you through what brings me the most joy in my business, I'd love to hear from you about what your favourite part of your business is. In today's episode, I'll discuss how having proper legal documents can help you avoid these challenges and ensure you get paid on time, every time.The first thing I want to touch on is the client user experience. From the first touchpoint to the offboarding process, it's crucial to display professionalism and establish clear expectations. By integrating your processes and systems with solid legals tailored to your business, you can avoid the scenario mentioned earlier and set yourself up for smooth payment transactions.Managing client expectations is key to a successful partnership. When you have a discovery call with a potential client, it's important to follow up with a proposal or client engagement letter. Folge unseres Podcast How To Legal Tech ist Patrick Temmler, Gruppenleiter Legal Tech bei Vodafone. Patrick und Luis sprechen über Self-Service-Tools und der Einsatz dieser bei Vodafone. Self-Service-Tools, oder zu deutsch Selbstbedienungswerkzeuge, sollen Arbeitsprozesse vereinfachen und somit Arbeitsweisen effizienter gestalteten. Bei Vodafone geht es hier vor allem darum, mehrere Arbeitsströme zusammenzuführen und somit ein effizientes Zusammenarbeiten für alles Jurist*innen zu ermöglichen. Bei Vodafone können die Jurist*innen hierfür auf Tools zurückgreifen, die mit Microsoft Power Apps entwickelt wurden. Unter den mittlerweile knapp 10 Anwendungen, die Patrick und sein Team entwickelt haben, befindet sich beispielsweise ein Legal Dash Board, auf dem alle Legals bei Vodafone die für sie freigeschalteten Tools finden und nutzen können.  Auch der sogenannte Mahn-Manager erleichtert mit der Erstellung von Mahnungen die Arbeit der Legals, indem sie diese nur noch überprüfen und nicht jede Mahnung selbstständig aufsetzen müssen. Aber nicht nur in seinem beruflichen Umfeld begeistern Patrick die Prozesse der Automatisierung. Wie er sich dies auch in seinem Hobby zu nutzen macht, welche Methoden er nutzt, um die Jurist*innen bei Vodafone immer wieder auf die Tools aufmerksam zu machen und welche Tipps er für das Entwickeln von Self-Service-Tools hat, erfahrt ihr in dieser Folge. It is my passion to share with you important information on all things legal, so that you can set yourself up for success in business. In this episode, I'm talking about a topic that I believe is crucial for business owners to have an understanding around: properly tailored legal documents. The biggest mistake I see business owners make is either not having them, or not understanding how to utilise them well. Today, I take you through the 3 main errors people make with their legals, leaving their businesses vulnerable to disputes, financial loss and liability issues: 1. Not Having Legal Documents in PlaceI sometimes have business owners reach out to me and say they just didn't realise they needed to have legal documents in place. They've always done things on a handshake or relied on good faith. The truth is, they are plain lucky to not have ended up in hot water somewhere along the line. However, we know that anything can happen in business. If this is you, it's high time you swiftly get set up with the help of a lawyer so things are watertight should an issue arise. You can rest easy knowing that it won't even be a blip on the radar.2. Putting Together Your Own DocumentsI often come across business owners who have put something together by taking bits and pieces from others' terms and conditions. Perhaps they've used a template, or just Googled what to include in their documents. While there's no criticism here, I do know that there's danger in setting your legals up this way. You don't know if they're up to date, relevant to your business or even compliant. As I've talked about before, legislation changes regularly and therefore your business may not be protected. I encourage you to reach out to a legal professional and ensure your documents are done the right way. 3. Not Knowing How to Use Legal DocumentsHaving properly tailored documents in place is one thing. But if you don't know how to use them, they're essentially useless. So believe it or not, your processes and systems around the legal documents that you have are just as important as the documents themselves. How is it that you onboard clients? How is it that you deliver your services? How do you issue your invoices, and when? If you're a longtime listener of this podcast, you will have heard me talk a number of times about the reasons you need to have your legal documents tailored properly for your business. In this episode, I'm talking about one strategy in particular that I believe is key in successfully converting prospects to clients. It's my belief that the first place to start when setting yourself up for success in your business is managing clients' expectations. From the first touchpoint and onboarding through to off-boarding, it's crucial to be really strategic about how your clients experience you and your service. This includes being clear on your messaging when it comes to how you show up on things like social media, on your website and in your marketing. And while those are more obvious areas in which you can create a positive impression on your audience, putting the same amount of time and energy into our legal documents often gets overlooked. Today I discuss how your legals underpin the integrity and authenticity of what you do and how, when aligned with your branding, they create the consistency that will support potential clients' trust in you. You may be surprised at how much people pay attention to what they're signing up to. Whether it's a program, course or mastermind, prospective clients look for assurance that they're safe to sign up or hit subscribe. Being clear that you prioritise your legal obligations and comply with consumer law will show that you're a professional and someone who can be trusted. One way to communicate this is by tailoring your terms and conditions to be consistent with your language and branding. Legal documents do not have to be dull and boring, and in fact can enhance your overall messaging when you put more of yourself into them.
