This resulted in him understanding the core mechanics behind happiness in our brains. However, when faced with two life-changing events, Michael found that the tools that once worked for him were actually making him more miserable and he had to find a way back to joy. His experience eventually lead to him releasing his newest book “The Fun Habit: How the Disciplined Pursuit of Joy and Wonder can Change Your Life.”   Read the show notes on Arcbound's Podcast Page: https://arcbound.com/podcasts/    Find Arcbound here: Homepage: Arcbound.com Services/Work with Us: https://arcbound.com/work-with-us/ About: https://arcbound.com/about/ Founders Corner: https://arcbound.com/category/founders-corner/ Connect: https://arcbound.com/connect/

504. Using a Spreadsheet as a CRM System

Unleashed - How to Thrive as an Independent Professional

Play Episode Listen Later Mar 10, 2023 17:23

Show Notes In this episode of Unleashed, Will Bachman explains how independent professionals can use a spreadsheet as their CRM system. A spreadsheet can be an effective first step before investing in a paid CRM system, and for independent professionals, the most fundamental use of a CRM spreadsheet is to keep track of the people, organizations, and project opportunities, in addition to confirming new projects, but the first step in setting up a CRM system should be to create a spreadsheet of all your contacts, and another tab with all your past projects.  Ultimately, using a spreadsheet as a CRM system can be a great way to get started and gain familiarity with the features of a paid CRM system before investing, but when you do, you'll be able to upload your spreadsheet into the CRM. Will walks you  through setting up a CRM system. The initial tabs discussed are 1.contacts, 2.opportunities, and 3.companies. Using a Spreadsheet for Contacts When setting up the contacts tab, a few fields are recommended, including: info about the person, like employer and title, name, pronouns, ID number URLs/links/social media links Physical address It's also recommended to have separate columns for first name, middle name, last name, maiden name, and nickname. It is also recommended to  include the option to track if the contact is a connection on LinkedIn or not. When it comes to tracking contacts, emails are essential, and often, the preferred method of communication. It may also be helpful to track physical address, how the contact was originally met, the strength of the relationship, the level of decision making power, whether they are a client or potential partner, the industry they are in, the date of the last contact, the time interval between points of contact, if they are subscribed to your newsletter, if they are on your holiday card list, what gifts have been sent, topics of interest, the name of their executive assistant and their contact info, and the next action to be taken with the contact. Additionally, it is helpful to also track notes from interactions with the contact. Will suggests creating a separate tab for notes on each conversation, and to filter it for any given individual. However, the drawback of using a spreadsheet is that it is not as great as a relational database.  Using a Spreadsheet for Opportunities  For opportunities, the fields suggested to track are: Current pipeline Project/opportunity ID, title, associated company/organization Client executive name, billing contact, and any other names related to the opportunity A description and stage of the opportunity Source of opportunity Will learned this system from David A. Fields and he talked about it  in episode 172  of Unleashed. David's three stages are: identified opportunity, but not yet talked to the client; completed context discussion (which entails live interaction with client), and finally,  submitted proposal. If you have several projects in the pipeline, you could also add several stages such as: ‘in contract phase'. Will  suggests adding two stages for a contract:  ‘1 active' - for current projects, and ‘1 complete', for the final stage. It may also be useful to add a stage for ‘lost' and/or ‘on hold' and ‘possible opportunity' for potential opportunities on the horizon that you may want to follow up on in a few months. You could also track the dollar size of the opportunity and likelihood of closing. By tracking ‘likelihood to close' you'll gain a better understanding of your ability to your accuracy in estimating potential opportunities, and dates of each stage. And most importantly, columns to include are your next action(s) and action due date(s). Using a Spreadsheet to Keep Track of Organizations Company ID, website, LinkedIn, industry All the projects you have done for the same company Who else works at the same company Be able to see all the projects you have done for the same company Who else you might speak with at the company Will also suggests adding if you have a service agreement with the company, termination dates, payment terms, and any other key contractual terms, such as a non-compete agreement, and invoicing instructions. While the former company details may not be necessary if you have the details of the company contact  in place, the latter is particularly useful if it's been a few years since you worked on a project for the company. A link to a downloadable spreadsheet template has been added in links to to help you customize your own spreadsheet. Growing a Business to Sell on an e-commerce business can be a challenging task, especially in the current market. Yoni Kozminski is a founding partner of South Col, a growth fund focused on accelerating e-commerce businesses to exit. He has a background in digital marketing and has worked with well-known brands such as Sony, Mastercard, and Mercedes-Benz. Kozminski grew a brand to 5 million in 12 months and later founded services such as EScala, which provides consulting services to systemize, scale, and exit e-commerce businesses. He also founded Multiplymii, which provides executive search and HR functions. Growing a Business to Sell : South Col's Business Model South Col invests in e-commerce businesses, focusing on growing them and maximizing their exit value. Unlike aggregators, they aim to keep the founder in the business and invest millions of dollars in it. South Col builds a two-year roadmap and works on removing the founder from the aspects of the business they hate, such as PPC, inventory, logistics, 3PL, and IP lawyers. The founder can then focus on new product development, building out the next ten products, and expanding the brand into new regions. South Col is committed to the outcome and sees upside when the founder does. Aggregator Business Model Issues Yoni Kozminski was approached by many aggregators and brokers who wanted to buy e-commerce businesses. However, he did not feel good about this because the brokers' goal is to buy the brand at the lowest price, which conflicts with the owner's aim of getting the highest price. Growing a Business to Sell : Lessons from the Aggregators' Tales It is hard to scale any business at speed, and this is never wise. Spreadsheet jockeys saw the immense demand for aggregators and drove up multiples from 1.5x to 7-9x EBITDA. There was a lot of market confidence in early 2020, and the pandemic's duration impacted it significantly. Entrepreneurs' decisions are affected by the venture capital model, where they are there to force the outcome, but only 1 in 10 or 1 in 20 will succeed. South Col is a possible alternative for those considering taking on VC. Why Sell an E-commerce Business? The business model affects the decision to sell. In a service business, you can typically build healthy margins once you get to critical mass, yielding around 300K a year for you and being independent of you. On the other hand, e-commerce businesses require more cash requirements, making them more stressful to grow. Unless you have seriously high margins,

It is our mission on this podcast - and the wider membership community from which it arose -  to open doors and break down barriers, to bring forward the ideas and the actions of, and give voice to, the absolutely amazingly creative people who get that business is not usual, that the reality we have created for ourselves is misguided at best - and dangerously toxic at worst - and are doing their best to bring about change in a timescale that matters. This week, we spoke with Pooran Desai, whose scope and scale and grasp of the nature of the problem is unmatched. Pooran is a serial environmental entrepreneur and it felt like a breath of fresh air, to connect with someone who sees the bigger picture and is working to affect change at all levels. We explored topics that ranged from the building of Britain's first sustainable community at BedZED in London, to the nature of the meta-crisis and why measurement of single indices is one of the key factors in the emergency. On the way, we discusses the different natures of left and right brain thinking and how they apply to databases (and why databases are so critical to the way that business and so politics works in the world), the evolution of sustainable development goals (and why those started out well but have become yet another way of greenwashing business in its endless drive for profit), the nature of reality and how Daoist meditation can give us insights into our own delusions…and ways we could save the NHS 80% of its costs. This was a  hard-hitting conversation. We didn't mince words or step around ideas. I found it exhilarating, enlightening and inspiring and hope you do to.  Bio: Pooran Desai has been a neuroscientist, a property developer, and a technology entrepreneur, but all of it has been in service to a regenerative future. In 1994, he co-founded one of the world's first sustainability organisations, Bioregional which is responsible for setting-up enterprises in sustainable forestry, organic farming, recycling and real estate development. He assembled a wealth of environmental and sustainable talent to create the UK's first zero-carbon urban eco-village, BedZED, which was completed in 2002. In 2004, he was awarded an OBE for services to sustainability - in the days when the word still meant something seriously worthwhile. Pooran led Bioregional's One Planet Living®  initiative for 18 years, leading teams that created sustainability strategies in 30 countries creating a set of principles that served as inspiration for the United Nations' Sustainable Development Goals (SDG's). Pooran is author of  OnePlanet Communities: A Real-Life Guide for Sustainable Living, and is a trustee of the Design Council, supporting their 'Design for Planet' mission. In 2019, Pooran founded OnePlanet, to create a software suite that helps people, companies, policy makers shift to networked thinking - to let go of the constraints of consensus reality and the linear thinking that got us into this mess, and move towards systemic thinking that might get us out of it. Having developed and implemented solutions globally, she's familiar with myriad compensation management tools, including Excel. The latest version of Excel may have powerful business tools for managing compensation data, but that doesn't mean it should be used without its own rules and procedures. In this episode, Karin talks about the pros and cons of using Excel for compensation data management. Chapters:[0:00 - 4:59] IntroductionWelcome, Karin!Today's Topic: Working with Compensation Data in Excel[5:00 - 11:45] The greatest challenges Karin has come across in the world of compensationMany companies still rely on Excel for compensation dataExcel's accessibility and ease of use can lead to compromised data integrity[11:46 - 15:16] How to successfully use Excel for compensation managementAvoid overly complicating the spreadsheet; make it intuitiveDecisions and assumptions must be well-documented[15:17 - 18:45] Will Excel ever be replaced as the go-to compensation management tool?It will be difficult to replace a free, widely-accessible toolRecent versions of Excel have introduced powerful tools like Power BI[18:46 - 19:33] Final Thoughts & ClosingThanks for listening!Quotes:“One of the largest challenges [I've come across working in compensation] is that a lot of companies and organizations have their processes done in Excel. . . . [The problem with this] is data integrity because that spreadsheet will get handed down from one person to another . . . with no parameters around the integrity of the data.”“I think people don't make that connection [that their compensation spreadsheet is a system of record]. You need to have the assumptions written out and documented.”Contact:Karin's LinkedInDavid's LinkedInProduction by Affogato MediaPodcast Manger: Karissa Harris
