As we start the new year, I will give you some ideas around setting priorities and goals; it's a topic that I tackle at the beginning of every year. First, I talk about the importance of having a planner that uses good old-fashioned pen and paper. When we write things down, we tend to process that information differently. Plus, I talk about what exactly is a brain dump and how it can help you find clarity in your private practice. Later, I chat about the importance of knowing your numbers, getting your systems and processes cleaned up, and finding community on your journey. Why You Need A Paper Planner One of the things that I've been doing this past week is going through my planner. Writing things down in a planner rather than typing them out on our phones allows us to process information differently. It forces us to slow down, think, and process what is going on in our minds. There's that brain-hand connection that is made; if you write something out, you have a way of remembering it and processing it differently. That's why I love to use a paper-based planner. Start 2022 With A Brain Dump It's essential to write things down and think about the new year on paper. I like doing something called a brain dump, which is just really getting a sheet of paper, planner, or notebook. Then, write down everything that comes to mind that you want to accomplish, things that you're thinking about, and tasks that you want to do. It gets everything out of your brain onto the paper. The Full Focus Planner has something called Your Big Daily Three. You fill out the three most important things you want to accomplish for that day. Overall, a brain dump is a great way to set your priorities for the new year. Financial Deep Dive To Know Your Numbers One of the things that you've heard from me a good bit over this last year is the importance of knowing your numbers. If you're going to be successful in your business and your practice, you need to know your numbers. You need to understand how the money is flowing through your business and through what you do day in and day out. Doing a deep financial dive at the beginning of the year can give you a baseline for where you are now. Then, you can think about where you want to get to with your finances. I use QuickBooks to manage the finances of my practice. Make sure you know where your best income sources are coming from for the year. Plus, you'll want to know where you are falling behind. For instance, I discovered that we haven't been collecting all of our copays; it's something that we need to fix for the new year. A deep financial dive will help you find where your money leaks are. Finding Community On Your Private Practice Journey When we start getting isolated from folks, we lose a sense of community and support from others. Finding a community will help you get clear around your goals for your practice. Having a community and a group of trusted colleagues to bounce things off of goes a long way in helping you have some clarity. Plus, it will help you have some accountability with accomplishing goals and keeping straight with your priorities. I encourage you to find a community within your practice and daily life. A focus group is a great way to find community. That way, you can learn from others and bounce ideas off of each other. Fix Your Systems and Processes This Year Look at how you can fix your systems and processes. It's time to get rid of the deadwood. You can be outsourcing – it will be a much better use of your time. That way, you're not spending time on things that aren't going to bring you any income anyway. I want to shout out Uriah Guilford; he's the owner of The Productive Therapist. Serious Mental Illness and Homelessness An interview with California State Senator Henry Stern and Dr. Curley Bonds, Chief Medical Officer for Los Angeles County Department of Mental Health about legislation and programmatic changes needed to better serve highly vulnerable individuals. Interview with Senator Henry Stern (D-Los Angeles) and Dr. Curley Bonds, CMO for LA County Department of Mental Health Senator Henry Stern is a sixth-generation Californian and native of the greater Los Angeles area who has represented the nearly one million residents of the 27th Senate District since first being elected to serve the 27th Senate District in November 2016. Stern has chaired the Senate Natural Resources & Water Committee since 2018, where he has worked tirelessly to bolster the state’s wildfire preparedness, push to have the state address the climate change emergency, improve our democracy and fight to help some of California’s most vulnerable members. He was also recently appointed as Chair of the Joint Legislative Committee on Emergency Management. In addition, Stern sits on the Senate’s Budget, Environmental Quality, Judiciary, and Energy, Utilities & Communications committees, as well as the Budget Subcommittee on Resources, Environmental Protection & Energy. A former educator and environmental attorney, Stern received his undergraduate degree from Harvard University and earned his law degree at UC Berkeley. Born in 1982, Stern lives in Los Angeles County with his wife, Alexandra Stern, whom he married in 2019. Curley L. Bonds, M.D., oversees all clinical practices for the Los Angeles Country Department of Mental Health (LACDMH) as well as the full range of programs that function to engage and stabilize clients by bringing them into the Department’s community-based system of care. Dr. Bonds is a psychiatrist with extensive experience in a variety of clinical, academic and research settings. Most recently, he was the Chair of Psychiatry and Behavioral Medicine at Charles R. Drew University School of Medicine in Los Angeles and the Medical Director for Didi Hirsch Mental Health Services. His areas of expertise include healthcare disparities, cross cultural psychiatry, psychosomatic medicine, and collaborative healthcare. Dr. Bonds has won numerous teaching and advocacy awards including Chief Resident of the Year in 1996 and The Exemplary Psychiatrist Award from the National Alliance on Mental Illness in 2009. He is active with several professional organizations including the American Association of Community Psychiatrists, the Association of LGBTQ Psychiatrists, the Black Psychiatrists of America and the American Psychiatric Association. Dr. Bonds is a Distinguished Fellow of the American Psychiatric Association and a Fellow of the Academy of Consultation-Liaison Psychiatry. He is a past president of the Southern California Psychiatric Society and the recipient of their 2018 Distinguished Service Award. He completed his B.A. in sociology at Emory University and earned his M.D. from Indiana University School of Medicine. Fixing Mental Healthcare in America An interview with Dr. Nicole Eberhart and Dr. Ryan McBain from the RAND Corporation. Curt and Katie kick of their special series related to the problems and potential solutions in the mental healthcare system. We interview Drs. Eberhart and McBain about the study they authored related to the structural concerns in the mental health system as it is currently built and their recommendations for solutions and best practices going forward. Interview with Dr. Nicole Eberhart, Senior Behavioral Scientist, and Dr. Ryan McBain, Policy Researcher, The RAND Corporation Nicole Eberhart, PhD is a Senior Behavioral Scientist at the RAND Corporation and a licensed clinical psychologist whose research and evaluation focuses on mental health. She has expertise in health program evaluation, prevention and early intervention, health services and systems, and innovative care models including those that integrate primary and behavioral health care. Dr. Eberhart been evaluating mental health programs and policies in California and nationally for over a decade. Ryan K. McBain is a policy researcher at the RAND Corporation. He focuses on the design and evaluation of health policies and programs meant to reach vulnerable populations—including those coping with mental health conditions, HIV/AIDS, homelessness, and poverty. To achieve this, McBain has utilized a wide range of methodologies, including econometric approaches for quasi-experimental analysis, cost-effectiveness analysis, and decision analytic models, as well as key informant interviews and focus group discussions. Internationally, McBain has worked with the World Bank, World Health Organization, Harvard University and Partners In Health, where he has focused on evaluating mental health, HIV, and primary care service delivery systems, primarily in sub-Saharan Africa and Haiti. McBain holds a Ph.D. and M.P.H. in global health with concentrations in health economics and health policy analysis from Harvard University, as well as a B.A. in psychology from Gordon College and Oxford University in the United Kingdom. In this episode, Uriah of Productive Therapist joins the show. Uriah thinks that life is too short to burn out early. So, Uriah gives us tips on conquering the overwhelm and growing your practice seamlessly with the least amount of stress possible. First, we chat about how you can conquer the email overwhelm by using the inbox zero method and only checking your inbox three times a day. Later, Uriah reveals the three keys to productivity, and we talk about personal knowledge management. Meet Uriah Guilford I am a licensed therapist & group practice owner. Helping Therapists Conquer Email Overwhelm Do you feel frustrated and overwhelmed with your email inbox? In Uriah's 7-Day Email Transformation Challenge, there are basically seven days of tips that have pretty quick action steps. On day two, he talks about batching; it's the simple idea of taking similar tasks, putting them together, and doing them simultaneously. So when you apply that to email, it means checking and processing email at certain times, but not throughout your day, not constantly. Uriah has made a massive change just this week - whenever his workday is done, he will close his email so that when he gets back to the computer the next day, he won't see his emails right away. Uriah created a schedule to process emails three times a day: nine, twelve, and three. Uriah hasn't been perfect. However, this week has made a huge difference so far because he is getting a lot more things done when he is spending hours away from his inbox. Typically, when someone has an email – they feel the urge to respond to it right away. Take away the urge! Reaching Inbox Zero Inbox zero means processing all your emails to the point where there are zero emails left. Uriah personally likes to be at inbox zero. Whether you have ten emails or one hundred emails, responding to the essential people and taking care of the things that are top priorities will be crucial. When you pay less attention to your inbox, you may not process every email you have. However, you can snooze the emails that are not urgent for you to respond to that day. Gmail has the most powerful tools for organizing – it lets you create filters and sort messages to prevent inbox overload. The Three Keys of Productivity Uriah highly recommends checking out Michael Hyatt's book, Free to Focus A Total Productivity System to Achieve More by Doing Less. In the book, Michael speaks about the three keys of productivity: elimination, automation, and delegation. So, Uriah likes to strategize with therapists to remove things from their calendar and their to-do list. We automatically add things that we think we need to be doing to our calendar. So whatever you can eliminate from your schedule and your to-do list is going to help you free up your time and let you focus on the important stuff. Also, automate anything that you can! For instance, Gmail has filters that you can help automate your email process. Lastly, delegation is Uriah's favorite productivity hack. Anything that you can get off your plate and have somebody else take care of for you will immediately free up your time and help you be more productive. The Problem Of Success When you start a private practice, you have a revenue goal. However, you don't know what it will feel like you when you get there. Handling all the calls while seeing clients while updating QuickBooks is going to be overwhelming. Also, we may not be the best person to be taking on all of these different tasks. You can find a competent person, whether it's a virtual assistant or somebody you hire, that comes into your office to take over that role. If you are busy seeing clients, then your phone is going to be sent to voicemail. In the meantime, those people are calling other counselors and shopping around. So, it's critical to have someone answer your phones while you're in session – you simply cannot do both! Most people wait too long to hire someone to help with their phones. Personal Knowledge Management Personal knowledge management encompasses how we take in, collect, and access all kinds of information. If you just think about it as a therapist, all of the CPUs, training, and information that we collect over time becomes hard to organize and find when you need it. Uriah has been actually using Evernote, it's been around for a long time. He uses that for basically everything. Whenever Uriah has an idea, he writes it down! The nice thing is that a lot of them are tagged, and they're easily searchable. He uses Evernote to track his goals, it's basically his second brain. Another app that Uriah loves is Todoist – it's a task manager you can trust for life.
