A computer-controlled telephone system threw her into a panic and a Voice Over Internet Protocol (VOIP) system made no sense. Dictating machines confused her. Photocopy machines hated her. E-mail was an enigma. She had one skill. She pleased middle-aged men. They felt young in her presence. She knew, instinctively, what to say to make them happy. They in turn wanted only to make her happy. Her one skill got her the job as Big Daddy's administrative assistant. She would get Big Daddy coffee in the morning. She would go to the corner and buy the morning papers. She rubbed his neck when he was tired and sharpened his pencils. She carried his dictation tapes to his secretary. Every Tuesday and Thursday afternoon she and Big Daddy would visit a local hotel and she would give him pleasure. Big Daddy paid her twice the salary he paid his professional secretary. He also gave her a Mercedes Benz 500SL automobile. Big Daddy was so impressed with her services that he put title to the Mercedes in her name. At age eighteen she owned a $150,000 automobile and earned $110,000 a year. She lived comfortably in a two-bedroom apartment in Cambridge. She was happy. When she was happy, Big Daddy was happy. Big Daddy had a wife and four children he had no intention of leaving. So, every night Big Daddy went to his house and she went to hers. She became lonely. Cambridge is a college town. She would go out to eat in the local restaurants and sit around the bar watching television and getting to know the local college boys. She did not understand their discussions of literature or philosophy but she knew how to make them happy. When Big Daddy would go away for two weeks on a business trip, she became very lonely. But, soon finds himself forced to reconcile with the violence of his past. Then we look at the new HBO series "The Gilded Age" which is the latest historical costume drama from Julian Fellowes of "Downton Abbey" fame. Is it as good as that? We'll let you know. And speaking of series, we've got one called "The Woman in the House Across the Street from the Girl in the Window." It stars Kristen Bell as a heartbroken woman for whom every day is the same, that is until she witnesses a gruesome murder - Or did she? We've also got a horror thriller called "Antlers" and the latest Kevin James comedy "The Home Team" based (very loosely) on a true story. This Podcast Is Episode Number 0391, And It's About Telltale Signs Of Bookkeeping Embezzlement And How To Prevent It Bookkeeping embezzlement stems from a feeling of entitlement and the need to get even. Your bookkeeper or accountant will steal if they feel confident they can get away with it and if circumstances allow for it due to weak integrity and a sense of "Redistributing The Wealth, But Not The Work Or The Responsibility." It is estimated that the number of bookkeepers caught embezzling from contractors is less than one percent of the total. In most cases, the ones that are caught are rarely convicted because all too often, it is the contractor who has to spend thousands of dollars on forensic accountants and attorneys to prove the theft occurred. In most cases, it is near impossible to persuade the authorities to prosecute when a contractor bookkeeper embezzles because it is often viewed as a "Victimless Crime." In most cases, an in-house construction bookkeeper starts with good intentions, and over time they become complacent and jealous of the lifestyle they see the contractor enjoying. Unfortunately, they rarely experience life in construction outside the climate-controlled, clean office with good lighting, real restrooms, beverages, and a relatively quiet environment. It makes perfect sense for you to delegate all the mind-numbing bookkeeping services tasks as you can. Contractors who want someone to provide Contractor Bookkeeping Services and pay the bills are practically waving a Red Flag and holding a sign that says, I'm stupid, pay my bills and embezzle as much of my money as you want! When Do Most People Buy A Burglar Alarm? After Being Robbed, Not Before! Whenever you think it is a good idea to give your in-house bookkeeper or any Outsourced Contractor Bookkeeping Service full unrestricted access on your online bank account, savings account, payroll account, or credit card so they can save you time by paying your bills - take two aspirin and lay down for a nap, when you wake up and still feel it is a good idea, think again and review these telltale signs: Your bookkeeper... - asks for signature authority on your checking/savings/payroll accounts - has a lifestyle that seems above what they are earning - takes Records Home to work on, or they want to work in the office when no one is around (Fraudulent activities are easier when nobody is around) - refuses to take a vacation - has access to your credit/debit cards - receives mail-order packages at work - tries to explain delinquencies tax notices - misplaces payroll receipts, deposit records, supplier letters, and estimates - has QuickBooks in a complete mess, and you cannot understand any of it - is the primary contact for your company's banks, auditors, creditors, etc. (gets angry when you ask for a QuickBooks report) - tries to blame the previous bookkeeper or outside accounting firm for messy QuickBooks - gets defensive when you or your CPA asks questions - makes the bank deposits, and they seem to be too small - does not get along well with other employees and staff members. - suggests they could save money by getting rid of the outside accounting firm There are more warning signs, but it's more important to be aware of the actions you can take: You (the owner) signs all checks - Nobody else ever signs any checks. It is okay if your bookkeeper prints the checks; just make sure the owner signs them. Three separate checking accounts - One for your main operating funds, one for payroll with just over enough to clear all outstanding payroll checks, and one for the owner's debit card purchases. You input the PIN - For all payroll or payroll tax deposits. Letting your bookkeeper be responsible for payroll or payroll tax deposits is like giving them keys to the kingdom and saying, "Take whatever you want." No company credit cards - Let employees be reimbursed for company expenses. Every employee needs time off - Any employee that does not want to take a holiday or a vacation may appear loyal, but there could be another reason. It is wise to check each employee's work when he/she is gone. Make bank deposits every day - Rain or shine busy or not. Photocopy and scan all checks and bank deposit slips and upload them to your paperless server. QuickBooks backup copy every day - QuickBooks has a built-in feature that will do it automatically, and there are several other services you can use as well. Never let the bookkeeper take a backup copy of your QuickBooks out of the office for any reason. Doing so will make it easier for them to embezzle and harder for you to claim your innocence. Petty Cash - If you have a cash drawer, balance it every day the same way as a bank account. Bookkeepers who develop the habit of embezzling usually start with taking small amounts, often from petty cash. Keeping track of small amounts of money can help keep large amounts of money from disappearing. Keep blank checks in a safe - Most office supply stores sell small safes for under $150.00, and it is money well spent. All it does is slow down and deter the lousy bookkeeper. Bank and credit card statements - Need to be mailed to a post office box or the construction company owner's home and opened by them. Never let the bookkeeper open any bank and credit card statements. Verify - All check numbers, including voided ones. Check references before you hire - And search for convictions (not charges). We give specific steps anybody can take that will make it less likely that you will be the victim of a pick pocket, but also also steps to mitigate the repercussions if you do get robbed. Let's not fool ourselves, pickpockets and magicians and they use the same misdirection techniques as magicians. A lot of them are really good at what they do! So if it's happened to you, don't feel bad, just do everything you can so it doesn't happen again. The only way to make sure nothing bad ever happens is to stay home and do nothing, but we're not going to do that are we? So, listen to this episode and get some inspiration on how to protect yourself from pickpockets in Paris and go on your next trip full of confidence! Remove as much as you can from your wallet or purse. Don't put anything in your back pocket. Don't put anything in pockets unless they zip or button. Only take one credit card and a little bit of cash with you, the rest should stay at the hotel. Don't have your driver's license on you. Don't carry your passport, only a photocopy. Photocopy the front and back of your credit cards and keep them in a safe place just in case you need to call to cancel them. Do not bring any checks to France, you can't use them. Notify your bank that you'll be travelling abroad. Don't bring your work ID. Bring a list of all the medications you take and bring enough drugs for your whole stay. Only carry one day's worth of medications on your person. Women should carry a purse that they can have across their torso. Cargo pants with buttoned pockets are good for men. Loose clothing puts you at great risk to be pickpocketed. Protect your phone, women should consider keeping it in their bra or in a zipped pocket. Put different things in different purse pockets. If you don't live in a large city in the US you are not used to being on alert for theft. Photographers need to consider using a holster system like the Peak Design Capture Pro with its accompanying Clutch that Annie now owns and loves. Conclusion The only way to never have anything unpleasant happen to you is to stay home. But, if you're listening to this podcast, you probably don't want to do that. We agree with you! Paris isn't any worse than any other big city when it comes to pickpockets, and as a matter of fact, the police that this stuff very seriously, but there are no guarantees. In this episode we've shared some specific suggestions of things you can do to lessen the impact of a adverse pickpocket encounter. This podcast is episode number 00068 and it will be about why contractors bookkeepers embezzle and steal “A recent study found that business school education not only fails to improve the moral character of the students, it weakens it. ..students were asked, if given a chance of being caught and sent to prison, they would attempt an illegal act that would net them a profit of more than $100,000; more than one-third responded ‘yes’." Bad Bookkeeper Embezzlement stems from a feeling of entitlement and the need to get even. Listed below are some of the reasons bookkeepers have used to explain why they did it: #01 “I’m really not 100 percent sure why I did it. I’ve been thinking about that the last two-plus years.” #02 "I hate bookkeeping, anyway." #03 "I could use $10,000 to put a little spice in my life.'” #04 "I am not getting a fair shake at work." #05 "They owe it to me because I am the one doing all the work around here." #06 “I’ve made a lot of mistakes and now I’m forced to answer to them.” #07 "I was getting a divorce and needed to amass legal fees for the divorce and the related child custody battle." #08 "In the beginning I took a little money but when it wasn't discovered I kept doing it because I enjoyed a lavish lifestyle." #09 "Everybody does it" #10 "I needed a new car and in fact I deserved it!"It is estimated the number of bookkeepers that are caught embezzling from contractors are less than one percent of the total. In most cases the ones that are caught are rarely convicted because all too often it is the contractor who has to spend thousands of dollars on forensic accountants and attorneys to prove the theft occurred. In most cases it is near impossible to persuade the authorities to prosecute when a contractor bookkeeper embezzles because it is often viewed as a "Victimless Crime" In most cases an in house construction bookkeeper starts out with good intentions and over a course of time they become complacent and jealous of the lifestyle the see the contractor enjoying. Unfortunately they rarely experience life in construction outside the climate controlled, clean office with good lighting, real restrooms, beverages and a relatively quiet environment. For a small construction company there are simple steps you can take to help prevent embezzlement: #1 The Owner Signs All Checks - Nobody else every signs any checks. It is O.K. if your bookkeeper prints the checks, just make sure the owner signs them. #2 Three Separate Checking Accounts - One for your main operating funds, one for payroll with just over enough to clear all outstanding payroll checks and one for the owner's debit card purchases. #3 The Owner Inputs The PIN - For all payroll or payroll tax deposits. Letting your contractors bookkeeper be responsible for payroll or payroll tax deposits is like giving them keys to the kingdom and saying "Take whatever you want". #4 No Company Credit Cards - Let employees be reimbursed for company expenses. #5 Every Employee Needs Time Off - Any employee that does not want to take a holiday or a vacation may appear loyal, but there could be another reason. It is wise to check each employee's work when he/she is gone. #6 Never Let Anyone Take Work Home - You could get in trouble for not paying overtime and there is too many opportunities for copying your company files, customer or client lists and selling them with your competition. #7 Make Bank Deposits Every Day - Rain or shine busy or not. Photocopy and scan all checks and bank deposit slips and upload them to your paperless server. #8 QuickBooks Backup Copy Every Day - QuickBooks has a built-in feature that will do it automatically and there are a number of other services you can use as well. Never let the bookkeeper take a backup copy of your QuickBooks out of the office for any reason. Doing so will make it easier for them to embezzle and harder for you to claim your innocence. #9 Petty Cash - If you have a cash drawer balance it every day the same way as a bank account. Bookkeepers who develop the habit of embezzling usually start with taking small amounts, often from petty cash. Keeping track of small amounts of money can help keep large amounts of money from disappearing. #10 Keep Blank Checks In A Safe - Most office supply stores sell small safes for under $150.00 and it is money well spent. All it does is slow down and deter the bad bookkeeper. #11 Bank And Credit Card Statements - Need to be mailed to a post office box or the home of the construction company owner and opened by them. You may be able to find it in the Cache version. Google takes a snapshot of each page it examines and caches (stores) that version as a back-up. It's what Google uses to judge if a page is a good match for your query. In the case of a website that no longer exists, the cache copy us a snapshot of the website when it was still active hidden away or cached. Practically every search result includes a Cached link. Clicking on that link takes you to the Google cached version of that web page, instead of the current version of the page. This is useful if the original page is unavailable because of: 1. Internet congestion 2. A down, overloaded, or just slow website - Since Google's servers are typically faster than many web servers, you can often access a page's cached version faster than the page itself. 3. The owner's recently removing the page from the Web Sometimes you can even access the cached version from a site that otherwise require registration or a subscription. If Google returns a link to a page that appears to have little to do with your query, or if you can't find the information you're seeking on the current version of the page, take a look at the cached version. Hit the Back button and look for a link to a "cached" copy at the end of the URL at the end of the search result. Clicking on the "cached" link should bring up a copy of the page as it appeared at the time that Google indexed that page, with your search terms highlighted in yellow. If you don't see a cached link, it may have been omitted because the owners of the site have requested that Google remove the cached version or not cache their content. Also, any sites Google hasn't indexed won't have a cache version. Limit: If the original page contains more than 101 kilobytes of text, the cached version of the page will consist of the first 101 Kbytes (120 Kbytes for pdf files). Really looking for an oldie but a goody? Try the It allows you to browse through 85 billion web pages archived from 1996 to a few months ago. To start surfing the Wayback, type in the web address of a site or page where you would like to start, and press enter. Then select from the archived dates available. The resulting pages point to other archived pages at as close a date as possible. Keyword searching is not currently supported. GEM: Spice up your database Search Google Images, then Right click and save to your hard drive. Use Silhouettes Find something that represents what you do know about that person. It really does help you see them more as a person and less as an entry in your database – their occupation, a reader, a sport, etc. Episode: # 06 Original Publish Date: April 1, 2007 You can learn more about Jewish roots at the 350 Years of American Jewish History website , The Home of Jewish Genealogy GEM: Cast a Shadow on Your Ancestors In the episode #5 I shared a little gem that would spice up your genealogical database – adding silhouettes and artistic images to the file of an ancestor when you don't have a photograph. Probably the most famous silhouette these days are the silhouettes used by Apple for advertising the iPod digital music and audio player. It may surprise your teenager or grandchild to learn that the first silhouettes were done hundreds of years ago. Back then silhouettes (or shades as they were called), they paintings or drawings of a person's shadow. They were popular amongst English royalty and the art form quickly spread to Europe. A silhouette can also be cut from black paper, and was a simple alternative for people who could not afford other forms of portraiture, which, in the eighteenth century, was still an expensive proposition. The word took its name from Étienne de Silhouette, but it's uncertain as to whether his name was attributed because he enjoyed this art form, or as the story goes because the victims of his taxes complained that they were reduced to mere shadows. Either way, the popularity of Silhouettes hit new heights in the United States where they were seen in magazines, brochures and other printed material. But they faded from popularity as Photographs took over in the 1900s. As a follow up, I want to share with you a simple technique for creating your own silhouettes. You can use ordinary snapshots to create a visual family record. Take a photo of a person in profile against a neutral background. Blanket the photo background with white acrylic or tempera paint Fill in the image with a heavy black permanent marker, curing the shoulders down for a classical pose. Add fun details like cowlicks, eyelashes, hats, and jewelry that express the person's personality with a fine felt-tip pen. Photocopy the doctored photos onto quality art paper. Since glossy papers work print best, you could also use your computer scanner to scan the image into your hard drive. From there you can add it to your database, or print it out onto glossy photo paper for mounting. To represent folks in your family tree, create a silhouette of your father to represent his Great Great Grandfather, and add a farmer's hat and rake to represent his profession of farming. Chances are dad has inherited some of his profile anyway. Have fun with it and be creative. But of course be very sure to label to silhouette appropriately as a creative interpretation rather than a literal rendering. You can also do silhouettes of your family including extended family and arrange the portraits together on a wall. The USGenWeb Project consists of a group of volunteers working together to provide Internet websites for genealogical research in every county and every state of the United States. The Project is non-commercial and fully committed to free access for everyone. Organization within the website is by state and county. You can go to the homepage of the website and click on the state of your choice from the left hand column. From the state page you can select the county you wish to search in. However, when I know they name of the county I want to search in, I've found it's often quicker just to search at google.com and do a search like “genweb sibley county mn” The choice is yours. Remember to use the Google search gem that I gave you in episode one (see episode #134 ) to quickly search within the county website. Many don't have search engines of their own, and so that's when I first really started using that search technique. These county sites are often very rich though, and after a focused search, it's rewarding just to wander the site. It will help you become more familiar with the county! You'll likely find databases of Births, Deaths, Marriages, townships histories, plat maps, surnames, and a host of other topics. Because each county has its own volunteer coordinator, the information you will find varies from county to county. And as always, info is being added regularly, so you need to book mark them and return on a regular basis to see what's new. Be sure and share your resources as well. That's the power behind the GenWeb project – volunteers. Volunteering your county resources will enrich other's experience and will likely lead to connections that will continue to further your own research.
