Do you ever say you'll start holiday prep early, but then suddenly it's December and you're in a tinsel-covered panic? Well, no more! In this episode, Kathi and co-host Tonya Kubo dive into part two of their discussion on preparing for the holidays in August. They offer practical advice for early holiday planning. Kathi and Tonya emphasize the importance of considering family needs, budgeting, and self-care in the planning process. Listeners will discover: How to plan for those perfect holiday photos How to plan for budget-friendly holiday travel How to create a realistic holiday decor plan (even if your husband Roger thinks there's no such thing as too many Christmas lights.) Throughout the episode, Kathi and Tonya offer relatable anecdotes and practical strategies to help listeners reduce holiday stress by planning ahead. Kathi shares her love for early holiday meal planning and cookbook perusing in this episode. She mentions one of her favorite recipes called Raclette. Check out Raclette photos in the banner as well as the recipe below! Raclette 3 to 7 oz. raclette cheese per person, sliced to fit the small trays under the raclette grill. (We find this at Trader Joe's and at some of the fancier stores from around November through February, and we've even found it on Amazon.) 4 to 6 potatoes new potatoes per person, boiled with the skins on. (You have better things to do with your life than peel tiny potatoes.) Optional Ingredients: Everything else is what you like or have on hand. That's the beauty of this meal—you get to make it what you love. Here are some ideas: bacon, beef fillet, thickly sliced, pork sausage, zucchini, thickly sliced, mushrooms, grape tomatoes, white pearl onions, bell peppers, thickly sliced, cornichons or pickled gherkins (traditional dinners call for sweet pickles, but we only use dill), pickled baby corn, asparagus, crusty hearty bread, barbecue sauce or ketchup (I have found this to be a game changer) Directions 1. Turn the raclette grill on to medium-high heat. 2. If you are using bacon, place the slices on the grill plate and cook to your liking. 3. Use the bacon fat to cook the other ingredients. (If you are not using bacon, simply brush the grill plate with some olive oil.) 4. Place some meat and vegetables on the hot grill plate. (When we have vegetarians or vegans visiting, we use two grills. You could even just use a tabletop skillet for the veggies and the raclette skillet for the cheese and meat.) 5. While the meat and vegetables are cooking on the grill plate, place slices of raclette cheese on the small trays and put them under the heating element. 6. Slice or smash the potatoes on your plate. Scrape the melted raclette cheese out of the tray and serve it over the warm potatoes. It is also common to place the melted cheese over the cooked vegetables. Some people even put slices of potatoes into the handled trays so that the cheese melts directly on top. About eight people can use one raclette set at a time. This is a warm, hearty dinner that is a universal hit at our house and with our guests. If you want to keep the whole meal on the tabletop, you can even use it to prepare dessert. Just clean off the grill and roast marshmallows over it to create tabletop s'mores. (Is there a better way to end a meal than with chocolate and marshmallows?) Do you feel like you're always editing a podcast? You're an expert in your niche. You don't need to spend all of your time editing. Live in your zone of genius. On this episode, I want to give you some tips about editing a podcast. There are five steps to producing a podcast each week. Those steps are plan, record, edit, publish and promote. You need to do these steps for every episode. But, you don't need to do these steps every week. What you need is a system. Let's see how you can save time in each of those areas to make your system more efficient and give you more time to work with your clients. GET HELP First, let me show you an option. You can always get someone to do all of the dirty work for you. How much time do you spend each week creating your podcast? If you could cut your podcast production time in half or more, how could you better spend the time you save? You could spend time finding clients. Use the time to serve your clients better. Spend time creating more digital products to sell. Double down on your promotion time to grow your show and your business. Let's do some quick math. Take the time you spend each week producing your show. Divide that time by two. Now, multiply that time by four for the four weeks in the month. If you dedicated those hours to revenue generation, how much money do you think you could make? Could you find a few clients to pay you each month by reallocating that time? When you do that every month for a year, how much more revenue would you generate for your business? My team can produce your podcast every week and give you that time back. In addition to the editing, you get coaching with me to improve the effectiveness of your content to grow your business. EDITING A PODCAST The editing and coaching plan will make your show sound great. You record the episode and send the team your audio and video. My team handles the rest. You simply show up and perform. With coaching and editing, you get professional audio editing. The team takes your audio and does the editing. They include noise reduction, volume leveling, mixing and mastering. You will sound great. We will put all of the pieces together, including adding your open and close. We'll put in any sound effects and transitions. You get the finished .mp3 ready to be posted. But, we handle that too. The team uploads your podcast to your audio host. Don't worry about it. You also get professional video editing. The show was recorded as a video. The audio is being used as your podcast. The video can be posted on YouTube to get you discovered. Video editing includes creating your YouTube thumbnail, so your video is ready to be uploaded to your YouTube account. Yep, we handle that too. The team gets your podcast uploaded to your YouTube channel. On top of that, my team will take care of your show notes. How much time do you spend writing show notes? We got you covered. PROMOTION ASSETS Now, we need to promote the show. So, My team also creates an audiogram for you from your show. This is a short clip of audio from the podcast over a graphic representing the episode. You can use this on your social media sites. You will also receive a captioned social media video from your video to help you grow your audience and attract more clients. To make your content stronger and more effective in growing your business, you also get two 60-minute group coaching calls with me each month. We build your podcast profits framework. You get to ask questions and get the help you need. Plus, you get full access to the Podcast Profits Accelerator membership that provides powerful tools and videos to help you succeed. You can spend your time editing a podcast. Or, you can spend your time working with clients and generating revenue. The editing package is just $750 per month for four episodes and videos along with all of the supporting assets. If we go back to the math you just did, how much revenue do you think you could generate if you dedicated those editing, producing, publishing, and promoting hours to revenue generation? You can see the full details and enroll to work with me and my team at www.PodcastTalentCoach.com/editing. Imagine what you could do with all of that time back. Let's get started. PLAN Now, if you decide to continue doing it on your own, find ways to save time. The first of the five steps is plan. It takes time to get ready to do each step. For instance when you are ready to record, it takes time to set up the gear, open the program, adjust your mic and headphones, find your production pieces, get in the right mindset, make sure you have some water and all of the other details. On the surface, it doesn't seem like a lot of time. I bet if you were to time the set up prep time and the time it takes you to shut it all down, you would be surprised that it is probably around 15 minutes. YOUR TIME Next time you are ready to record an episode, time it. Start the clock as soon as you decide to record the episode. Let's say at 2 you decide it's time to head in and record. As soon as you get off the couch and start walking toward the mic, the clock starts. It stops as soon as you hit record. As soon as you have saved the file and finished the session, start the clock again. It stops when you turn off the light and leave the room. The total of those two periods is at least 15 minutes. Four episodes a month is costing you an hour in set up and tear down. If you record all four episodes in one session, you only set up and tear down once. You just saved 45 minutes in your month. This is just one example. The more you can batch your work like this, the more time you will save. Remember, you don't have to do any of these steps at the same time. You don't have to record and edit in the same sitting. You are better off recording four episodes at the same time and then editing all four at another time. Doing the same actions together is where you will save time. CONTENT Planning your episode creation is critical when saving time. Break up planning into four parts. Then, do each part for multiple episodes at the same time. Find the time in your day and week when you are most creative. For some of us that is morning. Others do best at night. Some are better on a weekday at lunch. Others find their creative muse on Sunday mornings. Find your right time. The first part of content planning is creating topics. Spend ten minutes brainstorming as many topics for your podcast as possible. Shoot for 50 different topics. What does your audience what to learn? If you interview guests, who can help you teach them that topic? The second part is selecting your ideal five. Pick five of the 50 topics that you would like to build out as episodes. These could have a theme or they could stand alone. Your choice. Part three of content planning is outlining each episode. For each topic, list three to seven points you could discuss on this topic. Finally the fourth part is adding important details to each point. This episode is a perfect example. I am covering five areas where you can save time. That was the outline I started to build out. Each of the five areas have a few important details, like these four steps of planning. With your planning, you now have five episodes ready to be recorded. You don't have to fight writer's block trying to figure out what this week's episode will be all about. Grab the outline and start recording. RECORD The next step in your process is recording. There are a few ways to save time when you record. We already discussed the idea of saving set up and tear down time by recording multiple episodes at the same time. This is a big time saver. You can also save time recording by setting up a studio that doesn't need to be dismantled each time. If you can swing it, removing the need to set up and tear down can make you more efficient. Finally, you can save time recording interviews by preparing your guest ahead of time. I do not mean you should provide them the questions. Before your interview, you should give them a recording checklist to minimize the time it takes to troubleshoot their tech issues. EDIT You now have your show recorded. If you are using my editing services, you can stop here. You're done. Everything else is being handled by my team. If you're still spending your time editing, let's find ways to save you more time. Editing is probably the area where you can save the most time. The first thing you should do is stop worrying about saying uh and um so much. Very few people notice. It is natural in most conversation. Make it easy to locate your editing points. If there is something you know you want to edit out of your show, leave a short gap of five to ten seconds. This will allow you to visually find your edit. Create a palate for your show. If there are things you use for each episode, such as your open and close, put those pieces in a place you can find quickly each time you edit. Create a system to organize your audio so you can easily find it. We typically inhale before we start speaking. There is a tip you can use to make your edits unnoticable. When you are creating an edit, keep the original inhale. Let's say you're talking, you end a sentence, and begin the next. You suddenly mess up. You start that sentence over and continue on. Now you need to make that edit. Keep the inhale before the original sentence that was messed up. Delete up to the start of the new, correct sentence removing the new inhale. It will sound much more natural. Edit your video first. Then, import the video into your audio editor. You've already done the hard work editing the video. Just use that audio as your podcast adding in your show open and any other necessary podcast elements. I use Hindenburg as my audio software. Some others don't accept video files. Investing in some good, flexible software can save you a ton of time. Finally, create a checklist. This will allow you to know quickly which pieces need to be completed each and every time. You just follow the process. PUBLISH Step four is publishing your episode to your audio host and publishing your video to your YouTube channel. Again, my team is handling this for you if you're using my editing services at www.PodcastTalentCoach.com/editing. When it comes to publishing your episode, what do you do each and every time that can be streamlined? I have created a template for my episode artwork. I can easily populate the template for each episode. It saves a ton of time. Create a show note template that you can fill in with the critical information your audience needs. Repurpose your show prep and outline for your show notes. Show notes take a lot of time. Find ways to give your listener what she needs in your show notes without spending a full day on it. Ask yourself why a listener might come to your show notes in the first place. Put that in there. Then, add some content that will attract search engines. To save time, create a process that is easy to follow. PROMOTE The final step is promoting your show. Create the right elements. When it comes to promoting your show, create a consistent way to get the podcast in front of new listeners while reminding current listeners to come back. Don't try to do everything. Start by doing the things that will make a difference. Use the 80/20 rule when it comes to promoting your show. If you get more listeners by appearing on other shows, spend your time there. If Twitter isn't where your audience hangs out, don't waste your time. Take some time to list the 20% of your promotion activities that make up 80% of the results. Do those things and eliminate the others. GET RID OF IT You can remove all of the editing headache from your weekly "to do" list and have my team help. Let my team produce your podcast every week and give you back time to work with clients and generate revenue for your business. You can see your editing options at www.PodcastTalentCoach.com/editing. In today's episode, I look back at my time tracking for 2021's Q4 briefly and then I dive into analyzing the entire year. At the end, I share some questions that can help you evaluate last year and plan for this year. My average weekly time in Q4 was similar to the previous quarters. I was really proud of myself that I stuck to my “absolutely no work” plan Dec. 23-Jan. 3. And I took at a four-week podcast hiatus. All of that was restorative and rejuvenated my creativity. The biggest surprise for me was I earned more money last year than I ever had in the past—by a wide margin! I do track my money each month, but I wasn't really adding up those monthly figures to see what I was making for the year. While I'm thrilled with how much I earned last year, I'm not sure it's sustainable. That's not just pessimism talking. Two big projects I landed in 2020 continued into 2021, but ended or were cut back before the end of the year, and I cannot expect that income this year. I analyzed where my work came from in 2021. Referrals are always my biggest source of work. In 2021, 37% of my income came from referrals. These percentages are based on income, not number of clients. I want to know where I'm earning the most money. After referrals, 21% of my income was from my involvement in the group Associations, Media & Publishing Network, specifically the Associations Council. The majority of my clients are associations, so I've gone where my clients are. Where are your clients? There's probably an organization out there where you can start to get involved and subtly show your expertise in the industry that you serve. Next up, 17% of my income came from cold networking; 13% from letters of introduction; 12% from former jobs. I also analyzed the type of organization I worked for. I want to focus on membership associations, but did my income reflect that? Yes, it did. I'm pleased to say that 77% of my work came from membership associations last year. I also analyzed if what I want to do matches up with the services that bring in the most money. It hasn't always matched up in the past, but I've been more purposeful about going after the work I love—managing editing—versus the work I “like”—copy editing and proofreading. I'm happy to say my numbers in 2021 did match what I had tried to do. 59% of my income came from managing editing work, while 29% came from writing and only 12% came from editing and proofreading. I encourage you to consider time tracking. I consider it a game changer. Analyzing your time tracking at the end of a big project—that you charged a project rate for—can tell you whether you met your secret hourly rate or whether you undercharged. Questions to ask yourself: What services do you love to do? Is that where you're focusing your marketing? How can you take your business in a new direction? What can you improve upon in your business in 2022? What did you learn in 2021? What worked really well for you and your business? What didn't work for you last year? Do you need to drop clients, raise your rates, change your services? And be honest with yourself: Did you do anything last year that you're frustrated by or disappointed by? What do you need to work on personally? Where have you felt stuck in your business? How can you start to make a plan to get unstuck? A solo business retreat in January is a great way to reflect on these questions and work ON your business, setting yourself up for success this year. This week’s Borne the Battle features Army Veteran Gavin McIlvenna, who talks about the selection process of becoming and walking as a tomb guard at the Tomb of the Unknown Soldier; he then shares about his own mentors, how he founded the Society of the Honor Guard, shares crazy guard stories and the process of disinterring a Veteran at the tomb.Roughly 130,000 visitors toured Arlington National Cemetery on Memorial Day pre-COVID. This year may be different, but it is still an important occasion for the Tomb of the Unknown Soldier. Memorial Day seeks to honor those who have fallen while serving our country, and the Unknown Soldiers are no different. On November 11, 2021, Arlington National Cemetery will be commemorating the centennial of the Tomb of the Unknown Soldier. The centennial is not only a day to celebrate and remember the burial of the World War One’s Unknown Soldier but to reflect on what the Tomb of the Unknown Soldier means to the nation.McIlvenna breaks down the history of the Tomb of the Unknown Soldier and how the tomb doesn’t represent just one conflict; it represents all conflicts, the significance and purpose behind the upcoming events for centennial and where Americans can find information on these events and projects.Lastly, McIIvenna talks about the first VA facility to have a never forget me garden, why every American should visit the tomb, and how communities can get involved in the centennial and learn about a unique part of its history and why the Tomb of the Unknown Soldier is important to so many gold star families and Veterans.Borne the Battle Veteran of the Week:The Veteran in your life that is no longer with you. The world is electronic now, which means there are doorways into our lives and our business that we'd prefer stayed closed. But as the recent Russian hack of the U.S. government shows, we can't always keep the bad guys out. Big fleets have the resources to protect themselves and can hire the expertise they need. Small fleets may not even see themselves as targets, and that leads to a denial of the problem, compounded perhaps by not knowing how to begin building a defense. Happy New Year! On today’s show I talk about where my head is at for 2021, which is essentially that I am not setting huge goals for myself this year. I’m trying to continue to give myself grace—not be so hard on myself—and to focus on my personal wellness, while maintaining a steady income. I did an audit of my business in 2020, crunching the numbers and analyzing the data, and I share that data and the lessons I learned—and how that info may be able to help you—in today’s episode. When the pandemic hit in March, I lost my primary anchor client (which is still “on hold”) and a few smaller assignments that were in the works. I had to immediately figure out how I was going to pay my bills and find new clients to recoup about 50% of my income. I quickly sent a mass email to my larger network—current clients, past clients, other freelancers and other colleagues—and let them know I was available for work and how I could help them. I received a great response, which was so heartwarming. Some of that even led to new clients. From that one email, I earned $40,000 from new clients last year, and another $10,000 from current editors with new assignments. You don’t have to be hit with a pandemic to send out an email like that. I’ve sent them out individually on a much smaller basis, telling clients and colleagues that I have availability coming up and listing the ways I can help. With other work in 2020, I was able to make six figures again, but it was way less than I earned in 2019, even though I also received a $20,000 PPP loan. This financial stress, along with the anxiety surrounding COVID-19, caused me to experience anxiety like I never had before. Initially, in March, I interviewed therapist Mira Dineen on the podcast to talk about dealing with that anxiety, which was a great episode (all links below). Soon after, I brought on my acupuncturist and friend Rachel Brumberger to talk about embracing self-care without the guilt, whether we’re in a pandemic or not. But later that summer, with my newly discovered and self-diagnosed anxiety, I sought out therapy for the first time. My new therapist gave me some great tools to use when I was feeling anxious and also before I was feeling anxious. You can hear about those tools in episode #70. Because of the outreach I did in March, by August I was back to my pre-pandemic income levels, without the big anchor client I had lost. But it wasn’t always steady work. September and November were lighter months, and I was constantly working to get new writing assignments, which I don’t do in a typical year. But one-off writing assignments and a few new anchor clients helped me pay the bills and get to six figures in 2020. In this episode, I also break down the percentages of the type of work I do, the type of clients I work for and where that work came from (networking, referrals, social media, past job connections or LOIs). A huge chunk of my work comes from past job connections and ongoing referrals, which was not a surprise to me. And most of my work comes from membership associations. The majority of my work is managing editing, followed by writing, then copy editing and proofreading. With the loss of my anchor client, for which I was a managing editor, I thought that percentage would decrease a lot. But in 2020, the income from managing editing was still 57% of my income, partly because I had that main anchor client from January to mid-March and because I gained a new anchor client by August. Managing editing is my favorite type of work, and I’m trying to figure out how to increase it in 2021. I can’t manage a ton of magazines because it takes a lot of time, but if I’m able to gain more of these types of clients, I may be able to outsource pieces like some of the writing. The second type of work I do is writing. Writing pays well, but I don’t want to write every day, all day. But new writing assignments helped me survive 2020 because it’s easier to get one-off assignments when I need them, as opposed to ongoing anchor clients. Plus, I write about health care, which came in handy last year. Although I did time tracking in the fall and winter of 2020, I did it on paper primarily to keep me on task. But I had little interest in doing the math from all those scraps of paper, so I still don’t have as much data as I would like to show me how I am spending my time. Therefore, I started using the time tracking app Toggl in December and hope to use it all year so I can have better information on where my time is going. If you haven’t already, I encourage you to crunch the numbers for 2020 and analyze what you liked doing, where the money came from and the type of clients you enjoy working for. Hopefully, those three areas will connect—or you can make a plan to figure out in 2021 how to work for the clients you love, doing the work you love, for the highest financial reward. Here are a few questions to ask yourself: What five things did you love doing in 2020? Write them down. What five things in your business did you dislike or were frustrated or bored by? Are there things you want to accomplish or achieve, but you’ve just felt stuck? How can you get unstuck from projects? Is 2021 the time or should that wait till after the pandemic? Can you take baby steps in 2021 to set you up for an amazing 2022? Were there red flags with clients? Does that mean you need to deal with those issues or just fire that client? Does that bring up things you personally struggle with that you need to deal with? Let me know what you learned from your own business audit and how that affects your plans for this year! Message me on Twitter @MelEdits or email me at melanie@meledits.com. I really love hearing from you. On today’s episode, we’re talking about goals—setting them, working on them, tracking them, achieving them. Goal-setting can be tough, and I think part of that is the words we use. For example, New Year’s resolutions are essentially goals, but about 80 percent of New Year’s resolutions fail by February. We’re all eager in January to jump on those resolutions, but then we get bored, or we forget or life gets too busy and gets in the way. Goal-setting can happen at any time. You can wait for that feeling to hit you that you want to work toward some new things, or you can be proactive throughout the year. To get started, I recommend setting only a few big goals at a time. Otherwise, you fall into that New Year’s resolutions trap again. First, start by setting one to three goals for your business. Your goals should be specific so that you can later tie them to step-by-step goals and habits to implement. Saying you want to grow your business is not a specific goal. On the personal side, wanting to become a better runner or get in shape are not specific goals. To set goals for your business, take a few hours or even a day to focus on what you want for your freelance business. This is deep work. Turn off the phone and social media notifications. Better yet, set your computer aside and use pen and paper. Physically writing when you’re brainstorming helps spark your creativity and solidify your ideas. And make it fun. This year—although I admitted to myself that I wasn’t going to use the actual calendar in a planner—I bought a planner for inspiration and brainstorming. I bought the Alter planner, which was made just for freelancers. Once you have evaluated some potential goals, you need to set goals that are actually doable, attainable and specific enough that you know how to get started on them. Use the SMART technique: Specific Measurable Attainable Relevant Time-based When you have a couple of goals that meet all the criteria in the SMART formula, you need to put an actual plan in place to work on those goals. James Clear, author of “Atomic Habits,” says: “You do not rise to the level of your goals. You fall to the level of your systems.” That means if you don’t put a system and habits in place for each of your goals, they’ll just be goals with no structure or plan. You need to create a step-by-step plan for how to achieve each of these goals. Start with one of your goals and begin to write down all the “to do” items you need to make that happen. Then, begin to think of a structure—and the habits you need—to get that to-do list accomplished. Part of the SMART goal formula is to develop a goal that is measurable. Tracking and measuring your goal is critical to that goal’s success, but this is often an area we struggle in. As you set up your systems and habits, include a process for how and when you will measure that goal. I use an Excel spreadsheet to track my financial goals and keep that sheet open all the time on my laptop. There are also dozens of apps that will track things, so a phone app might be the best option for you and your goals. Track your goals regularly, maybe weekly or monthly. But then do a more intensive check-in and measuring of your goal each quarter to make sure that goal is still working for you. Even if you don’t hit your goal, you’ll likely get closer than if you had no goal at all. Or, you might realize you need to adjust your goal at some point throughout the year, and that’s OK. On today’s show, I’m going to report on what I did during my most recent solo business retreat and my lessons learned. Some of you already know I love taking a solo business retreat about once a quarter—or at minimum, twice a year. A solo business retreat is just you, away from your regular workspace—even in that means just heading to another room in your home—and taking a half day, entire day or even two days to step back. It’s a time to think big and to work ON your business, not just IN your business. In episode 3, I talk about how to host your own solo business retreat—what you need, where you can go to do it, what to think about. Two episodes ago, episode 40, I gave tips and hopefully some inspiration for things that would work well during a solo business retreat—how you could evaluate the past year of your business and then analyze what you needed to do differently this year. I also mentioned in that episode that I was going to host my first solo business retreat outside my city. It was in Chicago last week, and it was amazing. I started by making a list of all my clients and how much I made from each one of them last year. Then, I marked which ones were likely one-offs because they were one-time projects from the client’s perspective and which ones were one-offs because I didn’t want to work with that client anymore. The good news is that only two were ones I didn’t want to work with anymore—in one case, it was a one-off project, and in the other I think the client felt the same way I did. So, I didn’t have to fire any clients! My calculations also confirmed what I already knew from past years: My primary anchor client is about 48% of my net income each year. That’s a lot. That security also comes with cautions: What if that client suddenly lets me go or kills our project? The challenge is that because the workload for this client is like a part-time job, I can’t take on a lot of other big anchor clients. So, I’ve tried to prepare myself for losing this client, though I hope that never happens. First, it helps just that I’m aware of it. Knowing that relying on one client for 48% of your income is a gamble is the first step. You don’t want to be blindsided if the client goes away. I’ve also been working to build up my savings to provide a cushion, and I continue to market and stay in touch with past clients. It’s important to always be marketing. It can take months or even years in some cases to get a project from a potential client. Waiting until you need the work will not likely pay off—plus, it can make you desperate. You might take on low-paying clients or clients who don’t treat you well. After calculating where my money came from last year, I made a short list of the clients I really loved who I wanted to work with more. Some of these were newer clients that have started off great, and I want to keep that momentum going. Others are longer-time clients that I need to reach out to more. I also had one client where my editor left last year. So, I quickly looked up the new person’s contact information so I could email them a letter of introduction. The next part of my business retreat was to make a list of my successes, failures and challenges from last year. My successes included two regular clients that I worked with substantially more last year. Other successes were two new regular clients and my podcast launch. Failures included a client who was really difficult to work with. Another was not keeping up with my business receipts in a timely manner. On the list of challenges I added batching, the idea of doing like work all at once and saving time from switching tasks. I’m still working on doing a better job of batching. Another challenge was taking on projects that are not in my sweet spot. I should have said no. In fact, I’ve dubbed 2020 as the year of saying no, particularly saying “no” to volunteering so much in my industry. I love helping other freelancers build their businesses—that’s why I do this podcast—and I also love helping out in my industries. But I need to be careful what I say “yes” to because it can eat into the time I should be focused on paid work or my personal life. It often leads to me feeling overwhelmed and stressed. So, I’m being really picky about this year. One thing that has been harder to say “no” to are coffee dates or email requests. I have had some well-intended friends or acquaintances email me and connect me with a connection of theirs. Usually they say something like “my friend wants to become a freelancer. Can you give her some tips?” First, I would prefer the person I know to ask me first, not assume or pass of the person off to me. Second, those types of questions are vague and broad. And third, I don’t have time to help every stranger who wants a personal list of what they should do to become successful. So, I’m still figuring out how best to say “no” to those requests without feeling rude. My retreat wrapped up with me making a list of the healthy work habits I want to implement this year. Then, I made a list of the systems I could create to make those happen. I talk about habits and how you need a system to make them actually stick in last week’s episode, episode 41. At the end of my retreat, I had dinner with my friend and fellow writer Megy Karydes. Megy was a guest on episode 10, and she reminded me how regimented she is in sticking with her systems each day. Megy knows—to the penny—how much she needs to earn each DAY. And, she keeps diligent track of it. I was inspired to try to do better tracking of my income goals. I will likely break down my monthly goals into weekly goals to track. I hope to tie this into time tracking—which Megy is also quite diligent about—because when I do time tracking it helps me stay on task and be more efficient. Plus, I gather important data about how long certain types of projects take so that I know how to charge for them. Biz Bite: Create an end-of-the-day routine. On today’s show I am going to go through several tips and tools for creating and sticking to new habits, as outlined and inspired by James Clear’s book “Atomic Habits.” But first, please consider donating $5–10 to a fellow freelancer, Cat DiStasio, who is recovering from a severe stroke that happened right before Christmas 2019. Cat was my guest on episode 30 about how a virtual assistant (VA) can help your business. She is a former VA and now focuses on writing and project management. Cat is a single parent and the sole income earner for her and her child. Unfortunately, in the U.S., we don’t have a safety net system when things like this happen to people. We have to rely on our community and the goodwill of others. Under Resources below, you will find the link to a GoFundMe account set up by fellow freelance writer Jennifer Goforth Gregory. As a fellow freelancer, I’m sure you understand the fear of what would happen if you got sick or injured and couldn’t work—especially if you are the sole or primary income earner for yourself or your family. So, please consider donating whatever you can. On the last episode, the Biz Bite I recommended was to pick a word of the year. I love this process because it allows me to focus on what I want to accomplish or improve in the coming year. For 2020, I have two words: Explore + Act. Now, on to habit creation … I believe habits are the backbones of our lives—and they can be the backbones of your freelance business too. Building a system of habits doesn’t mean you have to have this impossible, rigid structure throughout your day. It doesn’t mean you’re going to become a robot. You can still have spontaneity. You can have unstructured time in your days. But when you truly embrace a new habit, it becomes old hat. You don’t even think about it anymore. It can be something you look forward to. A habit takes away the mental energy and anxiety and stress of thinking about what you should be doing next and the process and steps it takes. Clear says something that I absolutely love and agree with: “You do not rise to the level of your goals. You fall to the level of your systems.” How many times do we set a goal for ourselves or for our businesses and then don’t really put a system in place to achieve that goal? This is one of the reasons New Year’s resolutions fail so miserably. What system have you put in place to achieve a goal? It’s not about willpower. It’s not even about reminding yourself of this goal. You need a system—you need a series of steps that will make this a habit. Clear also says: “Habits are the compound interest of self-improvement.” This means you will not notice an improvement the first time you start a new habit; you may not even see improvements week after week. Transformation takes time. Clear believes we should aim to improve by just 1 percent each day. That doesn’t seem like much. But it definitely adds up. For me, I’m trying to meditate every work day, anywhere from 5–15 minutes. I don’t really notice a difference right now. I feel the same. It feels like this weird chore I’m doing, maybe even a waste of time. But if I meditate day after day, there will be a cumulative effect that I will eventually realize. The goal of meditation is not just to meditate. For me, it’s to build a healthy habit so that eventually meditation will help reduce any anxiety I am feeling and will calm down my racing mind before a busy, hectic day. Meditation will be the thing I know I can turn to when I’m feeling overwhelmed and need to take a quiet moment to calm myself, slow my breathing. That is my goal. But I need a system to make sure I stick with the habit. So, I have a Post-It note on my laptop that says “Meditate.” That is my cue each morning. And I’ve paired meditation with my tea. So, after I fix my tea, I take a lovely sip and then set it aside while I do my meditation, returning to my tea treat after I meditate. I also use a meditation app. In my case, I use the Breathe app. And it tallies my meditation streak—I want to keep my streak going. Plus, it gives me little badges for meditation milestones. One of the concrete things Clear provides in his book are the four simple steps to building better habits: Cue Craving Response Reward The cue is what triggers your brain to start a behavior. The cravings are what motivate you to do the habit. There has to be some sort of desire for you to do the thing or you won’t do it. The response is the actual habit. And the reward is what you get out of it. To put that into action for your freelance business, think of a good habit you want to implement. Let’s say you want to be at your desk, ready to work, at 8 a.m. every day. To implement any habit, Clear takes his idea of cue, craving, response and reward and creates a practical way to implement it. He calls this the Four Laws of Behavior Change. They are: Make it obvious. Make it attractive. Make it easy. Make it satisfying. For every habit ask yourself how you can make it obvious, attractive, easy or satisfying. If you’re working on breaking a bad habit, you just inverse this: Make the habit not obvious, unattractive, difficult and unsatisfying. I also highly recommend checking out Gretchen Rubin’s work on this. Her book “Better than Before” is all about habit change, and she gives dozens of ways you can create and stick with habits. So, for example, let’s take “obvious” and “easy” together. If you want to be at your desk at 8 a.m. every day, you need a system that makes that obvious for you each morning. First, you need to decide what time you need to get up to be at your desk by 8 a.m. What time do you need to wake up to be ready? What time, then, do you need to go to bed to get up at that time? Maybe you need to set a bedtime alarm to remind yourself to go to bed. Another way to make a habit obvious is to design your environment. One habit I’m working on is to eat apples as snacks, instead of reaching for chocolate. So, instead of having candy out and within my eyesight, I placed a bowl of apples on our coffee table. That’s the first food option I see when I’m thinking about snacking at night. I designed my environment to support my habit. On the Happier podcast, Rubin and her sister, Elizabeth Craft, talk about the idea of reframing. Two ways to do this that I like is: Ask yourself what kind of person you want to be. Put a positive spin on a habit by saying you “get” to do something, not that you “have” to do something. (“I get to go to the gym. I get to eat healthy food.”) Think also about how you can make your habit irresistible or attractive. I like to use the strategies of pairing and rewards. What would be a healthy treat for you each morning? How could you pair that with your morning routine or your 8 a.m. start? One thing I do for exercise is I pair walking with listening to a podcast. I scroll through the latest podcast episodes each morning and listen to something while I get ready for my day. But, if I’m supposed to work out that day, I save the episode I really want to listen to and only allow myself to listen to it when I go for my walk. It’s a treat that I look forward to. Clear’s last rule of habit change is to make it satisfying. He gives an example of a couple who wanted to stop eating out so much. They created an online savings account and named it “Trip to Europe.” Every time they wanted to go out to eat but didn’t, they transferred $50 into that account. As you think about the habits you want to create, don’t just think about what habits you think would be good for you: more exercise, healthier eating, more sleep. Ask yourself the bigger questions: Who do you want to be? What do you want your freelance business to look like? What do you want to accomplish this year? What major lifestyle changes do you want to implement? What bad habits have gone on way too long in your life that you’re sick of and you want to change? Scan through your day and week and analyze how you spend your time. What is good about that and what could be improved? What is missing from your life? What do you want more of? Then, break down those aspirations into habit goals. From there, use the tools offered by people like Clear and Rubin to build the systems into your life and your business that will allow you to meet those goals. Episode 63 of The Teaching Space Podcast outlines a simple strategy to help teachers and trainers plan a relaxing but productive summer break. 1. Visualise First, think about where you want to be, both personally and professionally, by the end of the summer. Write it down. 2. List Next, list all of the steps you need to take to achieve that overall aim. 3. Highlight Grab a highlighter pen and mark out your top priorities. This will be helpful when you start mapping out what you will do when later on. 4. Balance Check This is the most important part of the process. Check that what you are planning is balanced. Your requirements will be different to mine, but for example, I would be ensuring my plan is balanced between: rest/health home improvements friends and family personal projects Where tasks don’t contribute to a decent balance, and are not a priority, strike them off. 5. Plan Now grab your calendar and plan out each week’s to-do list. Housekeeping This is the last podcast for my academic year - I will be taking a break over summer.
