I refer back to this list often too, because these are the lessons I try to live by and incorporate into my everyday life. Here's a handful we'll be talking about: Pain can be your greatest teacher. But don't forget to feel it before trying to skip to the lessons. Trust your inner knowing. Intuition is a combination of logic and feeling. Don't beat yourself up for not getting your intuition right the first time - logic can only be learned through lived experiences. You have to live it to learn it. Letting go may be the secret to happiness. Because life is a series of happy moments strung together, but you'll miss them if you're too busy searching for that one destination. One trip traveling solo is equivalent to at least 5 years of therapy. Trust = clarity + choice You won't know the strength or depth of a connection until it's been tested by conflict. The liminal space is the in-between, the transitionary period, that awkward and uncomfortable phase when you're on the precipce of moving towards the new, but haven't quite arrived yet. It's when you're facing the unknowns and your destination, or at the very least the path to get there, leaves you with far more questions than answers. The moments when you're so ready to close the old chapter but the new isn't quite ready, testing your patience. And yet, there is so much growth to be found in this space. These are the sacred grounds upon which transformation is created, when you're closer than ever to find what you've been searching for, letting go of everything that's been holding you back, or being more open to love. In today's episode, I look back at my time tracking for 2021's Q4 briefly and then I dive into analyzing the entire year. At the end, I share some questions that can help you evaluate last year and plan for this year. My average weekly time in Q4 was similar to the previous quarters. I was really proud of myself that I stuck to my “absolutely no work” plan Dec. 23-Jan. 3. And I took at a four-week podcast hiatus. All of that was restorative and rejuvenated my creativity. The biggest surprise for me was I earned more money last year than I ever had in the past—by a wide margin! I do track my money each month, but I wasn't really adding up those monthly figures to see what I was making for the year. While I'm thrilled with how much I earned last year, I'm not sure it's sustainable. That's not just pessimism talking. Two big projects I landed in 2020 continued into 2021, but ended or were cut back before the end of the year, and I cannot expect that income this year. I analyzed where my work came from in 2021. Referrals are always my biggest source of work. In 2021, 37% of my income came from referrals. These percentages are based on income, not number of clients. I want to know where I'm earning the most money. After referrals, 21% of my income was from my involvement in the group Associations, Media & Publishing Network, specifically the Associations Council. The majority of my clients are associations, so I've gone where my clients are. Where are your clients? There's probably an organization out there where you can start to get involved and subtly show your expertise in the industry that you serve. Next up, 17% of my income came from cold networking; 13% from letters of introduction; 12% from former jobs. I also analyzed the type of organization I worked for. I want to focus on membership associations, but did my income reflect that? Yes, it did. I'm pleased to say that 77% of my work came from membership associations last year. I also analyzed if what I want to do matches up with the services that bring in the most money. It hasn't always matched up in the past, but I've been more purposeful about going after the work I love—managing editing—versus the work I “like”—copy editing and proofreading. I'm happy to say my numbers in 2021 did match what I had tried to do. 59% of my income came from managing editing work, while 29% came from writing and only 12% came from editing and proofreading. I encourage you to consider time tracking. I consider it a game changer. Analyzing your time tracking at the end of a big project—that you charged a project rate for—can tell you whether you met your secret hourly rate or whether you undercharged. Questions to ask yourself: What services do you love to do? Is that where you're focusing your marketing? How can you take your business in a new direction? What can you improve upon in your business in 2022? What did you learn in 2021? What worked really well for you and your business? What didn't work for you last year? Do you need to drop clients, raise your rates, change your services? And be honest with yourself: Did you do anything last year that you're frustrated by or disappointed by? What do you need to work on personally? Where have you felt stuck in your business? How can you start to make a plan to get unstuck? A solo business retreat in January is a great way to reflect on these questions and work ON your business, setting yourself up for success this year. Happy New Year! On today’s show I talk about where my head is at for 2021, which is essentially that I am not setting huge goals for myself this year. I’m trying to continue to give myself grace—not be so hard on myself—and to focus on my personal wellness, while maintaining a steady income. I did an audit of my business in 2020, crunching the numbers and analyzing the data, and I share that data and the lessons I learned—and how that info may be able to help you—in today’s episode. When the pandemic hit in March, I lost my primary anchor client (which is still “on hold”) and a few smaller assignments that were in the works. I had to immediately figure out how I was going to pay my bills and find new clients to recoup about 50% of my income. I quickly sent a mass email to my larger network—current clients, past clients, other freelancers and other colleagues—and let them know I was available for work and how I could help them. I received a great response, which was so heartwarming. Some of that even led to new clients. From that one email, I earned $40,000 from new clients last year, and another $10,000 from current editors with new assignments. You don’t have to be hit with a pandemic to send out an email like that. I’ve sent them out individually on a much smaller basis, telling clients and colleagues that I have availability coming up and listing the ways I can help. With other work in 2020, I was able to make six figures again, but it was way less than I earned in 2019, even though I also received a $20,000 PPP loan. This financial stress, along with the anxiety surrounding COVID-19, caused me to experience anxiety like I never had before. Initially, in March, I interviewed therapist Mira Dineen on the podcast to talk about dealing with that anxiety, which was a great episode (all links below). Soon after, I brought on my acupuncturist and friend Rachel Brumberger to talk about embracing self-care without the guilt, whether we’re in a pandemic or not. But later that summer, with my newly discovered and self-diagnosed anxiety, I sought out therapy for the first time. My new therapist gave me some great tools to use when I was feeling anxious and also before I was feeling anxious. You can hear about those tools in episode #70. Because of the outreach I did in March, by August I was back to my pre-pandemic income levels, without the big anchor client I had lost. But it wasn’t always steady work. September and November were lighter months, and I was constantly working to get new writing assignments, which I don’t do in a typical year. But one-off writing assignments and a few new anchor clients helped me pay the bills and get to six figures in 2020. In this episode, I also break down the percentages of the type of work I do, the type of clients I work for and where that work came from (networking, referrals, social media, past job connections or LOIs). A huge chunk of my work comes from past job connections and ongoing referrals, which was not a surprise to me. And most of my work comes from membership associations. The majority of my work is managing editing, followed by writing, then copy editing and proofreading. With the loss of my anchor client, for which I was a managing editor, I thought that percentage would decrease a lot. But in 2020, the income from managing editing was still 57% of my income, partly because I had that main anchor client from January to mid-March and because I gained a new anchor client by August. Managing editing is my favorite type of work, and I’m trying to figure out how to increase it in 2021. I can’t manage a ton of magazines because it takes a lot of time, but if I’m able to gain more of these types of clients, I may be able to outsource pieces like some of the writing. The second type of work I do is writing. Writing pays well, but I don’t want to write every day, all day. But new writing assignments helped me survive 2020 because it’s easier to get one-off assignments when I need them, as opposed to ongoing anchor clients. Plus, I write about health care, which came in handy last year. Although I did time tracking in the fall and winter of 2020, I did it on paper primarily to keep me on task. But I had little interest in doing the math from all those scraps of paper, so I still don’t have as much data as I would like to show me how I am spending my time. Therefore, I started using the time tracking app Toggl in December and hope to use it all year so I can have better information on where my time is going. If you haven’t already, I encourage you to crunch the numbers for 2020 and analyze what you liked doing, where the money came from and the type of clients you enjoy working for. Hopefully, those three areas will connect—or you can make a plan to figure out in 2021 how to work for the clients you love, doing the work you love, for the highest financial reward. Here are a few questions to ask yourself: What five things did you love doing in 2020? Write them down. What five things in your business did you dislike or were frustrated or bored by? Are there things you want to accomplish or achieve, but you’ve just felt stuck? How can you get unstuck from projects? Is 2021 the time or should that wait till after the pandemic? Can you take baby steps in 2021 to set you up for an amazing 2022? Were there red flags with clients? Does that mean you need to deal with those issues or just fire that client? Clarity and ConsistentIf you're not consistent and you haven't had a whole lot of experience with long-term planning, then it's really difficult to do because there's a good chance. You also struggle with short-term planning. And I don't really mean struggle with a daily plan. But say even in that mid-range of what am I going to, what are my goals in the next three to six months? And so I can give you some ideas and methods and structures for just getting into that, like short to mid-range planning so that you can build some confidence, build some momentum and really have something attainable and close by, but also is enough time for you to get some cool things done.Clarity makes it measurable. And then when it's measurable, it's achievable. a pretty good place is if you have 70 to 80% clarity on what the next steps are or could be, I think that's a really good place to start because a lot of people I've found that I've coached or have had on, just on my email list or will comment on my YouTube videos is they'll actually get stuck in the 80 to 100% of clarity that they're trying to achieve And that's just another way we can get stuck in our perfectionism, get stuck in thinking like I have to have all the boxes checked. I have to have everything figured out. And even if you could get to that and maybe you can get closer. What I've actually found is. You've been getting to what you might feel as a hundred percent clarity on something is not always as positive as you might think. Because then if something doesn't go to plan. So getting to even like that, 70, 80% of clarity is still a really good place to start, because what I have found is, and we'll break this down to, into a daily system in just a minute. But what I have found is once you get started and create that consistency and momentum towards your goals, It will either clarify that last 20% for you, or just have them the mental flexibility to understand that maybe everything you wrote down in your initial brainstorm isn't actually going to work out. And the momentum that you build early on will create additional clarity, not just for what your final goal can be, but like some of the steps that you need to actually take to get there. And I think that's really important and something that's often overlooked.The 3 Big RocksThe three big rocks, those three big projects that you can usually focus on it at any given time. And so I look at, what do I want to do? What are the projects and goals that I have for the year ahead. And then I assign them based on the quarter that I want to get things done and how the year might flow out. most of the goals that we come up with are completely made up. Like literally they have no basis in any reality besides the one that you create. And so if that is the case, Why not create a goal and a reality that does balance the tension between challenging you and something that you feel good about because you can just feel good about making videos. You can feel good about going for a run and making that a year legal or something that you do weekly on an annual basis.When you're consistent with something you control, it actually creates the strategies and tactics on something measurable. If you're going to follow the Lean Six Sigma model and using side-pocket like you control the input and the process and the output. But if I focus on the inputs and like running the race, then the target becomes as a result of what that is. when you are consistent with your creation, then you will start to better understand which systems and strategies work best for you. So then when you're even learning from other experts, other coaches, other mentors in your life that are like giving you systems and strategies, then you can hold them up to the light of this is something that I'm actually doing that I can apply it to rather than being like, okay I guess I'll just try this thing now for a little bit and see if this instead of running.Something I learned at ConvertKit ODS, something really big and SAS companies is. Run as many growth experiments as you can run as many experiments, in, as you can within your product, within your app that are obviously going to keep it up to understand what's working to understand what people are responding to. You may think that one color matters, but yeah, it could be a completely different color. The color may not matter at all, but if you put all of your, all of your eggs in the basket, then you're going to miss that the way that you wrote this particular help document or the way that this help text pops up or doesn't pop up inside of the application itself makes a bigger difference. But because you ran 10 tests instead of one or two, or just ran one and it's that's the strategy then you're missing what people's actual responses are.When you do something regularly, not only will you develop confidence in it, but you'll develop a better understanding of the time it actually takes to do something. And so a lot of this is like time tracking, time management, time blocking it's looking at it and saying okay, basically if I'm going to focus two full days, at least. And that's one of the reasons I started working for myself was that I could do things like that. I have to do is focus on actually running the program. So I'm breaking a larger goal. Into two separate quarters.System and Bench MarkSo take your time, go wild, and write everything down that you want to do. And once you to give yourself that space to list as many goals, habits, processes, systems, things that you want to implement in the New Year. Give yourself permission. Don't judge any of it at the beginning, just get everything down. And then once you have everything written down, draw a line down the paper or create a new column and put into that column. How long do you think that this is going to take to do? Is this something that'll take the whole year? Will it take a month? Will it take several weeks, maybe just a week, maybe it's just a little thing you want to do. Give yourself permission. Don't judge any of it at the beginning, just get everything down. Sometimes we overestimate, sometimes we underestimate when it comes to something like this but the more that you do it, the more that not just you'll usually get faster at what you're doingThen you can start looking at system and outcome goals. What kind of project do I need to give myself what kind of goal that I can reasonably do within those benchmark? This sounds much unmotivated funnel, but I always encourage people early on to do less than you like your aspirational mind thinks you can. Because you'll get much closer to actually doing them or you'll get them all done. And if you want to start something earlier, but what I'm super focused on at the beginning of each year and what I always encourage my clients and customers to do is, give yourself something reasonable, something achievable. So you can build that consistency, confidence. It’s like we're building these legacy businesses. Having real clarity on this thing, which makes it really crystal clear, like this is the race I'm running, this is how I'm going to get there. And then this is the result.There’s a simple ranking system it's called the VET score and the VET score stands for Value, ease and time. Now some priorities will naturally sort themselves out based on how, like a larger goal fits together. And what you're going to do on a scale of 1 to 10, 10 being the most valuable is lists all of your projects that you're interested in doing maybe for the year, but even just say for the first three months list all your goals, and this does work better for outcome-based goals. And it does system based goals, though. It can still apply and think about. What is the value? So score number one is what is the value of this project, of this goal, of this system? And that can be monetarily. So especially if you're doing something like a course or a coaching program, which one will deliver more like monetary value, but it can also be like, This is valuable to my business. This is valuable to my personal happiness, so you can choose whatever like that value metric is.So let's say if we said coaching program or as launching a podcast, coaching program has a much higher value score. Let's say it's a nine out of 10. A podcast initially is something that's a mid it's more like something I want to do. It's not going to make as much money right now for any money. And, but it's like on a happiness scale, it's something that I want to do long-term and so let's just give it a six and I'm doing all these numbers in my head, but then the ease is okay is it easier for me to put together a coaching program or a podcast they're the same in terms of how easy it is for me to do. They're both like the same ease rank, but one is clearly more valuable. And the time score is a little inverted because it's like the more time something takes the lower score, you're going to give it. Outcome is something that has like a clear finishing point. You can give some of your goals to other people that work for you. And it may be that the the goals that you have, or the amount of work that. Is focused on just like the core business takes up a really takes up a lot of time.A good way to think about the time that you have in the goals that you have. Google has a really good has a really good rule for this. They call it the 70, 2010 rule. And that rule means that 70% of your time. The projects that you pick should be related to growing, sustaining and keeping momentum. one of the most interesting things that I've had people start doing is tracking their time, like in these. 15 to 30 minute increments if you track your time for even a week, but especially for two or three weeks doing your normal work, doing the kind of things that you want, that you commonly do, you will start to understand and build that competence around. And I promise you, if you track your time for a week or two, then you will gain such a better awareness of the time that you actually have available and what you're spending it on. But awareness and the accurate information is the key to everything. It's the key to doing deferring, delegating, and looking at your time and time blocking.

On today’s show, I’m going to report on what I did during my most recent solo business retreat and my lessons learned. Some of you already know I love taking a solo business retreat about once a quarter—or at minimum, twice a year. A solo business retreat is just you, away from your regular workspace—even in that means just heading to another room in your home—and taking a half day, entire day or even two days to step back. It’s a time to think big and to work ON your business, not just IN your business. In episode 3, I talk about how to host your own solo business retreat—what you need, where you can go to do it, what to think about. Two episodes ago, episode 40, I gave tips and hopefully some inspiration for things that would work well during a solo business retreat—how you could evaluate the past year of your business and then analyze what you needed to do differently this year. I also mentioned in that episode that I was going to host my first solo business retreat outside my city. It was in Chicago last week, and it was amazing. I started by making a list of all my clients and how much I made from each one of them last year. Then, I marked which ones were likely one-offs because they were one-time projects from the client’s perspective and which ones were one-offs because I didn’t want to work with that client anymore. The good news is that only two were ones I didn’t want to work with anymore—in one case, it was a one-off project, and in the other I think the client felt the same way I did. So, I didn’t have to fire any clients! My calculations also confirmed what I already knew from past years: My primary anchor client is about 48% of my net income each year. That’s a lot. That security also comes with cautions: What if that client suddenly lets me go or kills our project? The challenge is that because the workload for this client is like a part-time job, I can’t take on a lot of other big anchor clients. So, I’ve tried to prepare myself for losing this client, though I hope that never happens. First, it helps just that I’m aware of it. Knowing that relying on one client for 48% of your income is a gamble is the first step. You don’t want to be blindsided if the client goes away. I’ve also been working to build up my savings to provide a cushion, and I continue to market and stay in touch with past clients. It’s important to always be marketing. It can take months or even years in some cases to get a project from a potential client. Waiting until you need the work will not likely pay off—plus, it can make you desperate. You might take on low-paying clients or clients who don’t treat you well. After calculating where my money came from last year, I made a short list of the clients I really loved who I wanted to work with more. Some of these were newer clients that have started off great, and I want to keep that momentum going. Others are longer-time clients that I need to reach out to more. I also had one client where my editor left last year. So, I quickly looked up the new person’s contact information so I could email them a letter of introduction. The next part of my business retreat was to make a list of my successes, failures and challenges from last year. My successes included two regular clients that I worked with substantially more last year. Other successes were two new regular clients and my podcast launch. Failures included a client who was really difficult to work with. Another was not keeping up with my business receipts in a timely manner. On the list of challenges I added batching, the idea of doing like work all at once and saving time from switching tasks. I’m still working on doing a better job of batching. Another challenge was taking on projects that are not in my sweet spot. I should have said no. In fact, I’ve dubbed 2020 as the year of saying no, particularly saying “no” to volunteering so much in my industry. I love helping other freelancers build their businesses—that’s why I do this podcast—and I also love helping out in my industries. But I need to be careful what I say “yes” to because it can eat into the time I should be focused on paid work or my personal life. It often leads to me feeling overwhelmed and stressed. So, I’m being really picky about this year. One thing that has been harder to say “no” to are coffee dates or email requests. I have had some well-intended friends or acquaintances email me and connect me with a connection of theirs. Usually they say something like “my friend wants to become a freelancer. Can you give her some tips?” First, I would prefer the person I know to ask me first, not assume or pass of the person off to me. Second, those types of questions are vague and broad. And third, I don’t have time to help every stranger who wants a personal list of what they should do to become successful. So, I’m still figuring out how best to say “no” to those requests without feeling rude. My retreat wrapped up with me making a list of the healthy work habits I want to implement this year. Then, I made a list of the systems I could create to make those happen. I talk about habits and how you need a system to make them actually stick in last week’s episode, episode 41. At the end of my retreat, I had dinner with my friend and fellow writer Megy Karydes. Megy was a guest on episode 10, and she reminded me how regimented she is in sticking with her systems each day. Megy knows—to the penny—how much she needs to earn each DAY. And, she keeps diligent track of it. I was inspired to try to do better tracking of my income goals. I will likely break down my monthly goals into weekly goals to track. I hope to tie this into time tracking—which Megy is also quite diligent about—because when I do time tracking it helps me stay on task and be more efficient. Plus, I gather important data about how long certain types of projects take so that I know how to charge for them. Biz Bite: Create an end-of-the-day routine.
