This season, I am kicking off a series of bonus episodes that provide practical information for beauty entrepreneurs and those who want to chart their career courses in other aspects of the industry. In this episode, I chat with Dee Bowden, BCS Solutions founder and Cash Flow Recovery trainer. She is also the author of a book called Collect the Cash. Dee shares a bit of her story of working in the corporate, tech, and government space and how she understood how accounts receivable could make or break a company/brand. Using relatable examples, she explains how we accept terms of service, enter into contracts, and set up payment terms. But when it comes to business, we often overlook some of these important terms. The bottom line: your sale is incomplete until the money hits your account. When it comes to collecting cash, you not only need to understand payment terms and timelines, you need to build relationships with your vendors so that when something does go wrong, you can communicate effectively with your connections. Dee believes "the fortune is in the follow-up." But she also points out that finding a bookkeeper with the right skillset can also benefit entrepreneurs who find cash flow management challenging. If you are an entrepreneur or contemplating running your own business, this episode is for you. Listen until the end for Dee's special bonus offers. In business, it's all fun and glamorous when we talk about marketing and making sales. But what happens AFTER the sale? There's more to it than meets the eye - and most of the time, the post-sales, post-delivery activity is what most entrepreneurs and small business owners find to be painstaking. We're talking about collecting payment. How do you collect the revenue you have earned? Making the sale is a “prize”, but collecting the payment afterward? Invoicing for your services and collecting the cash can be a burden or even feel distasteful. This might be especially true if you are used to people-pleasing or you are worried about maintaining the relationship. But take it from this week's Thriver, Dee Bowden. For Dee, sales are great, but cash is still king! We can run away from this business activity, dodge it a couple of times, or hope that we don't ever have to confront this situation. But the truth is if you don't have adequate systems in place, or you can't communicate with your clients and collect payment for services or products provided, then you need help in collecting the cash.Listen to this episode to know how you can set up an effective payment collection system that will help move your business forward.Thriving Points:The sale is not complete until the money's in the bank, but you must collect the first. If you were competent to ask for the business, in terms of asking for the sale, you have to be just as competent and asking for your payments. - Dee BowdenI make it fun because this is very serious. And it's also one of those things that a lot of people in business shy away from. They don't like selling. They don't want to have to ask for the business. They don't want to have to deal with all that. - Dee BowdenRelationships are everything in business. Especially around money. A lot of people don't like having that conversation. But if you set it up upfront correctly in the beginning, it doesn't have to go left. - Nikki RogersSetting up a collection system is no different than running your own home. Dee BowdenWe make things complicated. But what we really just need is to track who it is we're supposed to be billing. Nikki RogersIn deciding on your collection system, you have to make a decision based on what's best for you in terms of (1) your business, (2) the relationships, and (3) your cash flow. - Dee BowdenOther Resources Mentioned:Collect The Cash by Dee BowdenThe 52-Week Challenge for SavingsAbout the Show: Women Thriving in Business features candid unscripted conversations with entrepreneurs, business experts, authors, and academics aimed at contributing to business success. Anything can happen when you are a business owner. And the last thing you want to do is leave money on the table. If people don't pay you, you have to collect the cash. Having processes in place will help but you need these 4 keys to collect the cash you've worked for. About Dee Bowden Dr. Dee Bowden is the creator of Collect the Cash. She works with small businesses that want to solve their cash flow problems. Dee is on a mission to keep small businesses profitable. Her revenue recovery strategies have been featured in Forbes, Yahoo Finance, VIP Global, Black Enterprise, and Thrive Global. Dee is also the author of Collect the Cash: The Sale is not Complete Until the Money is in the Bank. As a Christian, Dee took stock in the verse James 4:2, "you have not because you ask not" and her career took off from there. The 4 Keys to Collect the Cash in Your Business Problem Solving Customer Service Relationship Building Gratitude - thanking the people who help you solve the problem to collect the money Problem-solving can help you get results more quickly. People and businesses change systems and invoices can be lost. If you aren't getting paid, problem solve. When God Provides in the Midst of Disappointment and Chaos Life-changing events can jar you, but God often uses these experiences to teach you something and bring you to a new place in your journey. For Dee, the loss of her job led her to create a business, write a book, be sensitive to entrepreneurs new to the journey and be able to help them set up their businesses. Dee likes to say, the sale is not complete until the money is in the bank. It is important to bring clients into your business, but it is equally important to collect payment. Setting Up Processes to Collect the Cash in Your Business Think of the sales process for a smartphone. When you go into the phone store the representative is going to ask how you are. Then they take your driver's license to verify your identity. Then the representative tells you that you are eligible for an upgrade. The next thing you know you are signing a contract for a new phone. Order fulfillment is the next step. Sale, contract, order fulfillment. Next is accounts payable. You can choose how and when you want to pay and they bill you accordingly. Then there is accounts receivable, this is the receipt of your payment to them. It is necessary to keep track of invoices, the number of customers you have, and the money you have coming in and when. System or Program to Use for Invoicing and Accounts Receivable Quickbooks is an option. Dee likes Excel. Ask your accountant if they have a bookkeeper to help you set up this tracking system. Robyn emphasized that setting up this process from contract to invoicing as automation saves time and helps decrease mistakes. But, there still needs to be a check and balance system. Gratitude in Entrepreneurship When you were a kid, there were two things your parent told you, to say please and thank you. God tells us to be grateful. Being grateful and saying thank you shows appreciation. Gratitude is recognizing the people that have helped you get to where you are, you can't do anything on your own. Gratitude is the secret sauce, the thing most people don't expect. The more gratitude you express, the more that flows through you. As a business owner, you will run into problems. If God gave you an idea, he expects you to act on it. He also knows that you will have problems but he is there for you. And most importantly, have fun in your business. Dee also recommended that everyone hire a coach. Money Mindset Robyn mentioned the interview with Judy Weber and the discussion around the money mindset. It is okay for us to make money as Christian women. If you look at the examples in the Bible, most of the great leaders were wealthy, they had money. The important thing to remember is that the love of money can distract us from doing good and living the life Jesus has called us to live. Think of the Proverbs 31 woman. She was an entrepreneur, very savvy, and made money. So if you are concerned with charging clients and collecting the cash, remember, it is okay for you to make money. Recommendations for Accepting Payments Ideally, you want to be paid in full at the time of contract implementation. However, you can set up payments on a monthly basis. If you can't get all payments upfront, get a deposit, and set up a process for invoicing on a recurring date each month. And if a payment is missed, don't panic, contact the client as soon as possible. Dee said everything cannot be solved in 144 characters so sometimes you have to get on the phone. We have a great podcast for you this week hopefully solving the age old issue of a client not coughing up the goods - that client who refuses to pay you after all of the video work you did. Freelancing in the video production world does have its perks but one of the down sides is that risk that your client won't pay on time and is seemingly unreachable. In the dating world, when someone stops calling and seems to have fallen off the radar completely, it's referred to as "ghosting" As you can imagine, getting ditched by last night's dinner date is disappointing, but it's not nearly as traumatic as being ghosted by a client you've spent a lot of time and did lots of work for, but suddenly disappear on you...not cool! Today's guest is Dee Bowden, she teaches small business owners how to reconcile, resolve & recover OLD and OWED invoices to improve their cash flow. She just came out with a brand new book called "Collect the Cash" a great resource for anyone who needs a strategy to deal with that ghosting client.
