I was going to start my programme today with some thoughts about the energy crisis, but something else has popped up. But I will share with you some fun facts: Did you know that New Zealand uses the same amount of electricity in 2024 as we did in 2004? Even though our economic activity and population have grown immensely in the past 20 years. What happened is that we, as consumers, became more efficient with our electricity use. We started using LEDs, we started saving, we started being more careful with our use. So the energy crunch is because we're not making as much electricity as we used to - even though we've been saving electricity ourselves Meanwhile, did you also know that there are currently 22 renewable electricity projects fully consented but not started by the gentailers? So sure, blame the oil and gas exploration ban and that will result in an energy crunch in 10 years. But today's energy crisis is because the generators, who are also the retailers, have not ensured supply despite having it all available to them for years now. I've got more on that - but right now, I have to mention outgoing Treasury head Caralee McLiesh who's leaving for a job as Australia's auditor-general. In her exit interview she said the New Zealand Government needs to make more revenue. And the only way a Government makes more money is more taxes. She'd like to see a capital gains tax She's like to see a capital gains tax - and she says the Government needs to save more in the big expensive items. She mentions super. She'd like to see the age limit raised. Now, Caralee is not some crazy ideological lefty who wants to see the old and rich punished. She's pointing out the bleeding obvious. We are structurally bad. Economists have been saying this for generations. We don't tax enough. When we tax, we tax the wrong people. We don't spend enough and when we do, we do it cheap and too late and then complain when it all starts to fall apart. Faced with all this economic reality, the current Government decided to reduce its revenue to help some taxpayers and landlords. That's the exact opposite of what the problem needs. And then to make things worse, they've stopped spending. And we end up with a country where pregnant Mums can't have toast, Nelson can't get a new hospital building, we run ferries that should be in museums, we run out of power and water, and then we moan we're becoming a third world country and it's all Labour's fault. Someone has to point out the bleeding obvious now and then. I'm pretty sure nothing will happen on Caralee McLeish's advice because to change our structure would be too expensive politically. No turkey votes for Christmas. So before you moan again about how useless this country is, remember it's the country you voted for. LISTEN ABOVESee omnystudio.com/listener for privacy information.

Welcome to another episode of the Scalable Law Podcast! Today, I'm inspired to talk to you about client onboarding and the onboarding process from that initial appointment or call through to the initial appointment, and how you can get it working in a way that the conversion rate is higher. So, how do you avoid that and make the sales process more simplified? The main thing here is understanding that the purpose of the initial appointment is to sell your service, not to give free legal advice. At Collective Family Law, we changed our process. We used to give a free one-hour initial appointment, then cut it down to 45 minutes, but often it would go over. The year before last, we did 742 initial appointments. That's 742 hours of giving away free advice. Many cannot afford legal fees, have no intention of engaging a lawyer, or are looking for free solutions. Our Process at Collective Family Law Here's what we do at Collective Family Law to streamline our client acquisition process: Qualifying Calls: We have a receptionist who asks specific questions to qualify potential clients. For instance, in family law, we ask if they require legal aid. If they do, we refer them to a legal aid firm. Automated Follow-Ups: Once a client is qualified, they receive a text reminder and an email with a questionnaire. If they don't fill out the questionnaire, they don't get an appointment. This step ensures that they are serious about their matter. Structured Calls: We offer a free 15-minute call with a loose script—5 minutes to understand their matter, 5 minutes to explain how we can help, and 5 minutes to present our offer. If they are ready, they can either retain us immediately or pay for a one-hour consultation at a discounted rate. This process has significantly reduced time-wasters and increased our conversion rates. I'm thrilled you're joining me for this episode of the Scalable Law Podcast. Today, we're venturing into the important yet often overlooked data analytics within law firms. It's a subject close to my heart, especially after recent discussions with a client from the Scalable Business Lounge. It's astounding how many firm owners aren't fully leveraging their financial data to guide their growth strategies. Understanding your numbers isn't just about tracking revenue; it's about strategically planning for growth. Knowing your average client spend Breaking down revenue by practice areas Comparing performance among your legal team These insights are invaluable for making informed decisions about where to focus your efforts, especially when it comes to your law firm marketing funnel. Mastering the metrics is your key to law firm growth! Setting Realistic Goals: By knowing your average client spend, you can calculate exactly how many clients you need to hit your revenue targets. This clarity is transformative, allowing you to adjust your marketing plan for your law firm with precision. What the Numbers Say: But the data can tell you so much more. For instance, breaking down your revenue by practice area can reveal which services are most profitable and which might be draining your resources. This level of detail can inform decisions about where to invest in marketing, where to streamline, or even which services to consider discontinuing. Remember, the goal isn't just to work with more clients; it's to work smarter, serving clients that align with your firm's strengths and financial goals. This approach not only boosts profitability but also enhances client satisfaction. If you still need to make data-driven decisions, now's the time to start. Drawing from the most engaging podcast episodes and masterclasses, we've crafted sessions designed to empower you with practical tools and strategies. Today, we're zoning in on organic marketing—a crucial pillar in how to market a small law firm effectively. Let's unravel the steps to create a robust organic marketing funnel that keeps on giving without demanding all your time. The Essence of Organic Marketing Organic marketing is often seen as the free and easy route to visibility. However, the term 'free' can be misleading. It requires strategy, effort, and consistency. From SEO to social media, every piece of content needs to be part of a larger plan aimed at enhancing your firm's online presence. The Three-Pronged Approach For a small law firm, marketing strategies should be all-encompassing: Organic Reach: This includes SEO, social media, and content marketing. The goal is to be visible where your clients are looking. Referral Marketing: Building and nurturing relationships that turn into referral sources. Paid Advertising: Investing in ads to be directly in front of potential clients. The Power of Primary Content Your organic marketing engine is fueled by primary content. Be it a podcast or a video, this content serves as the cornerstone for various other marketing materials. It's the starting point that sparks blog posts, newsletters, and social media content, all working in harmony to bolster your online presence. Streamlining Content Creation The key to sustainable content creation is streamlining the process: Choose Your Medium: Decide between a podcast or video as your primary content format. Create Consistently: Commit to producing this content weekly, ensuring it aligns with your firm's messaging and values. Delegate and Automate: Utilise a VA to handle the post-production and distribution, allowing you to focus on what you do best. FAQs on Organic Marketing for Law Firms How can I start with organic marketing for my small law firm? Begin by identifying your primary content format, be it a podcast or video. Consistently produce and share this content, leveraging it to create additional marketing materials. What makes organic marketing effective for law firms? Organic marketing builds trust and authority. By consistently providing value through content, you establish your firm as a go-to resource, attracting and retaining clients. Can organic marketing alone suffice for a small law firm? While powerful, organic marketing should be part of a broader strategy that includes referral marketing and, when appropriate, paid advertising to ensure a well-rounded approach. Today, we're diving into a topic that resonates deeply with many law firm owners. Before we jump in, I want to give a shout-out to the upcoming Law Biz Con 2024. For more details and to grab your Early Bird tickets, visit lawbizcon.com.au. Now, onto today's topic: I was inspired to address this after seeing a post in a legal Facebook group. A fellow law professional expressed frustration about clients undervaluing their legal work, leading to requests for discounts and a general lack of appreciation. It sparked a thought in me about the importance of attracting your ideal clients, especially when it comes to small law firm marketing strategies. Understanding the Core Issue Firstly, it's crucial to realise that not every complaint or discount request is a personal attack. Some clients, by nature, are more inclined to negotiate or express dissatisfaction, irrespective of the quality of work. Understanding this can help us maintain our professional integrity and emotional balance. The Power of Attracting Your Ideal Clients At the heart of many of these challenges lies the issue of client alignment. When you start your firm, it's tempting to take any work that comes your way. However, this approach can eventually lead to inefficiencies and dissatisfaction. The key here is to harness small law firm marketing strategies that target your ideal clients. Remember those clients who made your work enjoyable and rewarding? Focus on attracting more of those. When your services align with the client's needs and expectations, the value you provide is naturally recognized and appreciated. The Risks of Not Niching Down Failing to focus on a niche can lead to: Resource misallocation and inefficiency. Brand dilution makes it harder to be recognised as an expert. Increased client dissatisfaction and potential damage to your firm's reputation. Increased stress and burnout, affecting both profitability and personal well-being. Higher opportunity costs by missing out on clients that are a better fit. Marketing Strategies for Small Law Firms When discussing small law firm marketing strategies, the focus should be on crafting content and messages that speak directly to your ideal client. This can drastically reduce client acquisition costs and improve ROI. It's about being strategic with your marketing funnels – ensuring that every effort put into marketing attracts the right clients and resonates with them. Caralee's Corner In next week's Scalable Business Lounge, we are running a workshop dedicated to creating your 2024 marketing plan, focusing on how to attract your ideal clients using small law firm marketing strategies. We'll look into practical, fast, and systematic approaches that are easy to implement and maintain. Kristin's Journey: Kristen established a law firm, O*NO Legal, specializing in a particularly niche area, catering specifically to real estate agents. The inception of the firm dates back around three years and was born out of necessity, primarily concentrating on corporate commercial law to assist real estate agents. She incorporated the use of legal bots for various tasks, including the assessment of data breaches. O*NO Legal was launched amid the lockdown in March 2020, leveraging the newfound comfort that individuals had developed with consulting their advisors online due to the prevailing circumstances. Eventually, Kristen refined her focus further into the real estate domain, zeroing in on lead generation, branding, and fortifying client relationships. This nuanced approach has allowed her to offer specialized services tailored to the unique needs of real estate professionals. Growing O*NO Legal: Key Strategy: The strategy primarily involves a blend of organic and paid marketing, substantially utilising Facebook groups, webinars, collaborations with industry trainers and coaches, and the production of a substantial amount of content. Team Structure: The team is comprised of three core staff lawyers, legal contractors, a graduate who serves as a marketing coordinator, and virtual assistants. Current Status: Kristin isn't managing any files herself; rather, she is supervising and providing cover for leaves to ensure everyone has adequate mental health space. Operational Freedom: Kristin succeeded in taking a seven-week holiday without needing to work, demonstrating the efficacy of her systems and delegation. Approach: A systematic approach and trust in her team afforded her operational freedom. Key Learning: She grasped the significance of refraining from micromanagement and placing trust in the capabilities of her team. Current Focus and Future Goals: Kristin has set her sights on working just four days a week, prioritising her health, and investigating the potential of starting additional businesses. One-year Goal: To entirely extricate herself from any service delivery. Three-year Goal: To prepare the firm for a potential sale, emphasising the creation of a business that doesn't rely solely on her presence. Business Stacking: Since her return, Kristen's aspirations have broadened, with plans to launch additional businesses and a sharpened focus on profit and efficient service delivery. Based on profitability data, she is also exploring further refinement of her niche for optimum efficiency in her services. Caralee's Corner: Kristen's story is a testament to the boundless possibilities within modern, entrepreneurial law practices. It's a vivid illustration of how systems, specialisation, and trust can harmonise to achieve a balanced work-life equation. Achieving operational freedom needs streamlined systems and processes, effective delegation, and building a dependable team. Niching down isn't a necessity but can streamline processes and marketing strategies. The primary challenges are relinquishing control, empowering the team, and maintaining consistent, high-quality client experiences. By exploring this episode of our law firm marketing podcast, you'll gain profound insights and strategies to transform your law firm into an independent entity, allowing you the freedom to explore life beyond the legal sphere. FAQs about Achieving Operational Freedom in Law Firms: 1. How can law firm owners achieve operational freedom in their practices? Achieving operational freedom involves establishing clear and efficient systems and processes, delegating responsibilities effectively, and building a trustworthy and competent team. Firm owners should focus on creating a business model where the firm can operate smoothly without their constant involvement, allowing them to focus on high-level strategies or take time off without impacting the firm's functioning. 2. Is it necessary to narrow down the practice to gain operational freedom in a law firm? While niching down is not a strict requirement for operational freedom, having a specialised practice can contribute to clearer and more streamlined processes and marketing strategies, making it easier to manage and scale the firm. A specialised or niche practice can also contribute to enhanced reputation and authority in that specific area, attracting more clients and allowing for efficient service delivery. 3. What are the main challenges in creating a law firm that works independently of its owner? The main challenges often revolve around relinquishing control and trusting the team to manage the firm's operations effectively. This involves overcoming the urge to micromanage and creating an environment where the team feels empowered to make decisions. Additionally, establishing and refining efficient systems and processes to ensure seamless operation and maintaining a consistent and high-quality client experience are crucial challenges to address. "Ever felt like you're the best-kept secret in the legal world? Dive into today's episode where I break down the magic of webinars for law firms. Let's turn that expertise into impact!" – Caralee Fontenele Over the years, I've met countless firm owners who wear their passion for law like a badge of honour. But here's the rub: amidst the paperwork, court sessions, and client consultations, many are missing out on the magic of webinars to boost their practice. Webinars are an underused gold mine, especially in our profession. But how do you leverage them without sounding too 'salesy' or inauthentic? I've put together a step-by-step guide to structuring a webinar that doesn't just sell but also serves and educates. Let's dive right in! Episode Highlights: 1. Preparation and Promotion Choose the Right Topic: Focus on a topic that resonates with your target audience. For example, "How to Navigate Estate Planning" or "Protecting Your Business: Intellectual Property Basics." Promotion: Use social media, email marketing, and partnerships with relevant organizations to promote your webinar. 2. Introduction (5 minutes) Introduce Yourself: Start with a brief introduction. Share your credentials, experience, and any personal stories that relate to the topic. Set Expectations: Outline what attendees will learn by the end of the webinar. Technical Checks: Briefly inform attendees about the webinar tools (e.g., chat, Q&A feature). 3. Main Content (20-30 minutes) a. Educate Your Audience Break Down the Problem: Describe common challenges or misconceptions related to the topic. Use statistics or real-life examples to make your case. Present the Solution: Explain the legal aspects of the problem and how they can address it. Use simple language to make complex legal concepts easy to understand. b. Share Client Success Stories This is not a direct pitch but rather an opportunity to share how others benefited from your services. c. Conduct a Q&A Session Reserve some time for questions from the audience. This will also help you gauge their interest and understand their concerns. 4. Transition to the Offer (5 minutes) a. Recap Highlight the main points you've covered and the benefits of addressing the legal issue at hand. b. Introduce Your Services Gently transition to how your legal services can be the solution they need. Emphasize the benefits, not just the features, of your services. 5. The Offer (5 minutes) Special Deal: Offer a limited-time discount, a free consultation, or another enticing deal to encourage immediate action. Testimonials: Share short testimonials from satisfied clients to build trust. Call-to-Action: Clearly instruct attendees on how they can take advantage of your offer. Make it easy for them to reach out, either through a direct booking link, email, or phone call. 6. Conclusion (5 minutes) Thank Your Attendees: Express gratitude for their time and participation. Feedback: Encourage attendees to provide feedback on the webinar to help you improve future sessions. Reminder: Reiterate your offer and the time limit, if there's one. 7. Follow-up Send Out an Email: Thank your attendees once again, provide a recap or access to the webinar recording, and reiterate your offer. Gather and Analyze Feedback: Use the feedback to refine your future webinars and offers. Engage with Leads: Reach out to attendees who showed interest or asked questions to offer personalized advice or further discussion. Tips: Engage Your Audience: Use polls, quizzes, or interactive scenarios to keep your attendees involved. Visuals Matter: Utilize slides with easy-to-understand graphics, charts, and key points to support your talk. Practice: Familiarize yourself with the content and the webinar software to ensure smooth delivery. With this structure, you can strike a balance between offering value and promoting your legal services, making your webinar both informative and persuasive. Key Takeaways: Webinars are about education first, and selling second. Authenticity is your best tool; it turns viewers into clients. The importance of having a clear law firm marketing strategy when venturing into webinars. Caralee's Corner: Webinars are such a gem, and I want every law firm owner to harness their potential and include webinars in their law firm marketing plan. Episode 142 featured an insightful conversation with 95Network's Director of Coaching Jon Sanders discussing the impact of PTSD.Dale returns the favor today by giving Caralee the week off as he talks with Jon Sanders about some of the things he learned recently at a special training in Mississippi called Tactical-Resilience Protocol (TRP) and Emotions-Management Process (EMP) from 22Zero.org. In this episode of Scalable Law, Caralee shares her experience of attending and exhibiting at the Clio in the Cloud Conference in Nashville. She discusses the conference, what happens there, what some of the topics are, who you can connect with and if it is worth attending even from afar. Clio In The Cloud Conference Wrap Up The 2022 Clio Cloud Conference (ClioCon) was a huge event. There were approx 4000 lawyers at the event in person, with 1,000 attending virtually. The conference was held at Gaylord Grand Ol Operland in Nashville, which is a huge and spectacular hotel. The Clio Cloud Conference was held over several floors of the event centre in the hotel, and the attendees all stayed at the venue as there is not a lot around the hotel itself as it is away from the downtown area in Nashville. To get the event started, the first keynote was from Clio's CEO and Founder, Jack Newton. Jack told the crowd only ten years ago, Clio was a 70-person team. In 2022 the team has grown to 900 employees. There was the exhibit hall that was filled with different products that can support legal teams. Many innovative legal tech products can be used to streamline, systemise and automate law firms. Two Days of Learning How To Grow Your Law Firm Across the two days, there were many masterclasses and workshops. The 2022 Clio in the Cloud agenda was jam-packed with information for law firm owners who want to grow their teams, create efficiencies, market their firms and streamline. Topics ranged from billing practices to social media to automating workflows to creating better client experiences and more. Then, of course, there was the networking, mingling and having fun. Clio in the Cloud put on an unforgettable experience at the Grand Ole Opry for all the attendees. And then there was an after-dark party right in the middle of Broadway in Downtown Nashville. These experiences gave attendees time to mix and get to know each other to make valuable connections in the legal industry, making the event even more worthwhile. Google has recently changed the layout of the front page of Google, and it is becoming more difficult to appear above the fold on the front page unless you pay for Ads. Well-run ads can help draw in interested leads in your service industry business. Pay per click (PPC) is a great method to attract leads and get eyeballs on your website. By investing in PPC, you will obtain leads that are more likely to use legal services. So if you are not sure where to start with Google Ads in your law firm and are worried about throwing away good money, then this is a great episode for you. Caralee Fontenele enrolled in law school in her late twenties, and then, when she graduated, she set up her own law firm. Her first hire was a Principal Solicitor to supervise her and she brought in plenty of work for them both. So bold. Today she owns and runs the successful Collective Family Law Group which has three offices in Queensland and The Scalable Business Lounge where she helps other law firm owners scale without burnout, sharing many of the lessons she has learned the hard way. How she got here is fascinating. Caralee dropped out of high school when she was 16 and got married and had babies young in her early twenties. She spent the first part of her twenties dedicated to family life and supporting her husband's business. She admits, that back then, she left the finances to her husband and did not take any responsibility for her career. However, receiving the raw end of their divorce settlement was a harsh wakeup call, so she enrolled in law school in her late twenties and turned her life around. This honest conversation with Caralee is a pep talk on getting your shit together, taking responsibility for your finances and career and reassures us that it is never too late to start. I hope you enjoy listening to this honest conversation between friends and it helps open your eyes to the limitless possibilities of where your legal career may take you. This week on the podcast, Caralee talks about the importance of knowing and living by your core values as a law firm owner. Last week she was invited to revisit her core values again, and it was an interesting exercise to see if her core values had shifted or not. Running a law firm and being faced with the hundreds of decisions a day that you have to make can be difficult, but as Caralee explains, when you are aligned to your core values, it becomes easier to make tough decisions. Core values are deeply held beliefs that help guide you in life and in business. They are often one-word qualities that you want to run your life by which includes your law practice as a firm owner. There are many benefits of knowing your core values, including: 1. You will experience easier decision making, just as stated by Roy Disney; 2. You will identify if you or your business isn't aligned; Your law firm goals will be easier to determine if you know your foundational core values; 3. You will establish law firm individuality, which is required in our competitive market; and 4. Your law firm will be both anchored and have a robust engine for success. It is only six weeks until the end of the financial year, so today on the podcast Caralee discusses the four things that you should be doing in your law firm between now and then to get your firm in the best position for the new financial year. You will learn what you need to do in your firm to make this EOFY happen and how you prepare to make 2022-2023 your best financial year yet! Depending on where you are located in the world may affect how much of a priority EOFY is for you. Here in Australia, June 30th is the last day of our financial year. Don't wait for the two weeks before EOFY - get started now, no matter where you are! Remember, in business you want you to be proactive rather than reactive! So, what do you need to get ready for EOFY? Caralee dives into the importance of the below: 1. Contact your Accountant & look at your figures! You need to plan; we have six weeks until EOFY - Think, what invoices do you have coming in? What will you be billing? Is everything up to date and reconciled? Have you contributed to Super this year, and if not, can you contribute to your super fund? If you haven't had this conversation with your accountant - go now! 2. Plan your goals for the next financial year! If you haven't had time to do your planning or filter your goals for the new financial year, now is your time. Not in July, this needs to be done this side of the year. Stay proactive rather than reactive. 3. Create a marketing plan that will support your law firm's goals In order to grow and reach your goals, you must have the proper marketing to support them! Your marketing plan may start small and grow more extensive throughout the year - depending on your goals. 4. Create a content plan to support organic growth What will you break down to promote your law firm on social media in the new financial year? You can watch Caralee's FREE Social Media Workshop to digest precisely how you can plan your social media content. Social media is the best form of organic marketing, so set aside some time to do this workshop. If you would love to do an entire planning session with me, now is the time! In this episode, Caralee is joined by two of our awesome team members here at the 95Network, Jon Sanders and Travis Stephens. Jon serves as our Coaching Director and is also a full-time firefighter and one of the founders of EntrePastor, an organization that helps pastors identify ways to create additional sources of income for their families. Travis is our Membership and Social Media Director and is the Executive Pastor of Strong Tower Church in Tennessee. Jon and Travis dive a little deeper into what coaching through 95Network looks like, what it includes, and how it can help pastors. We touch on the isolation pastors often feel, which leads them to burnout and discouragement. We also talk about how having a group of other people who can share stories, encourage, and give sound advice is priceless for leading successfully. Pastors, our prayer for you today is that God provides exactly what you need to accomplish His mission. This week on the podcast, Caralee dives into how to avoid making the same mistakes she did in her law firm, which was a $250,000.00 mistake. Running Collective Family Law for ten years and being a part of the business for fourteen years, Caralee has made plenty of mistakes, but this one is an expensive learning curve that other business owners can avoid if they have their whits about them. When Caralee took over the firm, it was a shambles, dabbling in many fields of law in the hope of reliable cash flow, taking on any client or matter that came through the door and there were no systems or billing practices. When Caralee became the Principal of Collective Family Law, she cleaned it all up and specialised the firm to be only Family Law, leading to a niche market and more cash flow. It is a common misconception that people think the more you offer, the more money you make, which is not always true. Caralee shares her mistakes openly on this podcast so that you don't have to make them! To find out the mistakes Caralee made, which eventually cost her $250,000.00 - listen to the podcast! This week on the podcast, Caralee chats about recent updates in her firm, one, in particular, being a team retreat she took her team on to Couran Cove on the Gold Coast, Australia. During the retreat, Midja Fisher joined to lead the team in a no-bullshit leadership session where she broke down exactly what a great & effective leader ought to be. This session was unreal and made some people uncomfortable due to the cut to the chase approach, that is, ‘you either got it, or you don't.' Midja preached to the team that in no way do you need a title of leadership in order to be a leader. Whether you are a law firm owner, lawyer, junior lawyer, receptionist - anything, you always have the potential to lead. Below are the three main pillars Midja broke down into practical steps to lead. Self-awareness Self-belief Self-regulation. These three pillars of leadership changed the game for Caralee's team and Caralee herself. The way Midja broke down these three movements was enough to awaken the inner leader in everyone - no matter who you are! This is a real eye-opening podcast, and it may be uncomfortable to listen to as you reflect on yourself and those who surround you, but it may just be the most productive podcast yet. In this week's podcast, Caralee explains what strategy she implemented into her law firm, which increased the turnover by an extra $400,000.00 in revenue in one year! There was no extra marketing implemented, no more work, just one new system implemented into her legal practice. So, what was this system? Accountability tracking! If implemented correctly, accountability in your law firm can help you increase growth in revenue, client intake, and your team. As a leader holding yourself and your team to a level of accountability is crucial when scaling and ensuring you can work less! In Caralee's law firm, Collective Family Law, she took it over when it was struggling and in a state of serious debt.
