You might be able to build a $50 million business without the help of an executive assistant, but the work and relief they can offer you just might be the best thing to ever happen to your business. Especially for an entrepreneur who has never had an EA, bringing on an assistant who knows what they can take from your plate is invaluable. Trivinia Barber is a speaker, author, and leadership consultant who helps entrepreneurs in businesses of all sizes scale growth, sharpen leadership skills, and build teams they can trust. She founded Priority VA and developed The Momentum Method™ so clients may achieve better synergy between their products, people, and processes for greater growth & efficiency. At every stage of growth, leaders wonder how to maximize their team, get the best help, and work well with the people that they have recruited. If there are problems, there are only two possible reasons for it — either the people or the process. Too often leaders hire an executive assistant that wants to become a leader or entrepreneur themselves. Leaders shouldn't be looking for a way to clone themselves, they should be looking for someone who has an entirely different value-add from their own. Consistency, trust, commitment, and communication are the keys to finding the right person for the job. The right EA has to be a fit for the leader, and the reverse is true as well. If you like name-dropping or cursing, the sooner you get that quirk out there, the better. Finding the right fit takes time, but as the success stories that Trivinia highlights show, having the right EA in your corner can make all the difference as you are scaling up. Most businesses operate at the expense of the owner’s sanity. Entrepreneurs burn themselves out because they try to do it all. What’s the solution to this problem? Build teams you can trust. This is something that Trivinia Barber experienced firsthand. As a result, in 2012 she founded her company, Priority VA, which is now one of the world’s leading virtual staffing agencies. How do you react to change? Do you welcome it or try to avoid it at all costs? The one thing that you can count on as a business owner is that things will change. Whether that be ideas, your team, your business model, it’s a big part of the game. Knowing this, you’ll soon be faced with making a new plan. Today, we’re going to talk about facing our fear of change head-on when we have to pivot and make a new plan. I’ll talk about some big changes we’ve made in our business, what led to those decisions and how we navigated the process. Change in business does not mean you are changing who you are. If anything -- it usually helps you become MORE of who you already are. I’m excited to unpack this with you. In this episode you will hear: How to approach change Making a plan 101 Priority VA’s STAFF/MATCH/HIRE plans

On this week’s episode of the Wealthy Woman Lawyer Podcast, we speak with Trivinia Barber, founder and CEO of Priority VA, a virtual company that helps match busy business owners, including attorneys, with highly skilled and experienced executive assistants. “Just because you can do it all doesn't mean you should. With companies like ours, when you can hire someone for fractional assistance, not just an assistant who's going to be there for 40 hours a week, but be there for you at key times, you're able to really outsource the things that you need to do, but without the burden of having to fill time for someone 40 hours a week,” says Trivinia.

Whether you work with a team, or have a team work for you, it's essential to know how to work together effectively. Podcasts take a village, but it can quickly become a “too many cooks in the kitchen” scenario if communication and organization isn't a priority. Welcome to Should I Start A Podcast where each week Ronsley Vaz, with the help of a star-studded entrepreneurial guest lineup, explores why you should start a podcast; build an audience, and how to keep them hungry for more. If you're thinking about starting a podcast or simply looking for a better way to get your message out to your audience, then this is the podcast for you. This week, Ronsley talks with the incomparable Trivinia Barber, host of the insightful podcast Diary of a Doer and founder of Priority VA. Trivinia has always been a “doer”, she doesn't know any other way. But she didn't necessarily think she was capable of owning her business, she just thought she was destined to run one. Over the years of working up the corporate ladder, Trivinia realized she was constantly overworking herself. Sure, she was amazing at organizing and getting stuff done, but she was wearing herself thin. It wasn't until she started delegating work to team members that she realized this was the key to having it all- letting go of the reins and allowing others use their skills to give her own a rest, so she could focus on what she really wanted to in life. Ronsley picks Trivinia's brain about the importance of her team when it comes to producing her podcast. They chat about the impact a good writer can have on creating engaging content for her show, and the process they have together that works for them. They discuss the kind of environment that allows all team members to thrive and how to incorporate in your own business and podcast. Other valuable tidbits in this episode: Trivinia's obsession with organization and prepping Why being reliable equates to trust The content extraction process between Trivinia and her writer Why she considers herself an “accidental entrepreneur” Why she gives herself bossy messages on her calender The hilarious story of acquiring Trivinia.com How she's able to do things she's scared to do with her husband Chris's support The importance of guard rails Links: Trivinia on LinkedIn Priority VA Trivinia.com Airtable

Yes to Entrepreneurship: Helping you build a better business
In this episode, we talked about speaking on stage, VA hiring, marketing, how to ask yourself those tough questions you need to be asking right now, how to stand out in Facebook groups, why niching down is so important and how it will save you money. Bonus, learn how Trivinia grew a 7 figure business while working a full-time job. -------- What's the best career advice you have ever received? “You’ll never fully embrace being a CEO as long as you’re acting like an employee for someone else.” - Todd Herman What is your proudest career accomplishment and why? Growing a business to 7 figures while still working nearly full time. It took tenacity, grit and a lot of perseverance to deliver high quality for my clients, and create a business that I loved. What has been the hardest career moment and how did you overcome it? Hands down the worst day in business and one of my biggest learning lessons came when I lost one of our biggest clients because he lost funds. I had to tell 13 VAs that they no longer had a job. This several years ago and I was so excited because this client was a good portion of our bottom line. It forced me to innovate and find new solutions and products to offer so I could continue to provide job opportunities to these women I’d come to admire. My team and I quickly came up with products to sell that we could delegate to the VAs who just had a blow to their income. No matter how hard we try to separate our personal and professional lives, when tragedy strikes, one has a direct impact on the other. As Leaders, it’s critical to know how to support your team through hardship, because no organization is immune to crisis. Workplace cultures can suppress conversations about mental health, crisis and trauma, or invite them. I am a believer that these topics should not be stigmatized in the workplace, but invited in an appropriate way. In this episode, you will hear: How to validate your team’s feelings without feeling like you have to fix what they are going through. What our teams need to hear from us about our feelings so they feel supported. The tragic experiences we have weathered as a team at Priority VA and how we have accommodated those who needed extended time off. The beautiful culture that can emerge from crisis. Most of us say we want to lead with Truth, Trust and Integrity...but do we really? These words can make our eyes glaze over because we hear them so often in corporate settings. But in order for our organization and team to embody these values, we must live them out in our own lives. We can never ask our team to do something that we wouldn’t do. We need to own our mistakes, and deliver on our promises. We need to serve as a Leader worth trusting, to be able to develop a team we can trust. I don’t often say “the truth will set you free” (although I believe it), but I do say, “truth moves you.” In fact, “Truth that Moves You” and “Undeniable Integrity” are two of Priority VA’s core values. In this episode, you will hear: The benefit to holding a mirror up to our company to see it for what it REALLY is — blemishes and all! How to serve with integrity as a Leader. The impact of leading with truth and trust on team performance. The importance of fostering trust with clients (and the startling statistic to back it up!) “If you don’t have an executive assistant, you are one.” When Trivinia Barber, founder of Priority VA, told me this I knew she was right. What I needed was a team I could trust (duh) but I didn’t know how to build one, especially a virtual team. In this episode, I asked Trivinia to share the same frameworks she walked me through including the Four Buckets: What you don’t know how to do What you don’t have time to do What you hate to do What only YOU can do She also shared with me the 3 Types Of Executive Assistants: the Stabilizer, the Promoter, and the Closer. Laura and Trivinia share a conversation about how it is when you feel like you don’t fit in someplace and what the implications and consequences of that feeling are. Laura shares a story of taking a job because she really wanted to work with a particulate HR Director and how she knew on the first day it was the wrong fit; she spent nine months feeling as if she was wearing someone else’s clothes every day, which were “the wrong size and wrong style.” Trivinia relates and shares some of her own experiences of wanting to fit in, not feeling as if she did, and trying to not shine a spotlight on herself to stand out and feel even more inappropriate. Like most of us, she longed to feel “chosen, accepted, welcomed…” and instead often felt rejected. Her solution, for much of her life, has been to “eat her feelings…” She says she’s been gaining and losing the same 70 pounds for many years! Elaborating on her personal experiences, it may be thinking one’s eyebrows are too thin (as she does), which extends to her concluding she is “not enough” in the ways that seems to matter to others in our society. The truth is: We all struggle with this kind of deficit-thinking, even men. But this mindset is of our own creation, because nothing that grows naturally (except people) compares itself with any other living thing around it – not plants, not animals, not insects… They all grow to their fullest expression and expansion, boldly and without apology. But as humans, we obsess over perceived flaws and shortcomings and allow those thoughts to keep us small and sometimes in hiding. The conversation shifts to rethinking traditional work practices, diving deep into self-awareness, understanding what each individual has to offer, and working to find complementary partnerships with others, so we can do more together. Both Trivinia and Laura have a depth of knowledge into a variety of self-awareness assessments including Myers-Briggs, StrengthsFinder, Enneagram, and Kolbe, and the two discuss how they are invaluable in their fields of expertise. Trivinia has spent the last several years building Priority VA, identifying, training, and providing expert-level virtual assistants for a broad list of entrepreneurs around the US. Originally, thinking it would allow more time for family and to provide extra support to one of her daughters, she realized she had created just the opposite! Her business had become nearly all-consuming, and because she runs it out of her home, there’s no getting away from it! Her wake-up call was when she asked one of her daughters if she’d like to earn some extra money working in the business, and her daughter’s response was “no” because she saw it taking too much from her mom’s time and energy already! That’s when Trivinia and husband/business partner, Chris, decided to stop chasing significance and status and focus on “slow.” Admittedly, there’s an impact on the business and revenue, but they are able to enjoy their family and what they consider a higher quality of life as a result. She goes on to offer a couple of tips on how others might make a similar shift. Her final message and recommendation is a powerful one. Listen in on Laura and Trivinia’s conversation and let us know how your perspective on work and life are affected. Counting our time should not be any different than counting our money. But unlike money, we can never get more time. In the six years I’ve owned Priority VA, I’ve changed a lot with how I structure my time. I never thought that I could be just as successful today operating at Inbox Zero, and logging off every day at 3:30 to cook dinner for my family and help my daughters with homework. In this episode, you’ll hear my top 5 outcomes for managing your calendar. I introduce the idea that “if it isn’t scheduled, it isn’t real,” and that our calendars should be the “single source of truth” for our day. This episode also unpacks how to maximize your calendar as a tool while still making room for flow. I also discuss the value of our “yes” and how to count the cost of our time. Managing our calendar is one way to focus us on the systems and strategies we need to scale our business. If you don’t know what aspects of your business you need to scale, take our FREE Momentum Assessment. Subscribe and Review Have you subscribed to my podcast? Guess what? You're like everyone else who is reading these shownotes and has listened to the podcast … you've bought into courses, masterminds, and programs that are delivered in an online capacity. There is a lot of overhead that goes into using those courses and full taking advantage of everything you want to learn when you are running a business. Let's break it all down! "The world online with online business is really changing and people have so much information and it can become very overwhelming." - Jessica Wayman We start our conversation off with talking about online courses… There is just so much to consume and often we don't get through everything that we purchase or want to spend our time on for one reason or another. Maybe we just want to learn all the things so we buy all the courses! Jessica is a professional student. She went through 50 online courses in a very short amount of time. And by doing so, she realized she had TOO MUCH information to consume. She now leads a mastermind for people who have what she calls course addiction; it's called Course Rehab. This mastermind uses a 12 step process, which she pulled from her background in mental health. The steps are designed to help you get out of your own way. "Fear of success can be kind of scary." -Jessica Wayman As a listener or reader you may be creating a course and you are now wondering if you are just adding to the “noise”. Relax, I work with a lot of course creators and as long as you are really clear on who your target audience is, you have a better chance of THEM accepting and completing the course. We're talking about the big mass marketed courses here. These are the ones I find that aren't targeted enough for people to fully take action on. Jessica has learned a lot about courses and teaching from her friend and teacher, Lindsay Padilla. Lindsay's program is called Build a Better Beta and helped Jessica learn how to build a better course. Lindsey teaches a system that allows you to create your course in a way that isn't overwhelming. It helps you to go through the process so you don't just start it and end it. ** Lindsay will be on the podcast later this month, so we'll link that up here when it's live! "Courses are valuable, but you have to be able to time block and get through them on a schedule, make it part of your job to learn, and then implement!" -Jessica Wayman Here's a link to Lindsay's masterclass: http://omg.lindsaympadilla.com/optin Now, don't let the technology get in your way on creating or consuming a course. If you are signed up for a course and you lost your password, send a note. There is no shame in that. I would rather send a password reset link 17 times and have my student find success than for them to never log in and never attempt to learn what they wanted. Getting into the psychology of it all, there are so many reasons why people by courses. There is a thirst for knowledge. There is a drive to keep up with what other entrepreneurs are doing. There is a fear of missing out. There is a desire of wanting to become more and create more impact. A lot of courses might be teaching you how to grow your business. People are really developing their own college education in a way by purchasing these courses as long as they get through the course and complete them. "Most entrepreneurs have really big goals and courses are there to support them in developing themselves personally as well as professionally." -Jessica Wayman Keep your course goals in mind… If you are taking a course and your desired outcome is just having completed it your mindset will be completely different than if your desired outcome is to implement this piece of software the way your “guru” does. There are people out there who think they are going to get the same results that those gurus got JUST by purchasing their course. What you need to keep in mind is what they want their major outcome to be, who they are serving, and what they are looking to get out of the course. "The main key to keep in mind is that the world is full of information, but it's what you do it that matters." - Jessica Wayman If you are just sitting on information, then you are sitting on a legacy of something you could create that helps someone else create a bigger and better life. You are sitting knowledge and knowledge is power! You have to be able to do something with it! That brings us back to why this podcast exists. I created this podcast to help YOU take the next step. Whether we're talking about a piece of software, methodology, or organization, it's about making progress to leave/make a legacy. It's so important to treat your business LIKE A REAL BUSINESS. Here are Jessica's Top Tips: Keep your business organized. You need to categorize things before you can make a decision. This applies to email, contracts, files, etc. You need to be able to be the CEO of your business. It's important to setup SOPs for when you grow and bring someone new in to help you work your business. This takes away any gray areas of how things should be done. We can't be everything to everyone. We need to find ways to make our lives easier. We have to learn how to create boundaries for ourselves. Then you can develop a team and they know their roles. This will free up time for you to work on furthering your business. If you are looking for an incredible VA, hire someone from Priority VA. Know what you can delegate and what you can do yourself. Know what is a good use of your time. This is why we have service providers. When you outsource in your business, make sure you are going to the right person for your needs. Jessica urges you to come to me to the tech she says, “She's really really good!” Thank you, Jessica. When it comes to organizing your computer content -- there are both the online/cloud storage locations (as we discussed in episode 011) and there are the files on your computer. Cloud storage, like Google Drive, is especially helpful when you are working with active team members. This is a good place for your SOPs to live. As they change, they will directly change in that Google Drive. Your freebies in pdf form, photos for social media that don't need to be accessible to your team, these things may live in Dropbox, since that's more of a storage container than a living document holder. Living documents are more easily accessed through Google Drive. Google Drive= collaboration. As business owners, we opt-in to freebies and get downloads fairly regularly. With email opt-ins this can fill up pretty quickly. Organizing these into folders and assigning a freebie to the correct label will help you. If you get to the point you have 7000 emails just archive them and then start fresh. Create the folders so that it works for you, but DON'T keep all those freebies in your inbox. There are resources for handling your email if you can't. Inbox Done and all they do is email. If you find yourself so overwhelmed with email this may be a good option. A good rule of thumb to follow is: Stop opting in to everything. You're going to see a lot of repeats out there in the online space. Unsubscribe from lists that you aren't reading. It is flooding your email and actually doesn't help the business ave you on their list. A great tool for Gmail is Unroll me. Jessica mentioned this at the tail end of the conversation. One of my favorite things about owning a company in the 21st century is that we can do just about anything from a computer. There are no rules anymore about where your company has to operate, which means that hiring employees is no longer constrained by geography. Remote talent is the reason Priority VA can exist as a company, by connecting entrepreneurs with virtual assistants. While studies show that virtual employees can actually be more productive than those stuck in an office, we as leaders cannot neglect the extra work required to motivate the distributed team. In this episode, you’ll hear ways to motivate and encourage your distributed team to perform their best. Within my own company, I’ve discovered that motivation generally comes from three categories. Workplace culture - There are obvious challenges to creating culture when the majority of your team is distributed. But I’m sharing some best practices that we’ve found particularly helpful. Support and lifelines - No matter how independent your remote workers may say they are, everyone needs human contact. Learn how you can combat “lonely island syndrome”. Feedback and expectations - How do you create regular feedback loops and determine expectations? I’ll share some interesting stats on the subject and share insight into how we do this in my company. Motivating a distributed team doesn’t have to be complicated, but you do have to be intentional. I’ll give you all the tools you need in this episode! In this episode, I interview Trivinia Barber, entrepreneur, mother of four, recovering high achiever and a people pleaser. Trivinia's rise from working mom to entrepreneur and founder of Priority VA was fast. Thrust into success and the spotlight with high profile clients on her roster, the pressure created a manic schedule resulting in a serious crash and burn. All business owners can relate to that feeling of hindsight being 20/20. A quote I recently heard, “I have no desire to suffer twice, in reality and then in retrospect,” got me thinking about six things I would change if I was starting Priority VA over again with my husband. I can’t go back in time to make any of these changes. But, the life lessons I’ve learned are invaluable to helping me make wiser choices moving forward. In this episode, you’ll hear the six ways I would change my business if I could go back in time and start over. I would have focused on growing MYSELF from the start, instead of focusing so much on growing the business. Starting a business is hard work. Period. But, I spent so much time trying to grow the business quickly, that I neglected to grow it strategically. In hindsight, I would have grown the business more slowly if it meant I took better care of myself in the process. I would have went all-in on learning how to write. Business owners are communicators! If I could have mastered direct response writing, I would have saved so much time figuring out how to sell, without sounding slimy. I would have chosen a different business name. Our name often gets confused with the VA or the state of Virginia. But it also doesn’t reflect the long-term solutions I really wanted to provide our clients. I’d have not been shy about asking for the SALE, or the TESTIMONIAL. I was so proud of our work, but when it came to asking for the sale or testimonial, I always clammed up. To make matters worse, if we got the sale, I’d significantly under charge. It took me getting really pissed off to finally make some changes. I would have attended more diverse events & went ALL in on Relationships Early. There are so many events that I should have prioritized going to way sooner in my career, like: UnderGround and MMT, and groups like EO, Maverick, Baby Bathwater, and Abundance360. And now when I register for events, I always scan the social media profiles of past attendees to find out if our ideal client will attend. I would have delegated more outcomes that I thought only I could do. This is the Achilles Heel of being an entrepreneur. It took me almost two years to fully hand over my email. What I should have done sooner is document the processes I knew and get them off my todo list entirely. When we do this, we’re likely to find that once it’s off our plate and in someone else’s ownership, they’ll find a better, faster, cheaper or more efficient way than you did. Most weeks, Diary of a Doer is a podcast aimed toward entrepreneurs, founders and business folks in the midst of building their business. But today’s episode is actually for your assistant, or second in command. And it’s totally OK if you don’t have an assistant. This episode will still help you know what to look for in an assistant, and how they should show up for you. I really want you (assistants) to walk away from today’s episode feeling more confident, and knowing how to get more done in less time. You’ll learn how to rise to a level of ownership you never imagined, and hopefully, feel empowered. If right now you’re struggling to work with a scattered CEO who won’t let go of tasks, changes their mind ALL the time, gives half-baked information so you’re not exactly what to do next, and doesn’t communicate well, congratulations — that is ABSOLUTELY normal. You may be feeling like a jack-of-all trades just trying to make sense of the chaos, but today we’re going to break down your role so you can create a bit of structure for both you and your client. In this episode, you’ll hear the three primary roles you can perform for your clients. Role #1: Protect their time: This is all about managing their calendars, being proactive to know when they operate at their peak performance, and learning about the Goal of Zero Inbox. Role #2: Protect their confidence: I explain how taking tasks off your client’s plate that you know they’re not good at, or handling a problem before it needs to cross their mind, is all part of protecting your client’s confidence. Role #3: Remove obstacles: When you put in extra effort at the beginning of the relationship to learn your client’s preferences, or to get the most information at the beginning of a project, you can really make an impact and exceed their expectations. Lastly, I break down five core values to guide your work (the very same values we believe in at Priority VA) as well as three keys to effective communication to affirm, comfort and protect your client relationship. Why is it so easy for us to put off or neglect the things we know are good for us? Today, I’m talking about getting enough sleep. It’s no surprise that lack of sleep is a widespread problem, but our cognitive performance is suffering...and all so we can stay awake to binge-watch The Handmaid’s Tale on Hulu. It probably doesn’t surprise you to learn that 20% of all Americans have been diagnosed with a sleep disorder. And in 2016, our sleep deprivation problems were declared a public health epidemic. Getting adequate sleep is becoming more and more challenging, due in part to our addiction to blue-light technology — phones, tablets and laptops — but also because of our refusal to power down and make sleep a priority. Arianna Huffington penned an amazing article that I reference in today’s episode called “Sleeping My Way to the Top.” In it, she challenges us to think of sleep as a fixed point in our day. “And everything else should be adjusted as needed so we don't miss it.” In this episode, you’ll hear about the worst-case scenarios of sleep deprivation (there’s a reason it’s classified as torture by this psychologist). I also share a little about my journey to realizing that sleep is simply not something I can skimp on any longer. When I was first starting Priority VA, I told myself that getting 4.5 hours of sleep per night was enough. It wasn’t. This lack of self care had damaging effects on my health, but also my work performance. Today, I discuss the ways I have made sleep a priority again. I share eight tips for getting better sleep. Some of these tips are things I have personally tried and invested in, others are from the National Sleep Foundation. While you certainly don’t have to invest in everything I recommend, I can personally attest to the effectiveness of the Brain.Fm app, the Chili Pad (through testimonies of my friends), the Mindfold sleeping mask, and the Oura Ring. I really hope you’ll join me in trying to establish a sleep ritual or routine. Remember, it’s OK if you don’t nail it right away. Think of this as a journey, or a practice, towards better sleep. Whole You, Consciously Creating a Business and Life You Love Podcast
Hey my friends! Hayley Hobson here and welcome to the Whole You where we embrace consciously watching your thoughts, your dreams, so you can live your life your way. My guest today is someone who I credit with helping me more in my business this year than pretty much anyone else. I hired her in the late summer to coach me through a season of major change as I worked to set a foundation for my business that would allow me to grow quickly and strategically in the new year. Funny thing is, she kind of told me no at first! She didn’t think that we were a good fit for each other. But I really wanted to do this right, and I knew she could help me. So I asked her again. And again. Until she agreed to take me on. And I won’t speak for her, although I will ask her later, but for me it has been such a blessing to have her eyes and her mind in my business for these past 6 months. I’m really thrilled to have Trivinia Barber on the show today. Trivinia is the founder of Priority VA – a boutique virtual assistant agency that matches elite level online entrepreneurs like Amy Porterfield and Todd Herman with highly-skilled assistants who “get” the online space and come prepared to deliver massive ROI right out of the gate. Her expert insights on outsourcing, recruitment, and task management have been featured on some of the biggest entrepreneurial stages including Todd Herman’s 90 Day Year Live and Amy Porterfield’s B-School Experience.

Adoption isn’t as glamorous as many celebrities make out out to be. Brad and Angelina made it seem so easy! The ugly truth is, there’s crying for hours on end, trauma, therapy, and the list of needs goes on and on. One year after fostering a child that felt all-consuming to me, I thought I was going to crack. There’s something in the adoption and foster care world called respite. It’s an opportunity to provide foster parents a much needed break. Rather than taking advantage of respite care, I took a different approach. The more drained I felt, the harder I pressed in. Later nights and earlier morning led to a crankier Trivinia. For me, respite seemed like a bad idea. I didn’t need this child I’d been working so diligently with to struggle with new care providers or bonding with strangers. It just didn’t feel right. As parents, we try to do what’s right by our kids and sometimes, we choose wrong. I resisted… until I’d had enough. The reality is, avoiding respite was the bad idea. In so many ways, this story of respite was the catalyst for the business I built in Priority VA. Are you there in your business? At one point in Priority VA, I needed respite not from parenting but trying to do everything in my business alone. Ironic, huh?! In this episode, you’ll hear all about the time I sacrificed my emotional well-being, why you shouldn’t do your business alone (obviously, I like to learn the hard way!), what respite looks like in your business, how to structure your work day, and creating ways to build respite into your calendar (this will be your favorite part of the whole episode!). Respite in business, as in parenting, is critical for your emotional well-being. Listen here to learn how you can build respite into your normal routine. Imagine if you could provide a lifetime of hope in one ten-hour day. What would that be like? I had the opportunity to do just that. This week, I want to talk about my time in prison... meeting with inmates in the Entrepreneur in Training (EIT) program at the RJD Correctional Facility. It was one of my most hope filled experiences to date. I had the honor of watching 21 grown men, inmates, graduate from the EIT program in front of their family and loved ones. Some of these men had not touched or hugged their family members in decades. What this entire experience taught me and is a great reminder for everyone: our dreams may never come to fruition, but it doesn’t mean we get to give up on them or abandon all hope. In this episode, you’ll also hear about: How the word, “truth,” took on a whole new meaning for me Pursuing your dreams with passion Priority VA’s mantra, “Don’t do it alone.” Knowledge is a privilege
Do you remember hearing the sound of the ice cream truck when you were young? That sound was so exciting. Of course, now as an adult the best sound ever is that of the delivery truck. Am I right? Well, in this first episode of Diary of a Doer, I share a story about a very special delivery I received one night; a 17-month old foster child. Yes, that’s right, a child. Today, I want to share with you my journey of how her entrance into my life changed my outlook about everything, dramatically. I’ll start by telling you that I am wired to go all in; much to my detriment. And, for the longest time I was on the trajectory to become CEO of an anesthesia group. Then, I decided, “Nah, I want to be like the Play-Doh moms.” I wanted to be at home with my foster child and other children. So, I began working part-time. But yet, Mom was only part of the definition of who I am. I knew God meant for me to be much more. I realized, I wanted to teach other moms there was more than Play-Doh, too. I share how I went from almost-CEO to the owner of Priority VA; a company that allowed me to be mom, business owner and help other moms be at home with their children, too. But, this new business also forced me to go into overdrive and become self-destructive in many ways. I stopped doing many of the things that I loved. I was becoming distant from my children. And, I was angry at it all. I was crashing HARD. In 2017, I knew I had to create a new trajectory for my life. I attended a mastermind event where I had an eye-opening conversation. It made me recognize I was chasing ambition, prominence, and status. It led me to having an epiphany of sorts, I realized I should be chasing slow. Yes, slow. Listen to this episode to hear how I went from chasing the “fast and the furious” to chasing slow, instead. In this episode, you’ll also hear about: The call that changed my life forever Quitting the “CEO” lifestyle My “I have 3 days to live” list How pushing myself so hard led me to contemplating suicide Slowing down and making time And, my full circle moment

I had really been looking forward to my interview with Trivinia Barber! I had met her years ago when I attended one of Amy Porterfield's events and she was working as Amy's virtual assistant. Then after she launched Priority VA, we had gotten to know each other better at events and in coaching programs together! First, let me tell you one of the things I love most about Trivinia, and why I think I always felt like we just "got each other." Trivinia is one of the absolute most authentic, "what you see is what you get" people you will find. She's real. She's funny. And she is responsible for a WHOLE BUNCH of VA's (and ensuring that their families have food on their table). One of my least favorite parts of being a business owner is the responsibility of staff. When I was running the studios, August and December were always the slowest - and had the least income. Imagine being responsible for 30 women and their families - ensuring that you bring in enough income to pay all the bills and that the team gets paid! It's a lot of pressure sometimes - especially when you're first starting out! Trivinia is the founder of Priority VA - a boutique staffing firm that pairs virtual assistants with successful businesses. She prides herself in being great at matching teams, and their company SPECIALIZES in providing ongoing training to their virtual assistants to ensure that they are staying up to date on the most current marketing and business strategies! These are highly skilled assistants who become integral team members.

As creatives, we often think we have to do everything ourselves. But there’s usually too much to do without losing your sanity. I feel ya! I know I’d have so much trouble running Studio Sherpas without my own awesome VA. (Shout out to Tina!) What VAs give us is freedom, peace of mind, and the opportunity to slow down and remember what’s important to us. Trivinia Barber is the founder and CEO of the boutique virtual assistant agency, Priority VA. Her company matches entrepreneurs with highly-skilled assistants who help them make the space to run only the parts of their business that they want to. Today we talk about why hiring a VA is going to free up so much more room in your life and business. There are things that you might not know how to do, don’t want to do, or just don’t have time for that a VA can get off your plate. There are a lot of reasons why you might be hesitant to bring on an assistant. Trivinia shares her advice on how to work well with assistants so you don’t have to worry about having someone else doing the work you normally have done. A lot of this requires setting up repeatable systems. When it comes to managing your team, Trivinia always makes sure to encourage, equip, empower, and engage with them. That way they can get it done so you don’t have to. Have you hired a VA? How has it helped you? Let us know in the comments on the episode page! In this episode How to identify your needs when it comes to delegating tasks to a VA Trivinia’s tips for using a VA so you’ll get the outcomes you need How to know when you’re ready to hire a VA What to look for in a potential VA you are thinking of hiring The tasks that you are likely doing yourself that would be much better done by a VA Quotes “Delegation is like exercise. You have to flex that muscle. You’ll get better at it and it’s going to hurt initially because you’re going to do it wrong and you’re not going to give enough direction and somebody is going to mess up. But once you find it, magic is going to happen.” [21:38] “You’re ready for a virtual assistant when you realize that your time is better spent doing the highest leveraged activities in your business.” [33:03] “Be open to defining what success looks like instead of being like ‘go fly little birdie!’ and then being pissed off by what comes back. You have to set expectations.”[44:59] “What you’re building is bigger than you. But if you don’t take it back to the whole reason why you started this in the first place, you kind of lose sight of it and you only chase that status and significance and it just messes it all up.” [53:32] Links Build A Better Video Business With Our Exclusive Studio Sherpa Community Get your inbox management gift here! Trivinia Barber has lived on both sides of the work of being a virtual assistant. She has been a Virtual Assistant, and now she’s been an entrepreneur with her own company. Seeing both sides of that coin, she has seen a lot and understands the tremendous power in prioritizing tasks. For Trivinia and her business, Priority VA, the concept of delegation is not about getting mundane tasks off your plate. Delegating is about making big things happen. That’s because in order to successfully work with Priority VA, the first thing an entrepreneur needs to do is assess their usage of time. Truthfully, most entrepreneurs are spending a lot of time on things that don’t really matter rather than the big drivers in the business. Whether you are considering working with a VA or not, this interview is packed with value because of the lessons learned in delegating, prioritizing and decision-making.
