Most personal trainers are sitting on hidden time they don't even realise they have and it could be the difference between a business that grows and one that stays stuck. In this episode of the Fitness Business Insights Podcast, Matt walks through one of the most overlooked problems in a PT's working day: the gap. That mid-morning or early afternoon lull between client blocks that quietly drains your productivity, your evenings, and your weekends... without you ever noticing. You'll learn how to close the "intention to action gap," why your to-do list is actually working against you, and how to restructure just a few hours each week to start moving the needle on your business, without working more hours.Whether you're a gym floor PT or working in an independent space, this episode will help you take back control of your time and start building the business (and lifestyle) you originally set out to create. You'll discover:Why most PTs feel overwhelmed at 25 sessions a week and what's really going onThe simple diary shift that more than doubles your chances of completing a taskHow to prioritise lead generation during your gaps (and why it matters more than admin)What "working on the business" actually looks like in practiceConnect with Matt:
We're approaching the halfway point of the year and if you haven't stopped to check in with yourself and your business yet, now is the time.In this episode, Matt Robinson walks you through a structured mid-year review designed specifically for personal trainers. Rather than just looking at the numbers, Matt takes you through 8 powerful questions across two sections that help you take stock of where you are, what's working, and where your biggest opportunities still lie.In this episode, you'll be asked:What's gone well so far this year? What's actually working...and why? What have you learned about yourself and your business? What has surprised you? What's missing...even if things are going well? What are you still not doing? What have you changed your mind on?What isn't working? This isn't a one-and-done exercise. Matt encourages you to use this episode as a jumping-off point, plant the seeds today, then spend the coming days and weeks going deeper on the areas that niggle at you the most.Whether your year is going brilliantly or you feel like you're still finding your feet, this episode will help you reassess, realign, and make the most of the second half of the year.Connect with Matt:Instagram: @mattrobinsonptWebsite: mattrobinsoncoaching.com
Most PTs think business intelligence is just tracking revenue. But that's not the case.Real business intelligence answers two questions: What's actually creating my results? And how do I use that to scale without adding hours? In this episode, I break down the two levels of business intelligence every PT business needs:Level 1: The Foundation The core metrics you must track to stop guessing what's working: people spoken to, leads generated, front-end offers sold, conversion rates, and client retention.Level 2: Intelligent Systems Once you know what's working, how to automate, systemise, and scale your best work without adding more hours or effort. This is where "high-profit, low-stress" becomes real.If you're new and building clients, start with Level 1. If you have traction, use Level 2 to spread your impact further.By the end, you'll know exactly where to focus first and why most PTs skip this step entirely. If you want to get started with using a system that helps tracking the 'Level 1' Business Intelligence data, head to the link below and download my Paid Pipeline Masterclass. It's helps make marketing, lead generation, and sales 10x easier...https://mattrobinsoncoaching.com/paidpipeline
Most PTs understand the Paid Pipeline concept. They know why free decisions don't work. They know what needs to change. But knowing and doing are two different things. In this episode, I walk you through exactly how to take the Paid Pipeline from theory to reality and get your front-end offer live and selling within 30 days.We cover:What implementation actually means (and why it's simpler than you think)What success looks like in the first 7 daysHow the Fitness OS onboarding guides you through the processWhat happens during the remaining 30 days (testing, refining, learning)How to move from planning to actionIf you've been waiting for the "right time" to build your Paid Pipeline, this is it.The Paid Pipeline Implementation Sprint is now live — link in the show notes: https://mattrobinsoncoaching.com/sprint
Most PTs are stuck because they're missing structure. They've got good coaching skills. They know how to deliver results. But their business feels chaotic: inconsistent leads, unpredictable revenue, no clear next step. The difference between PTs who thrive and PTs who plateau is systems and structure. The best ones are following a proven system, that works! In this episode, I'm breaking down the exact system I've developed over years of coaching fitness business owners. It's the five-step structure that turns a scattered business into a predictable machine. We'll cover:How to attract the right clients (not just any clients)How to deliver so clients stay and referHow to build finances that don't stress you outHow to measure what's actually workingHow to scale without burning outIf you've listened to the last few weeks, you'll recognise some of these pieces. Today, I'm showing you how they all fit together and where to focus first so everything else becomes easier.Resources Mentioned:The Paid Pipeline Masterclass: https://mattrobinsoncoaching.com/paidpipelineBusiness Breakthrough Call: https://mattrobinsoncoaching.com/speak-with-matt
Most PTs think the only way to scale is to add more 1:1 clients. Andrea Lea thought the same thing until burnout forced her to rethink everything. In this episode, Andrea shares her journey from coaching 'anyone and everyone' to building a thriving business around niche group training: women's weightlifting and mum's fitness classes. The result? She now works just two days a week, generates more revenue than ever, and has the work-life balance she actually wants. But here's the real insight: Andrea didn't just change her offer, she changed her pipeline. She built a structured pathway that moves people from interest to commitment, and that's what makes the whole system work.If you're stuck in the 1:1 grind, feeling like you're trading time for money with no end in sight, this episode will show you a completely different way to think about your business.Grab The Paid Pipeline Masterclass to learn the system: mattrobinsoncoaching.com/paidpipeline
In The RACK Podcast...Powered by ProForm Physical Therapy Most PTs know the system is broken…High volume. Insurance-driven care. Burnout. But very few actually do something about it. In this episode of the In The RACK Podcast, Chad sits down with Andrew Millet, owner of Move Strong Physical Therapy inside Cressey Sports Performance in Hudson, Massachusetts, to break down what it really looks like to leave the traditional model and build something better. Andrew shares his journey from working in high-volume insurance-based clinics to launching a cash-based practice starting just one day per week in 2017 while balancing home health and eventually going all-in by 2018. What started small has now grown into a team of three full-time PTs plus remote support built inside one of the top performance facilities in the country. But it wasn't easy… We dive into: • The reality of transitioning out of insurance-based PT • Building a business inside a performance gym • Early struggles: missed family time, turnover, and growing pains • Leadership lessons and the importance of hard conversations • Why systems, sales, and marketing actually matter • The impact of mentorship • Defining success beyond just revenue We also go deeper into something most clinic owners ignore…Your health. Andrew shares how dialing in training, nutrition, and hormone optimization didn't just change his physique...it elevated his leadership, his family life, and his business performance. Because at the end of the day…You can't build a high-level business if you're running on empty. ⸻
Most PTs think they're stuck at £2k because they're not good enough at closing. They're wrong. The real reason? Their pipeline is broken. They're running free taster sessions, getting zero sign-ups, and then wondering why conversion feels impossible. In this episode, I break down the exact mechanism that keeps PTs trapped at the ceiling and why free decisions create free-level commitment. Then I show you what changes when you flip the model: how one of my clients went from 16 failed free sessions to converting 70–80% of his leads into paying clients. It's not about being a better closer. It's about building a front-end that produces buyers, not browsers.Grab The Paid Pipeline Masterclass (link below) and learn the system: https://mattrobinsoncoaching.com/paidpipeline
In this episode of the Business of Strength Podcast, Coach Joe sits down with Dr. David Kwon of Next Level Physio to dig into the evolving world of physical therapy and performance. They discuss why so many PTs are moving away from insurance-based care, how cash-based and hybrid models actually benefit the patient, and what good physical therapy should really look like: one-on-one time, progressive loading, and performance-minded rehab that feels more like training than a sterile clinic visit.Joe and Dr. Kwon also get into:- The hidden costs and constraints of insurance for both clinicians and patients- How PTs and strength coaches can (and should) work together- The future of the profession, from business models to education and shortages- Why community involvement and real relationships still beat flashy marketing- If you are a gym owner, coach, or clinician thinking about cash-based services, or an active person who wants better care than hot packs and stim, this episode is for you.Support our Sponsors of the Show:TurnKey Coach https://turnkey.coach/business-of-str... So many personal trainers are chasing £10k months like it's the finish line. But most of the stress in your business doesn't come from “not earning enough”… it comes from not having a system for the money you already make.In this episode, I break down the money framework I wish I had years earlier and the real moment that forced me to take it seriously. (Spoiler: it involved a broken knee and a proper reality check.)This isn't an accountant lecture. It's a practical, coach-friendly approach to building financial stability in a self-employed PT business (even if your income fluctuates month to month.)In this episode, you'll learn:Why chasing bigger months doesn't automatically reduce stressThe difference between revenue, profit, and pay (and why most PTs mix them up)How to build a simple money system that protects you from quiet monthsWhat to do with your income when it hits your account (so you're not guessing)How to pay yourself more consistently, cover tax without panic, and build a bufferWhy “being busy” can still mean you're financially exposed — and how to fix itIf you're an in-person PT who wants a business that feels safe, calm, and sustainable, this one will help you stop chasing numbers and start building something solid.
In this Rainmaker success story, Courtney Morse interviews Candace Harding of Thrive with Dr. C in Arlington, Virginia. Candace shares how she went from reluctant entrepreneur to thriving clinic owner, how she built momentum after being forced to go all in, and what helped her grow from a tiny room in a yoga studio to a larger standalone practice with a team. In This Episode, You'll Learn How Candace's early PT and dance background shaped her clinical style Why her first jobs gave her great reps but showed her what she didn't want How she was forced to "burn the ships" and go full-time in her own practice How community relationships and local marketing helped her grow fast What she underestimated most about starting a business How she built a team, moved into a larger space, and kept growing What advice she gives to anyone still on the fence about going all in Key Takeaway You do not need a perfect timeline or perfect setup to build a successful cash practice. Candace's story shows that strong community relationships, consistency, and committing fully can create momentum faster than you think. Most physical therapy clinics are tracking metrics—but not all metrics actually matter. In this episode, Jimmy and Tony break down how KPIs can unintentionally drive the wrong behavior inside your clinic. From arrival rate to cancellation tracking, they explain how focusing on the wrong numbers can lead to worse patient outcomes and stalled business growth. They also explore a bigger shift: why PT clinic owners should think beyond traditional revenue models and start leveraging attention, content, and alternative income streams.Key Insights:Why “what gets measured gets messed up” in PT clinicsHow arrival rate can actually hurt patient accessThe difference between downstream vs upstream metricsWhy profit—not activity—should guide decisionsThe “patient drop-off cliff” after visit 2–3How content and media can become a revenue streamWhy fear keeps PTs playing small in businessWhy This Matters:If you're a clinic owner, tracking the wrong KPI doesn't just waste time—it trains your team to prioritize the wrong behaviors. Send us a text if you want to be on the Podcast & explain why! From Rugby at Cal to Online SUF-CPT: Coach Caleb: caleb_tomasin You don't need a massive following to build a real coaching business. You need fundamentals, live feedback, and the courage to ship imperfect work. We sit down with Caleb to unpack how hands-on experience at a performance gym evolved into a focused online strength and conditioning model, especially for rugby athletes, and why simple systems beat flashy tactics when the goal is results. We walk through what credible programming actually looks like: a warm-up that matters, strength blocks that pair main lifts with explosive work, accessories that build resilience, and conditioning that respects the sport using zone two and interval days off-feet. Caleb breaks down his onboarding process—from fit and expectations to payment, setup, and rapid delivery—then shows how he tracks sets, reps, RPE, rest, and progress in-app. On nutrition, we start with real life: photo food journals to spot patterns and easy swaps, then macros for those ready to weigh and measure, all designed for adherence over perfection. The business side echoes the training side: reps build confidence. Free value content grows trust and reach. A single communication channel, midweek check-ins, and Sunday reviews keep clients engaged without chaos. We talk mindset, too—avoiding comparison traps, embracing long timelines, and serving people just a couple steps behind you. If you've hesitated to coach online because the space feels loud, this conversation gives you a blueprint rooted in fundamentals, clarity, and action. If this resonates, follow Caleb on Instagram at @caleb_tomasin, then subscribe, share the show with a coach who needs it, and leave a quick review so more trainers can find these tools.Want to ask us a question? This week, I had the chance to interview my longtime client (and now good friend) Jim Palmer, a PT in New York City who built a completely mobile, cash-based practice that he has grown to multiple clinicians and multiple services outside of PT. Jim had worked the gamut—staff PT, clinic manager, clinic director—and like so many therapists, he felt handcuffed. Insurance restrictions, shrinking treatment times, more patients packed into every day. He described it as his “life force being squeezed out.” But Jim didn't quit. Instead, he built something different. In one of the toughest markets in the country—New York City—Jim launched a fully mobile cash-based practice. He started just months before the pandemic, pivoted to virtual PT when the city shut down, and somehow grew through it all. Today, his practice isn't just surviving—it's thriving with a full team of clinicians, concierge services, medical fitness programs, a golf performance arm, and referral relationships with high-level concierge physician groups across Manhattan… In today's episode, you'll learn exactly how he did it. And here's the part you don't want to miss: Jim will be hosting a members-only deep-dive training and Q&A in our Cash Practice Mastermind a few days after this blog post is published, where members can ask him anything about scaling, referrals, or running a mobile team.
