We've all been here before — your agency grows, and your day-to-day is getting a little too chaotic for comfort. Each team member has their own way of doing things, and no one is on the same page about the best approach to doing recurring tasks. As the agency owner, you're getting pulled into things that you shouldn't, becoming the organization's bottleneck.   If that's you, it's time to break that cycle with some project management software. With a million choices and a few that have become the industry standard, it's difficult to pinpoint exactly which is right for your agency. Often, agencies will pick one based on how popular or how pretty it is, and forget about its functionality specific to your agency's day-to-day needs. This week, Alane Boyd is clearing the fog around project management software to help us decide if we need one — and if so, what tools and functionality we should be looking out for that will get our productivity back on track. Don't be afraid to take the time to really learn what tools are right for your team, and be generous with how long it takes for the new systems and processes to become sticky. Once you find one that works, your agency productivity will be back and better than ever. Every business could run more efficiently. A project management tool is one way to do this. Really, no matter where you are in your business, these tools will help take so much off your plate so that you can work where you are needed best. Today, we're speaking with a real expert on how project management tools can level up your business.   About Kaci Ackerman Kaci went from dental office manager to being furloughed due to covid to running a six-figure business in less than two years. Kaci is a Certified Business Manager and ClickUp expert. Kaci has helped over 500 business owners streamline their businesses with ClickUp. She saves CEOs 10 hours a week and increases their profit by 25% with a robust and automated ClickUp system. Some fun facts, Kaci is the queen of typos and truth bombs, a lover of stouts and porters, a Netflix binger, a sports fan, a bike rider, and friends obsessed.   Using Project Management Software Before Your Business Has Grown Even if you're in business by yourself, a project management tool still has its place. Kaci stresses the importance of building in the systems now that you'd want for your business later on when it's bigger. By setting up project management systems now, you'll be better positioned for your growth when it occurs. And for the time being, this software will still help you stay organized and on top of tasks. It will keep priorities front of mind and help you keep track of all the minutiae of business much more comprehensively than pen and paper would.   The Many Uses of Project Management Tools No matter the size of your business, project management software is crucial. Kaci describes some of the common applications of these tools. This ranges from personal reminders, scheduling help, follow-ups with potential clients, and so much more.  I'll admit that these programs can look a bit overwhelming at first. However, it's a lot less overwhelming than running a business without them. It's worth learning so that you can save time and spend that time on what will really grow your business rather than the nitty-gritty functions of everyday operations. How have project management tools helped your business grow? Leave a comment on the episode page!   In This Episode How project management tools let you place your focus where it is needed the most [7:00] The usefulness of these tools for solopreneurs [12:30] Some of the common uses of project management software [23:45] How to decide which system is best for you and your business [38:50]   Quotes “Build systems for where you want to be, not where you are right now.” [13:19] “It is pretty well-known that most clients need like five to eight follow-ups before they say yes. So if you think they're ghosting you or not going to work with you, it may not be true.” [36:11] “If you want to start treating yourself as a CEO and your business as a business, not a side hustle, these systems should be a priority.” [38:38]   Review Fed and Fearless on Apple Podcasts! Let's Talk Supply Chain

Play Episode Listen Later May 26, 2022 39:26

This is the fourth and final episode of our mini-series in partnership with Quickbase. Last week in Episode 3, “Connect,” I was joined by Jacob MacIntrye to explore the complex world of construction; the challenges of keeping projects on time and budget, amidst supply chain and labor disruption; the importance of building stakeholder trust; and exactly how Quickbase can equip your team with real-time information to streamline processes, ensure compliance and improve communication. Today in Episode 4, “Level Up,” I'm joined for the second time this series by Peter Rifken. We'll be discussing the ins and outs of complex project management; explaining how you can level up information to leadership, so you can make the best decisions for your operations; and exactly how Quickbase can help.   IN THIS EPISODE WE DISCUSS:   [01.54] The landscape of project management in a post-COVID environment: how companies are working, and how a focus on this area can help businesses to thrive in this period of recovery. “You're seeing a lot of new technology in the project management space… but a lot of the themes are still the same. You're still going to find people working in silos, with whatever tool they're working in – and, a lot of the times, in tools that aren't customized for their workflows.” [03.58] The increasing complexity in project management, and some of the main challenges involved in trying to keep quickly moving parts on track. “A lot of the challenges with project management is bringing all of those pieces together, and making sure that all your business partners can collaborate around that same information.” [05.52] Supplier diversity – why you need to make it a project in itself, and how to manage complexity and adjust processes to set yourself up for success. [11.13] Why visibility means different things to different people, and how businesses can make that visibility meaningful and actionable. “Visibility always starts with a conversation of ‘who are my stakeholders?' and that visibility will be different depending on where in the business you're having that conversation.” [13.33] A closer look at Quickbase's Project Management Software, what it does and how it helps to address key industry challenges. [16.40] The importance of customizable solutions in helping to level up a business's project management success. “When you don't customize, it means you're now conforming to a process that was defined for you, with some assumptions... Any time you make somebody change how they work to match how your tool works, you're adding an inefficiency.” [22.04] Leadership priorities, and how visibility and integration within project management can help them make better strategic decisions. [25.08] The challenges of labor allocation during project planning, and how Quickbases's solution can help businesses to address the wider staffing challenges happening in the industry. “I can't tell you the amount of people I've spoken with that actually quit jobs because their leadership didn't invest in modern technology – especially with younger generations coming out of school, it's just an expectation.” [28.35] The growing importance of material management. [30.52] A look at how Quickbase works with construction brands to help build trusted connections and systems to bring all stakeholders successfully together. [34.39] What the future holds for project management, and for Quickbase. [36.25] Peter's key takeaways from today's discussion.   RESOURCES AND LINKS MENTIONED:   Head over to Quickbase's website now to find out more and discover how they could help you too.
