Chandrashekar explained how Zoho's AI-driven tools enhance workflows, such as identifying sentiment in customer tickets or optimizing sales outreach timing. Zoho's privacy-first approach ensures that AI learns from a business's unique data without compromising its proprietary information. Marc praised Zoho's unified AI ecosystem for its utility in empowering small businesses. Global Presence and Localization Zoho boasts over 100 million users worldwide, providing insights from diverse markets to shape its product offerings. Chandrashekar highlighted Zoho's localization capabilities, including HR systems and accounting tools adapted for regional requirements like e-invoicing in African and Middle Eastern countries. Data Privacy and Sovereignty Chandrashekar discussed Zoho's commitment to data privacy and sovereignty, sharing plans to expand its independent data centers, including in Canada, to comply with laws like Quebec's Law 25. Unlike competitors that rely on AWS or Azure, Zoho operates its own data centers, reducing risks of cyberattacks and ensuring compliance with local regulations. Customer-Centric Innovation Marc and Chandrashekar explored how user feedback from events like Zoholics and community forums shapes Zoho's product priorities. While some requested features are quickly implemented, others may take years due to the complexity of Zoho's extensive product ecosystem and its focus on strategic integration. Future Goals Zoho's immediate priorities include simplifying business operations, improving compliance with local regulations, expanding global data centers, and enhancing its BI (Business Intelligence) platform. This can be done on excel, but this doesn't give you much business information. The app also makes your life easy in many ways. Once the template is set up sending invoices is quick and easy. The app also gives you key business information in the form of reports. It also makes paying VAT easy. Xero and Quickbooks are the biggest players in town. Zoho Books is an option and can integrate with other apps. There is also Wave which is much simpler than Xero and Quickbooks but has some free features. The free version is great but Sam doesn't rate the premium versionProject / business managementThese are effectively ways to organise your to do lists. We can get overloaded with post it notes, pieces of paper etc. These help us get more organised. They are great for repeating task lists that you can use for consistency with every customer. It also helps with tracking the day to day tasks you need to do. The main apps here are Monday Asana and Trello. These do very similar things but in different ways. They all have free trials, so you can try them and see which one you like. For most photographers the free version of these will do the jobs you need.CRMThis is a customer relationship management tool. Many CRMS do a wide range of tasks. But, at that core they track all of the people you speak to and every conversation you have had with them. You can click on someone and see all the email, phone call and other conversations you have had with this person. It also allows you to set reminders to help you get back to leads or customers at the right time. Most CRMs also do many other things such as email marketing and landing pages. Marcus uses Studio Ninja which is photography specific. Sam says it's easy to setup CRMs as as soon as anyone emails you they are entered automatically into the CRM. There are lots of CRMS. Sam uses Hubspot free version and has done for 6 years. There is also Freshworks and of course Zoho. Sam says in terms of a CRM, a photography business is like any other so Sam doesn't see how useful a photography specific CRM would be. Book an appointment appMarcus brings these up as useful apps. They all do a similar thing. They hook up to your diary and allow people to book appointments. They work well. Marcus uses Calendly and Sam uses Doodle. It does save a lot of time going back and forth organising appointments. AISam says AI like ChatGPT is really useful for all sorts of things. For example checking a contract you've written, changing a blog into a LinkedIn article, giving you blog ideas etc. Don't use it for creating content though.Communication Apps WhatsApp Business is a great app. WhatsApp is a great way to communicate with customers and leads. It looks more professional that standard WhatsApp and is free. Slack is great if there are several people in your business. If there is just you it's a waste of time. But if there is several of you it is a great way to organise the communication within your business.

❓The Questions❓ This week on AZAAZ we answered: 1. Why use a Loom embedded video versus using Zoho Annotator Video that is saved in Workdrive. The mp4 or .webm offered should allow for the video to also allow this embed from CRM. 2. Can't we add a score column in the leads view and then sort it as descending or ascending, that would help a lot when glancing through the leads altogether. 3. When I integrate Zoho CRM and Zoho Inventory, I do not see the stock quantities in the CRM. Is there a way to see those? 4. My contacts are individual clients. In some cases, clients are spouses, making them a household. When I type in a note regarding a client, I'd like to be able to connect that note to both contacts. In my old CRM, I can simply @spouse, and that note is automatically associated with the spouse in addition to the current contact. I can't seem to do that in Zoho CRM or even link a note to multiple contacts. Am I missing something? Can this be done in Zoho CRM? 5. Is it possible to generate and print out a formatted document that is generated from the data from a Zoho Form or Zoho Survey with images included where I can control the size of the images? 6. Is it possible to host a webhelp in Zoho Learn such as MadCap or HelpStudio? 7. In campaigns, how do you generally decide whether to use an Autoresponder or Workflow? I understand what one can do in each. But, there are few things that could be done in both. For example: (listed on Club Z) 8. How can we process progressive invoicing in Zoho Books? 9. Is it possible in Zoho CRM to insert values in subforms using deluge? 10. How do you set up the connection to create a new record in a custom module based on records from a subform in a different module? 11. Is it possible to automatically send out a series of email in Zoho CRM base on the status of a record? First email on status change, and then two additional emails an hour apart.

Today, we have the great pleasure of speaking with Liz Holtby! Liz is a giver! She is the Vice President of Operations for Meeting Escrow. Liz has some important information to share about financial risk management and incentive travel. In this episode, she tells her story, talks about the services she provides and the value of incentive travel, and shares some great insights! We hope you enjoy listening to today's informative conversation with Liz Holtby! Bio: Liz started her career in Toronto with the Canadian Institute of Chartered Accountants (now CPA), planning meetings for their Executive Office and Board of Directors. Since then, she has worked with various marketing, as well as Meeting and Incentive Travel companies in an operations-related capacity. Her roles have included human resources, finance, operations, administration, and technology. Primarily, she ensures that the operations team has the support required to deliver programs on time and within the budget. Currently, daily, Liz manages financial risk for a variety of organizations. She handles client event budgets by managing funds in segregated domestic and foreign currency trust accounts. Liz is passionate about education and mentorship and helps cultivate the next generation of leaders in the Business Events Industry through her teaching positions at Durham and Centennial Colleges. She is also a member of their Program Advisory Committees. She is a graduate of Ryerson University's Hospitality and Tourism Management program with a Bachelor of Applied Arts. She is TICO certified and is the 2022 President for SITE Canada (Society of Incentive Travel Executives). Liz's story Liz graduated from university in Toronto with a degree in commerce and a specialty in hospitality and tourism. She took one inspiring course in meetings and event management, given by Duff Shaw, an icon in the industry. Liz wanted to follow in his footsteps as a teacher and inspire others as he had inspired her. That led her down the path of incentive travel, meetings, and conferences. In 2008, Liz left the industry because of the recession. She worked for a marketing company for about three years and then got back into the incentive travel industry. She joined Meeting Escrow in 2018. Joining Meeting Escrow Joining Meeting Escrow was an opportunity for Liz to marry the MICE industry with the finance side and risk management. Creative people Most people in the industry are part of the industry because they are creative people who care about the details. What does Meeting Escrow do? Meeting Escrow provides a variety of different financial solutions. During a crisis, their clients become concerned about the advance deposits they pay to their vendors. The deposits get put into an Escrow trust account where the beneficiary is both the client and the vendor. The account is mandated by an Escrow agreement signed by both parties. The agreement outlines when the deposits were put into the Escrow trust account and when they get paid out. That is very helpful for both clients and vendors because a client could go bankrupt as easily as a vendor could, and if that happens, the funds go to the other party. Secure Vendor Payment Program Meeting Escrow also has a Secure Vendor Payment program. They have twenty different currencies of trust accounts for when money sits in Escrow or a trust. They work with clients who have programs in various countries around the world. When they take in money from clients, they exchange it immediately. Then it sits in the foreign currency trust account, so there is no currency fluctuation. Incentive travel Incentive travel is all about providing people with experiential moments that they cannot do by themselves. Right now, incentive travel is more important than ever because it gets people away from their screens and helps them connect with people in different countries. It helps bring back a sense of community, camaraderie, and motivation. SITE Most of the people that Liz communicates with through Meeting Escrow are hoteliers, DMCs, clients, or third-party agencies. They are busy now and finding it hard to get the staff they need, so people are doing multiple jobs within those companies to get their incentive programs off the ground. Their focus right now is on execution and planning for the future. Changes in the industry When Liz started teaching about four years ago, she used to tell her students good things about the industry. It was hard for her students to find jobs within the industry back then because they were in short supply, and companies within the industry wanted people with experience. Now, many jobs are available, so students can pick and choose. They can also research what they truly want. As a result, many students are now focusing on roles in areas of sustainability, charity, and CSR. Getting back into teaching Liz is looking forward to getting back into teaching to have the opportunity to bring more great graduates into the industry again. In-demand skills within the industry Young people should develop project management skills and certifications to become marketable and successful within the industry. Because anything you focus on when you execute an incentive program, a conference, or a meeting is a project. And each project is different. Document your task Things seldom go as planned with projects. It is vital to document all the relevant tasks, milestones, responsibilities, and dates. That will help you stay on top of things and execute your job with minimum stress. Project management Project management means creating a database and automating your project. That will ensure that everyone working on the project is clear about their area of responsibility. Sales CRMs are a helpful tool if you get into sales. They are an excellent way to generate sales, document opportunities, follow up on sales potentials and leads, and follow a sales cycle. Automation Automated tools, like CRMs, project management tools, accounting software, Mailchimp, and others, are helpful. They can make individuals more efficient and help small companies perform like big companies. A four-day workweek A four-day workweek is about being as efficient in four days as you could be in five. Automating some of your processes can make a four-day week a realistic possibility. Recommended tool for better efficiency and organization Liz recommends that people within the meetings and event industry use Zoho because you can buy one subscription that includes all the components and platforms beneath it. They include Zoho Project, Zoho CRM, Zoho Forms, Zoho Books, and Zoho Campaigns. 2023 will return to 2019 levels Much of what Liz has been reading says that 2023 will return to 2019 levels. It also seemed to be the consensus amongst the 450 event planning professionals she got together with recently in Ireland. Covid As a result of Covid, Meeting Escrow has been armed with all the risk management tools they need to move on and keep going. Liz's quotes: “Dotting the I's and crossing the T's is truly what finance is about.” “The majority of people in this industry are in this industry because they are creative people.” “I think incentive travel cannot be any more important than it is now to get people away from their screens, out of their desks, and connecting with people in a different country.” “Incentive travel is about providing experiential moments that people can't do on their own.” “What you are executing when you execute an incentive program, a conference or a meeting is a project. If you offer services, finding those clients, doing discovery calls, sending out contracts and taking payments can bog you down. Owning an Etsy shop or selling on Amazon Seller Central can also be a challenge with getting reviews and keeping goods in stock. As well as pricing, packaging, improving ranking and managing customer returns and feedback. Wouldn't it be nice to automate as many steps as possible so that you can get more done in less time? In this post, you will learn 20 business things to automate as well as what you can easily outsource to reduce overwhelm. What is Business Automation? Before diving into how to automate your business it would make sense to take a look at automation itself. For obvious reasons, there are a number of aspects of any business that you will never be able to automate. As an example, talking to someone in customer care is essential to keeping your customers happy. Yes, with the rise of chatbots and similar initiatives businesses have been trying to answer common questions by automation. However, there are many other tasks that have a repeatable process that can be easily automated by software. Think of the things that you do in your business every day, week or month that has a step by step process. Of course, this process should only require human intervention at the start but could be completed by one or several software applications. Spend some time thinking of those repeatable processes in your business that can be completed by a robot. 21+ Things to Automate in a Small Business Now that you have a clearer understanding of what automation looks like in a small business. Let's spend some time looking at 25 business things that you can automate starting right now. 1. Onboarding a New Employee If you have reached that point in your business where you started hiring virtual assistants to help with tasks then listen up. Onboarding a new employee can be a bit of a headache because that person will need to know about the business. As well as how things work to maintain certain levels of satisfaction. The best way to get this done is by automating the process with the help of a welcome packet plus a series of videos. You can use a tool like Asana to set up an onboarding process. 2. Onboarding a New Client An equally important task in any business that is serviced-based is bringing a new client onboard. After a client has paid for their package the next step in the process is onboarding. Where they become acquainted with you and your business as well as what they can expect in the coming days and weeks. One other important element is getting the client to submit their items such as their branding portfolio and core values. 3. Accepting Payments On the topic of payments this is another aspect of your business that can be automated. There are a number of service providers that can help you automate this process. In order to request a payment from a potential client you'll need to send them an invoice. Tools such as Dubsado, Honeybook, Zoho Books, Xero, Quickbooks, AndCo and Freshbooks are great for invoicing. They are also useful for accepting payments through third party payment processors like Stripe.
