Dinsmore wrote in Purchasing Principles and Practices that “there should be no great chasm between the board of directors who represent the stockholders whose money is spent and the person who does the spending,” procurement is still struggling with the same fundamental problem of misalignment. In the eighth episode of “Buy: The Way…To Purposeful Procurement,” Philip Ideson, Kelly Barner, and Rich Ham, CEO at Fine Tune, convene to grapple with the insights – and even a few uncomfortable truths – uncovered in their recent conversations with procurement veterans Rob Hills and Kate Vitasek (episodes 6 and 7, respectively). Getting the most beneficial collaboration out of your team isn't just good for the team—it's good for you and your company as well. Effective collaboration helps team members share diverse ideas, pool knowledge, and work toward common goals, which leads to better problem-solving and improved outcomes. As a manager, fostering this collaboration creates a more efficient and harmonious environment, reducing the need for constant intervention. For your company, collaborative teams are more innovative, resilient, and productive, making the business stronger and more competitive in the long run. Collaboration can be undermined when a scarcity mindset and competition rear up. When resources like time, budget, or recognition feel limited, team members may become more competitive, holding back information to get ahead. This creates silos rather than fostering cooperation. In addition, when leaders or team members don't show vulnerability or create a safe space for open dialogue, trust is eroded, making collaboration even more difficult. To build a truly collaborative team, leaders must model transparency and focus on creating an abundance mindset, where the emphasis is on what's possible rather than what's lacking. You are probably familiar with some of these terms if you have ever participated in a complex contractual arrangement: arbitrator, mediator, certified deal architect, even the “wise persons committee.” All of these titles refer to objective third parties that are brought in to help resolve high-stakes situations. Kate Vitasek, a member of the graduate faculty in executive education at the University of Tennessee, and the creator of the Vested model, has recently co-authored a whitepaper that takes the concept of the roles above and modifies it to meet the needs of ongoing, complex third-party relationships. A “standing neutral” is a form of alternative dispute resolution. It is different than the roles above in that a standing neutral is brought in before the conflict occurs; they are part of a contract’s governance structure. They are neutral, and mutually approved by the parties to the contract. Kate provides background and case examples to show: How, when and why two (or more) companies might bring in a standing neutral to facilitate contract governance? What impact the standing neutral role has on the relationship associated with the contract. That using the right standing neutral under the right circumstances allows companies to proactively prevent conflicts and misalignment that could rob both parties of intended value.

Especially in complicated relationships such as outsourcing, one side ends up feeling like they're getting a bad deal, and it can spiral into a tit for tat battle. Hart and Vitasek argue that companies should instead adopt so-called relational contracts. Over the years I have written extensively about the New Public Management or NPM mindset that first began to influence if not dominate public sector procurement practice beginning in the late 90s. For those unfamiliar with the term, the New Public Management or "NPM" approach was based on the premise that the private sector was more proficient in its purchasing.  As a result, the public sector began to look at emulating private sector practices as a means of achieving better results in key areas including savings. The fact remains that the public sector is notably different from the private sector in several important areas, especially  in terms of procurement - and more specifically relationship management. Talk all you want about the deeper aspects of supplier-buyer relationships. But doesn't it always come down to price? Well, maybe. But supply-chain partners aren't doing an especially good job of managing that critical piece of the puzzle. In fact, the current approach is in many instances ''myopic and inefficient.'' So says Kate Vitasek, a member of the faculty in the University of Tennessee's Graduate and Executive Education program. The lead author of a new UT white paper on ''Unpacking Pricing Models,'' Vitasek joins us on this episode to explain how buyers can craft long-term, mutually beneficial relationships with suppliers, without ignoring the all-important element of price. She outlines the differences between controllable and uncontrollable costs, and shows how a considered approach to pricing models can address the underlying nature of cost structures, and avoid some of the traps that frustrate true collaboration.
