The Ridiculously Good Virtual Assistant Show
Creating Systems for a Scalable 50K VA Business

The Ridiculously Good Virtual Assistant Show

Play Episode Listen Later Aug 28, 2024 19:42

This episode is the fourth in a series of four episodes that I want to share with you as a lead up to my 50K VA Group Coaching program that is launching in the next couple of weeks. Today I want to talk about creating systems to scale your VA business. Having strong systems in place helps to make sure that your business runs smoothly and that when you are ready to scale, you are able to. Effective systems are the backbone of business growth, and will help you stay in business a very long time! Being able to scale your VA business whenever you want means being able to bring in new clients whenever you want, make more money whenever you want, take time off when you want, or travel, or make a big purchase, you get the picture. Scaling is the way you grow, and it's much easier to get yourself set up for growth than you think. A report by Small Business Trends says that 66% of small businesses that do not adopt automation and advanced digital systems as part of their productivity, fail to do so because of ineffective systems and a lack of proper organization. Think about it - we offer our clients organization, time management, productivity, and efficiency - but many of us don't do it for ourselves... for our own VA businesses. You have to treat your business just like your clients' businesses. It's important, it needs structure and strategy. And it needs systems. When you are organized and efficient, you can handle new clients easily. you can invest in training or support when you need it. We weren't meant to do everything ourselves. Even thought we are solopreneurs as VAs, there are things that others are better at than we are. There are things that others should be doing, instead of us. Again, it's all the same stuff we tell our clients. Some things are out of our area of expertise - and yet we struggle through them. VAs tell me every day that they are learning to build their own website, learning how to do FB ads, learning how to use every CRM system out there in case a client needs them to know it. We need to be able to identify when it's important for us to learn or do something in our VA business, and when it's more efficient or just smarter to outsource it Today we are going to talk about the importance of systems in your VA business growth.     PRIVATE COACHING: Let's work together privately to get you to your really big goal. Reflection Interview Franchise Interviews started off as a newsletter.  I had no idea I would be hosting one of the longest running podcasts on the topic of franchising.  Sometime back in 2006, Anita Campbell invited me on her show Small Business Trends Radio to discuss the newsletter.  Needless to say, I was a bit nervous because this was my first appearance on the radio.  I recently listened to the podcast with Anita and realized how much I have grown as a person.  Several months later, I got an invitation to turn our newsletter into a weekly internet radio show/podcast.  I thank God I said yes to the offer.  I was able to see what our website looked like in 2005 from the website Archive.org.  I will include some of those photos in the show notes.  Listen to my interview with Anita Campbell over 17 years ago!

Since high school, Arjun has been networking with some of the most well known entrepreneurs and even worked on a few projects and startups of his own.Upon graduation, Arjun pursued his career opportunities and came to New York City where he enrolled at the New York Institute of Technology in 2011 with scholarships and grants. Following a few weeks into college, Arjun launched his second startup, fuelbrite.com, a social media agency focused on small businesses and startups, and a student-focused organization, TheBizDen.After interning at a PR and ad agency in the summer of 2012, Arjun quickly saw the need for yet another startup within the tech space and raised a seed investment round to build it out. That startup became Wrkbench.io which was a virtual collaboration space designed for creative and visual people (we liked to say we make visual conversations). After spending a few years and learning the ins and outs of running a venture backed startup, Rai set out to modernize another industry related to his former passion of social media. The startup would be known as HelloWoofy.com which is a social media management platform driven by artificial intelligence to help small to medium sized businesses with digital marketing.Arjun currently lives in New York City. Arjun went to the NYIT School of Management (majoring in Small Business and Entrepreneurship). He also holds several notable awards and has been previously or is currently a member of the Phi Eta Sigma Honor Society and Golden Key International Honour Society. Professionally, Arjun has also been a member of The One Club, The Art Directors Club, The Advertising Club of NY, Social Media Marketing Society, IVY Connect Club etc.Featured on: Entrepreneur Magazine, Forbes, Inc Magazine, MarTech Today, Search Engine Land, NASDAQ, Small Business Trends and more.the Design Driven Life is sponsored by Well Fit Human Retreats. Just a few weeks ago, we had the pleasure of speaking with Robin Sacks, a confidence coach, about how we can all be more sure of ourselves and in a better position for career success. Today, she returns for another topic that is undeniably prevalent nowadays. We all know that virtual meetings have become ubiquitous in the past 16 months. How can we make the most of them and still create real connections on our video calls? Robin shares some of her best tips in our new podcast.Robin Sacks is a confidence/performance coach, professional speaker, author, and motivator. She has facilitated personal and professional development workshops internationally for companies including Microsoft, Panera, and American Greetings. Her professional experience also includes being an on-air talent for NBC and ABC network affiliates. As an award-winning journalist, she has also trained Emmy award nominees and an Emmy award winner. Her coaching clients range from young athletes to Fortune 500 executives. Robin's book, Get Off My Bus!: How to Get Clarity, Get in the Driver's Seat, and Get Moving in Your Life!, was nominated for Small Business Trends' Small Business Book of 2010.Virtual meetings have become commonplace and inescapable recently, especially during the pandemic in the past year and a half. Most of us – all of us? – have been on our fair share of Zoom calls, Skype meetings, and so on, primarily for work, but also for general socializing. But how have we really adapted to our virtual landscape? How has it changed the ways we expect to interact with others? What will the lasting effects be, even as we start to open up and return to “normal”? Robin shares her observations and ideas. We also dive into a scary topic: public speaking. How is it different in a virtual setting versus an in-person setting? In what ways can public speaking be easier or harder on video calls? Robin offers valuable insights here, including tips on how to rock your public speaking, regardless of the venue. It can be hard to develop your skill as an engaging speaker. Much of it comes down to building up confidence and practicing a lot. But a lot of what makes you engaging is how you read the room and interact with your audience. How can you ensure that you're an engaging speaker during virtual meetings? When you lack certain audience cues and reactions, how do you know how well you're doing? How do you keep their interest? Listen to our podcast for Robin's best tips on this!Ultimately, with interaction of any kind, we want to make connections. That often comes naturally in in-person settings, but how do you foster those connections through a virtual forum? And on a related note, how can we get the most out of virtual meetings and webinars moving forward into a post-COVID world? We end our discussion here, with Robin's wisdom, advice, and insights. To find out more about Robin Sacks, visit her official website here. You can also connect with her on LinkedIn. A lot of our success in life comes down to our own confidence and outlook. In many ways, we make our own luck by believing in ourselves and looking at things as opportunities rather than obstacles. But confidence doesn't come easily to all of us. How can you get out of your own way and stop holding yourself back with self-doubt and pessimism? We spoke with Robin Sacks, a confidence coach, about how we can all be more sure of ourselves and in a better position for career success. She offers tools that will help you become more confident. Robin Sacks is a confidence/performance coach, professional speaker, author, and motivator. Robin's book, Get Off My Bus!: How to Get Clarity, Get in the Driver's Seat, and Get Moving in Your Life!, was nominated for Small Business Trends' Small Business Book of 2010.To start off our discussion, we learn about Robin's incredible career and how she first got into confidence and performance coaching. Robin's role in leadership began back in high school and college when she was a sports captain. Moving into broadcasting may look like a complete switch on the outside, but Robin began to see commonalities in her position there compared to her role as a team captain. She developed a sense of how she sees things from a very different perspective from a lot of people. For example, in reporting weather, meteorologists will describe the day as partly cloudy… but that can be reworded as partly sunny. Or consider when they say there's a 20% chance of rain… that's also an 80% chance of sunshine! Looking at things from a brighter angle can influence how you interact with your environment and portray yourself. Many people – especially those who are smart – have a tendency to get in their own way. They often over-think things and can easily become stressed. Why is that? Robin offers her observations of why smart people start to catastrophize and worry about the worst possible outcomes. But the truth is, the worst that could happen probably won't happen. It's important to recognize this and gain some control over that negativity spiral. How can women learn to shift their self-talk, body language, and mental-game to exude more confidence? What kinds of benefits will this lead to in terms of feeling more in control, calm, and confident? This is a major one, and Robin shares some important ideas and actionable tactics here. Think about how other people have defined you and learn to deconstruct that. To find out more about Robin Sacks, visit her official website here. You can also connect with her on LinkedIn. The 2010s brought about several advancements within society, revolutionizing the way we live our lives and do business as a result. As we move into a new decade, it can be beneficial to reflect on the way our professional landscape has evolved and consider what trends and developments the future may hold.
