In today's fast-paced world, email management is a critical skill, but for those with ADHD, constantly checking email can become an addictive habit and the source of our greatest distraction. Email acts as a digital slot machine for those with ADHD, creating a dopamine-driven cycle of constant checking in search of novelty and stimulation. This behavior is about immediate gratification and coping with executive function challenges like task initiation and priority setting. By understanding how your brain responds to these stimuli, you can begin to develop more intentional habits. The cost of this unconscious compulsion is a lot higher than you realize because compulsive email checking acts as a crutch for avoiding more significant tasks. The perceived productivity of responding to emails is misleading and can detract from meaningful work. The worst part? Email-induced task-switching destroys focus. It takes up to 23 minutes for neurotypical brains to refocus after a switch, and for ADHD brains, it's even longer. A key takeaway from the episode is that being constantly available via email is often unnecessary and can be counterproductive. Setting specific email hours can actually enhance client perceptions of professionalism. Shared in this Episode: Dedicated Email Blocks Start by setting two defined email blocks per day. This limits distractions and prevents email from dictating your schedule. Use autoresponders to set client expectations and provide alternative contact methods for emergencies. The 3-Folders SystemSimplify your inbox with three primary folders — “Action Required,” “Waiting For,” and “Archive.” This method streamlines email management, reducing the clutter and stress of a crowded inbox.Leveraging Email Templates:Create templates for routine responses. This reduces cognitive load and enhances efficiency. Customize these for common client questions, project updates, and scheduling queries.Ultimately, email management is not merely about efficiency but about owning your worth as an entrepreneur. Running a business should offer freedom, not bind you to other people's priorities. By fostering better boundaries, entrepreneurs can build better work habits, which in turn boosts confidence and productivity. It's essential to remember that you are not always at others' beck and call. Your time and attention are invaluable, so it's time to let your inbox serve you, not the other way around.Mentioned in this episode:TidyCal - the online calendar that prevents me from overscheduling & sends reminders to my clients so I don't have to Now What? Ready to start dealing with your Inbox? Be sure to grab my free worksheet that combines all the strategies shared in this episode. Participants and Efficiency Tips Scott from What Was That Like is speeding up editing using keyboard shortcuts and a Red Dragon M908 Gaming Mouse (aff) Craig from Live Well and Flourish is speeding up editing by using iZotope plugins. I use Dialogue Enhance 2. Jill from Fit Stong Women Over 50 eliminates editing by doing more research for your interviews. Branden uses the sound pads on the Zoom Podtrak P4 to help identify edit marks (he assigned tones from Audacity to the pads) Karin from Just Grow Something uses templates where she adds all of the files she uses for her show and saves it as a template. Then opens the template and chooses "Save As," and gives it a new name (so the blank version of the episode stays blank). Kim from the Pharmacists Voice also uses Templates for her audio, her images (using Canva), and anything else. Jim from Home Gadget Geeks ensures any online tools (like auphonic) he uses take advantage of any integrations. Tools like Active Pieces and Zapier can tie two products together. Mark Vinet from the History of North America and Historical Jesus batch records. Steve Steward from the Podcast Editors Academy and his own Editing Service uses two monitors, which speed things up and make things less stressful. Tips To Speed Up Your Podcast From Dave Use the playback speed option in Audacity. It will make people sound like chipmunks, but every little bit helps. Use Text Expander to create templates or anything you type over and over (Libsyn.com has a snippets feature as does Captivate, which has episode defaults (templates). Podpage is a set-it-and-forget-it website tool. You create an episode, and it just appears on your website. You can learn Podpage for Free. Podpage also has an episode signature at the bottom of every episode on your site. A Transcription service like Otter or any AI Transcription tools can be used for editing. I use Evernote to organize my thoughts to avoid wasting time looking for things. A cheap alternative to Notedex. Use a calendar scheduling tool like Acuity Scheduling, Tidycal (although it's having an issue), or Calendly. Using these tools takes the stress out of scheduling guests. I Use Brandy to manage my Press kit. Use your audience, who often have time, treasure, and talent, to help you with your show. Pin a folder to the left navigation in Windows Explorer and the Finder on a Mac so you don't have to dig down to get to the folder. Pay someone to do your editing. Apple Is Launching Subscriptions Here is what we know: In the US, it's $19.99 a year to participate Your show is only available in the Apple podcast app but it's not exclusive. You can set your monthly and yearly subscription price, and signing up will be super easy. You can offer a free trial along with a freemium model (some free episodes and some paid). The first year a person subscribes Apple takes 30% of the revenue from that listener, the second year of their subscription they take 15. Apple will host your files and choose the output format. Stats on your downloads for the subscribers will come from Apple. When you sign up for a "regular" podcast you need to choose the one with an RSS feed. Apple is having MAJOR difficulties this week and as I write this my dashboard has been reading "We're setting up your account. This could take a few hours. When we're finished, you can start adding new shows" since 4/21 (it's 4/25 as I write this). If you're on Anchor and you let Anchor submit your show, you will need to get your show under your Apple ID. Check out Apple's site The Math of Subscriptions Let's look at a podcast that is getting 150 downloads on every episode (after 30 days).  If you have 150 downloads per episode. The typical percentage of people who will take action is 3%. This would mean 4.5 people which I will round up to 5. If you charge $5/month that is $25 (Five people at $5/month). Apple is going to take 30% ($7.50) and leave you with $17.50 With this in mind when you start thinking of bonus content, and the effort it takes, you need to ask yourself is this worth $17.50. In the same scenario your take-home pay is: Glow.fm: $23.93 Supercast: $23.64 Patreon (8%): $22.88 Apple: $17.47 Is It Worth It? All the extra work, how long is it going to take? You need to answer that question. If you spend four hours a month creating additional content, you want to take that $17.50 per month you are making from subscribers and divide by four hours to get $4.38per hour. Is missing time with your family, your sanity, your health, with it? What We Don't Know About Apple Subscriptions Are they going to release Apple podcasts on Android? This seems like something they should be doing. Is it $20 per year (US) or $20 per year per country? IMHO, this is $20/year (US) for all countries. When I started to sign up last night Apple wanted to charge me $20 My Podcast Reviews Adds Follow Pages On episode 709 Interviewed Daniel J Lewis from My Podcast Reviews (which is ONE place to get ALL of your reviews in ONE place from ALL Countries). Now they have added an easy way to get people to subscribe/follow your podcast (which really is something you want them to d0. You can see it live in action at www.schoolofpodcasting.com/follow For more information check out My Podcast Reviews (aff link) Podpage Has Added Multiple Updates I interviewed Brenden from Podpage.com on episode 728. That was after Podpage first launched. If you need more than your "built in" website from your media host, but don't need all the complexity from something like WordPress, Podpage is for you.
