When I graduated from law school in the late 1980s, there was no internet, no email, and fax machines were widely in use. I used a Dictaphone to generate correspondence and had an assistant to transcribe the tapes. While working remotely was possible because of the telephone, going into an office was the norm. In the intervening years, the rate of technological change has been truly astounding. And while the internet, email, and social media have continued that evolution, in my opinion, the explosion of AI in the practice of law has been the most significant change in my lifetime. Never before has it been easier to run a practice as a solo. The array of tools for research, communication, analysis, and drafting are replacing human labor. I've always been interested in technology and while I do try to keep up, technology is not my major. So I've invited Colin Levy to talk about the state of the art in legal tech in the practice of law. Colin S. Levy is a lawyer and legal tech author and speaker. Throughout his career, Colin has seen technology as a key driver in improving how legal services are performed. Because his career has spanned industries, he witnessed myriad issues, from a systemic lack of interest in technology to the high cost of legal services barring entry to consumers. Now, his mission is to bridge the gap between the tech world and the legal world, advocating for the ways technology can be a useful tool for the lawyer's tool belt rather than a fear-inducing obstacle to effective legal work. This week on The Geek in Review podcast Marlene Gebauer and Greg Lambert featured guests Colin Levy, Ashley Carlisle, and Dorna Moini discussing Levy's recently published book "Handbook of Legal Tech." Levy edited the book and contributors included Moini, Carlisle's CEO, Tony Thai, and many more legal technology experts. Levy shared how he ended up editing the book, describing it as "herding cats" to get busy experts to contribute chapters. Carlisle and Moini explained their motivations for taking time out of their demanding schedules to write chapters - spreading knowledge to help move the industry forward and impart insights from their work. The guests reflected on their favorite parts of the experience. Levy enjoyed bringing together the community and seeing different perspectives. Carlisle appreciated being able to consolidate information on contract lifecycle management. Moini was proud to contribute right before having a baby. Lambert highlighted Levy juggling this book and writing his own solo book on legal tech stories from the front lines. The guests offered advice to law students and lawyers looking to learn about and leverage legal tech. Carlisle emphasized starting with an open mind, intentional research, and reading widely from legal tech thought leaders. Moini recommended thinking big but starting small with iterative implementation. Levy stressed knowing your purpose and motivations to stay focused amidst the vast array of options. The legal operations community was barely nascent a decade ago. Now there is a booming LegalOps profession and a number of professional associations have sprouted up to help the community learn and collaborate. Legal Operators is one of those communities. We asked the founder of Legal Operators, Colin McCarthy, to come on the show and talk about why he took a small legal ops community that started with a few people doing TED-Talk style presentations over drinks, to a community of thousands. Legal Operators produces online learning programs, a list of legal operations software and services, job board, and an innovation hub in order to support the growing legal operations profession. Recently, Legal Operators created a magazine with the planned distribution in the tens of thousands. While this may seem outside of what you would think a technology-forward operations would do, McCarthy says he believes in doing the unexpected, and providing the best platform for the distribution of knowledge and information. Colin Levy knew his strengths as an undergrad at Trinity College in Hartford, Connecticut. He was only torn as to which interest he should pursue for his degree. He chose public policy with a concentration in economics over an English major. During his time at Trinity College, he determined he would follow his BA with a law degree, but not immediately. He took a year off and worked for a large New York law firm as a paralegal. There he received some first-hand legal experience and was introduced to technology as it applied to the law profession. When that year was over, he entered Boston College Law School. As law school began, he already knew he had no interest in being a litigator. His focus became transactions and contract law, and he aspired to work as an in-house counsel some time in his future. At the conclusion of his law studies, he had no job lined up, so he spent the following year exploring opportunities. Eventually he took a position at Update Legal, a startup, in Boston. There he did contract review and financial audits while he advanced in his knowledge of legal technology especially. He began to recognize a new interest in how computers could facilitate the work of legal professionals. He created a contract management and review tool in the year he was employed there. He moved on to a few brief stints as a compliance and contract attorney while he engaged his curiosity in the technology tools that were currently used in the field. The short duration positions he took moved Colin along from contracts administrator to contract counsel. In 2014 and 2015, he went to work with the Velcro Group. As a contract counsel there, he was able to improve contractual systems and revise existing templates. He maintained contractual records and assisted with corporate restructuring matters. He often worked across departments, and he provided training to other employees. He frequently did research as well. All in all, Colin experienced a broad spectrum of work that continued to refine his special interests, especially those involving applied technology. After a year off for some health issues, Colin returned to law and signed on at C&W Services as a temporary contract counsel during the summer of 2016. After this short term situation ended, he became the Manager of Contract Negotiations at Pearson Education where he was the sole in-house counsel. He found this to be a period of great growth experience where he gained many transferable skills to carry him into the future. In the summer of 2018, Colin moved on to be corporate counsel for Salary.com. For the next 2 years he was the strategic advisor to both the CEO and CFO concerning cyber security. During this time, he expanded his own brand which he had been working on for some years. He was becoming the “go to” person in the world of tech advice for legal professionals. In May of 2020, Colin spent some time as legal counsel for Lookout, a cyber security company. While there, he learned even more about security technology and enjoyed a supportive team. It was at this juncture that he really expanded his own brand. And what is that? Colin explains to Amy about his blog, his tweets and his all-important LinkedIn posts. As Amy notes, he's developed quite a following as he educates and inspires about legal technology. He has become an authority as he posts every day on a variety of legal tech topics. His interactive posts afford a great networking opportunity for all who engage with him on topics surrounding technology for legal professionals. Colin defines the subject of legal technology as a set of tools that allows attorneys to perform their work more effectively and efficiently. It encompasses a growing movement to push the legal industry into the 21st century. This past February, Colin became the Director of Marketing and Business Development at WordRake. This represented a big pivot for him as he is no longer an in-house counsel. Instead, he now spends his days immersed in the legal technology which has become his passion. He has managed to merge his personal brand with his professional work. At WordRake, they provide a product that is an add-on for Microsoft Word. It's an automated document editor, as you will hear Colin explain further. They help legal professionals produce documents with clarity and without complicated legal jargon. With his love of both technology and writing, Colin has found his niche. He shares with Amy and her listeners some of the lessons he's found valuable in his career journey. The Current State of Legal TechnologyColin Levy, Director of Marketing and Business Development at WordRake We recently sat down with Colin Levy to discuss legal technology and tools and their importance for law departments. We also discussed some of the benefits of contract management tools. Colin is currently the Director of Marketing and Business Development at WordRake and has worked heavily with contracts in his past roles where he focused on corporate transactions, which taught him a lot about contract management and how technology can assist in these efforts. What is Legal Technology?Legal technology, also known as legal tech, is all technology that law firms use to improve and streamline their processes as well as increase their effectiveness and efficiency. Note that some of these technologies help modern law teams better serve their clients by helping the law firm operate and render legal services more efficiently. Why Colin Focused on Legal Technology and Legal InnovationFor Colin, a lot of impetus and passion for his focus came from his experience. Before law school, he worked for a big firm as an IT paralegal creating litigation databases. So, he was using technology before law school. This is why he thought that he would surely learn about these concepts and tools in law school. However, unfortunately, he did not learn anything about these tools in law school. And he found that very disappointing. After graduating from law school, Colin was constantly astounded at how little technology was being used by lawyers. So, he wanted to learn about people who were changing this dynamic. These people were either developing technology for lawyers or teaching lawyers how to use technology. So, he started writing about his experiences talking to those people and interviewing them. And since then, he cannot get enough of it. He has been dedicated to inspiring and informing others about legal technology and legal innovation. Pandemic and Legal TechnologyNote that in many ways, the coronavirus pandemic has forced many lawyers and law firms to adapt to using some basic technologies. We are yet to determine the long-lasting impacts of this pandemic on the industry. Technology can be useful in making your life simpler, and it allows you to be more productive. However, it is worth noting that technology is not a panacea, and it will not solve every problem you may face. It is essential to start with your people and processes. You have to understand how people work in your organization and what their level of comfort with technology is. So, it is crucial to understand what your problems are before considering solutions. Technological Innovations and Software Making an Impact on In-house Legal TeamsIn Colin's opinion, there are many add-ons and tools that integrate into MS Word or Excel that most lawyers already use. These tools and add-ons help with things like automating documents and editing documents. Also, MS Word has amazing built-in technology that many lawyers are not aware of. These MS Word features can help with formatting and styling documents. Legal OperationsLegal operations are becoming a vital part of any legal department for a variety of reasons. One of the reasons is that you can better optimize your current processes. You can also better integrate those processes into the larger operations of the business. This is important because, for a long time, legal departments have worked in isolation and were not connected with other business functions. In Colin's opinion, ‘legal operations' is the bridge between the legal dept and the larger business. We have to make the legal dept more of a business partner and a resource, enabling it to act as a team member instead of just being a go-to problem solver or cost center, which has been the traditional approach in many law firms. Deriving Insights from the Data It is essential for legal departments to make use of data they have on hand, for example, in the contracts and other documents, to show their value. In addition to minimizing risks, legal departments have to play different roles as well. They have to help businesses better see data—for example, how their contracts are operating and hidden risks in their contracts about legal obligations. What are the Biggest Bottlenecks or Pain Points in Contract Management?There are several bottlenecks. For example, one issue is version control. This is because most of us send documents back and forth, and everyone has a different way of naming them and dating them, which can cause issues down the line. This is one of the areas that effective contract management can address. As many contract management software products work well with MS Word natively, tracked changes by the user as well as version control is done on your behalf. Another issue is a lack of a central place for storing and maintaining documents. Having a single place for all documents helps sort and search documents with similar traits and features. Unlike traditional contract management systems, storing and maintaining all files in a single centralized, digital repository allows for extensive reporting and optimum compliance. Contract management can also help find documents that have commonly used clauses and provisions. Also, contract management tools can allow you to derive a lot of data from your agreements through reviewing them and reviewing them through algorithms. However, it is vital to understand your goals before choosing a contract management tool for your firm. Factors to Consider when Choosing the Right Contract Management ToolYou should consider the needs and preferences of your organization carefully before choosing a specific contract management tool. Customizable to your Company's NeedsYour company's needs and preferences change over time. As your company enters into a higher number of contracts, you may have to change the way the contracts are labeled, organized, or searched based on your new business goals and objectives. When considering a contract management solution for your company, ask the potential provider regarding customizability- during as well as after the implementation phase. Implementation and Ease of UseThere is no doubt that nobody wants a system that is hard to use. Note that the ultimate success of any contract management platform will depend on several things, but mainly on whether your team members are willing to give the tool a try. Convenience, ease of use, and a positive user experience will definitely encourage not just an initial trial but consistent and long-term use of the contract management system as well. When the implementation and onboarding processes are smoother, your teams will experience less disruption and will be able to make a faster transition.

Today I am speaking with Colin Levy, who has been in-house counsel in the field of legal technology for a while. He recently lost his job and through this experience he is inspiring so many with his journey and philosophy. In this episode, Colin talks about how he is able to maintain the type of infectious positivity that benefits not only him but others around him, and he talks about how he takes care of himself during the pandemic and yes, I’m going to say it, uncertain times. This has been a really relatable conversation for me because right now everything is up in the air, and it’s so refreshing to hear how other people are going through their own challenges in their own way and I love how Colin describes his own journey on his own terms.
