Today on the podcast I chat with Gavin Zuchlinski, Founder of Acuity Scheduling. He shares with us the inspiration and intention behind the product, how he developed and improved it, his insights on sales and working with a virtual team, and a lot more. It’s a short and fun episode, so click on that play button now to tune in. “I originally created it for my mom.” Gavin’s mom was a massage therapist, and he noticed how she kept on going back and forth with clients, struggling to listen to all their crazy excuses as to why they had to cancel their appointments. He felt like there had to be a better way to simplify that, and that’s how Acuity was born. “I didn’t really know about the lean startup idea at the time, but once I did, it completely resonated with me.” “When you’re working on something part-time, by necessity, you have to be very lean, you have to listen to your customers and be very efficient in what you work on and not go off on giant projects with wild guesses because you’ll be dead by the time you actually get around to that.” Selling your idea According to Gavin, “there was a real disconnect between the quality of the product itself and the absolutely amateurish and ugly, marketing side of the site.” So when he decided to take it full time, the biggest thing he did was amp up marketing and sales. He believes that Acuity is the best thing available out there, so he wanted more people to realize that and not get turned away just because the marketing side of the site wasn’t that great. When they first started out, they pretty much grew organically through referrals. But by 2013, they really focused on improving the storefront side, which is basically just design changes and tightening up the copy. Now they’re trying to increase traffic to their website and just get the word out about their product. In the last year, he’s been doing interviews so people understand Acuity more, as well as the personality behind it. They’re also doing more online marketing like Facebook ads, but still trying to keep it as self-serviced as possible and let the product just speak for itself. Gavin is a self-professed tech geek and espresso maniac (a word he does not use lightly), who wholeheartedly believes that business should be fun. Most passionate about Acuity Scheduling is my baby. We are helping small businesses all around the world to offer appointment management online. There is so much we are looking to do with it. We are trying to help you, as the business owner that uses the system, to get anything you need around it and getting all the logistics taken care of, so when your client sets the appointment, they can figure out the best time, fill out any form you want them to fill, they can add any link or information they think you should know ahead of the meeting, pay for the meeting, etc., and then you can send them reminders in advance, let them know about their tasks from the previous meeting or what they should prepare for the meeting, you can send a follow up right after the meeting, book the next meeting, and so on. There are so many things we want do in order to make it the perfect tool for our customers. It’s about helping small business owners run their businesses a bit more smoothly. Gavin’s Career My career started far away from where I am today… I studied Mathematics and then worked for the government on technology projects. Acuity started as a side project. I started Acuity in 2006, for my mom who is a massage therapist. We were riding together on the car and I saw her getting so many messages and trying to schedule appointments with customers and struggling with that, so I said that there must be better tools out there, so she can set her appointments more easily. When I first started, it was built for my mom. After I reviewed a few tools, there wasn’t anything good enough, so I developed the tool for scheduling for her. And I did think it can be a good product for other business owners like her, and thought it can be a nice side project to what I do for the government. It started with my mom and grew up to tens of thousands of businesses using it. In 2013, I had to make the choice between the government job, which I loved so much and Acuity full time; I took Acuity full time and it has been fun since then. Gavin’s customers Business who’s day to day revolves around appointments, like coaches, health and wellness, guiders like lawyers, accountants etc. It’s not so much the type of businesses but how they run their business. Not necessarily what the business is. We are not focused on big companies, but on businesses that have fewer than 10 employees whose day to day revolves around appointments; it’s not for people that have an occasionally appointment here and then. Gavin’s best advice about approaching the customers Acuity started at 2006, and only in 2013 did I take it full time. It grew and grew, I was only one person there, I actually read and took care of any support emails that came in and I was really focused on the customers. I remember I was really scared at the time, because when I handled Acuity by myself as a side project, I read on TechcRunch and other blogs and magazines about all these big competitors with millions of dollars in funding, but today, these competitors are gone and I’m here and I really think that it because I was so close to the customers and understood their needs so well. And because I was so close to the customers I could build Acuity as something they really want and I was very focused on their needs, and that’s the reason we succeeded and we grew from just me to 25 people working in Acuity. We try to stay very close to the customers, we are really customer centred and try to understand our customers better than anybody else and that what help us succeed. So this is also my best advice

Gavin Zuchlinski is the founder of Acuity Scheduling, a clever online automated way for businesses to manage their appointments online, allowing clients to schedule themselves. Gavin says, “At Acuity Scheduling we are obsessed about helping businesses like yours offer and manage appointments online so you can focus on what you're good at. It all started with seeing my mom spend hours scheduling her clients. I knew there had to be a better way, so I built it. It transformed her life and now does the same for over 50,000 businesses.” Effect of relocating to Acuity Gavin started by working in a government job before leaving to start Acuity Scheduling. He recently moved from New York City to Pennsylvania to be closer to family. His move didn't affect Acuity's operations because it's a completely remote company. Every Acuity employee either works from home, a co-working space or other suitable location. Whenever Gavin needs to hire new employees he still sources them from New York because it's easier to carry out training and on-boarding. Current core revenue streams Acuity is a subscription based SaaS business where every client who goes to their website can sign up for a trial and later pay for the service either monthly or annually. 100% of Acuity Scheduling's revenue comes from the subscriptions. Target clients Gavin originally built Acuity for his mum's small business and he has continuously ensured that they only serve small businesses that have less than 10 employees. Acuity offers 4 pricing plans including a free plan, $10 plan, $19 plan, and a $34 plan. They also have larger clients who pay the same low prices which enables Gavin and his team to ensure that clients are treated equally in terms of service delivery. Acuity has tens of thousands of low paying customers. That has helped the company avoid being reliable on one segment clients for its major revenues. Starting out in business During a long drive with his mum, Gavin realised that she was having a hard time scheduling, cancelling or confirming appointments, and that inspired him to develop a program that would help her efficiently manage her appointment scheduling so she could concentrate on her core activities. That software program was what became Acuity. Gavin also set up a web development business around the software but in the beginning he didn't succeed in getting clients. He still kept it running and eventually people started organically signing up for it. Back then, Gavin was still working in his government job so he would work on Acuity during his free time. In 2013, he decided to go into Acuity full-time because it had grown considerably and needed his full attention. The idea for Acuity Gavin came up with the idea for Acuity in 2006 and started developing it immediately in his free time. He is a developer by trade and thus built the software himself. It took him a few weeks to build the first version and take it to market. Getting the first set of clients The first client for Acuity was his mum and even though he can't remember the second client, he could recall that one of his one first hundred clients is a fly fishing instructor in the Mid-West US who has been a client ever since. To get the first clients, Gavin put up a self-service marketing sign on the Acuity website to direct new users on how to sign up and pay through PayPal while also setting up their subscription. He did a lot of search engine optimization which the sustainably increased the number of clients directed from Google search results. He also got a lot of clients from diverse recommendations and referrals. Acuity's ranking on Google When starting out, Acuity didn't rank on page one. Gavin didn't have Google Analytics to determine where his clients were coming from but he knew that most of them were searching...
