Five Ways to Choose the Right Speaker Ask for video footage. Always ask to see some clips of your speaker in action, before you sign on a dotted line. Don't worry—any reputable and experienced speaker will have some footage they can pass along. If your speaker seems hesitant to share video clips—well, that tells you everything you need to know right there. Ask about credentials. There is such a thing as a certified public speaker, and inquiring about different accreditations and professional affiliations can give you some sense of the speaker's bona fides. Ask for referrals. You might also inquire as to where the speaker has worked before, and call some past clients to see if they are willing to leave a positive review. Again, a speaker who is hesitant to list past clients is likely not someone you want to do business with. Ask for thought leadership. Most speakers are also publishers, and checking out your speaker's blog posts and e-books is a good way to feel out how well he or she knows the industry. Ask your gut. Your intuition is not something you want to ignore. You need a speaker you'll feel good about working with—and if your gut tells you that a particular speaker just isn't the one, that's reason enough to continue the search. What's the most crucial factor in determining the ultimate failure or success of your next conference or seminar? It's not the venue and it's not even the food, though both of those things certainly matter. No, what really makes or breaks it, is the choice you make for the conference speaker. Criteria for Choosing the Best Conference Speaker What's the most important criteria you want for your annual conference ? It's not a trick question. Though the venue and the food are both critically important considerations, it's the actual content that people are going to come for, and it's the content that people will remember. And the key to delivering strong content, of course, is enlisting the best possible conference speaker. If you're an event planner, that means really doing your homework, and choosing a conference speaker wisely. As you evaluate potential speakers, consider some of the following criteria, strategies, secrets, and tips—all of which will guide you to make the best decision possible, and to end up with a conference that participants will speak highly of. Watch Your Speaker perform. You wouldn't buy a car without taking it for a test drive. Neither should you engage a speaker without actually watching that speaker perform. Any reputable speaker will be willing to send you a YouTube clip or some other video sample. Ask About Past Experience. If you're looking for a speaker to present at a marketing convention, you want to ensure that it's someone who's presented to marketers before. Don't hesitate to ask about past experience with your industry or niche. Look for speakers who want to include you in their preparation. You don't want someone who's just going to rehash tired old talking points. You want a presentation that's tailored to your group. Try to find a speaker who will ask you questions and seek your feedback in planning his or her remarks. Seek a Conference Speaker Who Will Stick Around. Make sure your speaker is willing to stay after the presentation and talk with people one-on-one, take questions, or just be present. You don't want someone who's just going to speak, then make a mad dash for the door. Be cautious about speakers who want to sell stuff. It's fine for a speaker to want a table to sell his or her book, but be careful in hiring anyone who seems like they only care about promoting their wares. That's usually a bad sign. Go with a speaker who seems interested in your organization, your mission, and your goals. As you interview potential speakers, listen for those who also seem like they're interviewing you—because those are the ones who are really going to be invested in your event. Be strategic in picking your conference speaker—and land on someone who will really provide optimal value to your group! Looking for a Speaker? A great one is asking the right questions during the inquiry and onboarding process.Setting expectations early with your clients can ensure that planners are leading the process and are consultative.Going above and beyond can lead to burnout. Be upfront about expectations and lead the process to ensure the client isn't asking you for status, and that you are showing them frequent updates.Send a surprise and delight package as well to say welcome! Customization. In the world of TED talk videos available for free online, there's no reason to book someone who's giving the same talk at every event. She wants to receive a custom message, one that is tailored to that exact audience on that day.As for Jason, he wants dynamism, magnetism, and stage presence. He calls it the ‘phone test.' If he's looking down at his phone within ten seconds of watching someone's videos online, he knows they're not the person for his event.[11:04] - Bureau or No Bureau?An answer to the classic question— what do bookers want?Despite doing a lot of research on his own, Jason does work closely with speaker bureaus for the simple fact that it makes his life easier. Like Jason, Debbie pairs her own research with close bureau partnerships. Overall, 95% of her bookings come through bureaus.[18:38] - New and Exciting or Tried and TrueHow do bookers decide which way to go?Network matters. Proven success matters. But both Debbie and Jason assert that what it really comes down to is picking the right person, with the right message, for the right event. Sometimes that means going with someone who has a massive portfolio of previous talks, and sometimes it means going with a new upstart who doesn't have many keynotes under their belt but who has otherwise demonstrated their value. [27:57] - Setting the Volume KnobSetting the right tone to attract attentionDo bookers want a rock concert-like atmosphere from their speaker, or a more substantive and information-driven approach? The simple answer: a happy medium. There needs to be a good takeaway and substance, but there also needs to be energy and fun along the way. Legal expert Jonathan Howe on the latest legal risks for meeting professionals. The COVID-19 pandemic has created plenty of legal issues for the events industry, from grappling with force majeure clauses to negotiating attrition terms that make sense. As face-to-face events slowly begin to resume in some form, one question continues to pop up: Can planners be held liable if an attendee contracts COVID at their event? It’s a tricky matter, and one that was recently addressed by Jonathan Howe, founding partner of Chicago's Howe & Hutton law firm and Northstar Meetings Group's longtime legal expert. Howe spoke with Loren Edelstein, vice president and content director for Northstar Meetings Group, during Interact Independent Planners, the latest in Northstar’s new series of half-day digital meetings for planners and suppliers. He discussed liability and contract issues and answered questions from the attendees who joined the event. These include ensuring that attendees know the rules on cannabis consumption in the meeting location, the proliferation of events related to the legal cannabis industry and what exactly CBD is — and how it can be integrated into an event. “Will we be seeing bud bars at receptions or marijuana-laced edibles in swag bags? Will pot tastings be the new wine tastings?,” asks Barbara Peterson in Meetings & Conventions' recent cover story. While her answer is “probably not,” her article explores where cannabis is playing a role in events and how planners should be approaching this burgeoning industry.

In this episode, Amanda and Darryl break down the world of audiovisual equipment and give you some practical tips for how to better understand your bill and get that final number more in line with your budget. Session Take-Aways: Think about what you want to accomplish at your event. What A/V do you need? What don’t you really need? Always consult with an expert when planning your A/V. Establish a relationship with an outside A/V vendor. They can help even if you don’t use their services. Think about how can you do more with less.
