Is it possible to write so that even busy CEOs respond? Yes, it is. If you know how.  On this week's episode of Speak Like a CEO, Oliver sits down with Harvard professor Todd Rogers, co-author of Writing for Busy Readers, to uncover why most messages fail – and how to fix them. Todd is a behavioral scientist who has spent years studying how people read (or rather, don't read). His research-backed insights will change the way you write forever. Along with co-author Jessica Lasky Fink, Todd distilled years of research into 6 principles that make writing clearer, more engaging, and more likely to get a response. Every day, we're drowning in emails, reports, and messages. These 6 principles don't just make your writing better; they boost productivity, relationships, and response rates.  'Writing isn't just about creating content; it's about creating ourselves.' It's another Best Bits episode, and the theme that really stood out to me as I looked back over the last few episodes was one that you'll have met here before if you're a regular listener: it's the power of writing not just as a means of communication, but as a tool for self-discovery, clarity, and growth. Writing, it turns out, isn't just about creating content; it's about creating ourselves. It helps us process our thoughts, discover and sift ideas, and make sense of the world. One the things I love most about this podcast is that I don't just get to talk to authors about their books or even their ideas; I get to ask them how the act of writing has shaped them and changed them, personally and professionally. So that's what this episode is all about: uncover how writing transforms not just the reader, but the writer, and hopefully it'll fire you up and give you some practical ideas on how to go about getting more of this in your own life. Because as these powerful writers will tell you, it's powerful stuff. Hear from:  Jenny Proctor on sifting through what's already in place;  Kate Toon on pushing through to the new stuff;  Todd Rogers on the joy of rabbit holes;  David Falzani on the satisfaction of writing that makes a difference;  Per Wimmer on self-reflection and future direction;  Laura Hamill on letting go of performing and embracing authenticity;  Amy Walters Cohen on trusting the process;  Lucy Ryan on flow and joy.

Think of all the texts, emails, and social media posts you're inundated with each day. Sometimes you read them, and sometimes you swipe them away, telling yourself, perhaps not so honestly, that you'll revisit them later. If you're the sender of such missives and memos or the creator of content, you hope the recipient has the first response, that, instead of deep-sixing your message, they take the time to engage and take action on it.How do you increase the odds of that happening? Rather than just guessing at the answer, Todd Rogers has done empirical experiments to discover it. Todd is a behavioral scientist, a professor of public policy at the Harvard Kennedy School, and the author of Writing for Busy Readers: Communicate More Effectively in the Real World. Today on the show, Todd explains the four-stage process people use in deciding whether to engage with your writing, whether in a personal or business context, and how influencing these factors not only comes down to the style of your writing, but its overall design. Todd offers tips to improve both areas, so that you can effectively capture people's attention.Resources Related to the PodcastAoM Podcast #971: The 5 Factors for Crafting Simple (Read: Effective!) 'The TLDR, the too-long-didn't-read of the whole thing, is that everybody's skimming. So we need to write in a way that makes it easy for skimmers if we want to achieve our goals as writers.' Todd Rogers has been using behavioural science for good for many years, from strengthening democracy to increasing student attendance, so his kids were somewhat underwhelmed when he turned his research to writing. But think for a moment what the world would be like if everyone wrote clearly and effectively in a world where readers have little time and patience. Imagine the time not wasted, the offence not taken, the goodwill not squandered, the ideas not lost in translation.  Todd argues, and I agree with him, that better communication can lead to a kinder, more efficient world, and it starts with us. Whether it's an email, a business report, or a book, here are practical ideas for writing that's simply easier to read.

He's the co-author, along with Jim VandeHei and Mike Allen of Smart Brevity: The Power of Saying More With Less*. Most organizations spend way more time and strategy on external communications than internal ones. In this conversation, Roy and I discuss how your internal strategy can reduce email, save time, and create space for innovation and insight. Key Points An effective, internal publication via email reduces the amount of total messaging people receive. Position one, big item in every publication. There should be a hierarchy of what's important, since not everyone will read everything. Keep each topic to 200 words and under 1,000 words for the entire publication. For each topic, start with a strong, first sentence — and then provide context for why it matters. Find a word other than “newsletter” to name a regular, internal publication. Bring personality and smiles into internal publications. People will engage and look forward to reading. Done well, internal publications help inform, recognize, provide accountability, and allow leaders to focus on the human aspects of communication. Mike Caulfield: Verified Mike Caulfield is a research scientist at the University of Washington's Center for an Informed Public, where he studies the spread of online rumors and misinformation. He has taught thousands of teachers and students how to verify claims and sources through his workshops. His SIFT methodology is taught by hundreds of research libraries across North America, and a shorter version of SIFT instruction, developed with Google, has been taught in public libraries across the world. His work on Web Literacy for Student Fact-Checkers, won the Merlot Award for best open learning resource in the ICT category. His work has been covered by The New York Times, the Chronicle of Higher Education, NPR, The Wall Street Journal, USA Today, and the MIT Technology Review. He is the author with Sam Wineburg of Verified: How to Think Straight, Get Duped Less, and Make Better Decisions about What to Believe Online*. We've all seen something online that we thought was true, but turned out was a hoax. Annoying, but no big deal if it's just an internet meme from a friend or family member. But what if what you find online isn't at all what you thought and you make decisions or take action on it that affects your professional credibility? In this conversation, Mike and I discuss how to guard yourself from being duped. Key Points Rather than asking, “Is this true?” the more useful question is, “Do I know what I'm looking at here?” The cheap signals many of us were trained to watch for (working links, attractive design, about pages, proper domains) are easy to replicate and no longer correlate to credibility. Phrase questions to search engines in neutral ways for less biased results. Instead of “Are soda taxes a good idea?” ask “Do soda taxes work?” While Wikipedia still has bias, it's a far more credible source that many of us were taught — and a valuable source for a broad perspective of a topic or organization. Intelligent people often read vertically, to their detriment. The best fact-checkers read laterally by using the rest of the web to read the web. Watch for phrases like “sponsored content,” “brand partner,” “presented with,” “in partnership with,” “brought to you by,” “in association with,” or “hosted by.” These phrases signal advertisements. Here it is: Six Pixels of Separation - The ThinkersOne Podcast - Episode #919. In a world of information overload, Todd Rogers, a Professor of Public Policy at the Harvard Kennedy School of Government, recently published the book, Writing for Busy Readers - Communicate More Effectively in the Real World (co-authored with Jessica Lasky-Fink), as a testament to their understanding of the nuances of better writing in our text and emoji-paced world. Todd has dedicated his career to the study of efficient communication strategies, whether it's engaging with families, students, consumers, employees, or voters. His expertise is not just academic, it is also deeply rooted in practical applications, as evidenced by his co-founding of the Analyst Institute and EveryDay Labs. These organizations reflect his commitment to using behavioral science for public good – from improving voter communications to reducing student absenteeism through better family engagement. At Harvard, Todd's course, The Science of Behavior Change, is one of the most sought-after classes, a testament to his ability to translate complex theories into actionable knowledge. His role as the faculty chair of the executive education program Behavioral Insights and Public Policy, and his leadership of the Harvard Behavioral Insights Group, further highlight his central position in the landscape of behavioral science. In Writing for Busy Readers, Todd (alongside Jessica), dives into the challenge of writing effectively in a society that is bombarded with tasks and distractions. They champion the principles of brevity and clarity, advocating for the power of concise messages in capturing and retaining the attention of busy readers. Their book is a must-read for anyone looking for the balance between being informative and being succinct. Todd discusses the importance of standout subject lines, the pitfalls of overusing adjectives and common phrases, and the relationship between writing and persuasion. Todd addresses the impact of generative AI on writing, revealing his insights on how technology can aid in the principles of effective communication. Todd and Jessica's work is not just about writing - it's about understanding and engaging with the reader's context and perspective. His insights offer a roadmap for writing in a way that resonates in a society where time is the most precious commodity. Enjoy the conversation... Running time: 56:40. Hello from beautiful Montreal. Jessica Lasky-Fink. Harvard Kennedy School of Government. EveryDay Labs. Follow Todd on X. Follow Todd on LinkedIn. This week's music: David Usher 'St. Lawrence River'. Takeaways: Writing for busy readers requires brevity and clarity. Consider the reader's context and perspective when crafting written communication. Skimming and scanning are common reading behaviors in a busy society. Subject lines should be unique and attention-grabbing to capture the reader's attention. Avoid overusing adjectives and replace common phrases with more concise alternatives. Effective writing is closely related to persuasion and the ability to make it easier for readers to understand and respond. Generative AI tools like chat GPT can assist in writing, but they need to be trained on the principles of effective communication. Teaching effective writing strategies in schools can help individuals communicate more effectively in various contexts. Acknowledging others' efforts and providing positive feedback can have a significant impact on their well-being. Todd Rogers: Writing for Busy Readers Todd Rogers is a professor of public policy at Harvard University, where he has won teaching awards for the past seven consecutive years. He is a behavioral scientist and the cofounder of the Analyst Institute and EveryDay Labs. His opinion pieces have appeared in The New York Times, The Washington Post, the Los Angeles Times, and Politico, among other outlets. He's co-author with Jessica Lasky-Fink of Writing for Busy Readers: Communicate More Effectively in the Real World*. You probably only skimmed that email I spent an hour writing. And let's be equally honest the other way — I only skimmed the document your team worked on most of last week. This is the reality of how we all read in a busy world. On this episode, Tom and I discuss how to write so that people actually read what you send. Key Points Virtually everyone is a writer in some significant way: emails, text messages, memos, social media posts, and many other daily communications. While your writing is important to you, the audience is often trying to spend as little time as possible processing what you've sent. Virtually everyone skims, especially in the context of work. Using fewer words make it more likely that people will engage with the message at all, much less taken action. Addressing fewer ideas often helps people engage better. Studies show better results for calls to action when fewer ideas are presented in a single communication. Asking busy readers for more can cause them to do less. Be mindful about the number of requests you are making in writing and eliminate those which aren't essential. While some people take pride in being a perfectionist, the fact is no one is perfect, so it is a somewhat pointless quest to try. Being a perfectionist can also be bad for your health and longevity in a big way. Listen as I begin this episode explaining the dangers of perfectionism. http://www.livescience.com/6724-dark-side-perfectionism-revealed.html In school, we are taught to write well. However, when we communicate in the real world today, effective writing – the kind that people will actually read and respond to - is often not the writing you learned in English class. Research has proven that if you want people to read what you write you need to write using certain principles and discard some of the rules you learned in school. Here to help you understand the science of writing, so people will read it is Todd Rogers. Harvard Kennedy School Professor Todd Rogers and Lecturer in Public Policy Lauren Brodsky say that trying to sound too smart—even when trying to communicate complex or nuanced ideas—can end up being a dumb strategy. Because today's overburdened information consumers are as much skimmers as readers, Rogers and Brodsky teach people how to put readers first and use tools like simplification, formatting, and storytelling for maximum engagement. They say you can have the most brilliant, well-researched ideas in the policy world, but you can't communicate them, they'll never reach the ultimate goal—making an impact. Rogers is the faculty chair of the Behavioral Insights Group at the Kennedy School and the author of “Writing for Busy Readers: The Science of Writing Better.” Brodsky is senior director of the HKS Communications Program and the author of “Because Data Can't Speak for Itself,” a book about how to more effectively communicate the data that supports groundbreaking research and evidence-based policy proposals. They say snarky millennials may be to something when they dismissively mocked your wordy social posts and text messages by replying “TLDR”—"too long; didn't read”—because that's how many busy readers feel about a lot of the writing that researchers, academics, and policy wonks do.Todd Rogers is a Professor of Public Policy at the Harvard Kennedy School of Government. He is a behavioral scientist who works to improve communication, increase student attendance, and strengthens democracy. At Harvard, he is the faculty director of the Behavioral Insights Group and faculty chair of the executive education program Behavioral Insights and Public Policy. This week I was excited to speak with Todd Rogers about the new book that he co-authored with Jessica Lasky, Writing for Busy Readers: Communicate More Effectively in the Real World. Todd is a professor of public policy at Harvard University, where he has won teaching awards for the past seven consecutive years. He is a behavioral scientist and cofounder of the Analyst Institute and EveryDay Labs. His opinion pieces have appeared in The New York Times, The Washington Post, the Los Angeles Times, and Politico, among others.  In this conversation, we delve into the importance of making writing more accessible and reader-friendly in our fast-paced and busy lives. Todd illustrates the six scientific and common sense principles behind more effective, concise, and readable writing. Drawing inspiration from user design thinking, Todd also challenges the traditional notion that it's solely the reader's responsibility to extract information from the text. Instead, he emphasizes the writer's role in making content accessible and reader-friendly, shifting the burden away from the audience.  The principle of "less is more" takes center stage in this chat as we explore how using fewer words and simplifying content can lead to more effective communication. We also address the vital importance of editing with the purpose of making writing easier for the reader, more effective, kinder, and more accessible. In closing Todd addresses the ways that we can use tools such as ChatGPT and AI software to become better editors and content creators.  Make sure to check out our sponsors to help support the show! Use Formatting to Direct Your Reader: Headlines are signposts for your readers, guiding them to your main message. Understand Your Audience: Write with an understanding of what your reader cares about and how it dovetails with the goal of your communication. Make responding easy. Whatever you're writing, Todd Rogers says most people are too busy to read it. That's why, he says, “you want to make it as easy as possible for them."Rogers is a professor of public policy at the Harvard Kennedy School of Government and the author of the book Writing for Busy Readers: Communicate More Effectively in the Real World. From text messages to fundraising letters to political speeches, Rogers says effective writing makes it “easy for busy readers to navigate what we send them, pull out the key information, and do what they are planning to do anyway, which is move on to the next thing.” This kind of writing, Rogers says, is “more effective for us, and kinder to readers.”In this episode of Think Fast, Talk Smart, Rogers and host Matt Abrahams explore how to use structure, simplicity, and everyday vocabulary to write in a way that saves readers time and transmits ideas more effectively.See Privacy Policy at https://art19.com/privacy and California Privacy Notice at https://art19.com/privacy#do-not-sell-my-info.

Todd Rogers is a Professor of Public Policy at the Harvard Kennedy School of Government. His work: supports student success and attendance; strengthens democracy; and improves communication. Todd earned an undergraduate degree in religion and psychology from Williams College, a master's degree in social psychology from Harvard, and a PhD in organizational behavior from Harvard.  In this conversation, Todd talks about: Less is more. Be brief if we want people to read what we write. People skim, and 99% of people are more likely to read short text compared to long text. Plus, brevity is kinder to the reader. Design for how people read. We read headers, we jump around, we go as fast as possible. So, use headers, bold words, and bullet points to make it easy for people to get main ideas quickly. To write so people read what we write, use the AI model which has been trained on Todd's principles. Run your text through his model at www.writingforbusyreaders.com. Think addition by subtraction. We improve our writing by subtracting unnecessary words and sentences rather than adding more. Readers are skittish. If you use big, uncommon words, they may run away and never come back. Subtraction neglect: ask people to improve something, and the vast majority of the time they will add things. People too often fail to think that they can improve by removing and subtracting.   Follow Todd: LinkedIn: https://www.linkedin.com/in/todd-rogers-6ba447/ Twitter: https://twitter.com/Todd_Rogers_ Buy Todd's Book here: https://amzn.to/3OY2PjN Follow Me: Twitter: https://twitter.com/nate_meikle LinkedIn: https://www.linkedin.com/in/natemeikle/ Instagram: https://www.instagram.com/nate_meikle/
